Cuncil plicies and standards, resident camps are gverned by the Texas Yuth Camp Safety and Health Act. Our camps are accredited by the American Camp Assciatin (ACA). The ACA is a natinally recgnized standard f quality fr prgram, health and safety

3 TRADING POST A Trading Pst is perated at each camp. Times f peratin vary. The Trading Pst fr each camp will be pen during check-in fr campers t purchase t-shirts, camp supplies and fun items, while supplies last. Credit Cards are accepted at Stevens Ranch Trading Pst. Mney fr yur camper will be depsited int her accunt during check-in. This is the nly time a camper will have use fr spending mney. *Ckie Bucks may nt be used at either Trading Pst. BEDTIMES Bedtimes will vary frm night t night, depending n evening activities and age f camper, yunger campers, 9:00-9:30 and lder campers, arund 10:00 p.m. Camp staff members are nt hused in the same cabins as campers, unless specified in the camp sessin descriptin. Staff will sleep in cabins r tents in clse prximity t the girls. REST TIME (TURTLE TIME) Texas summers are ht! After lunch, during the httest part f the day, we have rest time (knwn as turtle time ). Please send a bk r quiet activity fr yur camper s turtle time. BEHAVIORAL EXPECTATIONS All Campers Will Respect their fellw campers. Camp is a n put dwn zne where we fllw the Girl Scut Prmise and Law. Wear scks and shes in camp. Walk, nt run, in camp. Always be with a buddy. Leave ur wild animal friends alne. Stay n camp paths and rads. Keep n fd in their tents, cabins, r wagns. Listen carefully when given the quiet sign (a raised hand). Enjy the flwers and let them grw (n picking!) Disruptive behavir that cntinues and keeps ther campers frm enjying themselves will nt be tlerated. Girls with inapprpriate behavir, such as biting, hitting, using excessive prfanity, the pssessin f drugs r alchl, refusing t participate during activities r t fllw staff directins, r creating an unsafe envirnment, will be sent hme with n refund. BUDDIES While resident camp is an individual activity, every effrt is made t accmmdate first chice f a buddy. During the n-line registratin prcess, there is a place t indicate the name f her buddy. After receiving cnfirmatin, please check with yur camper s buddy t be sure she has been assigned t the same sessin and prgram. LOST AND FOUND All lst and fund items will be sent t the apprpriate Reginal Office, where they will remain until August 15. After that date, all unclaimed lst and fund items will be discarded r dnated t an apprpriate charity. If yu are missing smething, d nt cntact r cme t camp. Please call the Reginal Office clsest t the camp yur daughter attended. COMMUNICATING WITH CAMPERS Mail Receiving mail is the highlight f every camper s day! Fllw these tips t prvide yur camper with a super mail call experience: Write cheerful letters filled with shrt, happy thughts and ask questins like What cl new things have yu tried? and Are yu making new friends? Dn t fcus n what the camper is missing at hme. Please d nt send fd, gum, r candy t camp! If mailing, ensure that yur camper receives mail n her first day at camp by sending a letter early! Put yur camper s name, prgram name, title, date f sessin, and the camp address n the envelpe, and we will hld it until the first mail call. Yu may bring mail r care packages with yu t check-in. Put yur camper s name, prgram title, and day yu want items t be delivered n each package r letter. (Please d nt send fd, gum r candy in care packages! * Mail is nt delivered n Sunday. Weather permitting; mail at Stevens Ranch will be delivered by Pny Express n Wednesdays fr ne-week sessins, and n Tuesday and Thursdays fr 3-day sessins. What a great way t receive mail! VISITORS We invite camp families t visit during the scheduled camp pen huses, view the facilities, and the meet the camp directrs and staff. Visitrs are welcme at that time. We encurage any turs t ccur prir t the beginning f the camping seasn. During resident camp all campers will be very busy. Fr this reasn, it is nt cnvenient fr parents r friends t visit. Parents can understand that prblems develp when sme campers may have visitrs while thers d nt. We knw that every parent will cperate in cnsidering the best interests f all campers. Turs f camp are nt allwed while girls are in sessin fr security reasns. HOMESICKNESS Hmesickness is a natural feeling fr many campers. It usually ges away in a cuple f days, and the camper enjys the rest f her sessin. Fr the success f her stay at camp, d nt prmise yur camper she can either call r cme hme if she is nt immediately adjusting t camp. If a camper becmes hmesick, the staff is trained t help yur child cpe with her feelings. Talking with parents directly n the phne tends t increase a camper s hmesickness. Camp prcedures fr handling hmesickness typically d nt include allwing campers t call their parents. If yu receive hmesick letters, please realize that the feelings yur camper had when she wrte the letter have prbably passed. If hmesickness cntinues, the Camp Directr will ntify yu by phne, and we will wrk tgether t prvide the best experience fr yur camper. EMERGENCIES If there is an emergency at hme, r yu wuld like t ask abut yur camper, yu may call and leave a message fr the Camp Directr. She will return yur call as sn as pssible. CHECK-IN and CHECK-OUT * If yur child has a disability, severe allergy, r special needs, PLEASE call the camp directr in advance f arrival at camp. Required Frms (TO BE COMPLETED 2 WEEKS PRIOR TO CAMP) Campers withut cmpleted frms will nt be allwed t stay and will nt receive a refund. We must have sht recrds n all campers. (State Yuth Camp License requirements.) If yu have an bjectin t immunizatins fr yur child, yu must have a state f Texas ntarized frm. Please start early, as there is prcessing time with the state. This frm needs t be upladed int CampDc. Where t Check-In At Camp Kiwanis, check-in is at Great Hall by the flag ple. At Camp Ri Blanc, check in is at Bridwell Ldge. At Stevens Ranch, check-in is at Richardsn Ldge. Fllw the signs and a unifrmed staff member will designate yur parking area. Please nte- a limited number f cars are allwed in the parking area at a time, and this may slw the check in prcess. It is pssible that we will experience high vlume check-in at times. Please be patient, campers will be prcessed as quickly as pssible. We want this t be a psitive & safe experience fr all f us. Early release disrupts camp. We understand if special circumstances warrant early release, if necessary speak with the camp directr at check-in t make arrangements. 4

5 Please bserve the speed limits at all camps fr camper and staff safety. Please leave yur pets at hme and wear cmfrtable walking shes. Bring any medicatins t check-in. Luggage needs t stay in the car while yu check in. Yu ll then transprt it t yur camper s unit, where yu can help her get settled in. If yu let yur camper unpack her things, she begins t have wnership f space and it helps her feel cmfrtable knwing where things are. Once yur camper is unpacked, cunselrs will get the girls invlved as quickly as pssible. We encurage yu t make a quick exit t allw yur camper t begin having fun. It is imprtant t be n time fr check-in as prgrams fr the week begin immediately after dinner. Health Screenings at Check-In The Health Supervisr will direct staff members in cnducting a general health screening at check-in. Yur camper will be asked t take dwn her hair and remve her shes and scks in rder t be screened fr easily transmitted cnditins such as head lice and athlete s ft. We als lk fr any recent cuts r abrasins, s we can care prperly fr yur camper. We will take yur camper s temperature, and based n the reading, the Directr will decide if yur camper can remain at camp. Please nte: Head lice and athlete s ft are easily transmitted frm ne infected camper t anther, s it s imprtant that yu diagnse and treat these cnditins prir t arriving at camp. If lice r nits are fund at check-in, yu must leave camp and treat yur child, remve all nits and have her rechecked by camp staff befre she can stay at camp. IT IS IMPORTANT TO BE ON TIME TO PICKUP YOUR CAMPER. NO CAMPER LIKES TO BE LEFT WAITING ON THE LAST DAY! HEALTH AND SAFETY Health Examinatins Campers wh attend a fur day r lnger sessin are required t have a physical examinatin cmpleted after August 1, Campers wh attend a sessin f three days r less are required t have nly a health histry. All campers must have current immunizatins as required by the State f Texas. Religius Reasns fr lack f immunizatins r physical must have State f Texas frms cmpletely filled ut. The immunizatin recrd must include actual dates we cannt accept wrding such as all current. A pht cpy f yur child s immunizatin recrd is acceptable fr ur recrds. A link t the Physical Frm and/r a Health Histry Frm is included in yur cnfirmatin and shuld be cmpleted by each camper s parent r guardian and the physical frm signed by a licensed physician, physician s assistant r a nurse practitiner. 5

6 Please cmplete the parent s prtin f the health histry befre the physical exam and take the frm with yu t the exam. The cmpleted frm(s), including immunizatin recrd, must be int CampDc 2 weeks prir t camp sessin. Campers withut cmpleted frms will nt be allwed t stay and will nt receive a refund. Health and Wellness Girl Scuts f Texas Oklahma Plains, Inc. takes the health f each girl very seriusly. If yur camper becmes ill r has a fever fr mre than 24 hurs, yu will be asked t pick her up. In the case f a serius injury r illness, yu will be ntified. If yur camper has a special need, please cntact the Camp Directr. Be sure t fill ut the Camper Special Needs Inf Sheet. Campers with Special Needs It is imperative that the camp directr has advance ntice f at least tw weeks, f a camper with special needs, a disability, r dietary restrictins, s that we can adequately prepare fr the camper if at all pssible. If camper is attending bth camps (Kiwanis and Stevens), ntify bth camps f these needs. Medicatins and Health Supervisr A Health Supervisr (RN, LVN, EMT r American Red Crss Emergency Respnder r First Aider) is n duty at the camp at all times and is under the technical supervisin f the camp physician, wh is at a nearby health facility. All medicatins brught t camp are stred and dispensed by the Health Supervisr, including all prescriptin medicatin, vitamins, and ver-the-cunter allergy medicatin. Over-the-Cunter Medicatins, Prescriptin Medicatins All medicine must be nted n the camper s physical frm. N expired medicatins will be given. Medicatins are given at mealtimes unless therwise directed. All medicatins, including vitamins, prescriptins, and ver-the-cunter drugs must be in their riginal cntainer and labeled with camper s name and dsage prescribed. Daily dsage cntainers are nt acceptable. The health histry has a sectin where yu can indicate the ver-the-cunter medicatin yu wish yur child t have. The camp health supervisr will prvide these if needed. Inhalers If yur camper has an as-needed inhaler, please send tw inhalers t camp. The unit staff will keep ne and the ther will be stred in the health center until needed. NOTE: Inhalers and anaphylaxis kits can be kept in yur camper s unit with her cunselr where it is readily available if necessary. When campers are away frm their unit, the staff member respnsible fr the unit will carry all inhalers and anaphylaxis kits that may be needed. Ear Drps T help prevent swimmer s ear, ur camp dctrs have written treatment prtcls fr eardrps after swimming. The ear drp slutin is half white vinegar and half alchl. All campers will receive ear drps after swimming. If yur camper has tubes in her ears, please infrm the Health Supervisr at check-in and she will nt receive the ear drp slutin. Insects and Insect Repellent Camp is utdrs and that means yur camper will get insect bites. T help prevent bites, send nn-aersl insect repellent and unscented saps and shamps that d nt attract insects. Camp staff will supervise applicatin f insect repellent twice a day t minimize insect bites. *We have fund that the msquit cil bracelets wrk well arund wrists and ankles. Sun and Heat Prtectin It is ht and sunny at camp, s it is it imprtant t send sunscreen and a hat r bandanna with yur camper. Baby pwder is als helpful t prevent chaffing when hiking r riding hrses. Send SPF 30 r higher sunscreen and cach yur camper t put it n thrughut the day. If she needs help, all she needs t d is ask a cunselr. Dehydratin WATER is critical fr keeping ur campers healthy. At all meals EVERYONE must drink their full glass f water (smetimes 2 glasses) befre getting juice, punch r tea. Please be sure t send yur camper with a hard plastic r metal reusable water bttle with a lid t help keep her hydrated everywhere she ges! Bedwetting If yur camper has difficulties with bedwetting, please indicate it n her Health Histry frm. Cunselrs can assist in changing bedding, laundry, etc. Plan t pack several sets f sheets and lightweight blankets. Cunselrs will be made aware f the prblem and can handle changing f the bed linens discreetly. Please d nt send sleeping bags as ur dryer cannt handle them. Emtinal Health While at Camp Yur camper may be expsed t things t which she is nt accustmed t while at camp. Althugh the staff tries hard t make camp a nurturing envirnment fr yur child t grw and try new things, we cannt always cntrl what her peers may say r d. Please encurage yur daughter t let a staff member knw immediately if she is uncmfrtable r feels threatened. Staff members are trained t let the camp directr knw abut these situatins immediately. We als DO NOT tlerate bullying. 6

7 INSURANCE Resident camp insurance is secndary t the parent s plicy and cvers accidents and illnesses that ccur during the resident camp sessin. Infrmatin regarding family insurance cverage shuld be listed r scanned in n the camper s health histry sectin in CampDc. If yu have questins abut insurance, please call Cliff Wilsn at ext PAYMENT AND CANCELLATION Balance f Fee The balance f all camp fees MUST be paid 14 days prir t the camper s camp sessin start date. Financial Assistance (Campership) If yu have applied fr Financial Assistance (Campership), yu will be ntified as sn as pssible. Cancellatins (14 days) If yur camper is unable t attend camp as planned, please immediately ntify the Camp Registrar at the area ffice clsest t the camp yur daughter was attending. There may be smene n the waiting list. A list f area ffices and phne numbers are at the frnt f this bk. Fees will be refunded accrding t the prcedures utlined in the 2018 Summer Resident Camp Guide. Cancellatins are due furteen days prir t start date f sessins. QUESTIONS Please feel free t cntact the area ffice listed n the first page f this Parent Handbk with any questins. Beginning in June, the Camp Directrs can be reached directly at Camp. If yu have a questin during yur camper s sessin and need t speak with the Camp Directr, yu may call the camp r and she will return yur call r as quickly as pssible. PREPARING FOR THE SUMMER! Parents please read! Resident Camp is an amazing adventure, and part f the adventure cmes as girls encunter living cnditins that are different than their everyday lives. T help yur camper make the mst f her adventure, yu can help her t prepare in the fllwing ways: Include yur camper in all decisin making. If yur camper has helped chse her sessin, r even sme ther items she will bring t camp such as a favrite stuffed animal, she will feel mre cnfident in appraching the adventure. Talk psitively with her abut camp activities, and relate camp t familiar everyday activities, such as sleeping (n a ct), eating (in a dining hall), shwering (in a shwer huse), and living with (new) friends (frm mrning until night). Assure yur camper that it s natural t miss hme and family, but that her feelings will be temprary because f all the fun she ll have and the new friends she ll make. Avid sharing statements like I ll cme and get yu if yu want t cme hme, and I dn t knw hw I ll get alng withut yu. Remember that yur camper will be having s much fun that she will sn vercme feelings f hmesickness and yu ll have her hme befre yu knw it! If yu have cncerns abut hmesickness, discuss them with the Camp Directr. Encurage yur camper t discuss any cncerns she has with her cunselr. Cunselrs are caring yung adults wh are trained t help yur camper with any cncerns she may encunter. PACKING HINTS (LABEL EVERYTHING) Make sure yur camper is included in the packing prcess, s she knws what items she has at camp and where they are packed. There is n need t buy a camp wardrbe clthes shuld simply be cmfrtable, durable play clthes. Girls will walk a lt! New shes shuld be brken in and cmfrtable befre they are wrn t camp. Pack enugh clthing fr yur camper s stay. Girls staying lnger than a week r less than ne week shuld increase r decrease the quantities listed apprpriately. Use a permanent marker t write yur child s name n every item she brings. Pack in a duffel bag and bring a waterprf bag fr bedrlls and sleeping bags. Garbage bags tear easily and are nt recmmended. D nt send valuable items t camp. There is a pssibility f lss r damage. Camp is nt respnsible. 7

Make an appintment with yur family dctr t have physical cmpleted. Make sure camper has all f her shts. Put yur Parent Handbk in an easily accessible place fr future reference. One mnth befre her sessin begins: Arrange a practice time away frm hme. An vernight at a friend s huse r a whle weekend at her grandparents hme wuld be an ideal pprtunity t practice being away frm Mm and Dad. Fr High Adventure Trips, mail, r directly submit all special waivers, & frms t Amarill Area Office by May 22.
