5 HOTEL DE Direct Connect Section 1: IMPORTANT About this Guide Be aware that certain scenarios have an infinite number of variables or extremely unusual circumstances, like rare cancellation or refund situations. So, not all scenarios can be presented in this guide. Also, certain processes may be influenced by third- or fourth-party participants. In some cases, you must contact the vendor/provider directly. Section 2: Overview HOTEL DE, also known by the international brand HOTEL INFO, offers direct access to inventory for travelers booking through Concur Travel. HOTEL DE offers content worldwide allowing many smaller hotel chains and properties, which are not in the GDS, to benefit from the HOTEL DE distribution network. The HOTEL DE Direct Connect helps corporate customers reign in travel that is currently booked outside Concur Travel, allowing for preferred rates to be loaded as well as policy to be applied, such as city rate caps and per diems. Travelers using the HOTEL DE Direct Connect have access to special corporate rates and save at those hotels that offer more favorable prices for business travelers. Benefits Easy access to preferred HOTEL DE rates and corporate programs An integrated itinerary from any source; air, car or hotel Traveler s will have the option to make changes to hotels booked in Concur Travel or the HOTEL DE website Cancellation free of charge Vicinity search: Book a hotel near to where you need to be Important! Multiple hotel content sources can be enabled per travel configuration but only one direct connect supplier can be enabled in addition to the GDS per country. For example: In Germany, a company configuration can include Amadeus and HOTEL DE. In the UK rates, a company configuration can include Amadeus and Premier Inn. In France, a company configuration can include Amadeus and CDS. However, a company cannot include HOTEL DE and Premier Inn in the same country. Concur Travel: HOTEL DE Direct Connect 1

6 Section 3: What the User Sees The traveler reserves a hotel through HOTEL DE by booking on the Flight Search tab (or the Mixed Flight/Train Search tab) or the Hotel Search tab in the Travel Wizard. The user searches the inventory, reads the rate and cancellation information, and books the hotel just like any other hotel. Note the following: An address is required in the traveler s profile to successfully book HOTEL DE. One thing to note about all hotel cancellations The traveler can find the cancellation number on the cancellation summary page and in the Trip Library. If you do not yet have a HOTEL DE Company ID and wish to load negotiated rates, please contact business@hotel.de. HOTEL DE will process your request and return your Company ID within 24 hours. Part 2: Professional Edition Configuration in Concur Travel NOTE: HRS and HOTEL DE cannot both be activated. Once an agreement is in place, configure HOTEL DE in Concur Travel. To configure: 1. Click Administration > Travel (on the sub-menu) > Travel System Admin and access the desired client travel configuration. 2. In the Hotel Connectors section of the travel configuration page, locate hotel.de. 3. Select Enable. 4. Enter the Corporate Discount Code. When you select Enable, the country section appears at the bottom of the Hotel Connectors section. Select the desired country. Concur Travel: HOTEL DE Direct Connect 3

In the Travel Setup Wizard, click Discounts and Travel Content setup step. 2. Select the desired configuration. 3. Click the Direct Connect tab. 4. Locate hotel.de. 5. Select Enable. 6. Enter the Corporate Discount Code. When you select Enable, the country section appears at the bottom of the Hotel Connectors section. This number does not need to be activated. All testing is done in a live production environment and bookings will be subject to no-show fees. Please check the rate rules before confirming. Cancel the bookings when testing is completed. Section 6: FAQ Q. Will my hotel booking be guaranteed via Concur Travel? A. Direct connects are consistent with the GDS, and we will automatically send the guarantee information. This will ensure the user will have a room upon check-in, regardless of time. Q. Are e-receipts supported for HOTEL DE? A. No, these are not supported today for HOTEL DE. Q. Are changes made directly with HOTEL DE reflected in Concur Travel & Expense? A. 11 Q. Which GDSs are supported for HOTEL DE? A. All GDSs are supported. Q. Will I receive an confirmation from HOTEL DE? A. No, the traveler will only receive an from Concur Travel & Expense containing the travel itinerary. Q. How will hotel payment be handled? A. The hotel charges the credit card. A travelers credit card may be charged on the reservation day, but most hotels make the charge on the day of arrival. Q. Will standard travel policy rules apply to the HOTEL DE direct connect? A. Yes, standard rules in travel policy apply to the direct connects, unless otherwise configured. Q. Is the hotel cancellation policy popup configurable for HOTEL DE? A. Yes, HOTEL DE will work even with the rate popup disabled. However, we currently would not display the HOTEL DE terms and conditions in that case. Therefore, we recommend that the popup remain enabled for HOTEL DE. Q. How will currency be displayed? A. The currency displayed is based on what is set in the travel configuration but will also reflect the user s preference next to it. Q. Can passive segments be inhibited for the HOTEL DE direct connect? A. Yes. Q. If rail is activated, can you search for a hotel by "Rail station"? A. Yes, we add the rail station as the default search parameter in the hotel search. Q. Are driving directions provided when booking hotels? A. Yes Q. Does the HOTEL DE direct connect display green hotels? A. A customer could note this via notes in the hotel discount area but there is no "green" hotel mechanism at this time. Q. Can you search for hotels by specific/maximum room price? A. No, you can sort results based on price, but that is not a search criteria for the original request.
