2 Dear Day Camp Participants: Welcome to another great summer of Cub Scout Day Camp. We are pleased to present to you this guide. We hope that you find this guide to Cub Scout Day Camp informative and useful as you make plans to send your son to camp and prepare to volunteer to make this the best camp ever. It will serve also as an introduction to those unfamiliar with the Day Camp program and as a reference and refresher for those who are Day Camp veterans. This guide has been put together with the help of other Councils, the directors, advisors and staff to better explain what Black Swamp Council Day Camp is all about. Each camp is run by volunteers. We would ask that each Scout family attempt to have a parent assist camp for at least one day. Camp administration is conducted by a Camp Director and Program Director. With these directors are many dedicated parent volunteers. Indeed, without the assistance of a large number of parents and volunteers Day Camp could not occur. Each den of eight to ten scouts requires two Day Walkers. Each activity station needs at least two adults; many other stations such as crafts, shooting sports and games need more than two. We encourage your Pack to sign up as a group. Adult volunteers can help out the entire week or they can select a specific day. Adult volunteers may or may not be working directly with their son; you will be assigned where needed. Also Health histories are required for ALL adults in camp. Swim tests will be conducted on the Saturday and Sunday immediately preceding Camp (July 19/20) from 1 to 5pm. Additional swim checks will be available at Mom & Me and Dad & Lad. If you take your swim check at another event, please bring any paperwork given as you only have to take once per summer. The common features of Day Camps are: FUN! FUN! FUN! Emphasis on shooting sports. Learning to be good Scouts. A theme to serve as a binding thread to Scout spirit and activities. Activities geared toward the age of the scout. FUN! FUN! FUN! 3 WHAT IS CUB SCOUT DAY CAMP? Cub Scout Day Camp is a weeklong outdoor experience for boys aged 5-11, who have just completed Kindergarten through 4 th grade. Camp is run from 8:30am 3:30 pm, Monday Friday and has an optional Webelos overniter program on Thursday. Day Camp: Provides continuation of the Cub Scout program through the summer and assists the pack in qualifying for the Summertime Pack Award. It assists in the recruiting and inspiration of future Cub Scout leaders and helps strengthen den and pack organization for a better year round program. Encourages participation so that the Cub Scouts benefit and grow with a good outdoors experience. Provides the scouts with an opportunity to begin to work towards their next rank in Cub Scouting. The daily program centers on the ideals of Cub Scouting as they relate to the outdoor program. We will have a wide range of activities. These will vary from year to year but can include the following activities: Shooting Sports (BB Guns and/or Archery) Sports and games Nature Crafts Skits and songs Lunchtime activities (Demonstrations or guest speakers) WHO ATTENDS CUB SCOUT DAY CAMP? All registered Cub Scouts are welcome to attend day camp. We use the same ranks to identify age groups as your pack. The boys will work on activities that are challenging while still being age appropriate. A Camp Director, Program Director and a staff of volunteers will conduct the camp program. Ranks: Tigers: Completed Kindergarten (Tiger Day Camp is Wednesday to Friday only. Tigers are a one on one, Child/ Partner program; you must plan on attending camp with your son.) Wolves: Completed 1 st grade / Entering 2 nd grade or 7 yrs old Bears: Completed 2 nd grade / Entering 3 rd grade or 8 yrs old Webelos I: Completed 3 rd grade / Entering 4 th grade or 9 yrs old Webelos II: Completed 4 th grade / Entering 5 th grade or 10 yrs old FEES The cost to attend day camp is $65 per camper. All registrations received before 7/1/2015 will be $50. Tiger fees are $30, $25 if received by 7/1/2015. Families with more than 1 Cub Scout will receive 20% discount on additional scout Extra T-Shirts are $8/each Tiger Partners, Boy Scout / Venturer Staff Volunteers and Adult Staff Volunteers, are FREE Day Walkers, volunteering 5 days are FREE NEW: Day Walkers, volunteering 4 days or less, will be $8/each Webelos overniter is $5 per person
4 The fees that the Cub Scout pays to attend day camp cover the following items: Day Camp Tee-shirt (1 per participant) Patch Themed Giveaways Camp Equipment and Supplies Insurance Staff Training and Recognition SISTER / COMMUNITY PROGRAM If your Scout has a Cub Scout aged sister, or maybe they have a friend who wants to see what Scouting is all about, they may attend camp. The girls will be in separate patrols but will do all the same things as the boys, pay the same fee, and will need the same leadership requirements. This is an optional program and may be eliminated if no participation. WHAT TO BRING TO DAY CAMP All participants and adult volunteers must have a completed Health History form Swim checks, if previously completed Backpack and water bottle Adults may want a portable chair Hat and Closed toe shoes. (NO SANDALS) CUB SCOUT DAY CAMP ADVANCEMENT Advancements are a byproduct of the whole Day Camp experience. Every effort will be made to notify you of the activities completed at camp that your child MAY have earned. Advancements checklists will be saved and returned to the Cub Master at the August Roundtable, ELEMENTS OF A SUCCESSFUL DAY CAMP PROGRAM Parent Participation - Adults who attend for a day or volunteer for the entire week. You can participate by helping out with an activity or acting as your sons den leader. Friendly Atmosphere - this can mean more than the activities themselves relaxed outdoor living unhurried yet exciting and miles of smiles! Balance - there will be time for strenuous activity and time for rest, time for quiet activities and time for noise and motion, time for development of new skills and time for leisure. IMPORTANT-Cub Scout Day Camping is meant to give a taste of many outdoor activities. As a den, the Scouts experience such a variety that there will be something each boy likes best. When volunteering as a Day Walker, or as a staffer, the commitment is made to attend training. This will be held before opening of Day Camp. Youth Protection training will also be offered and is required of all volunteers. YOUTH PROTECTION GUIDELINES All volunteers must be trained in Youth Protection. A copy of your training card is required along with your application. If you are not currently trained, Youth Protection will be available at staff training. Youth protection training is also available on line from the Boy Scout website Are You Ready to Have Cub Scout Fun??
5 Then we will see you at Day CAMP! PACK LEADERSHIP IN ORDER FOR YOUR SCOUTS TO ATTEND AND REMAIN AT DAY CAMP, YOUR PACK WILL NEED TO PROVIDE ENOUGH ADULT LEADERSHIP TO ACCOMPANY, ASSIST AND SUPERVISE YOUR PACK'S DAY CAMPERS. CAMP PROMOTION and REGISTRATION COORDINATOR (Optional) Your Pack Camp Promotion & Registration Coordinator is the primary contact that the Camp Directors will use to contact your pack for all its promotion & registration needs. This can be a leader or parent that has attended the Leader Kick Off and has extra registration materials on hand or can forward materials to any of the parents that may need them. This person will also be responsible for answering simple questions regarding camp and deadlines, and getting the forms / on-line registration filled out and forwarded to the council. The responsibilities can be split between two people, whatever works best for the pack. CAMPER ASSISTANCE AND SUPERVISION (Required) Your Pack will need to provide two adults for the first 8 campers in a den. If you have campers in the overnight program, each camper must have an adult partner present from registration on Thursday till breakfast on Friday. Pack adults that choose to work on the Day Camp Staff will not count as Pack assistance and supervising adults. One adult must be the designated as the on-site Pack Leader each day. Submit the final version of your Pack's Daily Leadership to the Camp Director on the first day of camp. *If adult leadership is unavailable for your child, you will need to contact the camp director to explore available options. CAMPER HEALTH AND SAFETY Potentially severe weather may cause local officials to order the closure of Day Camp for the day. The Day Camp Director will notify all onsite Leaders of any emergency procedures and closures. The designated on-site Pack Leader must have an emergency contact list, including the names and valid phone numbers of both parents or guardians and emergency drivers. Each camper's health form must be filled out, COMPLETELY. This includes all adults, scouts and siblings attending camp. Adults attending only for the Thursday overnight need to fill out a health form as well. If a Scout from your Pack has a condition that requires emergency medication to be given immediately upon an occurrence, the camper's health form must reflect who is allowed to carry and administer the medication to the Scout. That person must identify themselves to the Camp Health Officer upon checkin. All campers leaving EARLY, or arriving late, need to check in with the Camp Office. All missing scouts will have parents called. Each camp is required to keep track of all campers and to report missing campers to the police, after parental notification. RECRUITING We encourage all the packs to recruit new Scouts prior to day camp, especially new Tiger Cubs in May. As long as the Scouts are registered with BSA, they are eligible to attend Day Camp. Please contact your District Executive at the Boy Scout Office to schedule a time for a Spring Roundup. If a new Scout turns in their Day Camp registration with their BSA membership application after the registration deadline, the on-time fee will be honored.

7 Frequently Asked Questions I am a brand new Leader and I have no idea where to start. Not a problem and you are not alone; each year new leaders ask this same question. This year we have worked very hard to get our materials out earlier. We have also added more information about getting started for the first time. We also have the phone numbers and e mail addresses of the camp directors. They would be happy to answer any of your questions. I would like to send my son to camp, can I just register him myself. The quick answer is YES! That would be fine. You do not have to have your Den or Pack attend camp in order for you to attend. We always recommend that you talk with your Den Leader or Cub Master to see if the pack is going. Sometimes it just takes someone to start the ball rolling. The Den s or Pack's participation does help with providing leadership at camp. I would like to send my son to camp, but when I asked his Den Leader she did not know much about camp, what do I do? We are making an all out effort to get the word out about our Cub Scout Day Camps. Early this year we sent out color flyers and all our material is on the Council Website at under the Camping tab, in the Day Camp section. We also are available to give Pack presentations. If interested, please contact the day camp director. We are a small Den and want to come to camp but we do not have enough adults We have several suggestions. First it is not necessary for the same adults to be at camp each day. Several adults can share the five days of camp. One parent attend the 1st day and a second parent the 2nd day and a third parent the 3rd day and the parents that came the 1st and 2nd day splitting the 4th day. The adults that come with the boys can be a parent, grandparent or perhaps an aunt or uncle, or another adult, age 18 or older. We have found that if we can get at least one adult with a small group of boys, things go a lot easier for that group. We will take these small groups with incomplete leadership and match you up with others in the same situation. In cases where leadership is not available, please contact the director of the camp you wish to attend and they may be able to help you make arrangements. We will work together to provide two or more adults at all times. Why do I have to fill out so many forms, they are long, and why should the adults have to fill out a health form, I really do not remember when I had some of those shots. We know that it seems like there are a lot of forms. They are more important than you will ever probably know. Our health form and half of our registration forms are coming directly from the Boy Scouts of America, and multi language forms are something we will have soon in all areas. These forms are a good example of the steps the Boy Scout of America have gone to in order to protect our youth in all possible ways. Pictures are required, so that if a Scout goes missing, we have a better picture of who we need to find. Adults are required to also give us pictures, in case we need to recognize them if they become unconscious. Black and white copies of pictures are fine. The health form is necessary for adults! This is required because, if there is a health problem with an adult, we will not be trying to find out whom to call from your son. The HEALTH FORMS FOR ADULTS AND YOUTH DO NOT NEED TO BE SIGNED BY A PHYSICAN. We are a Pack that has not been to camp before. Some people sent their forms in to the council, and I have more forms at my house, what do I do? Will our pack still get to be together? That will not be a problem, we have been at this camp business for a while now and we know that this happens. All of the information that is sent to the council will be processed and Council will then forward all information to the Camp
8 Director for the camp that the unit indicated that they will attend. Once the information reaches the Director, the packs will all be put together. If there are any questions, the Director will contact the Camp Coordinator of the Pack. As long as we have a contact and a VIABLE contact and phone number. This is important so that we can notify your Camp Coordinator to arrange T Shirt pick up and any last minute information regarding camp. Once you forward your registrations to the council office the next information you will receive will be coming from your camp director. Our pack is coming to camp and we have a lot of people coming, do we have to all get there together, and if we don't, how do we find each other? We love to have lots of packs of all sizes attend camp. We also know that everyone cannot get to camp at the same time. Each camp will have locations for each of the packs to meet and will offer a gathering activity to keep the boys busy until everyone arrives. The gathering areas will be marked for your Pack. Please be sure you and the Scouts know your Pack # as that will help you find each other. If we need to bring our lunches/dinner how do we get them when it is time to eat? We encourage each den or pack to bring a cooler to keep their meals together and cool. Each person should have their name and pack number on their lunch bag. The coolers can be stored in a cool area and the den or pack can get them at meal time. Do we need a lot of equipment to come to camp? No special equipment is necessary to attend camp. Some dens and packs find a cooler and perhaps a wagon work well to keep everyone's stuff together. A blanket or two may be helpful to spread out at meal time. If a cooler is not available, please let us know and we will try to help. Some adults bring camp chairs to sit in. Do we need a tent to take advantage of the Overnight? No. If you have a tent that you can bring, that is fine. But if you need one, when you get your gear list, after you register, just note that on the form and we will see what we can do to help to provide a tent for your use. If you know of a Boy Scout troop, you can ask them as well. I would like to go to the overnight, but I have dietary limitations, what should I do? PLEASE note that on your medical form. Once you receive your overnight equipment list, there will be an area for any special needs and this is where you would need to give the camp director the information so we can make the accommodation. We will also make an announcement on Wednesday lunch to confirm with the camp office regarding the accommodations that have been made. I applied for a Campership for my Scout what do I need to do? You will be notified by Council if you have been granted the Campership. You will need to contact Council regarding how much you will need to deposit and when the final payment is due. All monies must be reconciled before Camp. Scouts who have sold popcorn and who s Pack has had a FOS presentation will get first priority. And all Camperships are based on need. Campership forms can be found on the Council website and all spaces must be filled out by the family and mailed to the Council Office. Have a question we have not answered?
