7 FAIRMONT TREMBLANT CATERING SERVICES Need help with a catering service for an event outside the Hotel? Fairmont Tremblant Catering Services is what you need! HERE ARE A FEW VENUE EXAMPLES: THE VAST MAJORITY OF THE MENUS INSIDE THIS DOCUMENT ARE AVAILABLE FOR OUTSIDE VENUES. For any event catered by the Hotel outside of the property, a food and beverage minimum revenue of $ 2750, before taxes and services, is required. Gratuities of 15% on all food & beverage items, and a bulk shipping and handling fee of $ 800 per catered event will also be charged (both taxable). Catering event must take place within a radius of 25 km of the Hotel. 8 AUDIO VISUAL SERVICES PSAV, our official Fairmont Tremblant supplier, maintains a fully staffed office in the Hotel. They provide complete audio-visual planning services, skilled technicians, stateof-the-art equipment, and services designed to meet your every need. Arrangements can be made through your conference services & catering manager, or directly with: CONTACT PERSON Bruno Chalifoux, Director of Event Technology for PSAV bchalifoux@psav.com PSAV, is the official audio-visual supplier at the Fairmont Tremblant. If you plan on doing business with an external supplier, the following fees will apply: 150 /day /meeting room for the functions being held in Mali I and Mali II 200 /day /meeting room for the functions being held in Mali I, Mali II, Mali III and Mali IV 300 /day /meeting room for the functions being held in the Soutana room 100 /day /meeting room for the functions being held on the mezzanine level and on the 2 nd floor. 8

9 POLICIES & GENERAL INFORMATION FOOD AND BEVERAGE PRICING AND BILLING All food and beverages served on the Fairmont Tremblant property is to be provided by the Hotel (Exceptions can be made for special events, like the wedding cake for a wedding, a handling fee will then apply). No food or beverage of any kind is permitted into the Hotel by the patron s guests. The laws that govern liquor sales in Quebec allow for alcoholic beverages to be sold until 3am, no later. Menu arrangements should be supplied and finalized by you (At least 30 days) prior to each function. Should this deadline not be observed, we cannot guarantee menu contents and other necessary arrangements. ALLERGY AND/OR FOOD RESTRICTION In the event that any of the guests in your group have food allergies, you must inform us of the names of such persons and the nature of their allergies, in order for us to take the necessary precautions when preparing their food. We undertake to provide on request full information on the ingredients of any items served to your group. Any food allergies or food restrictions must be given to the Hotel 72 hours prior to the event. Should you not provide the names of the guests and the nature of their food allergies, you shall indemnify and hold us forever harmless from, and against, any and all liability or claim of liability for any personal injury that does not occur as a direct result of our negligence or the negligence of any of our representatives. In the event of such negligence by us, or any of our representatives, we shall be responsible for all expenses reasonably incurred in the defense of such liability or claim of liability. TAXES AND SERVICE CHARGE A service charge of 15% (Including handling, set-up, service and administration) is applicable on all food & beverage items, and is taxable. A 3% Tremblant Resort Association royalty will be applied to all food and beverages, but not to the service charge, and is taxable. There are two applicable taxes in the province of Quebec, the first is a 5% federal tax (GST) and the second is a 9.975% provincial tax (PST). All prices in this menu are subject to change without notice. Certain items can change depending on the season and/or the availability of the product. Billing will be based on the highest guarantee, which is either the minimum guarantee or the number of people served. KIDS PRICES 0 to 5 years free 6 to 12 years ½ price of the adult price 13 years and over adult price The discount applies only if the child is eating from the buffet for adults. GUARANTEES AND SERVICE HOURS In order to create a successful event, it is your responsibility to provide the Conference Services manager with the total guaranteed number of meals 72 hours (3 business days) in advance. This number will also represent the final guarantee for the food preparation. Fairmont Tremblant will be ready for 5% extra, up to a maximum of 20 plates. The buffet service is for two (2) hours maximum, 5.00 extra per person, per extra hour. Fairmont Tremblant will assign the function rooms according to the number of persons expected to attend, and may be changed by us upon consultation with you, while guaranteeing to meet the requirements of your group. BANQUET ROOM SET UP Meeting room set-ups are included in room rental fees. Any changes to a meeting room set-up requested within 48 hours of a scheduled event will incur a labour charge of 50 per hour. 9

11 POLICIES & GENERAL INFORMATION PRIVATE EVENT BEING HELD OUTSIDE OF THE HOTEL For every event outside of the Hotel walls that requires food and beverage services, a catering fee and applicable taxes will be charged. DECORATED AND THEMED EVENT The themed menu options offered by the Hotel do not include any decoration unless mentioned differently. Every piece of décor must be free-standing; nothing should be hung on the Hotel walls. SIGNAGE No signage is to be posted in the Hotel s main lobby, or any other location in the Hotel, with the exception of the Convention Centre where it will be our pleasure to display your group s signs. Banners are allowed (In the Convention Centre only), pending the approval of your Catering and Conference Services manager. We will produce signage to be displayed outside each one of your function rooms in the Convention Centre and we will also include your group s events on the daily electronic boards located in the Hotel s public areas. STORAGE AND HANDLING The Hotel is not responsible for storage or material handling. If boxes are delivered for a registered guest of the Hotel the boxes will be subject to a 5.50/box handling fee. Arrangements must be made with the Conference Services manager prior to deliveries and all materials should be clearly labeled with the function name, function date, function room, and Conference Services manager s name. On the set-up date, material must be delivered directly to the meeting room or assigned storage area (Additional fees might apply) and not left in the loading areas. Displays (I.e. tabletop displays) or products must be removed from the function room daily, unless the room is reserved on a 24-hour basis. In such cases, the Hotel will arrange to have the function room locked. The Hotel will not be responsible for the exhibit, displays and products locked in the function room. Please note that the services of security agents are available at an extra cost. LIABILITY The customer is responsible for any damages caused to the Hotel property (Guestrooms, function rooms, etc.) by any of its members, delegates, agents or independent contractors. SOCAN AND RE:SOUND FEE SOCAN is the Canadian copyright collective for the public performance of musical works that administers the performing rights of composers, lyricists, songwriters and their publishers. RE:SOUND is the Canadian not-for-profit music licensing company dedicated to obtaining fair compensation for artists and record companies for their performance rights. ROOM CAPACITY PRICE WITHOUT DANCE PRICE WITH DANCE and over Taxes not included. These prices may change without notice, in accordance with the Canadian copyright collective for the public performance of musical works that administers the performing rights of composers, lyricists, songwriters and their publishers.
