Our Summer Camp prgram ffers many pprtunities fr campers t try new things, learn, and grw. We strive t prmte healthy develpment thrugh experiential, adventurus learning. Campers will swim every day and spend mst f their time utside. Daily activities include science, art, sprts, grup games and much mre! A detailed weekly schedule will be ed t each week. WHAT TO BRING TO CAMP Please bring the fllwing each day f camp. If additinal items are needed (i.e. fr a field trip), yu will be ntified. Please label all campers belngings with first and last name. REGISTRATION & PROGRAM FEES Families have the flexibility t register fr as many r as little days r weeks that they need thrughut ur summer prgram. We ffer 9 weeks f prgram. A first cme first serve system is used t fill all available prgram spts. Registratin will start Mnday, April 30 th. Please g t r the Cmmunity 2

3 Center t get registratin packet. Early registratin is encuraged t be able t enrll in the days f camp yu want. Campers/Students Schl-Age Summer Camp will enrll children entering Kindergarten t 6 th grade. Children will be put int grups based n grade, K-3 rd and 4 th -6 th. Yuth staff will make every effrt t prvide reasnable accmmdatins necessary t ensure that the prgram is accessible and available t persns with disabilities. Yuth Camp emplyees will be sensitive t the needs and requirements f the disabled and will ask if assistance is needed. If yur child has any special needs, please ntify staff s that we can prperly accmmdate yur child. All children will be assessed n a case-by-case basis. Summer Camp Prgram Registratin Optins Families may register fr full weeks (Mnday-Friday) r a daily cmbinatin. Full week registratins are given pririty and are prcessed first. All remaining spaces are filled with part-week registratins. Prgram Waitlist & Openings Full and part-time penings are determined based n space availability. If yur family is waitlisted fr all r sme requested prgram dates, yur family will be cntacted when full r part-time prgram penings ccur. We may have space available n the day f camp yu are nt registered fr and want t enrll r drp-in. Please call the frnt desk , t see if space is available. Full payment is expected at the time f drp-in registratins. Drp-in care is nt always available. If it wuld cause ur staff-child rati t drp belw the state required minimum, if there are already 30 children enrlled fr the day, r if the prgram has been cancelled due t lw enrllment, staffing, r ther unfreseen issues, enrllment will be denied. Child care fr any particular day may be cancelled if nt enugh children are enrlled. We will attempt t ntify parents f children that are enrlled fr that day by the Friday prir t care. Please make sure we have updated and multiple means f cntact. Number f campers enrlled in camp per day- minimum: 5, maximum Summer Camp Prgram Fees Weekly Single Day Gilpin Resident: $160 $35 Nn-Resident: $190 $45 A $10/week r $5/day, nn-refundable depsit is due at the time f registratin. There is a 10% discunt fr additinal children per husehld. T register, all families must prvide the fllwing fr each camper: Registratin frm Emergency Cnsent and Release frm 3

Frms can be fund at this website: Children wh are nt up t date n immunizatins, and nt exempt, cannt be allwed in ur prgram withut a written plan fr getting immunized. Medicatin frms (if applicable) Signed Parent Handbk Agreement CANCELLATION POLICY Please read carefully! When we reserve yur space fr summer camp we ftentimes turn ther families away and are unable t fill that space later. Therefre, cancellatins r changes must be made n r befre 5pm the Thursday befre the week f enrllment. Depsits are nnrefundable and nn-transferable. Deadline On r befre 5pm Thursday the week befre camp After Thursday the week befre camp Cancellatins Full refund less $10/week r $5/day depsit. Cancellatin must be made fr exact schedule chsen. Cancellatins must be made in writing/ . We can accept switches fr ther days r weeks if rm is available. N refunds r changes available. Full payment due fr all registered days. This is t ensure the quality f prgram supplies and staffing. PROGRAM PAYMENT 1. At the time f registratin cnfirmatin, yu will be ed a cpy f the schedule f the weeks and days yur camper(s) will be attending camp. 2. Yu may either pay yur camp fees in full fr the summer r weekly befre camp starts. 3. Payment fr each week must be received in full befre yur child attends camp. If payment has nt been received by 5pm Thursday befre camp, camper care services can be denied. 4. There is a $10/week r $5/day, nn-refundable/transferable depsit due with cmpleted frms befre yur child is enrlled in summer camp. This depsit is applied t the weekly fee. The remainder f the registratin fees will be due the Thursday befre each week f camp yur child is enrlled. 5. There is a 10% discunt ff full price fr additinal children per husehld. 6. We accept cash, check r credit cards (additinal fees apply). Returned checks will incur a fee f $ We accept payment thrugh the Clrad Child Care Assistance Prgram (CCCAP). Fr CCCAP questins cntact Gilpin Cunty Human Services: Our prgram clses at 6:00 PM. Parents whse students remain past 6:00 PM will pay vertime fees: $1 fr every minute after prgram clses (per student). Participant may be withdrawn if three vertime charges ccur. Please cntact the frnt desk if 4

5 yu are ging t be late. IRS STATEMENTS GCPR can prvide a camp receipt fr tax purpses. We als suggest that yu keep a recrd f yur payments as an accurate accunt f yur camper care expenses. The Gilpin Cunty Taxpayer Identificatin number is fr the Camper Care Expenses frm. PROGRAM EXPECTATIONS Parents may expect that: Their campers are cared fr in a safe, supprtive envirnment. They are encuraged t share ideas, feedback and cncerns with the Yuth Prgrams Crdinatr. They will be cntacted t discuss and address any challenging behavirs. Their camper will be engaged in a variety f high quality enrichment activities all day lng! The prgram expects that parents will: Read all distributed materials. Pay fees n time as explained in the Prgram Payment sectin. Keep the camper's recrds up-t-date. Drp ff and pick up campers n time. Fllw the health plicy as explained in the Health and Safety sectin. Cntact the prgram if their camper will nt be attending n a scheduled day. Cperate in effrts t address challenging behavirs. Campers may expect: T have a safe, caring, supprtive and cnsistent envirnment. T use all the prgram equipment, materials, and facilities n an equal basis. T receive respectful and fair treatment. T have discipline that is cnstructive and nn-punitive. T receive nurturing care frm staff members wh are actively invlved with them. T have a variety f recreatinal pprtunities fr learning, fun and grwth. The prgram expects that the campers will: Be respnsible fr their actins. Fllw prgram rules. Remain with the grup and prgram staff at all times. Take care f materials and equipment used. Refrain frm using abusive language and ther unacceptable behavir. Shw respect and kindness t the ther campers and staff thrugh actin and wrds. Our gal is t create a safe, respectful and psitive cmmunity where campers can thrive. Please review these expectatins with yur campers. 5

6 HOW THE PROGRAM WORKS ATTENDANCE Upn arrival and peridically during the day attendance will be taken t cnfirm a camper is present and accunted fr bth n and ff site at all times. In the case a camper des becme lst, staff will ntify the parents and lcal authrities immediately. Any lst camper is reprted t the plice and department f Scial Services. When planning events and activities, a list f names will be left at the frnt desk with a nte indicating the specific lcatin f the grup. DROP-OFF AND PICK-UP Parents may drp-ff r pick-up their camper(s) at any time thrughut the day between 7:30 AM and 6:00 PM, except n field trip days. All campers must be present by 9:00 AM n field trip days t ensure timely departure. If parents will be drpping ff after 9:00 AM r picking up earlier than 3:30 PM n a camp day ther than field trip day, parents must infrm camp staff and/r the Yuth Prgrams Crdinatr. This is s we are able t let yu knw where the camp will be lcated. GCPR and the state requires that each camper be signed in and ut each day by a parent r ther persn with written authrizatin. GCPR accepts respnsibility as the camper care prvider upn the parent s signature n the daily sign in/ut sheet. Campers can be fund in the designated camp rm assigned at each facility. If campers are nt in the rm staff will leave a sign stating where the campers are and their estimated return time. If a camper is walking in by himself/herself, a Walk T and Frm frm must be cmpleted and the camper must be respnsible fr signing himself/herself in t the prgram. This ptin is nly available fr 3 rd 6 th grade campers. Yunger siblings f 3 rd -6 th graders with this frm are allwed t walk t camp with his/her sibling, but the lder sibling must sign in the yunger. Parents may nt leave a camper at a GCPR prgram site unless staff is there t supervise the camper. Parents, r anther authrized adult, are required t sign ut their camper(s) every day f camp. AUTHORIZED RELEASE OF CAMPERS Campers will be allwed t leave with persns ther than the parent nly if permissin has been given n the Emergency Cnsent and Release frm, in writing, r by phne message frm the parents in case f an emergency. When an unauthrized individual seeks the release f a camper, the prgram supervisr will be cntacted alng with any parent r guardian t ensure the camper's safety. If yur camper attends extracurricular activities r has any ther kind f arrival/departure time changes please cntact the Yuth Prgrams Crdinatr. 6

7 VISITORS All visitrs must sign in and prvide identificatin when visiting the prgram. GCPR Yuth Prgrams welcme all visitrs. Prir ntice is nt required but is appreciated t ensure safety and ur availability. PROGRAM CLOSING TIME Our prgram clses at 6:00 PM. Parents whse campers remain past 6:00 PM will pay vertime fees: $1 fr every minute after prgram clses (per camper) If parental/guardian cntact is nt received 5 minutes after clsing time, staff are required t call parents (if pssible) and exhaust all emergency phne cntacts t ensure camper's safe pick-up. If n cntact is made within 30 minutes, staff will fllw this prcedure t alert prper supervisin: Yuth Prgrams Crdinatr, then Assistant Directr. The camper may be withdrawn frm the prgram if three vertime charges ccur. If all cntacts are exhausted and parents and emergency cntacts cannt be reached within 30 minutes f clsing the Yuth Prgrams Crdinatr will cntact the Gilpin Cunty Sheriff s Office t handle the situatin. MEALS AND SNACKS Campers are required t bring tw snacks and a lunch t camp every day. We encurage thse snacks and lunch t be healthy and nutritius. Please pack a healthy, lw sugar and balanced meal. Lunches will nt be refrigerated; therefre, we ask that yu send lunches with an apprpriate ice pack. Please mark all lunch bxes/cntainers with the camper s first and last name. During camp, campers will take part in ccasinal fd parties and cking prjects. Please infrm the Yuth Prgrams Crdinatr f any fd allergies prir t yur camper attending camp. MEDIA AND VIDEOS The use f media will be permitted nly with the written apprval f each child s parent/guardian; including time limits. These activities will nt cntain inapprpriate cntent. Parents/guardians will be asked t sign a permissin frm authrizing their child t watch a vide prir t ding s. All children will be prvided an alternative activity nce they lse interest in the media activity. TRANSPORTATION OF CAMPERS The GCPR Yuth Prgrams use transprtatin t g t and frm lcatins away frm the designated facility. GCPR will use transprtatin (10 passenger bus) that is insured by the Cunty r will cntract with a transprtatin cmpany that can prvide written prf f insurance that will stay n file at the Cmmunity Center. An Emergency Cnsent and Release frm shall be read and signed by parents r 7

8 guardians befre a participant is allwed t be transprted in vehicles. The GCPR staff will enfrce the fllwing transprtatin safety plicies: 1. Passengers shall be instructed and required t keep the seat belt prperly fastened and adjusted. 2. Cnversatin shuld be kept at a lw vlume, as t nt distract the driver during transprt. 3. The name f the driver, methd, itinerary, and destinatin will be psted fr any field trip. 4. The Yuth Camps will meet state regulated ratis at all times in the vehicles. 5. Children will be laded and unladed ut f the path f mving vehicles. 6. Children will nt be permitted t stand r sit n the flr f a mving vehicle and their arms, legs, and heads will remain inside the vehicle at all times. 7. Children will nt be left unattended in the vehicle. 8. Transprtatin arrangements fr schl-age children will be by agreement between Gilpin Cunty Yuth Camps and the child s parent(s) as t the mde f transprtatin. Staff will mnitr the arrival f expected parents and fllw up n their whereabuts if they are late. 9. A first aid kit must be in each vehicle in which children are transprted. 10. Emergency infrmatin must be kept in each vehicle in which children are transprted. 11. A rster f all passengers will be left with ur recreatin desk fr verificatin. FIELD TRIPS Parents will be ntified in advance f all field trip destinatins, departure times and return times. Please nte that all schedules are subject t change! If a camper arrives late after the grup has left fr an excursin the parent is respnsible fr the care f that camper. Campers must cnduct themselves respectfully during all field trips. Campers that behave inapprpriately n a field trip may be suspended frm future excursins. Any emergencies that ccur n the rad r during field trips will be handled in the fllwing manner: mve all campers t a safe place, cntact 911 if it is a life threatening emergency, cntact the prgram supervisr, cntact the parents. BEHAVIOR AND DISCIPLINE POLICY Yuth Prgrams staff use the psitive techniques f guidance, including lgical r natural cnsequences applied in prblem situatins, redirectin f children t mre acceptable behavir, anticipatin f and eliminatin f ptential prblems and encuragement f apprpriate behavir rather than cmparisn, cmpetitin, r criticism. Cnsistent and clear rules are established. Staff members encurage the children t slve the prblems rather than impsing a slutin. The Staff helps children t recgnize and respect each ther s feelings. Staff members encurage pr-scial behavir such as cperatin, helping, taking turns, and cnstructive verbal cmmunicatin t slve prblems. The gal is t help children internalize rules and becme self-directed in their behavir. 8

9 Chrnically disruptive behavir is defined as verbal r physical activity which may include, but is nt limited t, such behavir that: requires cnstant attentin frm the staff, inflicts physical r emtinal harm n ther campers, abuses the staff, r ignres r disbeys the rules which guide behavir during prgram time. If a camper cannt adjust t the prgram setting and behave apprpriately, then the camper may be discharged. Reasnable effrts will be made t assist campers t adjust t the prgram setting. Disruptive behavir will be handled in the fllwing manner: 1. A staff member will verbally redirect the camper s behavir. 2. If the disruptive behavir cntinues r repeats, a staff member will speak with the camper and will decide upn an apprpriate natural cnsequence such as a brief time-ut. 3. If the behavir cntinues r repeats, a staff member will wrk with the child t cmplete a Think abut it sheet. 4. If the behavir cntinues r repeats, the Yuth Prgrams Crdinatr will be ntified and will speak with the camper. A Behavir Reprt will be cmpleted and sent hme. 5. If the behavir cntinues, parents will be cntacted and an incident reprt will be written by the staff member and filed with the camper s enrllment infrmatin. 6. If a camper receives three written Behavir Reprts the camper will be suspended affective at the end f the day f the third reprt. During the first week f the camper s suspensin, the parents and caregiver will meet in a cnference setting in rder t determine the cnditins fr reinstatement. Parents will be respnsible fr the payment f tuitin during the perid f suspensin r until the camper is withdrawn frm the prgram r is discharged. 7. If the camper is reinstated in the prgram and receives a furth behavir-related incident reprt, the Yuth Prgrams Crdinatr may suspend the camper immediately and ntify the parent t pick up the camper. The camper will be discharged frm all yuth prgrams effective the next day. Parents will nt be respnsible fr payment fr any tuitin after the date f discharge. 8. If the severity f a prblem is great enugh that it culd endanger the safety f the camper r ther campers in the prgram r any staff, discharge will be effective immediately. This includes any type f physical abuse inflicted by the camper n staff r ther campers. A camper may als be discharged if he/she is picked up late three times withut ntificatin. Any camper will be refused entrance if payment and frms fr the prgram are nt up t date. WITHDRAWAL FROM THE PROGRAM Parents wishing t withdraw their campers frm the prgram must prvide a statement in writing at least tw weeks prir t discntinuing the service. 9

10 Tuitin will be due fr the balance f any utstanding charges. ABSENCES If yur camper will nt be attending the prgram because f scheduled appintments, vacatins, r ther planned absences, please ntify the staff in advance (see cancellatin plicy). If yur camper is ill, please call the prgram staff (either at the prgram site r ffices) t ntify us. Messages may be left n vic . Absences withut prir ntificatin may be mistaken fr a missing camper and unnecessary cncern and time may be spent searching fr the camper. If a camper des nt arrive at the prgram as intended, the staff will cntact the parents. HEALTH AND SAFETY If yur camper has a knwn medical cnditin (nut allergy, asthma, diabetes, seizure disrder, etc.) please cntact the Yuth Prgrams Crdinatr. Please prvide necessary medicatin and apprpriate frms fr its use via yur healthcare prvider. If a camper has any ne f the fllwing cnditins, the parent will be ntified t pick up the camper immediately: cntagius disease, fever ver 100F, vmiting r diarrhea, r an accident requiring medical attentin. In case f serius accident r illness, parents f the camper will be called immediately. In serius cases, the camper will be taken t ne f the lcal hspitals by an emergency vehicle fr treatment and the parents will be called as sn as pssible. Staff will cntact Timberline Fire Department wh assumes the immediate care and respnsibility if parents are nt n the scene. Medical expenses will be the respnsibility f the parent r legal guardian. Staff are t make every effrt t keep a camper frm getting int a car with a parent r guardian under the influence f drugs r alchl. They will call the Sheriff s Department t give the camper and parent a ride hme. Staff will nt under any circumstances give transprtatin t a parent wh appears t be impaired by drugs r alchl. The prgram s license requires staff t reprt suspected cases f child abuse t lcal authrities. This includes the reprting f neglect r parents wh appear t be impaired by drugs r alchl. Smking is nt permitted in the Gilpin Cunty Cmmunity Center. SICK CAMPERS If yur camper is absent due t illness during ne r mre f the scheduled attendance days the family is still respnsible fr payment. N credits r refunds will be given fr sick days. Exceptins can be made in case f prlnged illnesses with a dctr s letter. All final decisins will be made by the Yuth Prgrams Crdinatr. 10

11 ACCIDENT REPORTS If a camper is invlved in a minr r majr accident while at camp, the staff will cmplete an Accident Reprt, which will be sent hme with the parents r guardians. This reprt will als remain n file. DISTRIBUTION OF MEDICATION When a camper must take a prescriptin r ver-the-cunter medicine the parent must prvide a cmpleted, signed medicatin authrizatin frm. Please cntact the Yuth Prgrams Crdinatr fr this frm. The medicatin must be prvided in the riginal cntainer accmpanied by the dctr's directins. If medicatin is t be kept at the prgram fr treatment f a chrnic cnditin, n mre than a ne-mnth supply shuld remain at the prgram at any time. All medicatin will be stred in a lcked bx accessible nly t staff trained in medicatin administratin. SUNCREEN Yuth Camp staff will supervise and assist in applying sunscreen t children, as needed. Bring sunscreen with yur child s full name n it (waterprf, and all-day frmulas are recmmended). Please make sure yur child is wearing sunscreen when he/she arrives t the camp. Sun hats and/r sunglasses are als recmmended. INCLEMENT WEATHER In the case f inclement weather campers will be allwed t play utdrs in temperatures abve 25 degrees F (when dressed apprpriately), and as ht as 100 degrees F (when prper shading and hydrating cnditins exist). Otherwise campers will be required t play indrs. If we feel weather cnditins create health hazards t prgram participants and staff (i.e. trnads, flding, etc.) we reserve the right t clse the prgram fr safety precautins. EMERGENCY PLAN In case f an emergency r natural disaster Yuth Camp staff will bring the participant rster and emergency infrmatin t keep all children accunted fr, and adhere t the fllwing prcedures: Flds Remain calm. Mve t a safe lcatin if cnditins further deterirate. Prvide any first respnder emergency care as it is needed (CPR, First Aid, etc.) Call emergency authrities t reprt the situatin and request help if needed. If a District vehicle is safe fr transprtatin, use it cautiusly t transprt participants t safety. If necessary, wait fr emergency medical vehicles fr transprtatin. Call Recreatin Crdinatr r Recreatin Supervisr. Parents r guardians will be ntified as sn as pssible. All numbers listed fr cntact will be called if necessary. Trnades 11

12 Fire If indrs find a basement r a rm with n windws (i.e. gymnasium, inner classrm, etc.) If utdrs exit vehicle, lay flat n the grund in a ditch. Lcate the safest place, take attendance, call lcal authrities/emergency services. Call Recreatin Crdinatr. Parents r guardians will be ntified as sn as pssible. All numbers listed fr cntact will be called if necessary. Direct campers t mve quickly and rderly t the designated exit. One staff will check restrms. All participants will walk in an rderly manner t the utside area ne prgram leader will lead, ne will bring up the rear. All campers will be cunted. Emergency persnnel will be ntified f any camper missing. The grup will stay in the designated area with the campers until emergency persnnel give further instructin. Mnthly drills will be practiced. Blizzard If blizzard cnditins exist t the degree that parents cannt pick up their children, the Yuth Camp staff will cntinue t prvide services and prgram peratin will cntinue until cnditins make pick-up pssible. Additinal payment may be requested. Bmb r terrrist threat: Yuth Camp staff will take the necessary precautins utlined in the Clrad State Regulatins. Staff will escrt children t the safest pssible lcatin. Smene appearing n r in the premises with a firearm: The emergency number (911) will be called and campers will be taken ut f danger, fllwing Standard Respnse Prtcl (SRP) prcedures. FAMILY REUNIFICATION IN AN EMERGENCY In the case f an emergency where children need t be mved t anther lcatin, the fllwing effrts will be made t cntact the parents r ther authrized persn t pick up the child: Befre leaving, if pssible, staff will pst a sign n the frnt dr f the Cmmunity Center telling the parents where the children are and a phne number fr them t make cntact. A staff phne number may be listed, as well as a number fr the lcatin. Als, the Sheriff s Office will almst always have alternate means f cmmunicatin. That number is: The Sheriff s Office will be called as sn as pssible t let them knw where the children are. Once the camp has arrived at the alternate lcatin, staff will begin cntacting the children s parents, guardians, r emergency cntacts. 12

13 When smene cmes t pick up a child, staff will verify that they are an authrized persn t whm the child may be released by checking their Driver s license r ther identificatin and cmparing it t the child s authrized pickup list. If a parent r ther cntact cannt be reached, the child will never be left unattended. Staff will stay at the lcatin until smene can be reached. If it is an extended length f time after the emergency is lifted, the child may be released t the Sheriff s Department r t Human Services.
