4 GroupManager GroupManager is a group travel management program that provides an easy way to coordinate the sale of blocked (group) space. GroupManager assists you in the management of that space before, during and after its sale. The two main components of GroupManager are the Group Control Record (GCR) and the Group PNRs (GPNRs). In one record, the GCR stores blocked airline space. GCR s can only be created and managed by an agency-designated group controller. The GPNRs store the individual passenger s itinerary and information. Two Basic Steps 1. Build GCR. 2. Build GPNRs from GCR availability. Entering and Exiting GRP Mode A new work area called the Group (GRP) mode, must be activated (entered) to perform Group Control Record (GCR) functions. Once entered, it remains active until exited. Only select agency designated personnel can build and manage GCRs and are authorized to enter GRP mode. 5 Creating Group Control Records (GCRs) A GCR has both mandatory and optional fields. 7 Retrieving GCRs GRP mode must be active before you can retrieve a GCR. To retrieve: GCR by group name GCR by group record locator GCR by flight info and name List of all GCRs for pseudo (where xxxx is the pseudo city) -HORSE SHOW G1ABC23 BA296/15JUL-SMITH -xxxx Managing GCRs Cancelling and Cancelling/Rebooking GCR Segments You can cancel or cancel/rebook one or more segments in a GCR. All goup space in GPNRs must be cancelled prior to cancelling the segment in a GCR. GRP mode must be active. 8 Changing Segment Size You can increase or decrease the current block size (CUR) for one or more segments in a GCR. GRP mode must be active. Change all segments on GCR to group size of 10 Reduce all no names to zero on segment 2 (AVL=0 BKD=CUR) Reduce all no names to zero and set FINAL to current date on segments 1 thru 25 CSI/10 CS2/0 CSF1-25 Merging Duplicate Segments You can combine (merge) duplicate segments, which are often the result of a schedule change. To merge: Segment 2 into segment 3 MI3 2 Reaccommodating Group Segments Group Segment Reaccommodation allows the group controller to manually move non-host blocked space from one flight to another. All associated GPNRs are updated when a group segment is reaccommodated in a GCR. 9 Changing Segment Status All associated GPNRs are updated when a group segment s status is changed in a GCR. 10 Displaying Group Manifests A group manifest is a list of all passengers travelling in a specific group. GRP mode must be active to request the manifest. You can display the list with or without numbers. A numbered list will display in PNR mode and an unnumbered list will display in GRP mode. An enhanced manifest, including additional flight and booking information, can be displayed by appending an N after the function identifier of G or GC in any of the formats below (e.g. GN, GN/S3 or GCN-D). 11 Creating Group PNRs (GPNRs) Displaying GCR Availability The GCR must be built before you can build the GPNRs. You can use only airport codes when dislaying GCR availability. You must be in NR mode and the availability format must include the GCR record locator. See Appendix Sample screens for an example of a GCR availability screen. 13 Selling and Cancelling GPNR Segments Selling You sell blocked space from GCR availability and on-blocked space from normal availability. To reference sell blocked space from a GCR availability, you must be in PNR mode. A maximum of 99 seats may be sold (blocked space only). 15 Working with Ticket Summary Reports (TSRs) The Ticket Report Summary (TSR) is an optional feature. It can provide either a detailed list of passenger ticketing activity (summary report) or a summary of ticketing totals (totals report) for a specific group movement. Entering Information in Ticket Summary Reports You use fill-in-format screens to enter ticket information in the TSR when a ticket was not generated through Apollo. The fill-in can be displayed in either GRP or PNR mode. This allows both group controllers and retail agents to enter ticket information. 17 Appendix Sample Screens All group air segments are sold from GCR availability. The display will show 1-10 lines of flight information with 0-9 seats available in the class blocked. Status codes (HK, GK, SC and TK) are seen after the segment is sold. On a GPNR screen the words GROUP RECORD appear in the upper right corner of the display and a G appears to the right of each group segment.
