The following information will be needed to register on-line. Unit No. Troop or Pack Estimate the number your unit plans to have in attendance: YOUTH ADULTS (We need an early count to order patches and supplies) Leader Contact Information: NAME PHONE Cost: $15 per youth and Adult pair, which includes a patch for each. Each additional Adult or youth $7.50. Youth must have an accompanying adult to provide supervision for the weekend. Exceptions can be made for two siblings with one adult. Due to facility constraints, participation will be limited to the first 150 Webelos that sign up.
3 The WEBELOS WEEKEND The Webelos Weekend gives the opportunity for both first and second year Webelos to camp in a Camporee setting with Webelos from other towns in our Old Colony District. The Webelos dens arrive in camp on Friday night where the adults (working with the boys) setup camp for the weekend. Saturday is a day of fun climaxed by a big campfire. The Webelos will enjoy the experience of cooking meals with the assistance of adults and/or Boy Scouts, and sleeping two nights in the outdoors. After breakfast on Sunday the Webelos will break camp and head for home, filled with a new love of camping in the outdoors. Many Webelos dens ask a few members of the local troop to spend the weekend with them. The interaction of the Webelos with the Boy Scouts demonstrates that the skills of camping can be mastered by boys. The troop is also a resource for equipment that the Pack may not have. All attendees will follow the Boy Scout Oath & Law, along with the Outdoor Code and the Guide to Safe Scouting. Preparations for the Webelos Weekend should include the following: Each Den will need to have a Den Chief attend the weekend with them. The Den Chief can assist in preparing the boys for the weekend, and they will play a critical role in the weekend. If you cannot find a Den Chief, notify our Webelos Weekend Committee so that we can assist in obtaining a Den Chief for the weekend. Skits should be selected and practiced prior to arriving at camp. This year s weekend has a tighter, and larger program, preparing the skit prior to the weekend will eliminate unnecessary stress and frustration, and will allow more free time for the boys. This weekend, as with any camping weekend, is an opportunity to work towards the Outdoorsman Activity Pin. There are requirements that encompass both before and during the camping trip, such as #1, #2 & #5 for before the camping trip; #3, #8 & #12 can be done during the weekend. Planning these requirements for an environment that they are naturally done in, will make for fun and meaningful experiences for your Webelos. Your Den Chief can be invaluable with this requirement. Gather your gear by surveying who in your pack has what equipment. You will need stoves, cooking utensils, cleaning supplies, tents: one tent per adult/youth combination, placing boys into tents with other adults is prohibited. Remember, a good resource for preparing and gathering [along with using] your equipment is your local Boy Scout Troop. Borrowing their equipment along with one of their adult leaders, can certainly make things a lot easier for your den(s). Start your preparations early, even before September. Let the boys be a part of making the menu and shopping for the food. Explain to them what they need to take on the trip (and what not to take), a recommended list is attached in this handbook. Again, your Den Chief is an invaluable resource with these preparations. SATURDAY SCHEDULE Event Staff will provide all program activities. Packs do not have to prepare an area this year. The Saturday schedule will start after breakfast with a big assembly of all dens in an opening ceremony on the Parade Field at 8:30 AM. The day s program, will begin at 9:00 AM, so please make sure that your den is at it s first station at 9:00 AM. Schedules will be given out at the Cracker Barrel Leaders Meeting on Friday evening. Webelos In general, each den will stay together and visit each station as a den. The stations will last for 30 minutes, and you will have 5 minutes to get to the next station. Adults are encouraged to participate with their Scout, but leave the doing, which results in learning, to the Scout. Adults can watch and coach. Arrow of Light Scouts Your schedule is much different in every way. Not only are your stations completely different, but there is no defined time fore each station. Rather, there are several major categories, with activities within each. Your time will be managed by the Boy Scouts that will be working with you, and the sites you will be visiting. Important: Arrow of Light Scouts should make sure they have comfortable hiking shoes that they will be wearing, and they should have a
4 spare pare of shoes, in the event that their hiking boots get wet. And they are not to plan a lunch meal, this will be taken care of by the Boy Scouts. They will prepare and eat their lunch with the Boy Scouts, food will be supplied for their lunches. TRADING POST A Camp Trading post, selling Scout and Theme-related merchandise will be open for business between 5 PM and 7 PM on Friday, 5 PM and 8 PM on Saturday, and 10 AM to Noon on Sunday. Trading post purchases will be on a cash-only basis. CRACKER BARREL A cracker barrel is a meeting of leaders to discuss the plans for the next day. There is always coffee and something to munch on at a Cracker Barrel. This is an important meeting for all Webelos leaders because any changes to the weekend agenda will be made at this time. At least two adults must stay behind to supervise the Scouts (basic Youth Protection Guideline), if you are having difficulties providing these requirments, please contact the Webelos Weekend Staff, we will assist you in complying with these standards. The meeting is held at the Headquarters building. CAMPFIRE Saturday evening will be a big camp-wide campfire. The campfire program will be made up of Skits, Songs and Cheers performed by the Webelos dens and theboy Scout Troops. It s a lot of fun and will not last longer than one hour. Ask your Cub Master if he has any books or other resources where you can find suggested Skits, Songs, or Cheers. RELIGIOUS SERVICES A Scout is Reverent is the 12 th point of the Boy Scout Law. Saturday evening after dinner, but before the campfire, religious services will be held in the Headquarters area. CAMP CHECK IN on Friday 5 00 PM 7 00 PM Check in will be at the McFadden Pavilion located between the Parade Field and the Headquarters Building. You will be directed to your site at the entrance. Please check in after you have dropped your gear off at your assigned site. Leader-in-charge must have the following paper work to be handed in: 1. Roster for all people camping with your Pack. 2. Medical forms for each Scout. 3. Permission Slip: every scout will need a permission slip, whether or not a parent or legal guardian is present with them! CARS IN CAMP Cars in camp are always problematic, therefore once a car is parked in camp [and at the designated parking areas] it must stay in camp. If you have a car that needs to leave before Sunday; it must be parked near the entrance to camp, outside the main gateway. There are sometimes reasons to move a car and it may be blocked in. Therefore we ask each car to have a parking permit sign in the windshield so the staff can go to the correct campsite quickly to find the driver to remove the blocked car. A copy of the Parking Permit is enclosed in the back of this flyer. Copy the Parking Permit and give one to each Driver. Fill out the permit before coming to camp. Cars will NOT be parked in a campsite. When you check in, you will be told where cars can be parked. Work with the staff on this problematic area and it should be easy for all. CAMP CHECK OUT Sunday after closing assembly Checkout does not have to be a rushed activity to meet a specific schedule. It can be any time after the final closing assembly. Let it be a natural fun learning experience for the boys. There is one last thing to do, after you have broken down your camp and the camp site is better than when you arrived: you must get the camp site inspected by the Camp Master. You can find him at the headquarters location. It is best not to let anyone leave camp until the Camp Master has completed his inspection of your site; because anything that the
5 Camp Master finds needing attention will fall on the shoulders of that last person in the camp site. Check for the following: Tents all down. Camp site clean of any paper etc. Campfire circle clean & no smoldering embers. All trash carried out. We use the rule, Carry it in and carry it out. Do not use the dumpster. It is only emptied following summer camp. The nearest Toilet must be clean. Patches for each person registered will be given to the leader, following a clean inspection. SUNDAY CLOSING ASSEMBLY Sunday assembly will be at 9:30 AM. The assembly is the last official gathering of the weekend. This assembly is somewhat like the closing of the Olympics. In this case, the closing of thewebelos Weekend. The patches for the weekend will be given to each Pack at final inspection. What if you need to leave early, or during the Weekend We discourage anyone from leaving camp, but we recognize that there are extenuating circumstances that would require your departure from camp. Prior to leaving, make sure you check in with your Pack s Leadership, who will then communicate with the Webelos Weekend Staff. Scouting is a Smoke Free Environment Smokers will only be allowed to smoke in designated areas. Please consult with your Pack s Leadship or the Webelos Weekend Staff to find out where the designated areas are. Alcoholic Beverages and Illegal Drugs Alcoholic Beverages and Illegal Drugs are not permitted in camp, or on any Scouting activities. Anyone found with alcohol, or in anyway impaired, will be immediately removed from camp. Storage of Food Food should be stowed in secure containers to prevent critters from partaking in a feast at your expense. It is strongly advised to not keep any food, including candy and snacks in your tent. Critters will claw through the side of your tent, even with you inside, to indulge themselves with your supplied treats that you have not shared with them. This really does happen! Nothing like being awakened by a skunk who is eating your snacks, and then startling it. We all know what happens when you startle a skunk! Campfires Camfires must be contained to fire rings. Please adhere to fire safety rules at all times: FIREWOOD, CHARCOAL, AND PRESSURIZED FUELS Each Pack should bring its own wood or charcoal to cook with. The use of flammable liquids (charcoal lighter) to start any fire is not allowed. For charcoal, use a charcoal chimney and newspaper. For a campfire, have a Boy Scout teach your boys the proper way to build and start one. Ground fires are permitted at scout camps. Because of the space constraints, only one fire per camping site is allowed. To keep damage to the grounds to a minimum, please consider joining with some of the units around your area. Do not dig any holes. Learn the five (5) fire safety rules found in the Webelos Handbook. Better yet, POST THEM at your campsite. REMEM- BER: Fires should be a minimum of 15 feet from the nearest tent and no unattended fires or operating pressurized fuel devices KNIFE POLICY There is no need to have a knife for this weekend. HOW DO WE LOCATE A PACK LEADER? One responsible unit leader should have his or her tent clearly marked so that person can be identified in case of an emergency. Affix to this leader s tent (in a noticeable location) a large, bright, weather-resistant sign bearing a red X. It should be at least 1 foot x 1 foot. This leader should be the leader of record and should be the person marked on the check-in informa-
6 tion as the contact person. This person s cell phone number should also be given at check-in WHERE DO I TAKE THE STUFF I FIND? A lost and found is at headquarters. Please keep track of all items. Placing the scout s name and pack number on all items will help identify lost items. If something is missing, check at headquarters. If something is found, give it to any staff member or bring it to headquarters. During each of the group gatherings an announcement will be made to try to find an owner. After the weekend, all leftover articles will be brought to the next Roundtable. After that, all items will be thrown away. Please remember socks are not lost items (they just decided to leave the campsite)! FIRST AID AND MEDICAL TREAT- MENT - REPORT ALL INCIDENTS TO HEADQUARTERS Safety is first and foremost at all scouting events. Each Pack should have its own properly equipped first aid kit. If the unit s kit has not been opened lately, be sure to dust it off and restock any missing or expired goods. Hopefully the weekend will be accident-free. Remember, every scoutmust have apermission Slip, filled out and signed! WHAT ABOUT BATHROOMS? Several outdoor latrines will be available near the camping area. Please observe the following rules in their use: 1. All campers are to use the latrines for their bodily functions. Only bears go in the woods. 2. Do not put trash, soda cans, or other debris into the latrines. 3. Observe the signs marked HANDICAPPED, LADIES, and STAFF. Scouts are not to use these marked facilities! 4. Please remind Scouts to use the Boy Scout flush putting the seat cover down after usage. This keeps the draft from pulling up the fragrances and keeps the smell down. CAMPSITE QUIET (I want to go to bed!) 11:00 P.M. both Friday and Saturday evenings is the official time for campsite quiet and lights out. Webelos are understandably excited, especially Friday, and may have trouble settling down by this time. We encourage the leaders and adults to observe and enforce the 11:00 deadline. It is important the boys (and leaders) get a good night s sleep. Saturday starts quite early and everyone will need his or her rest to make it through a very busy schedule. Saturday night the boys usually go down quickly and the parents can relax around the campfire. Be sure to remind the moms and dads to keep their voices down and be careful what they say. Tents are not soundproof, nor the trees, nor the campfire smoke, etc. A Scout is clean including their jokes and stories. However, if you do experience any problems with a neighboring unit, alert HQ and a staff member will assist with a solution. REMEMBER BE RESPECT- FUL! WEATHER Fall and Spring are two of the most unpredictable times of the year for weather. It is not uncommon for fall and spring camps to have a bit of inclement weather. Every year dozens of Scouts arrive at camp without adequate clothing or sleeping gear to protect against both the cold and the wet. Such things as hypothermia and other weather related medical problems become serious threats to a person s health and wellbeing when the temperature drops. Please be prepared for whatever Mother Nature brings us. Extra clothes, rain ponchos, extra shoes, rubber boots, or snow pants are some suggestions in case of bad weather. We want to stress that one of the most important areas of scouting is BE PREPARED. It is better to have a warm coat or rain jacket and not need it than to need it and not have it. The program will go on regardless of the weather, so come prepared! CAMP ETIQUETTE As a matter of personal campsite courtesy, all boys and adults, before entering any activity or campsite will stop and ask the staff on site for permission to enter. A MATTER OF SAFETY IN TENTS Propane lanterns, heaters, or flames of any type are not authorized in tents. Burning charcoal produces carbon monoxide. Under no circumstances will-burning charcoal be used to warm tents.
