For late guests an envelope with your name will be found attached to the entrance door including your key card and directions to your room. The hotel reception is open Wed. Fri. from 6am 8pm, weekends from 6.30am pm. At any other times the hotel reception can be reached at or through the intercom at the entrance door. For late guests, the room keys will be placed in a box at the reception labeled with your name. The key code for the entrance door is: 0815F 1. MEETING FACILITIES The keynote round table opening event on July 8 and the meetings during the conference will take place at the European Academy. All meetings will take place in Room Rome. The kick-off round table will take place from 18:00 20:00 followed by a finger food dinner for the conference participants. Weather allowing, we will eat and meet on the terrace and in the garden. 2. TECHNICAL SUPPORT The room is equipped with a video projector and flip charts. We will make sure to provide a laptop for the presentation. Speakers are therefore kindly requested to send their presentations one day in advance and to take an electronic copy of their presentation (on a USB stick) as a back-up. 1

2 The WIFI network will be accessible for all participants. Participants accommodated at the European Academy will receive individual access details. The other participants will receive the WIFI network name and WIFI password in Room Rome on the first day of the conference. Please fill in and return the internet compliance declaration included in the conference folder. 3. BREAKFAST, COFFE BREAKS, LUNCH; DINNER Most participants are accommodated in two venues: at the European Academy and at Hotel Haus Bismarck. Breakfast is served between 8 and 10 at the Academy and between 7 and 10 in Haus Bismarck. Coffee/tea break will be provided to the participants during the day. Lunches are also included in the board packages. Other drinks should be purchased by the participants individually. Dinners are optional. A boat tour with lunch is organized for remaining participants on the 11 th of July. There will not be any organized dinner on the 11 th organize themselves. July, dinner is left for the participants to 4. COSTS & INVOICES Single rooms & breakfast a day amount to 75 Euro (40 Euro more for a double) in both hotels. Dinner on the day of the opening event (8 th of July) will take place after the keynote round table between 20:00 and 21:00 and amounts to 20 Euro. If you arrive later please let us know in advance, the Academy will organize something for you provided they get this info timely. The daily conference package includes a mid-morning coffee break, lunch, mid-afternoon coffee break, use of technology, projectors/wifi and European Academy meeting rooms and other facilities. The conference package for the last day (July 11) amounts to 3 Euro. Costs overview (dinners are optional) 8 th July: arrival evening (dinner 20 Euro per person) 9 th July: full conference day (conference package 30,- Euro plus dinner 15,- Euro per person) 10 th July: full conference day (conference package 30,- Euro plus dinner 15,- Euro per person) 11 th July: half conference day, departure before lunch (conference package 3,- Euro per person) 12 th July: working breakfast for ANTICORRP WP3 members (10,50 Euro per external person) Total: Excluding dinners 63,- Euro per person and including all dinners 113,- Euro per person; people joining the working breakfast who do not have a room at the European Academy pay another 10,50 Euro amounting to a total of 123,50 Euro 2

3 The hotel will prepare two invoices for each participant: 1) for the hotel room and 2) for the conference packages and drinks. In case you wish this invoice to be forwarded to your organization, you need to communicate this in advance, no later than one week before arrival. IMPORTANT: In case you attend part of the day, you still need to cover the costs for that daily conference package in full (9 th and 10 th 30,- EUR, 11 th 3,- EUR). 5.
