6 MADRID The capital of Spain, with its 3 million inhabitants, is one of the most cosmopolitan, open, cultured and entertaining cities in Europe. It is also the second greenest capital in the world. The most famous areas of the city are all located in the center, within walking distance of each other. From the Plaza Mayor you can walk to the famous Puerta del Sol and then down to the Prado museum, which houses works by El Greco, Velazquez, Rembrandt, Ribera, Goya and many more. Close by is the Reina Sofia Museum where you can see some of the most famous works of modern art, including Picasso s Guernica. The Spanish capital has excellent infrastructure for large events. It is one of Europe s leading destinations for international congresses with more than 3,000 meetings of all types and sizes. More than 70% of the five million tourists who visit Madrid every year are in this wonderful city for professional reasons. THE VENUE IN THE HEART OF MADRID The Palacio de Congresos de Madrid is instantly identifiable from the large mosaic composition on its façade created by the Spanish Catalan painter, sculptor and ceramist, Joan Miró i Ferrà. The centre is close to several of the best hotels, restaurants and shops in Madrid, with the Santiago Bernabéu football stadium nearby (home of the Real Madrid Football Club). This superb venue is one of the main conference centres in the capital and regularly hosts international and national events. THE WORLD LP GAS FORUM AND AEGPL CONGRESS IN MADRID LP Gas in Spain is a crucial source of energy to many households. There are almost 10 million bottled gas users in Spain. Total tonnes consumed in 2008 were close to 2 million and Autogas use is on the rise with growth by 2015 predicted to be at almost 10% of total LP Gas volume. 4

11 GENERAL CONDITIONS RATES & SIZES OF THE BOOTHS Booths will be available in modules of 6 and 9 square meters. Please refer to pages 5-8 for floorplan and rates. Booth rates are VAT Excluded. Spanish VAT Rate of 16% is applicable and will be detailed on the invoice. DISCOUNTED RATE TO WLPGA / AEGPL MEMBERS A discount of 20% will be offered on the total exhibition rental fee to World LP Gas Association and European LPG Association members. Please, do not forget to indicate it on the booth reservation form. BUILDING HEIGHT The maximum building height is 2.20 meters in the following exhibition areas : Blue areas Purple area (Level C) and 2.50 meters in all other exhibition areas: Yellow areas Purple areas (Level A and B). BOOTH SPECIFICATIONS Exhibitors can rent either SPACE ONLY or a SHELL SCHEME booth. SPACE ONLY Nothing will be provided but the exact floor measurements of the booth. EXHIBITORS SERVICES & BENEFITS BENEFITS For all registered Exhibitors: Conference sessions attendance at special rate: 400. The special 400 fee gives access to the World LP Gas Forum and AEGPL Sessions. Additional fee will be applied for attendance to GTC sessions. Gala Dinner attendance at reduced rate (advanced registration will be required) 9

12 APPLICATIONS In order to be valid, the booth reservation is to be made on the Booth Reservation Form enclosed and sent to MCI by MAIL with copy by FAX, along with a 50% deposit of the rental fee. The signing of the Booth Reservation Form and the deposit paid constitute a firm hire commitment and compel the subscriber to accept both the general conditions and the exhibition rules and regulations. No verbal nor telephone agreement will commit MCI nor the Organisers unless confirmed in writing. The remaining rental fee is to be settled by 1 st July 2010 at the latest. Non-payment by this stated deadline will lead to the cancellation of the right to use the booth, without reimbursement of the deposit paid. Site allocations will be made according to the order of arrival of booth reservation forms and are subject to the full payment and the agreement of WLPGA AEGPL / MCI. PAYMENT World LP Gas Communication SARL (VAT N FR , headquartered at 9 rue Anatole de la Forge Paris, France) has given mandate to MCI for the organisation of the 23 rd World LP Gas Forum and the 2010 AEGPL Congress and therefore to act and receive the fees on its behalf. Once locations have been attributed, no change of location will be possible without MCI s written agreement. The Exhibition floor plan presented in this document is non contractual and is subject to acceptance by the Madrid Fire department. However, MCI reserves the right to change if deemed advisable, the location, size and layout of the surfaces requested by the exhibitor. In the event of litigation, jurisdiction falls under Madrid Law Courts only. REFUND OF VAT According to the European Tax Legislation, organizers of international exhibitions and service companies have to invoice all services with Value Added Tax (VAT). Foreign companies (EU or non-eu) are, under certain conditions, entitled to a refund of VAT paid. More details will be available in the Exhibitor Technical Manual. RULES & REGULATIONS MCI has been entrusted with the general logistics and organisation of the Exhibition and Conference of the 23 rd World LP Gas Forum and the 2010 AEGPL Congress. It will be referred to as the organisers below. Details about the terms and conditions of exhibiting will be included in the Exhibitor Manual which will be sent a few months prior to the Event. No running water or compressed air will be available. 10

13 LOCAL AND SITE REGULATIONS Exhibitors shall abide by the local and site regulations with respect to law and order, safety and security. The organisers will take appropriate action against those who do not comply with the regulations. The organisers have the authority to demand removal/change or cancel participation of any structure which is not in accordance with the Event rules. The decision of the organisers will be final and binding. CANCELLATION CONDITIONS All cancellations must be made in writing to MCI. The organiser shall retain: 25% of the agreed amount due if the cancellation is made before 15 th May % of the agreed amount due if the cancellation is made between 15 th May and 1 st July % of the agreed amount due if the cancellation is made after 1 st July A reduction in exhibition space is considered as a cancellation and will be governed by the above cancellation policy. ENTRY TO THE EXHIBITION Access to the exhibition will be possible for regularly registered conference participants and visitors with invitations. Other visitors can obtain passes on-site, giving access to the exhibition only, free of charge. INSURANCE The signatory renounces to take recourse against the organisers or against the owners of the premises and undertakes to underwrite insurance policies covering all the risks incurred by the material exhibited (theft, damage, etc...) along with public liability covering the permanent or occasional staff employed by the company, present at the Event. In any case, insurance protection will NOT be given to the exhibitors by the organisers. FORCE MAJEURE In the event of force majeure, the exhibition dates may be changed or the latter may be purely and simply cancelled. If we are forced to cancel, the disposable funds after payment of expenses will be shared between exhibitors in proportion to their payments without it being possible to take recourse against the organiser or the producer. INTERPRETATION OF THE REGULATIONS AND AMENDMENTS MCI is the sole competent authority as to problems arising from the interpretation of above regulations and their enforcement. Any expenses resulting from the nonobservance of the enclosed regulations will be chargeable to the exhibitor. DOCUMENTATION REQUIRED TO TRAVEL TO SPAIN All exhibitors, participants, visitors are reminded that a visa may be required for foreign citizens entering Spain and that they should apply for a visa at their local Spanish Consulate or Embassy. To determine whether you require a visa to enter Spain, please visit the following website: Should you need an official invitation letter for visa application purposes, you may contact the Organising Secretariat who will be able to assist you with it. No exhibition and registration fee refunds will be issued for cancellation or non-attendance due to failure to obtain a visa. 11

A dedicated exhibitors space will be available online and will offer each exhibitor many services and promotional tools facilitating their participation! LOGISTICAL TOOLS The Exhibitor Manual will help you and guide you in preparing your booth through to the event on-site and will also be available online. It contains very useful information regarding exhibition rules, safety regulations, setting up of a booth and arrangement conditions, booth description, specification documents and maps along with order forms and prices for all necessary services (furniture, decoration, electricity, transport, storage, catering, cleaning, security, accommodation etc). Your company will be able to submit the information regarding your exhibitors badges online. You will also be able to submit your contact details and profile online for the exhibition directory listing. PROMOTIONAL TOOLS The event logo and banner will be available for download. You will also be able to download the invitations for your guests. Send them out to all your suppliers, prospects and clients to welcome them to your booth! 1 st announcement, conference brochure and exhibition directory will be available online.
