3 100 th Anniversary Camporee 3 Chapter 1 Overview of the Miami Valley s Anniversary Camporee 2019 Join us for our Council Camporee celebrating the 100th Anniversary of the Miami Valley Council. This event is for Scouting youth who are aged 5 to 21 and their adults and/or registered Scout leaders. This is the capstone event of our 100th celebration and there will be a variety of Scouting experiences for Scouts of all ages. Many theme-based events and some favorite Scouting activities will be offered. Scouts and adults can expect a fun-filled, Scouting outdoor program complete with individual and patrol skills being showcased, connections with camping and emergency professionals, skill development, and adventure. Reserve your spot now for this once in a century event to celebrate Leadership, Character, and Service. WHO SHOULD ATTEND Calling All Scouts to the Miami Valley Council s 100 th Anniversary Camporee... Scouts BSA, Venturers, Webelos, Cub Scouts, and adults from everywhere in the Miami Valley area and beyond are called to attend the Miami Valley Council s 100 th Anniversary Camporee. The Camporee is a jamboree-style camp hosted by Miami Valley Council Boy Scouts of America. All Units and Councils are welcome. All attendees are encouraged to register in advance to attend the Miami Valley Camporee. Walk-in registrations for Saturday only will be accepted for a higher fee. Scouts BSA Troops and Venturing Crews Scouts BSA and Venturers of all ages are encouraged to attend the Camporee for a full weekend of camping and age appropriate activities. Order of the Arrow Miami Lodge #495 s Camporee Z-Squad Service Core, a team of OA youth who are part of the Camporee staff, will be helping in various ways throughout the event. Youth and adult members of the OA Miami Lodge #495 interested in providing cheerful service are asked to Matthew Cunningham at mjcunning@rocketmail.com to become part of this team! Cub Scout Packs: Cub Scouts are encouraged to attend the Camporee for a full weekend of camping and age appropriate activities. Webelos Register one of two ways: 1. Webelos attending with a Scouts BSA Troop of their choosing should register with that Troop. 2. Webelos may also register with a Pack, Den, or family who are attending. Webelos camping with a Troop should register with the Troop. Cub Scouts can camp with their Pack or their family. Parents of Webelos are encouraged to share in the Camporee experience and there are no differences in activities or procedures for Webelos and Arrow of Light Scouts.

4 100 th Anniversary Camporee 4 Cub Scouts Cub Scouts will attend with their Pack, Den, or family. Cub Scouts will find activities designed especially for them. Parents of Cub Scouts are encouraged to share in the Camporee experience. REGISTERING FOR THE CAMPOREE Registration is online only at Payment options include e-check, credit card, or mail in; payment for registrations through April 3 rd must be paid in full by 5:00pm on April 3 rd to receive the Regular registration rate and to avoid cancellation. Registration Paths There are two types of registration paths: 1. Individual - Register yourself (adults) or several individuals Register as a Scout family when Unit is not attending. Scouts and youth 5 years and older must attend with at least one parent or guardian; Scouts may not attend the event on their own. If a parent is not attending, Scout(s) must attend with two adults (one being a Unit Leader) and the Unit must register as a Contingent "Saturday Only group. Registration is online only with payment due at time of registration. Units must assign a Contingent Coordinator. 2. Contingent - Register a Unit and its Participants Select one of two Group Options: a) Full Weekend - For Units or families camping, arriving on Friday and departing on Sunday b) Saturday Only - A group (i.e. Troop, Crew, Pack, Patrol, Den) attending on Saturday only. Full Weekend and Saturday Only groups must assign a Unit Contingent Coordinator. During the registration process, the following information will be asked: 1) Participant type, 2) Participant name, 3) (optional for youth; required for Unit Contingent Coordinators), 4) Address/telephone numbers (required for Unit Contingent Coordinators and for all participants registering through the Individual registration path), and 5) Camporee t-shirt size (included in cost). More registration information is provided in Chapter 2 Before Coming to the Camporee Registration and Paperwork (see Page 7).

Everyone must enter the Harshman Road entrance only (cannot enter from Springfield Street). 7 100 th Anniversary Camporee 7 H Chapter 2 Before coming to the Camporee Registration and Paperwork REGISTRATION All attendees must be pre-registered to attend the Miami Valley Council s 100 th Anniversary Camporee This includes Scouts BSA, Venturers, Webelos, Cub Scouts, youth 5 years and older, adult leaders, other adults attending with them, staff, and volunteers. Registration for the 100 th Anniverary Camporee will be online only. Go to: Online registration closes April 3, Walk-in registrations will be permitted for Saturday only at a higher rate. All registrations and payment must be completed online at Full Weekend Contingents are encouraged to register early; campsites closest to the activities go to earliest registrants. Registration Process Assign a Unit Contingent Coordinator to register the Unit's participants for either the Full Weekend or Saturday Only group contingents. (Webelos attending or camping with a Troop should be registered with the Troop.) Individual "Saturday only" registrations must include at least one parent or guardian. Information required: Contact information for Unit Contingent Coordinators, and individual adult participants, and telephone numbers for all adults. Camporee t-shirt sizes are needed when registering each participant before 4/3/19 (be sure to collect size information prior to registering). Payment is due before each deadline to receive the appropriate rate. Adjustments can be made to an online registration once it is submitted up until April 3, Final rosters for Full Weekend Contingents must be turned in at pre-assigned Sub- Camp HQ. 8 100 th Anniversary Camporee 8 T-shirts Camporee t-shirts are included in the price of the registration when registering participants; be sure to have shirt size information for participants prior to registering online. Camporee staff will attempt to have t-shirts sorted prior to the Camporee for pickup at the Scout Office (an will be sent to the Unit Contingent Coordinator when shirts are available for pickup). Shirts will be available at Check-in if not picked up prior to the Camporee. A copy of the registration confirmation is required when picking up the t-shirts. Refund Policy and Procedures Once registration fees have been paid, an individual could become ill, injured, or otherwise unable to attend camp or an activity. During the preparation for summer camp or an activity, the council will have already incurred expenses related to food and program supplies, therefore not all fees may be refunded. Deposits are not refundable. Paid fees are refundable only if a unit or camper cannot be placed in the requested activity or dates chosen. A 50% refund of fees paid may be issued in the case of accident, illness, or other extreme extenuating circumstances, if requested in writing at least two weeks prior to the event. Conflicts such as sports or band activities are not qualifying circumstances for a refund, however, in the case of Day Camp or Resident Camp, full fees paid may be transferred to another session of camp within the same year. No refunds will be made available for requests made within two weeks of the event and following. Refund requests MUST be in writing, include proof and reason for refund (i.e. a letter from a school official or doctor) and be received at the Miami Valley Council offices by the required date. All camp refund requests must be written directly to the scout executive no refunds or requests may be made at camp or at the activity. All refund requests will be reviewed by the scout executive and processed through the accounting department at the close of camping season or activity. All refunds will be made payable to the unit attending camp, not individual campers. Questions about the policy or procedure should be sent to info@miamivalleybsa.org. Registrants Receive at Check-in Map and schedule of activities Wrist Bands - required to enter the Camporee program area and must be worn at all times. Camporee t-shirts not picked up at the Scout Office prior to event. EVENT PAPERWORK Event paperwork is in digital form, and online for your use. For more information on the specific forms, including hyperlinks and printable versions of the forms, see the Appendix of this guidebook. Unit Roster Required at Check-In (for Full Weekend and Saturday Only Groups) A printed or typed roster of your attendees must be completed and submitted at Check-in. A sample roster is in the Appendix of this guidebook. This roster will be used

9 100 th Anniversary Camporee 9 to verify those attending. Number of participants on roster must not exceed the number of participants registered online. BSA Annual Health and Medical Record Forms (Parts A & B) Parts A & B of the current BSA Annual Health and Medical Record Form can be found at: This document is required for everyone attending the Camporee. Unit Leaders attending should obtain these forms and keep in their possession during the Camporee.

10 100 th Anniversary Camporee 10 Chapter 3 Transportation and Arrival PREPARATION Before your Unit/family departs for the Miami Valley Council 100 th Anniversary Camporee from your home community, finalize paperwork for Check-in and plan meals prior to arrival (i.e. preparing own meals or utilizing Food Trucks). Check your paperwork: Unit Roster (for Full Weekend and Saturday Only groups), Registration confirmation, and Parts A & B of BSA Annual Health & Medical Record Form for all attendees. For Units that will be camping, make sure the Unit Contingent Coordinator provides Scouts and adults with the Unit's Camporee campsite location (see Page 13). Load all gear into one cargo hauling vehicle. Is your Unit camping? Unit Contingent Coordinator will receive campsite assignment via . WHERE TO GO Camporee event parking is located in Eastwood MetroPark, 1385 Harshman Road, Dayton, OH (see Driving Directions in Chapter 1). Must use Harshman Road entrance (cannot enter Springfield Street). Handicap accessible parking will be available; a State issued handicap parking permit must be visible in the vehicle at all times. Day Participants (Saturday Groups or Individual Family) All Saturday only registrants will park in the Camporee Day Parking Area at Eastwood MetroPark. Parking will open at 7:00 AM; check-in begins at 7:30 AM. Participants will proceed to the designated Camporee Check-in (west end of the camping area). The opening flag ceremony begins at 8:15 AM by the outdoor stage area. Helpful hints... Saturday groups should plan to arrive together to ease the check-in process. Wrist bands will be provided to all registrants at Check-in. They must be worn while at the Camporee. Plan ahead for your meals during the day - bring your own food or purchase from the Camporee food vendors. Don't forget water bottles to keep hydrated and sunscreen. Dress for the weather (open toe shoes are not recommended). Unit specific Class B (activity) shirts will help units identify their own Scouts. Don't forget money for the Trading Post and Food Trucks! Full Weekend Contingents The Camporee campsites are 50 x 50 and should accommodate 30 people with tents and a dining fly. 11 100 th Anniversary Camporee 11 One (1) Cargo Vehicle Pass per unit will be ed with campsite assignment (DO NOT COPY); Arrive between 3:00 PM and dusk on Friday; Arrange to have all or most gear brought to the camp in one vehicle/ trailer with the provided Cargo Vehicle Pass. Consider carpooling with another Scout Arrival at Campsite Friday 3:00 PM to Dusk Cargo Vehicles Delivering Equipment Each Unit registering for the Full Weekend Contingent will be Cargo hauling vehicles must issued one (1) Cargo Vehicle Pass for one cargo hauling vehicle display the Cargo Vehicle Pass to (with or without trailer) to enter the Camporee campsite on enter the Camporee campsite. If you are camping one night only (either Friday or Saturday), your unit will be placed in camping areas to avoid disruption and for safety reasons. Passenger Vehicles with Campers Passenger vehicles carrying Scouts and adult campers are to proceed to the designated Camporee Parking Area for arrival to the Camporee (see information below). Campers will then walk to their campsite. Any gear not delivered to the campsite in the cargo hauling vehicles must be brought to the campsite by campers via the Camporee Parking Area. Cargo hauling vehicles will enter the campsite area and park in the Cargo Vehicle Parking area after unloading. Passenger vehicles will park in the Camporee Parking Area. Special Needs Parking Passes Individuals with disabilities may obtain a Special Needs Vehicle Pass to park at the Unit's campsite. You must request a Special Needs Vehicle Pass ; Greg Neff, Camporee Facilities/Support Services Chair, at ganeff@ameritech.net with your request. Vehicles Entering Camporee Campsite To ensure the safety of participants and ease traffic congestion, the following campsite vehicle plan has been developed: Unit Contingent Coordinators will receive an on how to obtain their Unit's campsite assignment and the Cargo Vehicle Pass. Make sure the campsite assignment is shared with all Scouts and adults registered for the Full Weekend. Cargo hauling vehicles with a Cargo Vehicle Pass will be permitted to enter the Camporee campsite for unloading equipment beginning at 3:00 PM on Friday, May 3, Vehicles hauling passengers will enter the Camporee Parking Area. From there, they will walk to their campsite. Unit trailers will be allowed to remain parked at the campsite. The towing vehicle must have a Cargo Vehicle Pass and must be moved to the Cargo Vehicle Parking Area immediately after unloading.

12 100 th Anniversary Camporee 12 All cargo hauling vehicles must be out of the campsites by 10:00 PM on Friday. Locating your Campsite Units will be assigned a campsite in one of the three (3) Sub-Camps. Unit Contingent Coordinators will receive campsite information by before the Camporee (after the Regular registration period ends). Campsite location will consist of the following: Sub-Camp Row Number (i.e., Rows 1 through 8) Number between 1 and 8 indicating campsite(s) location in the Sub-Camp Row When entering the Camporee campsite entrance (for cargo hauling vehicles only with Cargo Vehicle Passes), follow the signs and proceed directly to the Unit's campsite location. Please try to clear the entrance road as quickly as possible and keep the traffic moving. Otherwise the process can be very slow and congested upon entering. Your patience is appreciated. Check-In Upon arrival at the campsite, the Unit Contingent Coordinator should report to the Camporee Staff at the Sub-Camp HQ assigned to the Unit's campsite, with the required paperwork. (See Event Paperwork in Chapter 2 [page 7] of this document for more information on the Event Paperwork.) Unloading your gear Unload cargo hauling vehicles once you arrive at pre-assigned campsite location. Please use the following steps when unloading your gear: 1. Pull cargo hauling vehicles to side of road to keep access roads clear. 2. Unload the vehicles. 3. Drop any trailers. 4. Remove all vehicles immediately from campsite and no later than 10:00 PM Assist other Scouts by removing your gear from your cargo hauling vehicles quickly, keeping access to their campsites and the roadways clear. 5. Deliver the cargo hauling vehicles to the Camporee Parking Area and walk back to your campsite.

13 100 th Anniversary Camporee 13 Map - Camporee Campsite Layout Helpful hints for setting up your campsite... Set up dining fly first - put gear under it to protect from weather. Set up tents then move personal gear into tents. Lay out sleeping gear. CAMPFIRES OF ANY KIND ARE NOT PERMITTED IN THE CAMPSITES. Set up cooking and eating area, set up water (bring your own water; a water trailer will be available with limited supply of water) and fuel supply (for cooking stoves). Did you plan a cracker barrel? Set up grey water bucket with screen; there will be an area to dispose of grey water. Set up trash bags and follow Leave No Trace. Remember NO campfires of any kind are permitted in the campsites. Bring a fire extinguisher. Have patience and be neighborly. Finally, how about an identity piece at the entrance to your campsite? This will tell the other units who you are, and where you are from.

14 100 th Anniversary Camporee 14 Full Weekend Contingent Early & Late Arrivals Early Arrivals Friday before 3:00 PM To arrange early arrival and set-up, contact Greg Neff, the Camporee Facilities/Support Services Chair, by at or by phone at , no later than 9:00 PM, Tuesday, April 30th. The Miami Valley Council is not responsible for any lost or stolen property. Late Arrivals Friday If you have parents/guardians delivering Scouts to the Camporee campsite after other activities on Friday night, be sure to direct them to the Camporee Parking Area. No passenger vehicles will be admitted in the Camporee campsite. Late arrival Scouts should secure the cell number(s) of their Unit Leaders at the Camporee to meet both the parent/guardian and Scout before arriving in the Camporee Parking Area. Parents/ guardians must not leave until the Scout is with their Unit and has been issued a participant wrist band. All Scouts must carry in their gear from the Camporee Parking Area. Scouts should bring a flashlight. The campsites are expected to be quiet and dark at 11:00 PM in the evening.

16 100 th Anniversary Camporee 16 10:00 AM Cargo hauling vehicles allowed to enter camping area for packing Campsite inspections begin; Unit leaders should alert the Unit's Sub-Camp HQ when ready to leave Noon 100 th Anniversary Camporee 2019 officially ends CAMPOREE PROGRAM HELP Volunteering at Camporee To adequately staff all Camporee activities, hundreds of volunteers will be needed. Volunteers attend the Camporee for free but must register online. Volunteers are need for set up on Thursday and Friday, program areas on Saturday, and tear down on Sunday. We are asking each unit attending to volunteer at least two adults on Saturday to work one 2-hour shift each. They will be working in the program areas or some other needed area. This will be in addition to any staffing needs a unit or district may have to manage and run its own events or any members a unit may have on any of the standing Camporee Committees, and to supervise their respective Unit(s) with 2-deep leadership at all times. Volunteers can register online on the Camporee website (click on the Saturday Only Participant) or Brian Holland at macdougle@msn.com. These unit volunteers' names will be placed in a pool for assignment as needed to help run the many functions and activities of the overall event. Participation in Activities The program areas will have activities/events for Cub Scouts, Scouts BSA, or Venturers age levels. Review the Guide to Safe Scouting. SPECIAL INTEREST AREAS Volunteer Check-in Volunteers should check in at the designated Camporee Check-in (west end of the camping area). You ll receive a wristband and assignment(s); wristband must be worn while at the Camporee. Trading Posts (Scouting Souvenirs, Camping Needs, Snacks, etc.) Friday 7:00 PM to 10:00 PM Campsite area for campers only Saturday 9:00 AM to 9:00 PM Miami Valley National Scout Shop (Midway) Saturday 7:00 PM to 10:00 PM Campsite area for campers only The Camporee's Trading Posts will be a hit for Scouts and Scouters alike. Remind all participants to bring spending money for their Trading Post purchases. Campers will have their own Trading Post. In the Trading Posts, participants will find Scouting products, camping needs, and more.

17 100 th Anniversary Camporee 17 SPECIAL EVENTS DURING THE WEEKEND Friday Night Full Weekend Contingent Mandatory Leaders' Meeting 9:30 PM Meeting at each Sub-Camp HQ At least one representative from each unit are required to attend this meeting at their assigned Sub-Camp HQ. Other adults and Scouts should remain in campsites; be sure there is two-deep leadership. Saturday Midway Scouting and Community Partnerships 9:00 AM 5:00 PM Midway Open Our Midway will host exhibitors connected to scouting, outdoor adventure, demonstrations of the latest equipment and gear, educational experiences, games, and physical and intellectual challenges for both youth and adults alike. The Midway is conducted by Council Scouting Groups, Community Organizations, and Corporate Partners ranging from static displays to hands-on activities for all to enjoy. These exhibits provide alternate opportunities to enhance the Scouts experiences and compliment the outdoor experiences. You ll want to make sure you and your Scouts check out all of the opportunities including: Five Rivers MetroParks Montgomery County Library National Scout Shop Miami Valley Council o Camping Woodland Trails & Cricket Holler o Training Programs Wood Badge, Buckskin, & NYLT o Order of the Arrow o History of Scouting And much more! A full exhibitors list, map and schedules will be available in the check-in packet. Stage Show Extravaganza 8:00 PM The Stage Show is on Saturday night. This event features entertainment, announcements of competition winners, and some pre-show. All are invited. Since we know that a Scout is Cheerful, Courteous, Kind, and Clean, the Camporee staff should only have to remind Scouts and Leaders that:

Laser pointers are not permitted! Any laser pointer found will be confiscated, and the offending person will be asked to leave the Stage Show. Please follow the Leave-No-Trace principles and pick up any trash or other items around you when you leave. Food Court 9:00 AM 7:30 PM Food Vendors Open Select menu items from our local Food Truck partners are available for purchase on Saturday. Check the Camporee website for an updated list. Sunday Morning Activity Interfaith Worship Service 9:00 am by the Outdoor Stage area This weekend, you'll have an exciting adventure while you enjoy all the activities. Now it is time to be Reverent. Join us Sunday at 9:00 AM for a captivating and interactive Interfaith Worship Service as we perform our Duty to God. Scouts, Scouters, family, and guests of all faiths are invited to participate in this experience.

19 100 th Anniversary Camporee 19 Chapter 5 Leaving the Miami Valley Camporee During and After the Events SATURDAY ONLY PARTICIPANTS Units/families attending on Saturday only may depart and return to the Camporee during the schedule of events (see Event Schedule on Page 15), if needed. Remember, food may be brought into the Camporee for your meals or use one of the food vendors on site. Unit Leaders must supervise their respective unit(s) with 2-deep leadership at all times. Saturday only participants will be parking in the designated area. Wrist bands received at Check-in are required to participate in the Camporee s activities. Saturday only participants must depart the Camporee after the stage show ends. FULL WEEKEND CONTINGENTS Pre-arranged Leaving of Camporee by Campers If any Scout/adult needs to leave camp, they should arrange for drivers (if applicable) to meet them at the Camporee Parking Area. For the safety of all Scouts and adults, NO vehicles will be allowed into the campsites between 10:00 PM Friday and 10:00 AM Sunday. Check Out on Sunday Process and Paperwork Cargo hauling vehicles with Cargo Vehicle Passes will be allowed to enter the Camporee campsite area between the hours of 7:00 AM to 8:30 AM and then at 10:00 AM after the Interfaith Worship Service. This is for the safety of the Scouts and adults who participate in the Interfaith Worship Service at 9:00 AM. NOTE: Only cargo hauling vehicles with Cargo Vehicle Passes will be allowed to enter the campsite area to load gear between 7:00 AM and 8:30 AM and then after 10:00 AM. Campsite Inspection Campsite inspections begin at 10:00 AM. Campsites will be inspected prior to final check-out. The Sub-Camp staff will inspect campsites before releasing Units. Request an inspection from the staff of the Unit's assigned Sub-Camp HQ when ready for inspection. All Units are expected to follow the Leave-No-Trace camping guidelines. All Units must police their campsite and dispose of bagged trash properly in the dumpsters provided. Upon successful inspection the Sub-Camp staff will provide Units with a Miami Valley Council s 100 th Anniversary Camporee 2019 patches. Campsite Rules (Safety and Sanitation) Due to the large number of people attending the Miami Valley Council s 100 th Anniversary Camporee 2019, the following safety rules will apply: NO campfires of any kind will be permitted. No liquid fuel lanterns, candles or open flames in tents. All fuels must be stored under control of an adult. (See BSA liquid fuel policy) Bring a fire extinguisher (policy of Five Rivers MetroParks). No football, Frisbee, baseball or any physical contact games are to be played in the Camporee campsites. Bring enough water for your unit. One water trailer with a limited amount of water will be available in the parking lot. Grey water must be properly disposed. Bring a grey water bucket with a screen. Please bring trash bags and dispose of trash in the dumpsters provided. Please do not leave any trash in the campsite area. Portable toilets are provided. Please keep them clean. The campsite areas are dark and unlit; have attendees bring flashlights for night trips to the portable toilets.

21 100 th Anniversary Camporee 21 Security No official security is provided for campsite areas, during the day or night. Please report any security concerns to any Camporee Staff or any Sub-Camp HQ as soon as possible. Camporee Staff HQ and each Sub-Camp HQ has a portable two-way radio for staff use 24 hours a day. During the daylight hours it is suggested that each unit maintain its own security by always having an adult in the campsite. First Aid and Emergency Procedures An emergency contact telephone will be staffed 24 hours per day should anyone outside need to contact anyone at the Camporee. The phone number is TBD. A complete First Aid Station and qualified First Aid Team will be on hand inside the Camporee Staff HQ. All serious injuries or illnesses need to be reported to the First Aid Team members. If necessary, they will transport to the local hospital. Some of the Camporee staff will be equipped with radios and also can call the First Aid Team. Look for Camporee staff. If they do not have a radio, they will have the emergency contact number with them. Each Troop, Crew, or Pack should bring a First Aid kit to handle minor injuries. All prescription medications used by Scouts must be in possession of and dispensed by an adult. For each registered participant, a completed BSA Annual Health and Medical Record Form, parts A & B with a parent or guardian signature, must be in the possession of the Unit leader or parent (if attending without a unit). More information is available in the Appendix of this guidebook. Special Needs Vehicle and Special Needs Parking Passes Vehicle Passes, including Cargo and Special Needs Vehicle Passes are described in detail in Chapter 3 Transportation, Arrival, and Paperwork Food Vendors and Meals Participants may provide their own food or purchase food from the food vendors. Food prepared at the Camporee campsite may be made on propane stoves if the Unit chooses to bring them. NO campfires of any kind are permitted in the campsites.
