1 Lesson: HOTEL SELECT General Description The Hotel Select system stores availability, rate rules, and hotel chain policy information for over 47,000 hotel properties. 3 Hotel Select Worldspan s Hotel Select is one of the most advanced hotel packages in the industry. It features a geographical code system that indexes over 205 hotel chains and 47,000 hotel properties. Hotel associates participate in Hotel Select on one of three levels: 1. Non-AccessPlus hotel associates return a confirmation number after end transaction. 2. AccessPlus hotel associates return a confirmation before end transaction. 3. Hotel Source provides seamless connection to the database of each participating hotel associate, displaying room and rate availability, rate rules and information, and allowing viewing and selling from the same database available to the hotel participant s reservationists. The function identifier for hotel entries is the letter H. Secondary characters or symbols are used to specify the applicable Hotel Select function. For example, HL is the function identifier to request a hotel list and H0 is the hotel sell function identifier. Hotel Select Reference Systems This topic covers instructions for locating formats in HELP, accessing a hotel chain s general policy information in GRS, encoding and decoding hotel chain codes and names, and utilizing the Hotel General Code Table. HELP The Hotel Select HELP reference contains all formats required to access hotel list, property availability, rate rules, sell a hotel, and change hotel options in an existing reservation. MT Hotel Associates A list of Hotel Select participants is accessed from the HELP HOTEL index page. Activity: Hotel Associates Access the ASSOCIATES keyword and move down to review the display. <TAB> HELP HSA MD The first column is an alphabetical list of Hotel Select associates. The second column is the hotel chain code, followed by the hotel chain s Subscriber Identification (SID). The Communication Link column indicates AccessPlus or non-accessplus participation. The CX NBRS column indicates YES if the hotel chain returns a cancellation number. The last column is the entry to access the hotel associate s Global Reference System (GRS). Hotel Associate GRS In addition to the Hotel Select HELP and INFO reference systems, each hotel associate maintains a Global Reference System (GRS) page containing information about the hotel chain. 5 Hotel associates provide the following information in GRS: Commission Corporate rates Guarantees Cancellation policies Activity: Hotel Associate GRS 1. Access the GRS page for Marriott. Clear the window. <F9> Hotel Chain Codes Each hotel chain is assigned a two-character chain code. Hotel chain names and chain codes are encoded and decoded by preceding the hotel chain name or code with the HC function identifier. Activity: Encode Hotel Chain Codes 1. Access HELP HC and review the entry to display a list of the hotel chains in Hotel Select. HELP HC The entry HC displays an alphabetical list of all hotel chains in Hotel Select with their chain codes and toll-free telephone numbers. 2. 8 Advanced Worldspan Four Steps to Book a Hotel The 4-step process Worldspan recommends to book a hotel. Four Steps to Book a Hotel Some hotel room types and rates have cancellation penalties. The 4-step hotel booking process recommended by Worldspan includes viewing the rate rule prior to booking the room. Using this 4-step process should help to avoid cancellation penalty charges. 4 Steps to Book a Hotel Write the following function identifiers on the board for the 4-step process. Hotel List HELP HBOOK This topic covers how to request a Hotel List by city or airport reference point and from an itinerary segment. You will learn options to customize the initial availability request and modify the availability display. The first step in selling a hotel requests a list of hotel properties for the desired location. To ensure location accuracy, each hotel property is indexed in the Hotel Select database by reference points which includes latitude and longitude information. A reference point is a city, airport, or point of interest designated by Worldspan. Page /01

9 Display Hotel List There are a number of ways to request a Hotel List: By city or airport code By state or country code and reference point By reference point code or name From an Area List We use city and airport reference points to request Hotel Lists. Activity: Display Hotel List 1. Access HELP HL and review the entries to request a Hotel List. HELP HL The only requirement to request a Hotel List for a specific city is the function identifier HL and the city or airport code. 2. Request a Hotel List for Buffalo and review the Hotel List display. HLBUF The entry displays a list of all hotel properties within a 75-mile radius of the requested city center. 12 Advanced Worldspan 4. Redisplay the Hotel List. HL* The HL* entry redisplays the last Hotel List screen, not the beginning of the Hotel List. 5. Move to the top of the list display. Hotel List Options HLT The hotel search can be customized to list specific hotel properties, based on your client s needs, by appending options to the initial Hotel List request. Activity: Hotel List Options 1. Access HELP HOPT and review the list of options. HELP HOPT The following options are generally used in the initial Hotel List request: Option /A- /B- /C- /D- Description The availability option displays a sample of the hotel property s lowest available rate plans (4 maximum) from Worldspan s Hotel Select database. Dates and number of persons are mandatory with the availability option. This option accesses Worldspan s database without referencing the hotel s database directly. The bed type option is used to request properties offering a specific type. One or two bed types can be requested. The chain code option is used to limit a request to a specific hotel chain or can be used with a Loyalty Chain Code that accesses several chains that share the same frequent guest program such as EM for all Marriott brands. The arrival date and departure dates are automatically captured from the preceding and subsequent PNR segments when requesting a Hotel List with a segment indicator such as HLS1. Page /01

13 Option Description /D Arrival and departure dates must be manually typed when a PNR segment does not exist. /DD- /MR- /NP- /RR- /SC- /Z- The distance and direction option is used to specify the maximum distance and/or direction from the city, airport, or reference point to the hotel property. The system assumes a 40-mile radius from the reference point if no /DD- data is specified. However, Users may request distances up to 75 miles with the /DD- option. The maximum rate option is used to list hotel properties who have at least one rate status as available in Worldspan s Hotel Select system lower than the requested amount. The hotel system requires a number of persons field, which can be entered after the out date (/D-DDMM2) or in the /NP- option field (/NP-2). This option accesses Worldspan s exclusive Integrated Hotel Source Rate Range product in which the User will see real-time rate ranges directly from the Hotel Suppliers internal CRS system on the HL screen for those vendors who participate in this product. The same country option is used to request only those hotels within the same country as the city in the Hotel List request. This option is most helpful when requesting a Hotel List in Europe. The postal or zip code option is used to request hotel properties within a specific postal code. The system searches only those qualifying hotel properties based on the specified options. Some option identifiers stand alone, such as the AccessPlus (/AP-) and available rate (/A-). All option identifiers followed by specific data require a dash as a separator between the code and the data. Although the dash is not mandatory for all options, the dash is used for consistency. 2. Move the cursor to the end of the initial entry (HLBUF), add the /SC option, and <ENTER>. HLBUF/SC- <ENTER> Compare and review the displays. The original list includes properties in other countries (Canada, in this case). Foreign properties are indicated by symbol preceding the address. The Hotel List display with the /SC- option includes only properties within the United States (no properties have symbol). Hotel List from an Itinerary Segment Most Hotel Lists can be requested from PNR itinerary segments. Activity: Hotel List from an Itinerary Segment 1. Display the PNR for BARNES. *-BARNES 2. Once the client s preferred hotel is identified, the second step in the booking process is to access specific Property Availability for more rates, room descriptions, and bed types. Since hotel availability is property specific, an availability request must include the following: Check-in and check-out dates Number of persons in the room Reference point (city, airport, name or code) OR Property code Page /01

The keyboard is locked until the cancellation number is received. If multiple hotel segments are canceled, all the messages are sent at one time and the keyboard remains locked until all cancel numbers are processed. 20 Advanced Worldspan Activity: Hotel Session Control 1. Access INFO HSESSION for a general overview of hotel session control. INFO HSESSION If the PNR is ended, a message is sent to the hotel associate to finalize the cancellation. The hotel segment and cancellation number are placed in history. If the PNR is ignored, a cancellation number is received, and is not processed or recorded in history. The PNR is returned to the original status. 2. Access HC-SESSION for a list of HOTEL SESSION control vendors. HC-SESSION Many hotel associates have an internal timer that requires a reservation to be ended or ignored within 55 minutes to 3 hours of a sell - modify or cancel entry. This allows subscribers to leave a booking. The message indicated the work area containing a hotel segment in danger of a timeout. One message is sent 15 minutes prior to associate time-out or at 40 minutes of PNR inactivity. Another message is sent 5 minutes prior to associate time-out or at 50 minutes of PNR inactivity. If no action is taken after the second message, an automatic hotel associate time-out occurs after 55 minutes of PNR inactivity. Users will be made aware of all of this activity with an unsolicited message (UMSG.) They may access this UMSG by typing a U and pressing ENTER Integrated Availability This topic introduces the Hotel Source integrated availability. Each participant has an identifier that precedes the associate chain code in availability. The identifiers indicate the availability status. The codes include A - Available for sale R - On request Page /01

21 C - Closed out/not available O - Rate plan other than specified in request is available Worldspan obtains real-time availability from participating associates with every HL and HLD entry. HL*, HLU, and HLT display the information obtained from the last HL or HLD entry. Activity: Integrated Availability 1. Display Rate Rules The third step in the booking process is to access the Rate Rules for guarantee and cancellation information. Some rate plans and room types have cancellation penalties. 25 The fourth step in the booking process is to reserve the room. The current rate/room type can be sold from the Rate Rules display. The function identifier to sell a hotel is H0. This hotel property accepts a credit card or permits a deposit to be sent. The /G-DEP appended to the sell entry indicates a deposit will be sent. Activity: Sell a non-accessplus Hotel 1. Access HELP H0 and review hotel sell formats. HELP H0 2. Sell the room type from Rate Rules and include a deposit guarantee. H0/G-DEP For non-accessplus associates, the confirmation number is returned after end transaction. An advisory message may appear with cancellation or deposit information. This message is not appended to the confirmed segment. The currency code appended into the sold segment is the currency from the Rate Rules and may not necessarily be the same currency shown in the HA screen. 3. Redisplay the PNR. Hotel Detail *R The Hotel Detail display includes facts about a hotel property. You can access Hotel Detail from a confirmed hotel segment and review the property specific information in the header. Redisplay the PNR. *R AccessPlus Hotels This topic provides additional practice in requesting a hotel list, accessing property availability, and displaying rate rules for AccessPlus participants. AccessPlus Availability Most hotel associates are AccessPlus participants. When Property Availability and Rate Rules are requested for an AccessPlus associate, the information is displayed from the Worldspan database. When an AccessPlus hotel is sold, the reservation message is transmitted over a special communications line to the hotel associate. The rate is verified in the hotel associate s system and a confirmation number is returned. If the AccessPlus sell is successful, the rate, confirmation number, and AccessPlus indicator ($XX$), are appended to the hotel segment prior to end transaction. If the AccessPlus link is unavailable, the sell is edited and created from the Worldspan database. The AccessPlus indicator, $XX$ does not append to the sold segment and a confirmation number is returned after end transaction. Page /01

29 AccessPlus Hotel Availability The hotel system assumes the city center of the reference point in the itinerary segment. To request hotel properties for the airport reference point, enter the letter A after the segment number. The /AP- option requests only AccessPlus hotel properties for the availability display. Activity: AccessPlus Availability Request a list of AccessPlus hotel properties within a 10-mile radius of the San Francisco airport (SFO). Request available rates for one person with a departure date from the next PNR segment. HLSXA/A-/DD-10/AP- (X = SEGMENT NUMBER) The reference point is ASFO indicating the hotels listed are from the San Francisco Airport reference point. The $ indicates an AccessPlus associate. The end item (#) indicates a Hotel Source associate. Hotel List Options Several options can be added to a hotel list entry. The number of properties displayed depends on the options used in the entry. The more options used, the more specific the display. Activity: Hotel List Options 1. Access HELP HOPT and review hotel options. HELP HOPT 2. Request a Hotel List for the San Francisco city center. HLSFO The Hotel List display can be changed from the airport reference point to the city center reference point. 10/01 Page 11-29

Request a list of hotel properties within zip code HL/Z The Hotel List can be changed to display hotel properties within a specific zip/postal code. Previously entered options can be changed and new options added in the same entry. Delete Hotel List Options Hotel List options can be deleted by entering the function identifier without the option. Activity: Hotel List 1. Delete the zip code, maximum rate, promotional rate request, and bedding type options and review the response. HL/Z-/MR-/P-/B- The zip code (/Z-), maximum rate (/MR-), promotional plan (P-), and bed type (/B-) options no longer appear in the option line of the Hotel List display. 2. Change the hotel list to request Best Western hotel properties. Property Availability HL/C-BW This section covers how to request hotel availability from the hotel list display. This allows the display of room and rate availability, rate rules and information, as well as viewing and selling from the hotel's database. Hotel Source Availability Hotel Source properties are identified in the Hotel List display by the end item preceding the chain code. All Hotel Source participants are AccessPlus and return a confirmation prior to end transaction. When Property Availability and Rate Rules are requested for a Hotel Source participant, the availability and rules information displayed are from the Hotel Source associate s reservation system. If the communication link is unavailable, the information displayed is from the Worldspan hotel database. Activity: Hotel Source Availability 1. Change the Hotel List to request Holiday Inn Hotels within a 10-mile radius of the San Francisco city center. 2. Request promotional rates. HL/C-HI/DD-10 HL/P-PRO Using the promotional plan code option when requesting Holiday Inn rates ensures that Great Rates appear near the top of the availability display. 3. Hotel Direct Sell Click exit Direct Sell entries allow a room type for a specified hotel to be sold without first displaying a hotel list or hotel availability display. The minimum required information needed before a Direct Sell entry can be made is: City/airport code or hotel property code Hotel name (unless property code is used) Dates and number of persons Room type Activity: Hotel Direct Sell 1. Direct Sell the Roosevelt Hotel in Seattle (SEA) for one person arriving on the 25th of next month and departing on the 29th of next month. Modify Hotel Segment HNSEA25MMM29MMM1/R-A1QRAC/H- ROOSEVELT HOTEL/G-DEP/NM-JONES BARRY *R Hotel segments in a PNR can be changed or modified by entering the new option desired. Any change to the hotel segment for non-accessplus hotels sends a cancel and rebook message to the associate and assigns a new confirmation number. For AccessPlus hotels, some hotels accept changes to specific fields without assigning a new confirmation number. You can verify hotel policies in the hotel s GRS pages. Activity: Modify Hotel Segments 1. Access HELP H@ and review the entries to change the optional data fields. HELP H@ A confirmed hotel segment can be changed by modifying the optional data field. The only optional data fields that cannot be changed or modified are the hotel name field (/H-) and the hotel chain (/C-). 2. Redisplay the itinerary. *I 3. Modify the hotel segment to include the Supplementary Information, /SI- PASSENGER REQUESTS LOWER FLOOR. H@1/SI-PASSENGER REQUESTS LOWER FLOOR 4. Redisplay the PNR and review the modified hotel segment. *R 5. Delete the Supplementary Information option. 10/01 Page 11-37

38 Advanced Worldspan 6. Redisplay the PNR and note the Supplementary Information option is removed from the hotel segment. *R Worldspan Hotel Select also provides enhanced AccessPlus modify. This provides AccessPlus hotel associates who have true modification ability to permit changes to the hotel segment without assigning a new confirmation number. Each AccessPlus associate designates which option fields generate a new confirmation number. This information is stored in each participant s INFO page (INFO HAP or INFO XXAP). 7. Cancel the hotel segment. 8. Ignore any PNR data. Hotel Default Record X1 I The Hotel Default Record is a template in which options can be chosen to be used as a default each time a hotel list entry is made. Any option in the hotel default record can be overridden by including the desired option in the hotel list entry. One hotel default record can be created for use by the entire office and applies to all agent sines. If an agent prefers to create their own hotel default record, it applies only to their sine and overrides the office hotel default (if one exists). Each agent sine can be associated to only one hotel default record, either the office or a personal hotel default record. Activity: Hotel Default Record 1. Access HELP HDR and review the Hotel Default Record index. HELP HDR Page /01

39 The entry H/L or H/L1 entry displays the Hotel Default Record by agent sine. 2. Display the Hotel Default Record and review the template. H/L - OR - H/L1 Specific fields are completed by Worldspan as screen defaults. Y (Yes) next to an option in the template indicates the option is applied; N (No) next to an option indicates the option is not applied. To change these fields, enter Y or N over the parameter inside the parentheses. The selections stored in the template are overridden when the corresponding hotel option is included in the Hotel List entry. Reference Points A reference point list contains all locations and attractions for a specific state or country based on the first letter of the reference point name. A reference point list can also contain all worldwide reference points with a similar name. Activity: Reference Points 1. Access HELP HL and review the entry to request a Hotel List by Reference Point name. HELP HL An itinerary is not required to book a hotel segment.
