3 British Airways Worldspan Group Bridge INTRODUCTION Worldspan Group Bridge provides the capability to create and modify airline owned group PNRs in the airline s system. This product also provides the capability to issue tickets from the Worldspan system using a passive Passenger Name Record (PNR). Worldspan Group Bridge for British Airways requires the use of Worldspan Direct Access formats to create and update British Airways PNRs. End transaction on a PNR automatically transfers an agent back into the Worldspan system while the original PNR remains within the British Airways system. When a booking is ended in the British Airways system, the COPY PNR function is used to create a mirror image of the PNR in Worldspan. The Worldspan PNR is given a Worldspan record locator for ticketing. This PNR appears in Worldspan as a passive segment (MK) PNR and has the header CPYD PNR at the top. 1

Request Group Space Direct Segment Entry Request 20 Seats G Class from line 10 of an Availability Display (Use for single flight requests or connecting flights with the same class of service.) Request Group Space from Availability with Connecting Flight (Use for connecting flights with different classes @099AR1 0 = Sell function 99 = number in group A = class of service for first flight R = class of service for connecting flight 1 = line number of first flight 6. Complete the PNR and Queue to British Airways for Pricing The following are mandatory items to include in your PNR. Number in Group, Agency Name and Group Name Business Telephone Number for Group Leader or Individual Passenger Received from Field Add SSR Item with Every LEADER LISA (Agency SID does not display in phone GRPF BA KOUNI TOUR GROUP Pricing Queue Process British Airways will advise agency of the actual queue number and category for use with Worldspan Group Bridge. Place PNR on Specified Queue Number and Category of BA Office (12345/87 = Actual queue number and category assigned by BA.) The Pricing Queue Process could require several PNR queue placements from the Worldspan agent and British Airways. See below for example: First Queue Placement: Worldspan agent queues PNR to the appropriate British Airways office for pricing. Sample entry: QEP/LONB12345/87 (Where 12345/87 represent the actual queue number and category advised by British Airways.) Second Queue Placement: British Airways prices PNR and queues it back to Worldspan agent queue in the BA system with price. Third Queue Placement: 4

Agent accepts fare: Worldspan agent accepts the fare by placing a remark in the British Airways PNR and queues back to British Airways. Agent does not accept fare: If Worldspan agent does not accept the fare agent should cancel the itinerary. Queue process ends here. Fourth Queue Placement: British Airways confirms space and queues PNR back to Worldspan agent for ticketing. When the fare breakdown is added to the British Airways PNR you must issue tickets within 24 hours or the fare becomes invalid and BA cancels the itinerary. 7. Request Copy PNR for Ticketing Request a Copy PNR for ticketing after British Airways has confirmed the space and entered the fare breakdown. Copy PNR Allows the Subscriber to Issue Tickets and Invoices for the Group in Worldspan. Display (XXXXXX = BA record When you request a Copy PNR, Worldspan sends a Request Copy Message to British Airways. When the Copy PNR is received, Worldspan automatically creates a passive PNR and displays the message CPY PROCESS INITIATED. TO RETRIEVE PNR ENTER followed by the format to display the PNR using the British Airways record locator. Example Response: CPY PROCESS INITIATED. TO RETRIEVE PNR ENTER: >*BA@ XXXXXX Important Note: A Copy PNR should not be requested until agent is ready to ticket. Tickets must be issued within 24 hours of the British Airways pricing time stamp. British Airways only guarantees the fare for 24 hours. When a Copy PNR is successfully ended, Worldspan automatically sends an acknowledgment message to British Airways, PNR synchronization occurs between the master PNR and the Copied PNR and British Airways changes the ownership of the PNR to the Worldspan agent. If British Airways is unable to update the PNR with the Worldspan record locator Worldspan sends an UMSG (unsolicited) message to the agent. Example: 5

8 Worldspan Group Bridge British Airways *PROBLEM* 1P RECORD LOCATOR AND TICKETING FIELD NOT ADDED TO BA GROUP BOOKING PLEASE MANUALLY UPDATE IN BA SYSTEM. This alerts the agent to a problem encountered with the British Airways group PNR and to contact the Worldspan Help Desk for assistance. 8. Issue Ticket Rate desk price the PNR using the fare calculation provided by British Airways in the Other Service Information (OSI) message field. The fare calculation must be entered within 24 hours of the British Airways pricing time stamp and typed exactly as provided by BA to avoid a debit memo. In addition tickets must be issued within that 24-hour time frame or the fare expires. Ticketing Guidelines: When ticketing large groups the maximum number of tickets you can issue in a single entry is nine. (The size limit on British Airways Teletype messages is 4K. When more than nine tickets are issued using a single entry, British Airways does not receive all the passenger ticket numbers.) Ticketing a maximum of nine passengers at a time ensures British Airways receives all ticket data. Agent must issue electronic tickets to avoid the fee for issuing paper tickets. If agent cannot issue tickets within the 24-hour time frame due to printer problems, contact the Worldspan Help Desk for assistance. 6

Multiple seat rows and passengers can be requested at one time, but only one segment number may be requested at a time.
