1 Longhorn Council, Boy Scouts of America Tarrant Area Food Bank Longhorn Council Camporee Celebrating the Adventure, Continuing the Journey Texas Motor Speedway, November 9-11, 2012 Participant Information Packet Do a Good Turn Daily! Please don t forget to bring food items to donate to the Tarrant Area Food Bank. Please bring donated items to the Food Bank truck on Saturday morning before noon. The truck will be located just north of the stage and south of Mark Martin road. Please give the attendants your unit number. Special Guest - Seven Time Grand Master Chess Champion We are excited to announce a seven time grand master chess champion will be at the Camporee on Saturday. Look for more information regarding special chess events. Vehicle Requirements For each vehicle driven onto Texas Motor Speedway (TMS) property, a Vehicle Marker sign is required. A copy of this marker is included in this packet. Please provide a copy of the marker to all parents in your unit driving a car onto TMS property. Place the Vehicle Marker sign on the driver s side dashboard of each vehicle in your unit. RVs are strongly discouraged because no hookups or dumping stations are available at the TMS. RVs will NOT be permitted in campsites. Traffic Flow All vehicles must enter at the TMS main entrance on Labonte off Highway 114. The traffic flow pattern has been designed to make entrance to the TMS as efficient as possible. Please follow these directions: Once on the TMS property, proceed north to the intersection of Labonte and Mark Martin. Cub Scout Packs and American Heritage Girls Troops stay in right lane as you proceed north on Labonte. Boy Scout Troops, Crews and Staff stay in left lane as you proceed north on Labonte. Cub Scout Packs and American Heritage Girls Troops will turn right onto Mark Martin. Boy Scout Troops, Crews and Staff will continue straight on Labonte and will turn right on Gordon. Proceed to the area indicated on the enclosed map for your District Camping area. Please share these instructions with all the drivers in your unit. To keep the traffic flowing, it is very important to follow the above instructions. On Saturday please limit vehicle traffic in the Camporee areas to emergency vehicles only. Drivers will be directed to the appropriate parking areas, from which the passengers will embark. Equipment vehicles can be taken to the campsites, but should be moved to the parking lot after unloading. One trailer may remain at the camping site. A Volunteer will be available to assist you in locating your District Camping area. District Camping Area Packs will camp in their district's area of the Cub Scout Camping Area. American Heritage Girls will camp in the northwest corner of the Cub Scout Camping Area next to the Woodbine District. Troops will camp in their district's area of the Boy Scout Camping Area. These camping grounds are NOT together. Venture Crews will camp in their own Venture Crew Camping Area. Webelos den members may camp with the Cub Scouts or with a Boy Scout troop, but only if prearranged by the host troop. Please refer to the enclosed map for a layout of the entire Camporee grounds as well as more detailed maps of the specific camping areas. Please use the minimum amount of space required for your unit as we have many units that will be camping at this event.
2 Longhorn Council, Boy Scouts of America Registration / Check-in Registration/check-in opens at 1 p.m. on Friday and closes after the last unit s registration is completed. Registration/check-in opens at 8 a.m. on Saturday. Someone will be there all day to assist units. Please note the entrance gates will close at 11 p.m. on Friday night. If your unit would like to pre-arrange for a late arrival, please contact the Camporee Chairman and your District Executive After reaching your camping area, send someone to the Registration tent to pick-up registration materials. Please bring an updated roster of attendees with you to the registration tent. Only one or two people need to come to the registration/check-in tent. If your unit is receiving a large number of t-shirts, please bring a couple of people to help carry the t-shirts. Upon arrival at the registration tent, you will be handed a packet for your unit. Once you receive your packet, please do the following: 1. Count your patches. 2. Count your wrist bands and verify the wrist band color is correct. Please remember wrist bands are required to participate in the various activities and must be worn throughout the event. 3. If you ordered T-shirts for your unit, take your pick ticket found in your packet to the t-shirt table. Bags will be provided to carry them in. We will have a very limited number of extra t-shirts to purchase for $10 (XL and smaller), $12 (2XL-4XL). Lost and Found We will have a lost and found box at the registration tent until Sunday morning. Any items left will be donated to a worthy cause. Water, Fire, Fuels and Latrines Please bring as much water as possible in containers for your unit s use. Only a few water stations will be available for refill purposes. GROUND FIRES ARE NOT ALLOWED. Charcoal, propane or liquid fuel stoves are permitted. Charcoal cooking requires a grill with a lid. Port-a-potties will be available throughout the Camporee site. Limited flush toilets and showers are also available. Garbage Fifty gallon trashcans will be located in your camping area for your use. Please bring and use trash bags in the cans and return the cans to their upside down position (on a post) at the end of the weekend. ALL UNITS ARE REQUIRED TO CARRY HOME ALL GARBAGE FROM THEIR CAMPSITES. Attendees are asked to pick up and properly dispose of any trash found on the Camporee grounds.

How do I find my unit's campsite? A. Please refer to the Camping Area Layout maps included in your Participant Information Packet. Each district has an assigned space within the camping area. Your unit can setup camp anywhere within your District s assigned camping area. During the Camporee weekend, a Volunteer will be available to assist you in locating your district camping area. Q. Will Cub Scouts, Boy Scouts, Venture Crews and American Heritage Girls camp in the same area? A. No. Packs will camp in their district's area of the Cub Camping Area. Troops will camp in their district's area of the Boy Scout Camping Area. These two camping grounds are NOT together. Venture Crews will camp in their own Venture Crew Camping Area. American Heritage Girls will camp in the northwest corner of the Cub Scout Camping Area next to the Woodbine District. Webelos den members may camp with the Cub Scouts or with a Boy Scout troop, but only if prearranged by the host troop. Q: Our unit would like to camp Saturday night only. Q: Are units required to camp in order to participate in the planned activities and events on Saturday? A. No. Units are NOT required to camp at the Texas Motor Speedway. Camping is just an optional activity. Q. Our unit would like to camp Friday night and leave Saturday evening. Are we required to camp Saturday night? A. No. Units can camp Friday night and leave Saturday night. Q. If our Webelos den has pre-arranged to camp with a troop, how do we make that known in registering? A. Each Pack will identify the number of Webolos attending Camporee and the Troop they plan to camp with, if applicable, on the Cub Scout Registration Form found on page 9 of the Camporee Registration Packet. Q. Can Cub Scouts and Webelos participate in any of the Boy Scout program events? A. Cub Scouts will participate only in the Cub Scout program events. Webelos will be able to participate in some specially-designated Boy Scout program events in addition to the Cub Scout events. Q. Will food and drinks be available for purchase? A. No. All attendees must bring food and non-alcoholic beverages to eat drink for the entire time at Camporee. Due to Fort Worth Health Department regulations (food permits), we will not have any food vendors on site. Q. Can non-bsa boys register with a BSA Scout and attend and camp? A. YES, we hope they are using the Camporee as a recruiting event to encourage the boys to join. Q. Do parents/leaders bringing a vehicle onto the Texas Motor Speedway property need a parking pass? A. Yes. Each vehicle arriving Friday night or Saturday morning should have a Vehicle Marker on the driver's side dashboard. This will speed up entering the raceway and getting to the correct camping ground. Please use the Vehicle Marker included in your Participant Information Packet.
4 Longhorn Council, Boy Scouts of America Q. Once we arrive at Texas Motor Speedway, when should we register our unit? A. Once your unit has set up camp, a designee from the unit should come to the registration booth to submit a final roster and pick up wrist bands, T-shirts, and patches. Q. Our unit will need to arrive late Friday night due to the distance we must drive. What time will gates close? A. Entrance gates will close at 11:00 p.m.. Q. Is it possible to arrange for entrance after 11:00 p.m.? A. Yes. Please pre-arrange this late arrival with the Camporee Chairman and your District Executive. Q. What is the cost to attend if our unit only wants to participate in the activities on Saturday and not camp either Friday or Saturday night? A. Attendees can come just on Saturday; but the cost is the same since 99% of the Camporee expenses are for Saturday's activities. Q. Will refunds be issued to units or individuals who decide not to attend Camporee? A. Since we have so many costly fixed Camporee expenses and because we have to pre-purchase all the supplies and program materials, it is impossible for us to issue refunds. As stated in the Camporee Registration Packet, this event will be held rain or shine. NO refunds will be issued, except for major medical reasons. Refund requests must be made in writing and submitted to the Camporee Chairman within two days of the close of the event Q. Does our unit need to sign up for the events we want to participate in prior to arriving at Camporee? A. No. All Scouting events are participation by choice and the scouts just go to the area they choose. Boy Scout and Cub Scout events are age appropriate. Q. Are the show and events mainly demonstrations or will the scouts and leaders be able to participate? A. The Midway will have a mix of show and do. We plan to have all kinds of exhibits on hand to interest the youth and adults. Q. What activities will be held Friday night and Sunday morning? A. Saturday, November 9, is the big day for all activities. Friday night is for units to set up their camp and avoid a Saturday morning check-in. Units break camp Sunday morning and leave for home. Chapel and Mass will be held from 9:00 to 10:30. Units may choose to participate in either service or leave for home. Q. Does our unit need to pre-register for the Rocketry event? A. No. Pre-registration for rockets is not required. A model rocket and two engines may be purchased for $12.00 at the rocket activity station at Camporee. Q. Where will the rockets be built? A. Rockets will be built in staff dining tent and launched in the northwest corner of the parking lot where the stage is located. Q. Does our unit need to pre-register for the Pushmobile Derby? A. Yes. All units need to complete and submit the Pushmobile Derby Registration Form found on page 13 of the Camporee Registration Packet. Registration deadline is Friday, November 2nd. All registration forms should be sent to PushMobile2011@gmail.com by the registration deadline. Q. Do our scouts need tickets to participate in the activities and exhibits? A. No. Every paid attendee will receive an appropriately colored Camporee wrist band to wear the entire time while on the Texas Motor Speedway grounds. This wrist band will give all attendees access to events and exhibits. Q. When will we find out the time and location for the talent show auditions? A. After your registration has been processed, you will receive an requesting additional information about the talent act and providing the time you are to report to the stage for an audition.
5 Longhorn Council, Boy Scouts of America Q. We have adults in our unit that would like to volunteer to help with this event. Who should they contact? A. A large number of people will be required to staff administrative and activity areas of Camporee. Adults interested in helping, please complete the Camporee Staff Volunteer Application Form found on page 14 of the Camporee Registration Packet and promptly return it to the Longhorn Council office, PO Box Cannon Drive, Hurst Texas Q. Can I bring my dog? A. No. All family pets should be left at home. Q. Can we have a fire? Can we use propane or charcoal? A. NO GROUND FIRES ARE ALLOWED! Charcoal, propane, or liquid fuel stoves are permitted. Charcoal cooking requires a grill with a lid. Q. Can siblings of Cub Scouts attend Camporee? A. Yes. Siblings of Cub Scouts may attend as long as parental supervision is available at all times. Youth Protection Guidelines must be followed at all times. Scouts and siblings can only tent with their parent(s) or other legal guardian. Q. Are scouts and leaders required to wear their Field / Class A uniforms Saturday? A. No. Scouts and leaders may wear their Activity / Class B uniforms (t-shirts) throughout the event. Q. Can we add additional attendees to our registration after we have submitted our initial registration forms/payment? A. Yes. Please submit an additional registration form and additional unit roster form. Please write on the top of each form ADD TO OUR ORIGINAL REGISTRATION. Q. Will seating be provided for the Saturday night Camporee Stage Show? A. No. You may want to bring a chair or blanket to use as the ground is asphalt. Q. Can I bring my bicycle? A. No. Be prepared to walk to all the events and exhibits. Q. If only one family from our unit wants to attend and camp can they just register alone? If yes, where will they camp? A. Yes. They will still register using the Unit registration form and they will camp in their District's assigned area.
