1 Lesson: HOTEL SELECT General Description Objectives The Worldspan Hotel Select system provides hotel lists, availability, detail, room rates, rate rules, and sell entries for any available room type offered by participating hotel associates. Worldspan offers enhanced participation levels for hotel vendors. Hotels participating in AccessPlus provide direct access to their reservations database for sell entries. AccessPlus hotels may also participate in Hotel Source. In addition to the AccessPlus sell capability, Hotel Source provides direct access to availability, detail, room rates, and rate rules from the same database used by the hotel reservationists. When AccessPlus and Hotel Source hotels are booked, the confirmation number and rate verification are received prior to end transaction. We ll discuss these participation levels in more depth in a moment. 2 Hotel Chain Codes Each hotel chain is assigned a two-character chain code, such as MC for Marriott. To decode the chain code, or encode a hotel chain name, the entry begins with HC. Let s look up the entry HC in the Worldspan Global Reference System (GRS). Activity: Encode Hotel Chain Codes 1. Access HELP HC and review encode and decodes entries. HELP HC The entry HC displays an alphabetical list of all hotel names with their chain codes and phone numbers. 2. Display an alphabetical list of hotels and review the index. 3. 4 List of Hotel Select Associates Detailed reference pages are available for hotel associates in the Worldspan GRS. Associates are indexed alphabetically with a tab stop to access individual GRS pages for each chain. Activity: Hotel Select Associates 1. Access INFO HOTEL and tab to INFO HSA for a list of Hotel Select associates. INFO HOTEL INFO HSA 2. Access Hotel Select associates A-M and move down to review. INFO HSA A-M MD The first column is an alphabetical list of Hotel Select associates. The second column is the hotel chain code, followed by the hotel chain s Subscriber Identification (SID). The Communication Link Column indicates how the hotel associate receives the booking message. The CX NBRS column indicates YES if the hotel chain returns a cancellation number. The last column is the entry to access information maintained in the Worldspan GRS by the hotel. 3. Access Americinns (AA) GRS page. G/HTL/AAQ Page 11-4

5 AccessPlus Additional pages for each associate are available according to whether they participate in AccessPlus or Hotel Source. Let s talk first about AccessPlus. When hotels participate in AccessPlus, it is noted on the Hotel Select page as we have seen. AccessPlus hotels are identified in the hotel list display by the dollar sign ($) preceding the chain code. Worldspan maintains a page for each AccessPlus associate, and an additional page for that associate if they participate on the Hotel Source level. AccessPlus associates also have their own error response pages. INFO HAP A-M INFO AMQ Some AccessPlus participants also offer Session Control and participate on the Hotel Source level as indicated here for Adams Mark. We ll discuss Session Control in the modification and cancellation portion of this lesson. The page contains a lot of information including guarantee options for sell entries. Essentially, remember that AccessPlus means the sell entry for that hotel goes directly to their reservations database. Page 11-5

6 2. Move to the bottom and access Adams Mark Hotel Source page. Hotel Source MB INFO AMHSOURCE Hotel Source also provides a direct connection to the reservations database of the participating hotel. In addition to the sell capability, Hotel Source provides room and rate availability, rate rules, and detail directly from the hotel. If the communication link is unavailable, the information displayed is from the Worldspan hotel database. Hotel Source properties are identified in the hotel list display by the end item (#) preceding the chain code. All Hotel Source participants are AccessPlus and return confirmation and rate verification prior to end transaction. Some Hotel Source participants use a feature called Integrated Hotel Source Availability. This feature adds availability identifiers in the hotel list display to indicate the availability status. The codes include A - Available for sale R - On Request C - Closed out/not available O - Rate plan other than specified in request is available Let s take a look now at the four steps to book a hotel. 7 Four Steps to Book a Hotel Worldspan recommends the four-step process to book a hotel. This process includes viewing the rate rule prior to booking the room. Because some room types have cancellation penalties, rate restrictions or deposit requirements, viewing the rate rule is essential for error-free reservations. Activity: Four Steps to Book a Hotel 1. Access HELP HBOOK and review the four steps to book a hotel. HELP HBOOK Step One - Hotel List A hotel list contains the property chain codes, names, and addresses found for the location, or reference point specified in the list entry. The distance and direction from the reference point used in the entry is also given. Worldspan offers a hotel default record so an agency and/or agent can customize hotel list displays with selected information and options. The default record is a template used to change system defaults such as city center or airport reference points. The examples used in this lesson reflect the system defaults (city center). A self-paced tutorial is available for hotel default record, as well as an e-learning class. The distance default is a radius of 40 miles, with a maximum search distance of 75 miles. The distance and direction default is measured in miles unless the kilometer option (/K-) is used, or kilometers are specified in the hotel default record for your agency. Page 11-7

8 Hotel list entries begin with HL. Entries require a reference point such as: City code Airport code Four to six-character reference point code Segment number from a displayed PNR State code and reference point name Country code and reference point name The most common reference point codes used are city and airport codes. Activity: Display Hotel List 1. Access HELP HL and review the entries to request a hotel list. 2. Switch to the opposite window. 3. Access a hotel list for Denver. HELP HL <F8> HLDEN With this entry, all hotels in Denver are displayed within a 40-mile radius regardless of hotel availability. Hotel properties are displayed in random order each time a hotel list is accessed. Hotel List - City Code, Dates, Number of Persons The date and number of persons option (/NP-) can be entered in the initial hotel list entry. There are two ways to enter the number of persons in a list entry. Page 11-8

9 Activity: Hotel List - City code, dates, and number of persons 1. Access a hotel list in Phoenix the 3 rd of next month, checking out the 6 th of next month for 2 people. HLPHX3MMM6MMM2 - OR - HLPHX3MMM6MMM/NP-2 2. Access a hotel list in LAX the 19 th of next month checking out the 22 nd of next month for 1 person. Hotel List - Airport Location HLLAX19MMM22MMM1 To request a hotel list for an airport location, the letter A precedes the city/airport code. The date option, /D, must be used when requesting a hotel list for an airport location. Activity: Hotel List - Airport Location 1. Access a hotel list for Seattle airport the 5 th of next month, 2 nights for 2 people. HLASEA/D5MMM7MMM2 The header line indicates an airport location was requested for Seattle Tacoma Airport (ASEA). If a checkout date is not included in the entry, the system assumes the length of stay is one night. 2. Access a hotel list for Tampa airport the 16 th of next month, 1 night for 1 person. 10 Hotel List Continuation Entries Hotel List continuation entries are similar to car continuation entries. Activity: Hotel List Continuation Entries 1. Redisplay the hotel list. HL* 2. Move down twice in the hotel list. HLD HLD Notice as you move down each page contains prompts at the bottom: >HA( PROPERTY AVAILABILITY >HD( DETAIL >HLD( MORE PROPERTIES> HA followed by the line number accesses availability. HD followed by the line number accesses detail for that property. HLD is used to move down if you prefer to tab rather than type the entry. 3. Move up in the hotel list. HLU 4. Move to the top of the hotel list. HLT Let s look at the hotel options available to modify your search. Page 11-10

11 Hotel Options Several options can be added to a hotel list entry. The number of properties displayed depends on the options used in the entry. The more options used, the more specific the display. Activity: Hotel List Options 1. Access HELP HOPT and review the Hotel Select options index. HELP HOPT Options are separated with a slash. Some options stand alone and others require additional information. All option identifiers followed by specific data require a dash (-) as a separator between the code and the data. These options all have their own reference page. The individual pages tell you if the option is valid with hotel list, hotel availability, hotel change and so forth. 2. Display HELP H/BS- HELP H/BS- So a lot of these options are used with both list and availability entries. Redisplay HELP HOPT. HELP HOPT Page 11-11

12 The following options are commonly used in a hotel list request. Option /B- /C- /CD- /D /D- /DD- /G- /MR- /NP- Description The bed type option is used to request properties offering rooms with a specific bed type. One or two bed types can be requested. The chain code option is used to limit a request to a specific hotel chain. One, two, or three chains can be requested. The corporate discount option allows free form input of data to advise the hotel of the customer s corporate discount number. The date option is used with and without a dash depending on the entry. The arrival and departure dates are assumed when requesting a list from a PNR segment. The departure date must be manually entered if it differs from the next air segment date. Arrival and departure dates must be manually entered when a PNR segment is not being used. The distance and direction option is used to specify the maximum distance and direction from the city, airport, or reference point to the hotel property. The system assumes a 40-mile radius from the reference point if no /DD- data is specified. The guarantee option is used to advise the hotel property of the form of guarantee to hold a reservation. The guarantee option requires an indicator after /G-. We ll discuss this with Step 4. The maximum rate option is used to list hotel properties at, or under, the specified rate. The hotel system requires a number of persons field to be entered after the checkout date or in the /NP- option field. Page 11-12

13 Most hotel lists can be requested from PNR itinerary segments. The system defaults to the city center of the reference point in the itinerary segment. If a hotel by the airport is requested, the letter A is entered after the segment number. Activity: Hotel List from an Itinerary Segment 1. Change windows and request a hotel list for segment 1. <F8> HLS1 The resulting hotel list assumes checkout date of October 12. Worldspan reads the date from the next PNR segment. This list also references city center and not Kennedy airport because of the system default. Page 11-13

14 4. Request a hotel list for segment 1 using zip code (to put Ms. Cole in Manhattan), maximum rate $200.00, number of persons one. HL/Z-10001/MR-200/NP-1 The options are listed at the top of the display on the currency line. You can use continuation entries to modify your hotel search. Let s remove the zip code option, and search for Marriott hotels only. Modify the hotel list to remove the zip code option and search Marriott. HL/Z-/C-MC Removing the zip code option allows us to seach all Marriott hotels in the city and not just within that zip code. Notice the mazimum rate and number of persons options are still there. 6. Change the current point of reference from New York City center to Kennedy Airport. Remove the Marriott chain code option, and specify direction and distance to 5 miles. HL*AJFK/C-/DD-5 Because Worldspan remembers the previous options, you must remove any that conflict with your new search criteria. Removing the chain code option allows us to search all hotels within 5 miles of Kennedy airport. 7. Change the hotel list back to the city center. HL*NYC Notice we re referencing hotels within 5 miles only of city center. How do I remove the distance and direction option? 8. Delete the distance and direction option. HL/DD- Page 11-14

15 Question/Answer 1. How do I request a hotel list for segment two? HLS2 With this entry, we ve lost all the search criteria and we re starting over. The system deletes your options when you change city codes. 2. How do I change the checkout date to October 17, add number of persons one and set the maximum rate at $200.00? Let s take Ms. Cole to Paris. HL/D-17OCT/NP-1/MR How do I request hotels in Paris (PAR), check-in October 17, checkout October 19, distance and direction within 1 mile, number of persons 1, maximum rate $200.00? 16 Step Two - Hotel Availability Once a hotel list is displayed, availability for a specific property can be accessed. If the city and property name, or property code is known, availability can be displayed without first accessing a hotel list. Availability can be displayed from a: Hotel list display Reference point and hotel property name Displayed PNR segment Hotel detail display Specific property code Activity: Hotel Availability 1. Access HELP HA and move down to review the formats. HELP HA MD 2. Display an airport hotel list for Philadelphia (PHL) for check-in 16MMM, checkout 19MMM, one person, distance and direction within 5 miles, and maximum rate 200. HLAPHL/D16MMM19MMM1/DD-5/MR-200 To access availability from a displayed hotel list, enter HA followed by the line number for the property desired, or <TAB> to PROPERTY AVAILABILITY at the bottom of the display, add the desired line number, and <ENTER>. 17 3. Access hotel availability for either of the Hilton hotels (move down if necessary). HLD <TAB> HA( _PROPERTY AVAILABILITY - OR - HAX (X = LINE NUMBER) Note the response from Hilton indicates they do not support the maximum rate option. How do I get rid of that option? 4. Delete the /MR- option. HL/MR- 5. Access availability for the Hilton. Move down if necessary. Move to bottom of display (MB) MB Tab prompts at the bottom of the display are used for: HR HD HL H0 Rate rules Hotel property detail Hotel list Sell hotel Because we strongly recommend selling the hotel from the rate rule display, you don t want to use the sell tab here unless you are familiar with the rate rules for the room type you are selling. The entry to redisplay the hotel list is HL*. 5. Redisplay the hotel list. HL* 6. Redisplay hotel availability for the Hilton. HA* Are there any questions about availability entries? 20 Step Three - Rate Rules Rate rules for Hotel Source participants are accessed directly from the hotel's database. Rate rules for all other hotels are accessed from the Worldspan database. Rate rules should be checked for cancellation penalty information and deposit requirements prior to booking the room. Cancellation penalties can be effective from the time of the hotel sell. Failure to send a deposit usually results in loss of the reservation. For heavily attended conferences or peak season in resort areas, deposits are often required. Activity: Display Rate Rules 1. Access a hotel list for test city FSG, check-in 15 th of next month, for one night, one person. HLFSG/D15MMM16MMM1 2. Access availability for the Marriott (MCRESDT) by tabbing to HA and entering the line number or entering HA at the SOM followed by the line number. <TAB> HA(X - OR - HAX (X = LINE NUMBER) (X = LINE NUMBER) 3. Access the rate rule for Regular Rate Concierge room type by tabbing to HR and entering the line number or entering HR at the SOM followed by the line number. <TAB> HR(X - OR - HRX (X = LINE NUMBER) (X = LINE NUMBER) Rate rules can also be accessed from a displayed PNR segment. Another consideration with regard to rate rules is the possibility of rate restrictions. Certain rates may be conditional based on length of stay, day of week, specific dates or season, and so on. Only by checking the rate rule can you be sure of exactly what you are booking. Page 11-21

The check-in and checkout dates from the request entry. The system calculates and displays the corresponding day of the week for each date. NBR PERSONS: 1 The number of persons. Rate is determined based on number of persons. MC BKG CODE: REGB00 RATE DESCRIPTION Internal Hotel Source identification number. The rate data for 1 or 2 persons followed by per night. The rate field may reflect as many as eight amounts, indicating rate changes over the length of the requested stay. The room description provided by the hotel chain. This room must be guaranteed within two days of booking. Normally a cancellation policy is given, such as cancel by 6PM day of arrival to avoid penalties. The prompts at the end of the rate rule display are: HA HD H0 Availability Details Sell Let s look at Step Four Hotel Sell. Page 11-22

23 Step Four - Sell Hotel Worldspan recommends selling a hotel room from a rate rule display. A hotel sell entry can also be sold: From a hotel availability display. From a hotel list display. From a hotel detail display after availability is displayed. Using a direct sell entry. As a memo segment (MK) for bookings made directly with the hotel. Most hotel properties accept credit cards and may sometimes request a deposit. The /G- option is used to guarantee the reservation. Activity: Sell a hotel Let s look at the types of guarantees Marriott accepts. 1. Access INFO MCQ. INFO MCQ As we saw earlier, each AccessPlus participant has its own AccessPlus INFO page, accessed with the chain code followed by the letter Q. This page describes the AccessPlus features offered by the hotel chain. INFO MCQ shows up the types of guarantee entries accepted. The most common entry includes the option /G-CC followed by the credit card code, number, and expiration date. Let s look at the HELP page for the guarantee option. Page 11-23

The guest name is required to book the room. An advisory message may appear with cancellation or deposit information. Be sure to read this information because it does not become part of the hotel segment. Confirmed hotel segments usually contain the following fields: /NP- Number of persons /R- Room type /RG- Rate guarantee /RD- Room description /BS-- Booking source (1P indicates Worldspan) /NM- Guest name /G-CC Guarantee field /CXP- Cancellation policy /CF- Confirmation number Let s talk now about hotel detail. 25 Hotel Detail The hotel detail display includes facts about a hotel property. Hotel detail can be displayed: From a hotel list display From a hotel availability display By property code From a hotel segment in a PNR By city code and property name Activity: Display Hotel Detail 1. Using the current hotel PNR, add the mandatory fields. 2. End and redisplay the PNR. -BAKER/PHILIP 7T/ 9-AGENT PAT ER 3. Access HELP HD and review the formats for hotel detail. HELP HD 4. Switch to the opposite window and display the PNR. <F8> *R 5. Request hotel detail from the confirmed hotel segment in the itinerary and review. HDS1 Page Hotel detail provides the hotel property s name, street address,

26 phone/fax numbers, check-in and checkout dates, transportation service between the hotel and airport, meal plans, and tax rates. Other information is organized under keywords in the Property Keyword index. 6. Move down to review the keywords. 7. Move to the top of the display. MD MT The ALL FACTS keyword provides a scrollable display of all information contained in hotel detail. 8. Access the ALL FACTS keyword. <TAB> HD*ALL FACTS Move down and review the keywords and the information stored by keyword. MD 10. Redisplay the PNR. *R Let s talk now about modification and cancellation of the hotel segment. Page 11-26

27 Modify/Cancel Hotel Segments When a hotel segment is canceled, a message is generated to the hotel associate. One or more hotel segments in a PNR can be canceled with one entry. Modifications can also be made to hotel segments. Activity: Modify/Cancel Hotel Segment 1. Access HELP H/D- and review the entries to modify the dates of a hotel segment. HELP H/D- MD 2. Change the checkout date to one day later. H@1/D-17MMM Review the action/advice codes of the hotel segments. 3. End and redisplay the PNR. ER 4. Access INFO HSESSION and review the information INFO SESSION Because Marriott is a Session Control participant, I could have ignored the date change and the booking would have reverted back to the original checkout date. The AccessPlus link must be available for Session Control to be active. This change also does not generate a new confirmation number of the booking. Page 11-27

28 5. Cancel the hotel segment. X1 The PNR history is updated in the /CX- field with the hotel cancellation number from participating hotels. 6. End and redisplay the PNR. ER 7. Access history to view the hotel cancellation number. 8. Ignore the PNR. *H I The last thing we ll talk about is the hotel script. Page 11-28

29 Activity: Hotel Script 1. Access the script menu form the INDEX tab on the top (black) toolbar. CLICK SCRIPT INDEX 2. Select the Book tab from the window on the right side of the display. CLICK BOOK 3. Scroll down to the Hotel script then select the first option, hotel availability. 4. Enter a reference point of DFW and continue.
