IF YOUR PACK IS RUNNING LATE, PLEASE BE CONSIDERATE OF OTHERS AND ENTER THE GROUNDS OR PROGRAM AREA QUIETLY. IF YOU HAVE ANY QUESTIONS, PLEASE ASK. REGISTRATION INFORMATION CAMP COORDINATORS The Walking Leader is the communication link between Day Camp and your pack. It is very important for us to know who that person is at all times. Please contact the camp director as soon as possible if changes are made. The coordinator must be at least 21 years of age and all packs must have two deep leadership at all times and must have at least one leader who is Youth Protection trained. Please plan on attending the daily Walking Leader meeting. It will be held in the Platte Purchase Building immediately after the flag ceremony. CAMP FEES AND REGISTRATIONS Each Pack will need to ensure that all Cubs attending day camp are registered with BSA. Day Camp rosters will be verified against Pack charters. An updated charter can be obtained from the Scout office. If you have registered new boys since the middle of May please have their stamped registration form with you for verification. REGISTRATION FORMS When completing the registration form and daily attendance sheet, please be sure to list all scouts the way they are listed on the charter. The majority of paperwork problems occur when a scout is listed on the form as Johnny Doe when he is listed on the pack charter as Thomas J. Doe. It will save everyone time and frustration if they are listed the way that they are listed on the charter. Thanks for in advance for helping us help you

3 HEALTH FORMS PLEASE DO NOT MAIL ANY HEALTH FORMS TO THE COUNCIL OFFICE! They must be turned into camp staff. Everyone, regardless of age, who attends Day Camp, needs to complete a Health Form in order to attend camp. A separate health form must be completed for every Cub Scout, Walking Leader, Den Chief, Staff, and Youth Staff. PLEASE be sure that your health forms are complete and accurate. The form is readily available on the HOAC and District Day Camp websites. In order for a Health Form to be considered complete parts A and B must be completed. (This is the cub scout health form for under 72 hours). Please ensure that these items are complete parent s signature on "Parent/Guardian Authorization", immunization information INCLUDING MONTH AND YEAR, Emergency phone numbers and contacts, and health insurance information including a copy of insurance card. See "Forms & Examples" for a correctly filled out health form. ALL HEALTH FORMS MUST BE TURNED IN BY THE T-SHIRT PICKUP DAY. No pack will receive their T-shirts until all rosters, attendance sheets and health forms have been received and checked for completeness. Health forms are to be turned in to the Northern Lights District Day Camp staff. You can either drop them off or mail them to the address on page 2 or turn them in at Roundtables. Adults that are 40 and older are not required to have a Class III Health Form for Cub Scout Day Camp. DAILY ATTENDANCE SHEETS The daily attendance sheets or rosters are forms used to list the Cubs, adults and den chiefs that attend Day Camp (except family night). It is very important that you carefully complete the original attendance sheet. Please print neatly and in alphabetical order by last name. (Names should appear as they do on the charter) Please write only one name per line. More forms are available if needed. There are two separate forms one for Cubs and one for Adult Leaders and Den Chiefs. You will use a copy of the attendance sheet each day to "Check In" the Cubs, adults and den chiefs that are attending camp that day and to "Check Out". If someone on your roster is absent for a day, the Walking Leader must indicate why they are absent (sick, or otherwise). You should know why they are not there. That eliminates any confusion and you ensures that the parents know the boy is not with you. You will notice that on the Adult Roster there is a place to indicate whether an adult has been through Youth Protection. As of January 1, 1996, Council has required that at least one adult trained in Youth Protection be on every scout outing. Day Camp is no exception. Your Pack will need at least one youth protection trained adult traveling with each group of Cubs every day. Youth Protection Training is available at every Roundtable and is readily available on the HOAC website with immediate certification they will need to make a login. DAILY CHECK-IN Each day as you arrive at Day Camp, be sure that your pack has the daily forms completed including the wrist band counts and early release forms (all adults in camp must have either a current year Day Camp T-Shirt or wear the wristband for security purposes). As you pass the Registrar's Office (Platte Purchase Building) the walking leader needs to drop off the attendance sheets and pick up your wrist bands. At lunch be sure to check your mailboxes and pick up your roster for check-out that afternoon. ALL ROSTERS ARE FOR PACKS NOT INDIVIDUAL DENS. If a scout is a no show the walking leader should note the reason. DAILY CHECK-OUT Each day you will need to pick up your roster after lunch. Use this roster AS YOU LOAD YOUR CARS to check - 4 -

4 that each boy has a ride home. A good rule of thumb is that all boys ride home in the vehicle that they came in. That way each adult driver can help ensure that they have the boys they should. PLEASE be sure to write a pack contact and cell phone number on the back of your roster each day before you turn it in so we can call you if you forget someone. PLEASE DO NOT LEAVE WITHOUT CHECKING OUT LATE ARRIVALS / EARLY CHECK OUTS Any Cub arriving at camp after you check-in must be checked in at the Registration office, by an adult, prior to joining his pack. Cubs leaving camp early (before closing) MUST HAVE A NOTE SIGNED BY HIS PARENT ON FILE AT REGISTRATION. This note must contain the time the Cub is expected to leave and who will be picking him up. When it is time for the Cub to leave, the walking leader from the pack will escort the Cub to registration for pick up. The person picking up the Cub will be asked to present a photo ID before the Cub will be allowed to leave. An early release form will need to be completed by the person picking up the Cub and signed by the walking leader and Camp Director. Please understand that we don't know your parents and these rules are to ensure the safety of all our young Cubs, so please, cooperate with our staff. GETTING READY FOR CAMP THE SUNDAY BEFORE CAMP The Sunday before camp starts, Packs will be allowed to set up their den home area and pick up supplies after 1 pm,. These supplies will consist of their roster copies, rotation schedule, T-shirts (if you do not already have them all), etc. SETTING UP YOUR DEN HOME AREA Your pack will be assigned a Den Home area. Remember this will be your home away from home for the week. We encourage all packs to dress up their area for the theme. Let your imagination run wild. Let your CUBS help you become creative and participate in the FUN by decorating your home. Your Den Home campsite areas SHOULD have the following items: A storage area for equipment and supplies Hand Washers A dining fly or other item for shade Paper Towels Coolers with plenty of ice to store food Trash bag plenty of extras Waterproof ground cover or blanket Den Home Craft Supplies * Please flag all ropes, guidelines and other potential hazards to make them visible. All pack members are invited to help set up your den home area. Please note that no one will be allowed in the activity areas at this time because the staff will be busy getting things ready for your week in Camp. Den Home set up will be from 1:00 P.M. until 3:00 P.M. If Sunday does not work your den can check in on Monday morning

5 CAMP UNIFORM VERY IMPORTANT FOR CAMPER SECURITY Cubs: Current Camp T-shirt, shorts or jeans, tennis shoes and socks, hat (highly recommended). Sweatshirt or jacket when needed (Keep at camp all week). NO SANDALS or WHEELED SHOES for your safety. We are asking that Packs do NOT put the names of the Scouts permanently on the shirts. This is for safety of the Cubs while away from Camp. Removable name-tags are highly recommended. Adults: Current Day Camp T-shirt or wristband required, shorts or jeans, tennis shoes and socks, hat (highly recommended). Sweatshirt or jacket when needed (Keep at camp all week). NO SANDALS - for your safety. NO SHORT SHORTS, please. Note: Lot s of things lose their owners. Please take the time to mark all items with the CUB'S NAME AND PACK NUMBER so we can help lost items find their owners. There will be a lost and found box at registration. Please check daily for misplaced articles. BE PREPARED FOR RAIN Rain or wind will not keep Cubs from their assigned fun ONLY DANGEROUS WEATHER will cause us to seek temporary shelter. Day Camp does not stop due to "drippy" conditions. Have your rain poncho handy and proceed as planned. (Hint - trash bags make great disposable ponchos). CUBS CAMP SURVIVAL 101 Daily Sack Lunch Comfortable Shoes (NO sandals or Wheelies) Canteen or water bottle Camp Uniform Name tag not permanently attached on shirt Hat Sunscreen Bug Repellant Rain poncho Jeans * Jacket* Towel* Sweatshirt* *These items should be left at camp all week if possible. LEADERS Daily Sack Lunch Cooler with Ice for lunches Day Camp Walking Leader Book and Daily Schedule Daily attendance sheets with everyone accounted for Canteen or water bottle Cooler of water Trash Bag for collecting trash-extra trash bags for other purposes i.e. emergency rain gear Extra bug repellant Sunscreen Sunglasses - 6 -

Note: Weather Day Camp will continue rain or shine. Rain can make the air cooler. Please have Cubs provide jeans & jackets for the week in case of cool weather. Leaders should keep in tent or buckets, etc. at Den Home or car to ensure all Cubs are prepared. GENERAL INFORMATION REFUND POLICY After deduction of the cancellation fee any remaining credit will be transferred to the Unit via their unit account or a refund check mailed to the Committee Chair. No written request is necessary from the unit. WALKING GROUPS Our activity areas are designed to handle up to cubs at a time. If your pack is larger you may be divided up. Sometimes, your pack may be traveling on the same schedule with another pack. We will try to accommodate special requests as best we can please let us know before camp. STORMY DAY ENTERTAINMENT Should severe weather force us to go inside the new building at the fairgrounds we will count on YOU for help controlling the boys. We will be ready with skits, songs, jokes, etc. There is a small stage and we plan to have a sound system available so everyone can hear. It is important that the adults set an example by staying quiet and participating. Remember that this is an emergency plan and we HOPE we don't have to use it. But let's BE PREPARED. If each den has a rain event game planned this helps everyone. TRASH Each night please take home your trash from the den home area. The fairgrounds organization donates the use of the fairgrounds; please don't expect them to pay to haul off YOUR TRASH. LEAVE NO TRACE It's your camp - be proud of it!! Help keep it clean. Have a trash sack at your den home site. Trash bags will be available at activity areas. Please police each area after you are finished and dispose of any trash found.. Please do not leave your trash it needs to be packed out with you. REMEMBER: A SCOUT LEAVES THE AREA BETTER THAN HE FOUND IT! TRANSPORTATION Each pack is responsible for transporting Cubs to and from Day Camp. For your protection, we suggest you have a permission slip for each boy, signed by the parent(s). It should inform the parents of the mode of transportation to and from camp. National Boy Scout Policy states, "Each boy MUST have a seat, and WEAR a seat belt." Transporting boys in the bed of a pickup is Strictly Prohibited. This policy will be strictly enforced and everyone in camp will adhere

7 OPENING AND CLOSING CEREMONIES Packs are offered the opportunity of conducting either an opening or closing flag ceremony for Day Camp. The Day Camp Staff will provide the flag ceremony commands for the packs. If you have any questions please contact the Camp Director or Program Director, they will be happy to help. LUNCH TIME Each person is responsible for providing his or her own lunch daily. Walking Leaders be sure to have an ice chest and plenty of ice to keep lunches cold. Individual zip lock bags work great in keeping lunches cold and dry. Please remember no mayonnaise, fish or other items that can spoil easily in the heat. DON'T FORGET to have a lunchtime drink! OFF LIMITS AREAS There will be areas marked off with signs. These areas are off limits to all leaders and Cubs. These areas are marked for your safety so be sure your parents show the Cubs that the rules apply to everyone. NO SMOKING There is absolutely NO SMOKING allowed in activity areas. If anyone needs to smoke while on the premises they will need to go to their car. If you smoke in the activity area, a staff person will ask you to leave the area. PENNY WAR Change will be collected during the week from those packs that wish to participate. Each pack that wishes to participate will need to bring change to the Registration table throughout the week. Each pack that participates will receive a special FLOODLE for their den flag. This will be for Hillcrest Transitional Housing. COUP BEADS Coup beads will be given to the Cubs at each activity area. This is to show that he did his best!!! The spirit yell will be: WE'VE GOT SPIRIT, YES WE DO! WE'VE GOT SPIRIT, HOW 'BOUT YOU!!! We encourage all packs to participate at gatherings before starting time. PACK YELL AND SONG Make up a simple pack yell and song to yell and sing along the way! An example of a yell might be One, two, three - we're the best that we can be, Pack _! Whatever your boys come up with let's hear it throughout the camp (during time changes only please) PACK FLAG Who are you? Let everyone know with your pack flag. You can carry your flag from area to area and show it off. Let your boys use their imagination and be creative to make a flag that represents you den home theme. You must furnish your own materials and there are no camp specifications in size or fabric (as long as it is age appropriate). This flag is also a great place to display your FLOODLES. DAY CAMP STAFF Your fun and exciting time has been made possible by a large number of Volunteers like yourselves. Everyone you see at Camp is a volunteer. We could not have Day Camp without them. Hats off to those Volunteers who have offered their time and talents to make this year's Day Camp a success. (Please remember we are asking each pack - 8 -

8 to assist us by providing a person for staff). YOUTH STAFF Every year we have several Boy Scouts and Venturers sign up as youth staff for the week. These young men and women will be assisting the adult staff throughout the week. This week long commitment truly shows their leadership skills in action. Let's give a big cheer to these young men and women... we could not do it without them. Likewise if you know of a Boy Scout or Venturer 14 years or older who likes to use their Scouting skills please let the camp directors know who they is as we are always looking for more help. DAY CAMP CLOSING PACKETS Be sure to pick up your pack s closing information packet from the registrar on Thursday afternoon. It is filled with lots of great things: walking leader certificates, patches, coups, advancement sheets and more EVALUATION SHEETS Evaluation forms will be handed out during the week. Please take a moment and help us make next year s Day Camp even better! We value your opinion and ask for your honest evaluation of our time at camp. Unfortunately, we cannot control the weather, bugs, or Mother Nature. Sorry! Please ask the Cubs for their opinion, too. Return the forms when you pick-up your packets on Thursday. INFORMATION BOOTH Please check registration for needed information. Take your questions to the Information booth for pack location, lost and found, and daily schedules. Any information needed will be found there! YOUTH PROTECTION Child abuse is a crime against young people. Child abuse can involve mental, physical, and sexual victimization of children. The Boy Scouts of America has made it a policy that the Scout Executive of each council as well as key members of professional and volunteer staff become familiar with child abuse and its various manifestations. If you suspect that a child in camp is a victim of child abuse you must report this to the Camp Director, Program Director or Professional Advisor. Heart of America Council Policy on Youth Protection states that each unit must have at least one adult walking leader trained in Youth Protection in attendance daily. STRESS MANAGEMENT Camp may create stress in staff and unit leaders. The most important thing is that the boys have fun let s relax and have a good time, too. Please monitor your own leaders and take a break if necessary to cool off. Please help the staff as requested, keep an eye on your boys and address situations appropriately. We are all here to help the boys have a great time. Above all, please try to keep a positive attitude. TELEPHONE There is NO PHONE service at the Platte County Fairgrounds except for those you bring. The emergency phones available to key staff are for the event a boy gets sick or injured. This phone is not for personal calls and none can be permitted. Please bring your own cell phone, or use the payphones at the convenience store 1/4 mile southwest of camp or non-emergency calls. CAMPER SECURITY We take Camper Security very seriously and the staff has been trained in emergency procedures for the safety of all Campers, Den Chiefs and Adults attending camp. Ultimately the staff is responsible for the security of the camp. They will be checking all groups to ensure that all Cubs and leaders are wearing the Day Camp shirt or appropriate - 9 -

9 wristband. Anyone without one of these should be reported to Staff immediately. These individuals will then be escorted to registration and appropriate action will be taken there. Anyone wandering without proper identification will be challenged and escorted back to registration. If they shouldn t be at camp they will be escorted off property. Please remember the buddy system and two-deep leadership. This rule has come down through Council from B.S.A.'s insurance carrier and is not negotiable. Therefore, the camp staff can make no exceptions. Please let your parents know about this so they don t bring siblings to camp with them. A copy of your unit roster can be obtained from the scout office. Please check and make sure all attending are registered. Anyone not registered will need to be registered immediately. These registrations must be turned in prior to, or the first day the boy attends day camp. The daily attendance sheet for your pack will be checked the first day of camp against these rosters. If any unregistered boys are found, the walking leaders will be notified by the Professional staff to rectify the situation. A completed application and prorated registration fee will be due or the copy of the packs receipts showing registration payment. (Council usually stamps the application form when registration is paid.) Remember... that Day Camp is a time for the boys to have FUN!!!! The quality of the fun at camp depends on the program plus the leaders and parents. Let the boys yell, get dirty, etc. Join them and let your hair down. Our goal is to create positive lasting memories for our Cubs
