3 CALABAR, CROSS RIVER STATE Calabar is the Capital of Cross River State, Nigeria in the west African sub region. Calabar also referred to as "Canaan City" was originally named Akwa Akpa, from the Efik language. The city is surrounded by the Calabar and Great Kwa Rivers and creeks of the Cross River. It is the tourism hub of Nigeria. The Calabar carnival is the largest street cultural festival in Africa. The carnival holds in December of every year and attracts thousands of visitors and guests from all parts of the World. Other attractions include the slave museum, Calabar free trade Zone, Tinapa business and tourist resort, Calabar ports and cultural center. Calabar also called the Paradise city is one of the cleanest state capitals in Nigeria with beautiful landscape, convenient for both business and pleasure. The acronym for CALABAR is Come And Live And Be At Rest. It has an international airport the Margaret Ekpo international Airport with flights to and from the major cities in the country. There are various car transportation services into Calabar from all parts of Nigeria. Movement in and around the city is easy and secured. THE EVENT The NOA Conference and EXPO is Nigeria s biggest National conference in Optometry and is held annually, hosted by the Nigerian Optometric Association (NOA). This year the conference is even bigger as NOA marks its 51st anniversary and the 43rd AGM and conference. The conference offers tremendous sponsorship benefits with both the opening and closing ceremonies attended by dignitaries from key Government Agencies, Health, Organized Private Sector and International agencies. The City of Calabar will be experiencing an influx of over 2000 participants, with an estimated 500, coming from outside Nigeria, and the rest from within Nigeria for four days from 17th to 20th July, 2019 for the Conference and EXPO/43rd AGM. 1

THE VENUE The Calabar International Convention Center (CICC) is a landmark, purpose-built facility located in Calabar, Cross River State Nigeria. It is a multi-functional ultra-modern state of the art International Convention Centre, the largest in Nigeria, located at the summit Hills which is 10 minutes from the Tinapa Resort by monorail. Sponsorship of the venue will afford the sponsor major co-branding opportunities round the whole area of the conference TRANSPORTATION AND SHUTTLE SERVICES Inc. Hiring of Buses N1,500,000 $4000 The transportation of resource persons and delegates between the conference venue and hotels is a necessary service. This will be done with a total of 10 vehicles including large and mini buses. Sponsorship of the shuttle buses will offer high visibility sponsorship opportunity as vehicles will be branded by sponsors. SECURITY /PERSONNEL/VEHICLE VOLUNTEER ALLOWANCE Inc: Uniforms, Meals, Refreshments, and Allowances N5OO,OOO $1,500 Branding of T-shirts for the volunteers numbering about 50 will be the most visible conference personnel both outside and within the conference facilities. Radio jingles, TV commercials, Bill Boards, etc. All the activities will be geared towards creating awareness and to serve as a tool for mobilization for the conference WON VISION SCREENING TO RURAL COMMUNITY IN CRS. N1,000,000. $3,000 (2 SLOTS) This will offer sponsor the opportunity to provide free Vision screening and provision of spectacles and medication to rural community in Cross River State. This will hold a day before the conference proper and attendees will register ahead of time for this highly interactive session. The programme will also offer capacity building sessions and opportunities for good practices to be shared among participants. NOTE PADS AND PENS Inc: Distribution and logistics N400, OOO $1,200 These are requisite items for the delegates. It also serves as a visible advertising tool as the delegates will carry these items with them as keepsakes. Branding of sponsors name on the pads and pens provides visibility to the sponsor. 10

13 This sponsorship proposal is subject to availability and contract, with the final approval by the organizers. If a sponsorship item is cancelled, the sponsor will have the option of taking another item not already taken from the shopping list. Indication of interest on an item by several sponsors will have sponsorship consideration given to the highest bidder. Payment SPONSORSHIP TERMS AND CONDITIONS Payment for the ordered sponsorship item must be made within one month of confirmation of the order. If the payment is not received, the item may be sold to another sponsor. Payment must be made by cheque or bank transfer. Produc on Costs Production costs where applicable, are the responsibility of the sponsor. NOA Calabar, 2019 Conference and EXPO Secretariat will not accept responsibility for late deliveries and cannot guarantee the inclusion or distribution of the item at the NOA Calabar, 2019 Conference and EXPO. Late deliveries, if accepted, may attract late fees. Where the sponsor is responsible for the production but does not wish to oversee the details, the NOA Conference Calabar 2019 and EXPO secretariat will be willing to take on the responsibility. When the NOA Conference Calabar 2019 and EXPO Secretariat is in charge of production, the sponsor is bound to accept the quotes collected by the Secretariat, and the costs must be paid in full before commencement of production. Printed Ma er For printed matter, it is of the utmost importance that the material is received in time and in the proper format. Late submissions will not be included. Formats will be sent out at least 6 weeks before the submission deadline. Deadline All sponsorship must be confirmed, and payment made not later than the 30th May,

14 Refund and Cancella on Policy The sponsorship payments are refundable minus a 10% charge when the cancellation is made within one month of the payment and on or before the 30 th of May, 2019 For items cancelled after the 30 th of May, 2019, 50% of the total sum paid for the item will be refunded. For items cancelled after I st of July, 2019 there will be no refund granted. Excep onal Circumstances The Nigerian Optometric Association, the Conference Organizing Committee and Conference Organizer reserve the right to change the venue and duration if exceptional circumstances demand. In the event of a change of venue and/or duration, the agreement to participate will remain in force as long as the sponsor/exhibitor is informed at least one month before the planned conference. The Nigeria Optometric Association, the Conference Organizing Committee and Conference Organizer will use reasonable endeavours to remedy the impact of exceptional circumstances. 12

17 DEADLINE All exhibition bookings must be confirmed not later than the 30 th May 2019 CANCELLATION Where exhibitors are forced to cancel or reduce their application for stand space, the exhibitor will be liable to pay a cancellation charge of 25% of the space cost. The Organ-zers will endeavor to re-let the stand space, but if they are unable to do so the exhibitor will be liable to pay the full cost of stand rental.
