1 WELCOME Welcome to Hobart! This symposium sees the IGS Sea Ice Symposium in the Southern Hemisphere for the second time since Many of you will have come considerable distances to get to Hobart. Thank you for travelling across the continents and oceans for this gathering. Hobart, the capital of Tasmania, is the 2 nd oldest capital city in Australia (being founded in 1804). It serves as Australia s gateway to the Southern Ocean and Antarctica, and has connections with them dating back to the 18 th Century. The city was the staging site for many of the early exploration and research expeditions to the Antarctic, including those of Douglas Mawson and Roald Amundsen. This year s symposium theme is Sea Ice in a Changing Environment. Although sea ice which covers a vast though seasonally-variable area of the global ocean is one of the fastest responders to climate change (and variability) on Earth, understanding its response to (and role in) such change is far from simple. This symposium represents a timely opportunity to showcase recent advances in our knowledge of the global sea-ice environment, and to encourage holistic discussion of recent change and long-term trends and their effects (physical, ecological and biogeochemical). Keynote speakers for the symposium are: Dr Nerilie Abram (ANU, Australia); Dr Hauke Flores (AWI, Germany); Dr Ron Kwok (JPL, USA); Prof Pat Langhorne (Univ of Otago, New Zealand); Dr Dirk Notz (MPI, Germany); Dr Don Perovich (Dartmouth College, USA); Prof Ian Simmonds (Univ of Melbourne, Australia); Prof Vernon Squire (Univ of Otago, New Zealand); Dr Sharon Stammerjohn (Univ Colorado, USA); and Dr Martin Vancoppenolle (LOCEAN, France). In keeping with our symposium theme, their topics will cover a range of disciplines related to sea ice. 5 GENERAL MEETING INFORMATION Venue The venue for the Public Open Science Day, Sunday Registration and Icebreaker will be the IMAS waterfront building at 20 Castray Esplanade, Battery Point (on the waterfront close to Salamanca Place). The venue for the Symposium (10-14 March) and the CliC Workshop on Cryosphere Interactions will be at the C3 Convention Centre, 64 Anglesea St, South Hobart. All other side meetings and workshops will be held at the IMAS waterfront building at 20 Castray Esplanade, Battery Point. Registration The registration desk will be open on Sunday 9 March from 17:00 to 19:00 in the foyer of the IMAS building. Registration will be immediately followed by the Icebreaker (17:30 19:00) at the same location. Registration will be also available at the symposium venue - C3 Convention Centre - from 08:30 to 09:00 on Monday morning, immediately prior to the opening of the symposium, and also on request for late arrivals. * There will be a mug in the registration package for each delegate. Please bring it with you for the symposium and side meetings to help us minimize the usage of disposable cups. * Please be aware that representatives of the media have been invited to cover the symposium. Where possible your permission will be sought for photographs and videos but there may be times when this is not possible. IGS Sea-Ice Symposium Venue C3 is about 2.3 km from the city centre, directly on the Hobart Rivulet Track. Getting to C3 Walking: From the city centre it is about 1.2 km to the start of Rivulet track, making for a 30 (20) minute uphill (downhill when return) walk. Please refer to our map of Hobart ( for the walking route and relevant locations. By bus: Metro bus tickets will be handed out to delegates with the registration package. There are a number of Metro buses (Hobart s public transport system) that connect Anglesea Street with the city centre (Franklin Square, please see our map for the location). As Monday 10 March 2014, will be a public holiday in Australia, only limited public transport will be available in Hobart. The Local Organizing Committee has organized 5

6 a free shuttle bus to depart from Franklin Square (Bus Stop P, see the map below) at 07:45, 08:05 and 08:30 SHARP for the symposium's venue. An LOC member or volunteer will be at Franklin Square from 07:30 to 08:30 (travelling to C3 on the third bus). A shuttle bus at the end of the day will take delegates from C3 back to Franklin Square. No tickets are required for Monday shuttle buses. 7 Sessions All plenaries will be held in the Main Auditorium, while parallel sessions will be split between the Main Auditorium and the Anglesea room. For details, please check the programme. Both poster sessions will be held in the Atrium (foyer). Morning tea, lunch, and afternoon tea will be available in the Atrium. There will be no afternoon tea on Wednesday and Friday, and on Wednesday a packed lunch will be provided to take onto the excursions. Wireless internet will be available throughout the symposium. * Please check the notice board outside in the Atrium and next to the Registration Desk for changes to the schedule and other information. Instruction for presenters Oral Presentation 1. Presentation format guidelines: Presentations 16:9 or 16:10 (i.e. landscape ) will display fine. PDF or PowerPoint format preferred. 2. Submitting your presentation: File naming convention is Day_Time_SessionNumber_AbstractNumber_Lastname where Lastname refers to the presenting author. For example, Mon_1005_069A857_Meier.ppt For those with an oral presentation before lunch on Monday: presenters should bring a USB with their presentation file to the registration/icebreaker on Sunday evening, for a member of the LOC or a volunteer to upload. Anyone with a Monday morning presentation and NOT attending the Sunday registration/icebreaker, please your presentation no later than 17:00 (Hobart time) on Saturday 8 March to Petra (Petra.Heil@utas.edu.au). Once at the C3 venue, from Monday until Friday morning, oral presentations are to be uploaded on designated computers in the Speaker Preparation room, next to the main auditorium. Upload your presentation at least one session (a minimum of 2.5 hours) before your talk. The Speaker Preparation Room will be manned from 07:45 on Monday, and from 08:00 the following days. Mark Blake from C3 will be the AV supervisor in attendance in the Speaker Preparation Room. Download the symposium programme from the website. Please check the notice board outside in the Atrium and next to the Registration Desk for changes to the schedule 3. Operation of the session: 7

8 Speakers should arrive at their session room 10 to 15 minutes before the start of the session, briefly introduce themselves to the session chair and take a seat near the front. At the start of the session, the Chair will introduce the session and briefly outline the procedure (see below). The first speaker should then walk to the podium, click on their presentation on the session title slide, and begin their presentation. Total presentation time is 15 minutes with 12 minutes for the presentation and 3 minutes for questions. The Chair will provide a 3-minute warning. Please keep strictly to time as people will be moving between parallel sessions. A laser pointer and a remote control will be available for you to use. You will also be able to control slides with a mouse and keyboard. Poster Presentation 1. Presentation format guidelines: Maximum poster size A0 (1189 mm x 841 mm). Portrait (vertical) format only. Ensure font size is suitable for reading at a distance of about 1 meter (18 point suggested minimum). 2. Poster display: Poster boards will be set up in the Atrium of the C3 Convention Centre. Check the poster lists for Monday and Thursday on the symposium website to identify the poster board you are meant to occupy. Poster boards will be labeled: ml Attachment material will be provided at each board. Monday poster session: Put up your poster early on Monday and take it down in the morning of Wednesday before morning tea time. Thursday poster session: Put your poster up during Wednesday morning tea, and take it down by lunch on Friday. Volunteers associated with the Local Organizing Committee will be on hand to assist; please contact the Registration Desk if you have any questions. Posters not claimed will be recycled at the end of the conference. 3. Poster A4 handouts: It will be good to prepare some A4 sized handouts of your poster for people to take away. CONFERENCE SPECIAL EVENTS Public Open Science Day (Sunday 9 March) There will be a public open science day PRIOR to the symposium on Sunday 9 March between 10:30 to 14:00. The public open science day will be held in the IMAS building. Please go to the symposium website for more details: 8

9 Icebreaker (Sunday 9 March) Following the Registration, a welcome function will take place at the ground floor foyer in the IMAS building on Sunday 9 March from 17:00 to 19:30. This event is open to registered participants. Finger food and some drinks will be provided. Reception at Tasmanian Government House (Tuesday 11 March) His Excellency, The Honourable Peter Underwood, AC, Governor of Tasmania, and Mrs Underwood will host a reception on Tuesday 11 March from 18:00 19:00 for delegates at Government House to mark the symposium. This event is invitation only. Invitations for the Reception are issued by Government House, and will be handed out with the registration package. Transport will be provided between C3 Convention Centre and Government House, with return back to Franklin Square after the function. Buses will be departing the C3 Convention Centre at 17:10 and 17:30. Return buses will depart from Government House at 19:10 and 19:30, for drop-offs in town. Dress code for the reception will be smart casual (i.e. lounge suit with tie for males, smart day dress for females. No shorts or flip-flop please). The Governor should be addresses as Your Excellence when speaking to him. If engaged in a conversation, Sir is acceptable after the initial greeting. The Governor should be referred to, and introduced to others as His Excellency the Governor. The Governor's wife should be addressed as Mrs. Underwood when speaking to her, or when introducing her to others. Mid-week excursions (Wednesday 12 March) Please note the symposium sessions will be only held in the morning of Wednesday 12 March, with excursions taking place in the afternoon. A packed lunch will be available for participants to collect late during morning tea. The following arrangement has been made for each activity: Mt Field Bus will depart directly from the C3 Convention Centre to Mt Field National Park at 13:15. There will be a 2.5-hour stop for participants to explore the natural beauty of the temperate rainforest in the Mt Field National Park, and a light BBQ will be provided at the Two meter Tall before returning to Hobart. The bus will arrive Hobart at approximately 20:30. * To make your trip more comfortable: Please be aware of the changeable Hobart weather. Wear sturdy shoes or walking shoes. Bring warm clothes and waterproof jacket. Do not forget to bring sunscreen/sunglasses. Mt Field National Park website: 9

10 Bonorong/Richmond Bus will depart directly from the C3 Convention Centre at 13:15. Participants will be able to get close to the famous Tasmanian Devil and other unique Australian wildlife in the Bonorong Wildlife Sanctuary, a wonderful wildlife rescue and rehabilitation center. The trip will later take participants to experience the natural and historical beauty of Tasmania. Bus will run along the Coal River Valley (one of Tasmania s premier wine-growing regions) and stop shortly in Richmond, which is a beautiful historical village. The bus will arrive Hobart approximately 18:30. Bonorong Wildlife Sanctuary website: Richmond website: Participants for the MONA excursion and the Mt Wellington Descent excursion (see below) will need to find their own way from the C3 Convention Centre to the Brooke St Pier on Hobart waterfront. Please make sure you arrive at the Brooke St Pier before 14:15. It takes approximately 10 minutes from the C3 Convention Centre to Franklin Square by bus, and approximately 5 minutes walk from Franklin Square to Brooke St Pier. Please allow 35 minutes if you walk from the C3 Convention Centre. Tickets will NOT be handed out to individual participant. Please make sure your name is on the excursion list at the registration. Since 2011, MONA has become a unique attraction in Hobart. It is the biggest privately funded museum in Australia. The subterranean cave-like building, the O ipod visitor guide, together with MONA s controversial and confronting art collections will guarantee participants a distinct experience of the world of dark art. In addition to the museum, there is a bar and restaurant close by if participants would like to taste some of MONA s beverages or prized food. In addition, you will have a chance to sit on a sheep on the ferry. * There are lockers at MONA for bags if you decide to bring valuable/heavy items with you. MONA website: 10

11 Mt Wellington Descent NB In case of bad weather, this event might be cancelled. Participants will be arranged to join another excursion. Participants will need to be at the Brooke St Pier at 14:15 for the 14:30 bus pick-up arranged by Under Down Under. =32&Itemid=81 Mt Wellington is one of the landmarks in Hobart. Participants will start from the top, where you could enjoy a spectacular and panoramic view of the Hobart city. Following a 21km descent, you will be able to explore the Tasmanian vegetation while roaring (if you wish!) downhill on a mountain bike. You will also pass Australia s oldest brewery on the way (don t be too frustrated though, as it s not far from the C3 symposium venue, for future reference). More adventurous participants also have the option to take the off-road section. You will be guided in small groups and back in Salamanca Place in Hobart at around 17:00 (depending on how fast you ride!). * For this trip, you are required to sign an indemnity waiver form before departure. For your safety, helmets and safety vest will be provided. Please wear enclosed shoes and suitable clothes for biking. Please keep in mind that it is normally very windy and cold on the summit of Mt Wellington. Do not forget to bring water, sunscreen and sunglasses. PopEyed (Thursday 13 March) We expect PopEyed to drop in (or better down) at C3 during the poster session on Thursday afternoon. In true busking fashion a hat will be circulated to collect contributions for their effort. Please make sure to bring some cash (preferably notes!) to acknowledge their performance, and give generously. Symposium Banquet (Thursday 13 March) The symposium banquet will be held at the Hobart Function and Conference Centre at the end of Elizabeth St Pier (1 Elizabeth St, at the waterfront) on Thursday 13 March from 19:00 23:00. Eminent sea ice scientist Dr. Wilford (Willy) Weeks will give the dinner speech. Welcome drinks and a three-course (alternate drop style) meal will be served, followed by a cash bar.
