2 Message - Organising Committee Dear Industry Partners, DERMACON INTERNATIONAL 2019 INDIA, is the first International DERMACON being hosted by the vibrant team of Dermatologists of IADVL Karnataka. It is the 47 th National Conference of Indian Association of Dermatologists, Venereologists & Leprologists and the first ever DERMACON with an international outreach - an Indian mission with a global vision and will be held from 17 th to 20 th January DERMACON INTERNATIONAL 2019 INDIA is planned as a premier, all-encompassing event of dermatology, lasers, aesthetics and dermatosurgery. DERMACON will go international with participation from dermatologists, faculties & sister societies from around the world. The venue of the conference Clarks Exotica Convention Resort & Spa is located close to the international airport and away from the hustle and bustle of the metropolitan city. It has been chosen carefully and has all facilities to cater to a conference of this magnitude. ASO Registration area The registration area will be visible to all participants all throughout the conference and the supporter can maximize its exposure through the allowed branding opportunities with prior approval of plan from organising secretary. Support will be recognized on the registration area signage with the text Supported by. and a company logo. Inclusion of one promotional material in the conference bags. Supporter s logo with hyperlink on conference website. The supporters should not have any objection for the registration area being used for any other conference activities other than registration Complimentary registration category 1 three, category 2 - six, conference registration mandatory for other supporting staff from the company Acknowledgements on the support panel in the conference venue. 2. ASO Cloak room Size : 4m x 10m The cloak room area will be utilised by most of the participants and national and foreign speakers throughout the conference days and the supporter can avail good exposure for branding. Cloak room should be managed by the supporting company with manpower and complete responsibility. The organisers will not hold any responsibility for loss of any item or goods, which will be declared prominently in the cloak room area Organisers will not provide any manpower to man or take care of the cloak room. Acknowledgements on the support panel in the conference venue. 3. ASO Hospitality suite in exclusive area Size: Exclusive suitable area will be allocated. An opportunity to hire an exclusive area at a designated location in the venue that will be used as a hospitality suite. The supporting company will be able to host and entertain its guests throughout the event. Companies will have the option to order catering at an additional cost. Hospitality provided will be in compliance with all relevant industry codes. Prior approval of the activities, food and beverages to be serves and its quality should be approved by the organising secretary / chairman Opportunity to brand the hospitality suite. ASO Faculty lounge in exclusive area Size: Exclusive suitable area will be allocated. The professional s area in the venue is another excellent option for supporters branding. The national and international, speakers spend their time while preparing for their presentation or to rest after their talks. Supporting company should provide manpower and quality infrastructure inside the lounge. All the activities inside should be with the permission and approval of the organising secretary Supporting company should ensure to restrict entry only to faculty. ASO Kids and spouse zone This section can be used by co-delegate and kids in addition to delegates, the activities are mentioned below Free use Swimming pool, table tennis, kids play area, badminton, chess, carom, table tennis, basket ball, cricket ground and volley ball. Paid use - Billiards & Squash. Rules and regulations of the resort to be followed compulsorily by the delegates in this area. Swimsuit is compulsory to access entry into the swimming pool. Organisers are not responsible for any injury or damage to the delegates, co delegates and children. Supporters can organize other group activities, food and beverages with prior approval from the organizing committee. With a large number of spouse and children visiting the conference. The kids & spouse zone will be a regularly visited area in the conference. This area in the venue is an excellent option of supporters branding. Support will be recognised with branding panels which can be displayed inside the zone at company cost. Support will be acknowledged in the conference announcements. Acknowledgements on the support panel in the conference venue. Acknowledgement of company logo on directional signage outside the stall area. 6. ASO Conference mobile app The mobile app enables participants to access all conference related information and functions, such as scientific programme, abstracts, faculty information, industry support and exhibition information (separate section), city information, etc. Support will be recognized on the home screen with the text Supported by... and a company logo only. Support will be acknowledged in the industry. Support and exhibition section of the program, on the event website, and with signage during the event. An invitation to download the mobile app will be included in the mail shots to be sent out to the registration database, with the text Supported by... and a company logo. 7. ASO Conference bag The quantity of bags and selection will be advised by the organizer. Supporters shall pay the cost as per actuals. Supporter s logo and the conference logo inside the conference bag. Inclusion of one promotional material of the supporter in the conference bag (to be provided by the supporter). Supporter s logo with hyperlink on conference website. Acknowledgements on the support panel in the conference venue. 8. ASO Internet cafe There will be a cyber centre equipped with workstations where attendees may use the internet facility. Opportunity to display company logo on screen saver. Supporter should ensure uninterrupted quality net connectivity and cyber safety, organisers will not be responsible to any complaints in the poor quality network and cyber safety. Opportunity to distribute mouse pads and other such accessories from the cyber centre. Support will be acknowledged in the industry support and exhibition section of the program, on the event website and with signage during the event. ASO DERMACON INTERNATIONAL Wifi landing page DERMACON INTERNATIONAL WIFI landing page wireless network provision: delegates wishing to access the internet via their own laptop/ smartphone may do so by using the conference Wi-Fi. An initial branded splash screen will bear the supporter s logo and company name. Supporters of this piece of technology will receive strong visibility during the conference, especially when internet-based audience response systems are used. Support will be acknowledged in the industry support and exhibition section of the programme, on the event website and with signage during the event. 10. ASO Mini program book Exclusive acknowledgement on the back cover of this pocket size, useful conference overview. This item will be distributed to all participants. Support will be acknowledged as: Supported by...and a company logo only, location within the mini-programme will be advised according to compliance regulations. Support will be recognized in the industry support and exhibition section of the programme, on the event website and with signage during the event. 11. ASO USB stick for abstract presentation The USB stick will contain all of the scientific abstracts and some presentations as per the discretion of the speaker. Each participant will receive an exchange voucher in the conference bag. The USB stick may be distributed to all participants from the supporter s exhibition booth* in exchange for a voucher. Exclusive advertisement on the back of the exchange voucher which would be provided by the supporter and subject to approval. USB stick will be provided by the conference organiser with the Conference branding DERMACON INTERNATIONAL INDIA. Support will be recognised in the industry support and exhibition section of the program, on the conference website, and with signage during the conference. ** It can also be distributed with the conference materials handed out or inside the conference bag. 12. ASO E - Poster area E-poster Area is an open-access library that allows delegates to view all the conference medical posters. This area is visited by both delegates and faculty throughout the conference days. Supporter s logo and name can be branded on the E-poster stands at company cost. Supporter s name with hyperlink on the website section of the e-posters. Branding with the name of the company is permitted, however the name of the product will not be endorsed by the organisers in the E-Poster area. 13. ASO Note pads and pens Supporter will provide notepads and pens in addition to a support fee. Supporter s logo and name on notepads and pens Inclusion in the conference bag. This item must be approved by the organiser as well as the conference s organising committee prior to the production. Otherwise, the organiser will have the right to produce these items and charges will be covered by the supporter. ASO Abstract book Abstracts for all oral presentations & poster abstracts will be available only as free downloadable E-version for all registered delegates or CD / DVD / Pendrive. Supporter s logo will be placed on the abstract book download page of the conference website. Supporting companies branding will be allowed only on the outer cover of the CD / DVD / Pendrive. 15. ASO Lanyards Supporter will provide lanyards in addition to a support fee. The quantity of lanyards will be advised by the organiser. Supporter s name or logo and the conference name only to be on the lanyard. No product branding will be permitted on the lanyards. The exhibitor / supporter should provide minimum 20 support efficient manpower to assist in the registration area on all days of the conference. 16. ASO Educational videos The organising committee wishes to devise, promote community promotional videos stressing the role of dermatologist. Four videos are planned one each on surgery, lasers, aesthetics and hair. Expressions of interests from companies are solicited. Acknowledgement of exhibitors / supporters with the company name & logo will be displayed at the start and end of these videos. 17. ASO Branding opportunities With a wide variety of branding opportunities available on the drive-way to the conference venue and inside the conference venue for greater visibility and brand awareness: ASO - 17 A - Two side branding on drive way to resort on light poles (2ft X 6ft) With over 200 private light poles available on the drive way to the conference, each light pole can be exclusively branded with both the conference and supporter s logo. ASO - 17 B - Banners on walls and designated area -10ft X 6ft Prime locations across the conference venue give the supporter s an opportunity to brand designated banners at create further awareness of their brand. All the banners should be of uniform size, with the logo of the conference and the supporter. All the banner designs and location should be approved by the organisers. Un-authorised display of any banners inside the entire property and venue including the private road will be removed and penalized with a fine of Rs.25,000/- per banner or standee. ASO - 17 C - Buggy Branding (as per actuals) Buggies will be servicing all delegates to travel inside the venue from the parking to the conference venues and also from scientific halls to the other conference venues. Exclusive faculty and senior citizen buggies will be available at the venue. With regular visibility of these buggies and a constant use of this transport service, the supporter s will be able to brand the company name and logo along with the conference logo on all the buggies. 14

16 DERMACON INTERNATIONAL INDIA ASO - 17 D - Branding on conference coaches (as per actuals) The conference will be providing delegates with a free return private coach service from selected hotels to the conference venue. Supporters can brand these coaches and will have to advertise the conference logo. The branding designs have to be approved by the organising secretary. ASO - 17 E - Digital Branding on LED Digital screens will be placed at prominent locations across the venue. These screens can be used to advertise the supporters company logo, products and also play silent videos. The digital screens will also be used by the organiser to announce conference program schedules etc. The digital screens time slots will be shared with other supporters and the time slot will be decided on a first cum first serve basis. The schedule of advertisement slots will be as per the discretion of the organising committee. 18. ASO Carnival area A designated prime carnival area is available for all delegates at the venue. The carnival area connects the walkway from the scientific area (seventh heaven) to the main conference centre (ocean), exhibition area and the food court. This carnival area will include several attractive and innovative concepts for all participants. Like derma wall, general trade, entertainment and hospitality booths. Supporters can choose from the available stall sizes on a first cum first serve basis. ASO 18 A - Pharma stall (2 X 3 meter) ASO 18 B - General trade area (2 X 3 meter) Acknowledgement of company logo on directional signage outside the stall area. 19. ASO Additional coupons Delegates and companies in need of additional coupons can purchase at designated area during conference days. 17 Obligations and rights of the Supporter / Exhibitor Registration implies full acceptance by the exhibitors / supporters of the conference / partnership regulations and IADVL rules and regulations. Any infringement of these regulations may lead to immediate withdrawal of the right to participate in the congress without compensation or refund of sums already paid, and without prejudice to the exhibitor / supporter. By submitting an application to participate, the exhibitor / supporter makes an irrevocable commitment to occupy the space / items allocated and to maintain his / her installation until the date and time specified for closure of the event. The exhibitor / supporter may only present on his / her stand or space the materials, products or services described in the application to participate. No advertising on behalf of firms not exhibiting is permitted in any form whatsoever. Transfer or sub-leasing of all or part of the allocated spaces is prohibited. All designs used for creating of stalls / advertising / banner & standee printing for the conference activities have to approved by the organising secretary. The exhibitors / supporters is responsible for the safety, quality and insurance of all the industry participants, all the visitors to their stalls / partnerships and their equipment. The organiser will not be held responsible for any damages, accidents or other eventualities. Obligation and rights of organiser The organiser undertakes to allocate exhibition space as far as possible on the basis of the preference expressed by applicants. Application will be considered in order of receipt of application forms accompanied by payment. The organiser reserves the right, in case of absolute necessity, to modify the positioning of stands, with no obligation to provide compensation to exhibitors / sponsors. The organiser reserves the right to offer to a different firm any stand, space or item that has not been occupied by the event of the opening of the conference, with no obligation to provide compensation to the defaulting exhibitor / supporter. Liability insurance Equipment and all related display materials installed by exhibitors / supporters are not insured by the organiser, and the organiser under no circumstances will be liable for any loss, damage or destruction caused to equipment, goods or property belonging to exhibitors / supporters. The exhibitor / supporter agrees to be responsible for his property and person and for the property and persons of his employees and agents and for any third party who may visit his space. The exhibitor / supporter shall hold harmless the organiser from any and all damages / claims including those usually covered by and extended coverage policy. The exhibitor / supporter will purchase insurance policies for the above listed damages. In the event of any natural calamity the orgasing committee is not to be held responsible for loss / damange to property, equipment and life of any individual or company. Exhibition regulations The exhibition manager, acting under direction of the organising committee, has the final decision as to the acceptability of displays. Exhibitors are not to share with others any space allotted to them without prior written consent by the exhibition manager. 16

18 The organiser reserves the right to alter the general layout or limit the space allotted to each exhibitor / sponsor, postpone the exhibition or transfer it to another site if unforeseen circumstances warrant such action. Should any contingency prevent the holding of the exhibition, the organiser will not be held liable for expenses incurred other than the cost of exhibit space rental fees. All exhibits are to be displayed so as to avoid blocking aisles, obstructing adjoining booths, damaging the premises or the leased equipment. Exhibitors are kindly requested to allow sufficient see-through areas, which ensure clear views of surrounding exhibits. In standard booths, height is restricted to 246cm / 8 ft. Exhibitors are responsible for the cost and execution of the design, installation and delivery of their display to (and its removal from) the exhibition site. Flammable materials are not to be used. Equipment displayed or demonstrated must be installed with strict adherence to safety measures. No live demonstrations at the exhibit area, no activities with noise which disturbs the other exhibitors or delegates, procedures and performances which exhibits nudity and violates the modesty of any women / person is strictly prohibited. Exhibitors undertake to observe the timetable designated for completion of their display before the exhibition opening and its dismantling at the close of the exhibition. No dismantling or packing of the displays before the designated hour. It is the exhibitor s responsibility to pack and remove or consign for shipment all items of value prior to leaving their exhibit unattended, otherwise the organiser will arrange for their removal at the exhibitor s risk and expenses. All cables and wires etc to be covered adequately and properly. Exhibitors are obliged to ensure that their stands are permanently stated during the exhibition opening hours. Payment is to be made in accordance with the conditions of payment listed in the prospectus. Should the exhibitor / sponsor fail to make a payment on time, the organiser is entitled to terminate the contract, withdraw confirmation of acceptance, make other arrangements for the stand / sponsorship items or seek compensation for non-fulfilment of contract by forfeiting the remitted amount. Participation by exhibitors / sponsors is dependent upon compliance with all rules, regulations and conditions stated herein. Access to the exhibition is authorized on presentation of a badge issued by the organiser. Exhibitors badges will not be mailed in advance and may be collected from the registration area designated for exhibitors / supporters. Exhibitors / sponsors are responsible for the cleaning of their stands and aisles on time, if not will be fined suitable. The provision of refreshments for the participants by exhibitors is only permitted if the catering regulations and safety of the exhibition building concerned are observed. Exhibition areas and timings made available to exhibitors must be handed back in their original condition. In case of damage or loss of equipment provided, or damage to areas occupied, repair and replacement will be charged to the exhibitor. Any special decoration or fittings must be submitted to the organiser for prior authorization. Advertising panels and display are not permitted outside the exhibition areas allotted to exhibitors. The organiser will not approve stands, which do not comply with the accepted standards, until the necessary changes have been made. 17
