3 Introduction What is the ACA Sydney ACA Sydney is a diverse support service that focuses on the development and support of Arts within Sydney and beyond. It is the identity over Actors Centre Australia but more importantly it is the core brand that managers the diversity of interests within the company from strategically balancing financial needs and delivering the companies social objectives. What do we do ACA Sydney is founded on, and guide by, a mission to deliver training of the highest calibre by creating and environment dedicated to possibility and achievement. Training Production Support Services Community Strategies Each area has its own goals and objectives, which support the vision of the overall organisation. Venue Management The venue management services that look after the daily operations of The Italian Forum Performance Precinct are located under ACA Sydney s Support Services, alongside the Administration, Consulting and Marketing Units. Italian Forum Cultural Centre It is our belief at ACA Sydney that this venue is a landmark in Sydney s Cultural life, a vibrant hub that will showcase the very best in training, community values, arts and culture. The facility has a legacy in the Italian cultural heritage of Leichhardt and aims to encourage social and cultural development in the wider community. The Performance Hall has a sprung floor of 300 square metres (approximate floor dimensions 20x15 metres), and a height to the main ceiling of 6.9 metres. The volume of space below the main ceiling totals 1,890 square metres. The venue is acoustically insulated to a minimum of Rw45. Reverberation times for the space. Based on AS/NZS 2107:2000, a reverberation time of approximately s as measured in the mid-frequencies (500Hz and 1000Hz) will permit the Performance Hall to possess good acoustic qualities for a variety of uses. Please note the Italian Forum also is home to an amazing Italian outdoor Piazza, and while the space is available to hire it also has many fine restaurants for the public to enjoy and is home to our local community of residents who surround this authentic Italian experience. What does this document contain This document constitutes Schedule 4 to ACA s standard Hire Agreement and is referred to in the General Terms and Conditions set out in Schedule 2 to the Hire Agreement. This Schedule 4 sets out ACA s Standard Fees for hire of the Italian Forum Cultural Centre. The Italian Forum Cultural Centre is a professionally operated initiative providing a high level of quality facilities to both Community and Professional Groups within Leichhardt area and beyond. These penalties also apply to the staffing component within the block hire periods of a booking. A 20% penalty applies when; The staff member works after 11pm or before 6am during the weekday period, (Monday Friday) A 25% penalty applies when; The staff member works on a Saturday A 50% penalty applies when; The staff member works on a Sunday A 150% penalty applies when; On Public Holiday Note: There must be a 10-hour break between calls and a paid half hour meal break after each 5-hour session. If meal breaks cannot be taken due to the nature of the event, the half hour in lieu is charged at a double time rate. Staff are entitled to bathroom breaks when required. Page 5 of 9

6 Staffing Position Duties Staff FOH Supervisor (Front of House Supervisor) Stage Door Attendant Front of House Ushers Box Office Manager Box Office Assistant House Technician Lighting Designer Sound Engineers Specialist Technical Staff Duties This role is that of a safety officer. To ensure the safe operation of the venue and its facilities; including patrons, the hirer, the hirer s associates and all staff. Required if the stage door or workshop door is required to be left unsecured. To assist the FOH Supervisor and Box Office Manager in their duties. Manage all Ticketing activities within the venue and the staff associated with this outside an emergency situation. To assist the Box Office Manager This role is that of a safety officer. To ensure the safe operation of the venue, its facilities and all equipment. This position answers to the FOH Supervisor. To work with clients regarding lighting aspects of a production or event To work with clients regarding audio aspects of a production or event To work with clients regarding any aspects of a production or event were it is deem necessary to bring in a specialist technical person(s) Staffing Level Guide NB: Staffing levels for conference or meeting bookings are taken on a case-by-case basis. 7 1 x Box Office Manager 1 x Box Office assistant 4 x FOH or Usher Staff 1 x Back of House Manager, if required 1 x Stage Door Attendant, if required NB: Suitable trained volunteers can perform roles other than that of FOH Supervisor, House Technician and Box Office Manager* (*refer to terms of ticketing agreement) Staff Requirements Please note the following FOH Supervisor must be on duty while the client or guests are in any part of the venue. House Technician must be on duty while the client or guests are in any part of the venue. All technical and duty management staff including the Box Office manager are required on site 2 hours before guests / public arrive on-site. All technical and duty management staff are required on site until all guests / public have vacated the venue and the venue is returned to its standard operational mode. Ushers and assistant box office staff are required on site 1 hour before guests / public arrive. Additional Fees Includes, but is not limited to, the following: all consumables used during the hire; example. Lamps that blow during the production, gaffa tape, lighting gel, batteries; cleaning of the dressing rooms, back-stage areas and green room during a production type event; all staffing other than that noted as included in the venue hire; all staffing penalty rates; piano(s) including the tuning of the piano; hired in equipment; all items noted in the Hiring Agreement, either in the terms and conditions or the estimate of costs; and all merchandising will attract a commission of 12.5% of the gross takings. All additional fees will be charged at a minimum rate of the cost of the item plus 20%. Fixed pricing available as part of the estimate in Schedule 1 to the Hire Agreement where all production details are provided at the time of booking. Facilities and Services For additional details on the facilities and service available please refer to the Venue Access and Safety Information document (Schedule 3) and the Venue Technical Specifications document (Schedule 6). Catering The Forum Performance Precinct has a preferred catering agent. Pricing available upon request. Restaurant Show Meal Packages are available from local restaurants. For details please check our website at or discuss this further with our booking staff. Page 7 of 9

8 Bar The Forum Performance Precinct is a licensed venue and due to licensing conditions, alcohol will not be served after 12 midnight. No additional liquor sales beyond this time will be permitted except with the express permission of the licensee of The Venue. Kiosk The kiosk is exclusively operated by the venue staff and can provide a wide range of refreshments. A $ operational fee applies to the opening of the kiosk per performance however; this operational fee is waived if the income through the kiosk is greater than the amount noted. Photocopying 20 cents per A4 Copy. Internet access $110 per day booking or part thereof. Facsimile Facilities 50 cents per page (local number) $1.00 per page (STD numbers). Marketing and Publicity Services are available and will be discussed on a case-by-case basis. Note: ACA Sydney asserts all rights, title and interest in all trading names, images or logos of the identities within its control. Any infringement of these rights will be subject to enforcement action by ACA. Ticketing Service Rates Event ticketing services are available; refer to ACA Sydney s Ticketing Rate Card for Terms and Conditions. Production Service Rates Estimates are available upon request as part of the booking process. The Production Services cover the following items; Lighting Audio; including recording services Vision; including recording services Staging Broadcasting services Note: ACA Sydney has a preferred technical agreement in place for services on-site. Car Parking On site parking under The Italian Forum managed by Point Parking. Access to the parking from Balmain Road and Norton Street. Other items of interest Insurance We require evidence of $20,000,000 Public Liability Insurance coverage of all Hirers. Refer to clause 7 of the General Terms and Conditions set in Schedule 2 to the Hire Agreement for details. Page 8 of 9

9 To secure a booking at the Italian Forum Performance Precinct Sign the Hire Agreement Form, including an agreed estimate of costs. Sign the Ticketing Service Agreement, if applicable. Make deposit and payments as per the Schedule 2 General Terms and Conditions. Provide evidence of Public Liability Insurance to the value of 20 MILLION DOLLARS in the form of a Certificate of Currency. Attend a physical or virtual production meeting with a Venue Technical Officer, and provide a list of all technical specifications in writing, to the satisfaction of the Technical Officer.
