1 Council MONTHLY REPORT DEPARTMENT: CVB MONTH: April 2016 VI SI TOR S CENT ER In the month of April the Visitors Center registered a total of 74 visitors: 70 were from Texas; 4 were from out of state. The following is a snapshot of activity: 14 requests for Shenandoah and local information; 14 inquiries about the CVB; 11 requests for directions; 9 requests for maps; 5 requests of things to do; 3 inquiries for brochures of other cities in Texas; 2 requests for police assistance. The Visitors Center has registered a total of 453 visitors for the fiscal year. TBD IN FOR MAT IO N, A CTIV IT IE S AN D EV ENT S David Vetter Staff attended The Woodlands Forum honoring David Vetter hosted at The Woodlands Waterway Marriott by Texas Children s Hospital. The Forum speaker s included David s doctors, researchers and his mother, Carol Ann. Grafix Shoppe The Shenandoah Ford Explorer was named Grafix Shoppe s Design of the Month for its vehicle wrap. Map Montgomery County Chamber Maps and A & A Graphics waived their design and print fees for a map to be displayed in the renovated Visitors Center, highlighting the focus areas visitors look for when visiting. Mobile App The existing app is no longer supported by icity. Staff has made many attempts to contact the company including a certified letter from the city attorney requesting termination of the contract and a refund of the prorated portion ($3,000) of the annual fee ($4,000). Staff is in the process of researching other companies to rebuild and host the app. This should be a discussion item on the June workshop. Page 4

5 NAIA Bid The 2017 and 2018 NAIA Football Championship bid is due June 1 st. After much consideration staff determined going out to bid for this event is not feasible for the City. The estimated cost to the City is over $85,000, including rights fee ($30,000), team travel ($45,000) and stadium rental ($10,000). The estimated return in hotel occupancy tax is less than $5,000 and $23,000 in sales tax based on 5,000 attendees staying an average of two nights and spending $125 per day. Promotions Staff attended the Cool Stuff End User Show in Houston featuring new promotional items from many different vendors. Renovations The reception desk wall construction was completed, all furniture was delivered and David Vetter s display items were hung. A revamped video of the Bubble Boy is being created to be played as part of his new display. The video is scheduled to be complete by the end of May. Businesses/Hotels visited in April: Avanti Babin s Buca di Beppo Bob s Steak & Chop Chuy s Dress Barn Hooters Katz s Main Event Outback Steakhouse Pappadeaux Pei Wei Tiff s Treats Windy City Clarion Suites Courtyard Marriott Days Inn Hampton Inn Holiday Inn Homewood Suites La Quinta TownPlace Suites Staff visited with the above to discuss: The Visitors Center re-grand opening scheduled for July 7 th and the businesses involvement with the event, which includes donations for door prizes, food for the event, and business coupons/information to give out. Promotion of businesses through the Visitors Center and social media. It was determined the best way to receive deals to be posted is to sign up to the restaurant s mailing lists and checking their social media daily. Staff also discussed the renovations to the Visitors Center and the ability to display the restaurant s menus and coupons here. These items can also be put into promotional bags for groups at the hotels. Many of the businesses have given staff updated information to display in the Visitors Center and coupons when available. Online coupons are most popular and are found on sources such as Link Magazine and Woodlands Online. Many of the businesses are on the weekly events list and find these very beneficial, especially for events held at The Cynthia Woods Mitchell Pavilion, Conroe ISD Natatorium and Woodforest Bank Stadium. Staff visited with the above hotels to provide them with Shenandoah dining guides and to check in with them. Staff provided the following hotels with promotional bags for hotel groups: o Clarion Suites: 25 bags o Courtyard Marriott: 25 bags o Holiday Inn & Suites: 20 bags o Homewood Suites: 42 bags o Townplace Suites: 30 bags Page 5

The advertisement includes a 600 word snap shot of the city, to include lodging, dining, shopping, and attractions. Visitors have the opportunity to view the website, download a brochure, or request information be sent via mail. For April, there were 79 requests for information as outlined in the attached Content Engagement Report. GO OGLE ANA L YTICS Attached are analytics of the CVB website for the month of April. Staff has received training on Google Analytics and continues to gain a much better grasp of the program. Because of this, the charts and graphs may look different. Internal traffic is excluded on this report.
