Cmmissiner Kim Jankwski made a mtin t apprve the draft minutes frm the August 13, 2018 Turism Cmmissin meeting. Cmmissiner Jim Ruetz secnded the mtin. All cmmissiners vted in favr and the minutes were apprved as submitted. 3. Recap presentatin n the Oak Creek Beer Garden and Lake Vista Park grand pening. Kristin Craig, Destinatin Marketing Specialist, presented infrmatin n the Lake Vista Park grand pening which was held in cnjunctin with the secnd 2018 Oak Creek Beer Garden. Prir t the kickff f the beer garden, the fficial pening f Lake Vista park was celebrated with a ribbn cutting ceremny attended by abut fifty peple wh had assisted with the transfrmatin f the park ver the span f many years. Invitees included regulatry partners in cleaning up the site Wiscnsin Department f Natural Resurces and U.S. Envirnmental Prtectin Agency. They als included funding partners wh prvided prject grants Wiscnsin DNR, Wiscnsin Castal Management, US EPA-Great Lakes Restratin initiative, MMSD and Fund fr Lake Michigan. Other invitees included cnsultants and cntractrs frm SmithGrup, Rinka Chung Architecture Inc., Edgertn Cntractrs, and Rasch Cnstructin and Engineering Inc. wh built the pavilin, shelters and ther structures. Frmer City Attrney, Larry Haskin, and City Administratr, Andrew Vickers, gave speeches thanking all wh had helped in making Lake Vista Park a reality, including city staff, frmer City Administratr Jerry Petersn, as well as frmer Mayrs Blender and Scaffidi. Kristin said that she sensed everyne in attendance felt appreciated. After the ceremny, the park was pened t the public. It was pen 4pm-8pm Thursday, August 23 and Friday, August 24 and 12pm-8pm n Saturday, August 24 and Sunday, August 25. Kristin felt the Beer Garden was very successful and wuld have been even mre s if it had nt rained n Friday and Sunday. She nted that prviding tents made the Beer Garden wrkable even with the dreary weather. Kristin said that the parking at Lake Vista was a little farther away than at the Abendshein Park beer garden, but Lake Vista Park prvided mre parking spaces and a lvely pavilin fr serving fd. 2 Alderman Gehl asked Kristin if she received any cmplaints abut available parking at Lake Vista. She said that she did nt hear any cmplaints and peple used the parking lts as well as the rads fr parking. Cmmissiner Kim Jankwski said she really liked the small Frisbees that Kristin rdered fr the event. When asked abut the Sunday Chicken Rast, Kristin explained that they did nt sell ut the dinners at $7 per plate. Out f the 100 chickens rasted, nly abut 100 dinners were sld, causing many chickens t be dnated t nn-prfit entities. She said that perhaps the Turism Cmmissin shuld g back t using fd trucks at future beer gardens, making sure that the cntracts include wrding requiring fd trucks t stay fr the entire event. Kristin submitted a detailed reprt cmparing all three Beer Gardens that have been hsted by the Turism Cmmissin since its inceptin. The fllwing are the statistics presented. 5 4. Discussin n Sneak Peek at Oak Creek and Drs Open Milwaukee. Kristin Craig presented infrmatin n the upcming Sneak Peek at Oak Creek n Saturday, September 22, 2018 frm 10am- 5pm. The sixteen participating businesses will include Oak Creek Histrical Sciety, Oak Creek City Hall, MATC Oak Creek, Pinehld Gardens, PPG, Oak Creek DPW, Water Treatment Plant, Internatinal Delivery Slutins, Three Cellars, Water Street Brewery (10am-2pm), Pixlgie, Fairfield Inn & Suites, WE Energies (10am-2pm), City 13, Reckner, and Oak Creek Assembly f Gd. Each tur will be 30-45minutes. Departments represented in City Hall s Multipurpse Rm will be Engineering, Health, Recreatin, Finance, Library and Turism. Breakfast items will be available at City Hall in the mrning. G Riteway is spnsring and prviding tw 25 seat shuttles fr free transprtatin t nine Sneak Peek lcatins. The turs will be led by Sharn Armstrng and Judy Salchw. They will be prviding histry facts abut Oak Creek while driving t each lcatin. The Turism Cmmissin will be psting n scial media asking peple t pre-register fr seats n the free bus tur. They will take walk-ns at City Hall if seats are available. The bus turs will start and end at Oak Creek City Hall. Bus Turs will begin at 10:30 and 11:00am and end at apprximately 3:20 and 4:00pm. Alderman Ken Gehl asked Kristin t check int whether there will be handicap access and/r smene t help peple n and ff the buses. Marketing fr the Sneak Peek at Oak Creek is being dne thrugh the Milwaukee Jurnal Sentinel special Drs Open Milwaukee sectin published n September 16, 2018, in additin t pstcards, banners in the cmmunity and at each participating business, in the Acrn and Current magazines, and via Facebk and the Scial Cuntdwn Campaign. Businesses will prvide directinal signage fr where t park and enter the buildings. Cmmissiners suggested pssibly adding a picture frame t take phts at City Hall with the pprtunity t win a City f Oak Creek t-shirt. Barb Wesener frm the Suth Suburban Chamber f Cmmerce reminded the Cmmissiners that Oak Creek will als be participating in Drs Open Milwaukee in cnjunctin with Sneak Peek at Oak Creek. She expects this t bring many mre peple frm utside Oak Creek t ur Sneak Peek event than attended last year. 5. Discussin and actin n the 2019 ESPN Milwaukee prpsal. - Kristin Craig and Cry Savage f Savage Slutins met with ESPN t discuss a media buy fr the Turism Cmmissin fr This wuld be the Cmmissin s first media buy fr next year. The $10,000 prmtinal package wuld seek t build brand awareness f Visit Oak Creek s events and restaurants t the Greater Milwaukee area. It als is expected t reach Visit Oak Creek s secndary audience f adults age t prmte all different kinds f activities such as beer gardens, farmer s market, etc. Finally it is lking t find slutins t prmte the fllwing events in Oak Creek Wiscnsin Badger Watch Party, Fall Fest, Winter Festival, Beer Garden, and Oak Creek Fd Truck Tur. ESPN advertising wuld include a bank f thirty-secnd Visit Oak Creek cmmercials during lcal and natinal prgramming Mndays thrugh Sundays 6am t 7pm n 540 ESPN radi, ESPNWiscnsin.cm and the ESPN App. The marketing package wuld als include tw remte bradcasts with Hmer & Gabe live frm Visit Oak Creek events with plenty f prms leading up t and during them. Additinal prmtinal activities wuld include ESPN Milwaukee Street Teams being n-site at a big screen viewing party and Winter Festival t enhance the n-site experience f fans at Drexel Twn Square by giving away tickets, ESPN Milwaukee swag, and ther fun prm items. Cmmissiners liked the idea f a Badger game shwn n a large screen in Drexel Twn Square. The Crners in Brkfield held a similar event with ESPN and it was very successful. If Oak Creek crdinated with ESPN n a Badger Game/Red Square event, they wuld be the first lcal cmmunity t wrk with them. 6 crwds and make sure there are mre interested parties that are nt headed ut f twn fr a Madisn game. He als thught it wuld be best t create the event arund a 2:30 r 3:00pm game right after the Farmer s Market. Cmmissiner Jankwski and Dug Seymur agreed that the lcal restaurants shuld be invlved and wuld likely be excited abut this type f event and its ptential fr extra business. They said it wuld be imprtant t get the DTS restaurants invlved in planning early fr a Badger Game event. Cry Savage said that the amunt f marketing ffered by the ESPN Milwaukee cntract was a great value and was extremely flexible as well. He said that it included a lcal dedicated statin as well as scial media and mentined the cmpany had bught WTMJ recently, which culd increase cverage. Shamire Gdwin II frm WISN said he thught it was a great media buy with an immense amunt f prmtinal value. Cry Savage liked the scial media aspects f the prpsed cntract, saying that scial campaigns shuld be mre imprtant next year in the Turism Cmmissin s marketing strategy. He als pinted ut that serving beer and signup-t-win giveaways prved successful in 2018 and shuld cntinue t be part f ur event marketing strategy. Cry said scial media is able t prvide lts f science and numbers t determine ur audience and interest in Oak Creek events. He als nted that ESPN Milwaukee has an insane fllwing n scial media s it shuld be a great additin t the Turism Cmmissin s marketing prgram. Their 540 ESPN radi statin demgraphics are split 55%wmen and 45% men, giving us extra cverage fr the female audience. Dug Seymur asked Kristin t prepare a media calendar fr 2019 with a detailed marketing budget fr presentatin at the next Turism Cmmissin meeting. The prmtinal budget fr 2019 is set at $125,000. Cmmissiner Kim Jankwski made a mtin t apprve signing the $10,000 prmtinal cntract submitted t the Turism Cmmissin by ESPN Milwaukee fr marketing in Cmmissiner Jim Ruetz secnded the mtin.
