1 COUNCIL RENDEZVOUS 2012 October 26-28, 2012 Great Smoky Mountain Council Boy Scouts of America Tennessee Heritage This guide contains all of the current information and forms that your Unit needs to fully participate in the 2012 Council Rendezvous. lf the Rendezvous steering committee sees the need to make clarifications, this information will be posted on the Council's website. Any last minute information or updates that may be needed will be posted on the Council website 48 hours prior to the start of the Rendezvous. Great Smoky Mountain Council ext.110

2 General Information - The 2012 Council Rendezvous is open to all members and registered leaders of the Great Smoky Mountain Council's Boy Scout Troops, Cub Scout Packs, Webelos Dens, \/enturing Crews and Explorer Posts. The Goal of the Council Rendezvous is: * An event that fosters the fun and fellowship of Scouting. * An event that celebrates the Heritage of Tennessee. * An event that promotes outdoor skills and development. * An event that helps showcase the best of Scouting to our members and the community. Rendezvous Highlights * Archery, BB, Rifle, Pistols, Skeet Shooting * High Adventure, Climbing, Mountain Biking, Field Activities, Emergency Preparedness * Indian Lore, Historical Reenactors, Blacksmithing, Amateur Radio, Cooking Demos, Exhibits * STEM Activities, Cub Scout Projects, Orienteering * Campfire Entertainment, Sunday Morning Service Rendezvous Reservations, Registration and Fees The cost to attend and participate in the Rendezvous is as follows: Participant Cub Day Fee Walk-on Cub Parents Regular Fee (After Oct 1) Free Early Bird Fee (Before Oct 1) $10 Free Cub Campers (adult & youth) Boy Scouts Venturers Explorers Registered Adult $25 $25 $25 $25

3 All Rendezvous participants and leaders are expected to pay the event fee of $25 per person. The early bird fee is if you sign up before October 1, All participant fees are transferable to another registered participant within the same Scouting unit. The Rendezvous will not be cancelled due to weather. Rendezvous Registration Is In This Guide - For planning purposes, online registration per unit is strongly recommended. Using the Registration Form, list all youth, health form and payment information. It is imperative that Staff have an accurate participant total. Form is also available at: Registration Form Instructions - The back page of the Registration form is for Unit Leaders' use only. This page will keep track of who is attending, who has paid the unit and who has submitted Health Forms Parts A, and C. The front is for transferring totals of youth/adult participants. Add totals and submit payment to the Council Office no later than October 1, 2012 for Early Bird rates. What Happens When You Arrive - Upon arrival at the Rendezvous, units will be greeted by Registration Staff and will be asked to turn in their official Event Registration Forms listing the names of all the unit s participating youth and adults. You will pay any additional fees that are due and be given other Rendezvous information. Directions to your camping area will be given and there will be guides assisting you. Patches will be given AFTER a successful check-out. The Rendezvous fee will help cover the cost of the Friday night Leaders' Cracker Barrel, event patches and merchandise, program supplies, and other costs associated with this Council event. Final registration for all units will begin at 4:00 p.m. on Friday, October 26, and will continue until 11:00 p.m. Units arriving after registration has closed on Friday night must check in at Rendezvous Headquarters for camping instructions. All check-ins will be at HeadQuarters. No Meals Will Be Provided Bring Your Own Provisions - Each unit will be responsible for their own meals, water and drinks. Units are encouraged to plan no-cook meals for breakfast and lunch on Saturday to maximize program involvement. While several water buffalos will be located in respective camping areas, please bring your initial water supply. Port-a-potties will be strategically placed throughout the camping and program areas. Dumpsters will also be provided and will be placed in camping areas and "Leave No Trace" camping is encouraged. Chemical fuels shall be stored according to National policy. Health Forms. Medical Services, Weather Alerts - Health forms are required to be submitted to Council with the unit registration. For additional Scouts or walk-ons, bring health forms with you or complete one at the event. This also includes your HOLD HARMLESS AGREEMENT and PHOTO RELEASE Part C. A complete medical staff will be available at the Rendezvous Headquarters Building. Several First Aid stations with qualified personnel will be located throughout the site. An emergency plan will be provided at check-in. Tour Plans - Tour plans are preferred but not mandatory.

4 Visitors at Camp Non-Scout parents, siblings and other family members are encouraged to come and watch the day s activities and participate in the Saturday evening Arena Show. For safety reasons, visitors are asked to wear sturdy shoes or boots and appropriate clothing. Be prepared to walk. All visitors MUST check in at HQ. Visitors may wish to bring money with them for the trading post and concession stand. Non-Scout visitors will NOT be allowed to participate in activities. What to Wear - Class A Field uniforms are required for all ceremonies (Arena Show and Chapel). If you have purchased one yet. Class B uniforms are acceptable for program areas and around campsite, etc. Proper footwear shall be worn at all times. Campsite Safety is Everyone's Responsibility - To help encourage a safe camping environment, all units are to abide by the policies in the "Guide to Safe Scouting". While there are no competitive campsite inspections during the Rendezvous, event Commissioners and the Council Health and Safety team will be patrolling the camping areas looking for potential safety hazards. Should a safety concern be observed, they will bring it to the attention of the adult leader in charge of the unit to correct the issue. Please cooperate with any suggestion that is made to assure a safe camping experience for everyone. Under no circumstances are youth allowed in the streams. Campsites - All unit camping during the Rendezvous will be within established campsites assigned by the Rendezvous committee. Boy Scouts, Cub Scouts, Venturing and Exploring units will have their own separate camping areas. Campsite size will be based upon the number of PAID Registered participants within each unit. (1) unit trailer and/or (1) vehicle, will be allowed to stay in the campsite. Once the vehicle is parked in the campsite, it cannot be moved for the duration of the event. One adult is necessary for each 10 Boy Scouts, but a parent must accompany each Cub Scout. Two-deep leadership is required. Scouts and Scouters are expected to remain in their campsites after taps and until reveille. Disorderly conduct and/or use of controlled substances is prohibited and is grounds for dismissal. No riding on trailers or in the bed of trucks. Security patrols will be treated with respect and obeyed. Any accident or security problem will be reported to HQ as soon as possible. Trading Post and Concession Stand - Special concessions will be located throughout the program area for the Rendezvous. Payments will be cash only. Leaders Cracker Barrel - * All Senior Patrol Leaders, Scoutmasters, Presidents and Advisors are asked to attend the Boy Scout/Venturing Cracker Barrel on Friday night, 9:45 p.m. at Rendezvous HQ. * A designated leader for each Cub Scout Pack is asked to attend a program specific Cracker Barrel on Friday at 9:00 p.m. at the Cub Shooting area. * Important information concerning the weekend activities will be discussed at this time. Scout Oath and Scout Law - lf everyone agrees to live by the Scout Oath and Scout Law and to follow basic Scouting operating principals, we should come out on Sunday, October 28th tired and happy knowing that we had a safe, exciting and fun-filled weekend full of memories that will last a lifetime.

5 FIRES: Fires must be above ground in a contained setting. This means the use of a fire barrel, elevated ring, tire rim, etc. must be used to contain your fire. We also ask that you keep a fire bucket by the fire as well as keeping someone in your campsite on fire watch. If everyone must leave the campsite please let your fire burn down to nothing or go ahead and put it completely out. Program: Program area s will be marked with signs and safety markers where needed. There will be activities designated just for Cub Scouts, Boy Scouts, and Venturing. In addition to having programs just for each of these age brackets we will also have program area s such as Rock Climbing and Mountain Biking that Webelos CAN DO but Cub Scouts will NOT be able to do. This also means there will be program area s that Venturer s will have items such as Pistol shooting that Boy Scouts will NOT be able to do. There will be more than enough items to keep our youth occupied and having fun. Our program chairs have had a great time planning these items for your unit and look forward to you being there.
