Introduction Rental of The Polygon Gallery is a privilege of Gallery Membership, at both the Individual and Corporate membership levels. Membership and venue rental revenues directly fund the Gallery s groundbreaking exhibitions and programs. 2

3 Main Floor The Polygon Gallery s new facility is over 24,000 square feet, situated on two levels. The Main Floor, open and accessible to the public, is a dynamic community hub by day featuring a café, gift shop, and a large central lobby space ideal for unique receptions in the evenings. With floor-to-ceiling glass walls on three sides, concrete floors, and clean modern lines, this welcoming space is very versatile for receptions and special events. Floorplans Upper Floor Upstairs are four additional gallery spaces available for single or multi-faceted events: the Event Gallery, available for both daytime and evening rentals; the Exhibition Gallery, ideal for larger groups; and the Publications and Entrance Galleries, which may be included in your Upper Floor rentals. There is also a well-appointed catering kitchen adjacent to the rental spaces, which provides the necessary food preparation and storage space. 5 The Polygon Gallery s beautiful Main Floor Lobby is transparent from floor to ceiling on three sides and features a central gathering space available for events, flanked by a cafe at one end and a mobile gift shop at the other. This versatile space enjoys sweeping views of the revitalized Lower Lonsdale area. Its location is only steps away from a public outdoor plaza and the Spirit Trail, a seawall linking the entire North Shore waterfront. Located on the Upper Floor, the Event Gallery is in the heart of the building and features a fully-retractable glass wall facing south, which opens onto a private, covered balcony. 10 The Entrance Gallery is the gateway to the main spaces on the Upper Floor and is included in the rental of the Event Gallery or the Exhibition Gallery. Located at the top of the stairs, it serves as a welcoming reception space for your event the first space to be discovered by guests. It is ideal as an intimate cocktail lounge, registration area, or coat check. 11 The Polygon Gallery Rentals at a Glance Small Print In order to take advantage of The Polygon Gallery s rental program, clients must be either an Individual or Corporate Member. Membership and venue rental revenues directly fund the Gallery s ground-breaking exhibitions and programs. Onsite Rental rates are based on a 4 hour or 8 hour rental period, inclusive of set-up and break down. Overage fees will apply. Included with each space rental is an onsite supervisor, post-event cleaning services, use of the onsite catering kitchen, and facility tables and chairs set/up and take down. Capacities are estimates based on renderings, and may also vary depending on event set-up and current Gallery exhibitions. Professional filming and photo shoots are welcome at The Polygon Gallery. Location fees and guidelines are available upon request. 12 Facilities Rental Information Enhance Your Event Getting Here The Polygon Gallery is conveniently located adjacent to the Sea Bus terminal and bus loop in North Vancouver, at the foot of Lonsdale Avenue. The Gallery has also partnered with a few traditional and unique transportation partners to transport guests from downtown to North Vancouver. You can find them in the Preferred Partners Section at the end of this document. Parking and Moorage There is FREE parking just off Lonsdale Avenue, under Lonsdale Quay Market and under the ICBC building weekday evenings after 6 pm and all day on weekends. The ICBC lot is located adjacent to Lonsdale Quay Market with entries off Rogers Avenue and Carrie Cates Court. Chartered buses may temporarily stop and drop guests off in the passenger zone outside the Gallery on Carrie Cates Court. Chartered vessels may arrange moorage and delivery of guests to the St Roch Dock (100 ft. long) located in close proximity to the Gallery. Accessibility The Polygon Gallery is fully equipped to accommodate the needs of all visitors by providing wheelchair friendly routes and washroom facilities for families or individuals with special needs. Booking Deposit A non-refundable deposit equivalent to 50% of the rental fee for the desired space will confirm the booking along with a signed contract provided by the Venue Rentals Manager. SOCAN If music will be a part of your event, the client is responsible for all SOCAN fees. Please visit socan.ca for more information. Insurance Event Liability Insurance is required for all events, which may be purchased at any insurance agency. Proof of insurance, with The Polygon Gallery named as an insured party, must be submitted to the Gallery s Rentals department 30 days prior to the event. Weddings To ensure the best experience for the bride(s) and groom(s) and their guests, a professional, experienced wedding and/or event planner is required for each wedding booked in the new facility. If you do not have one yet, the preferred vendors listed in this package provide full-service wedding planning as well as day-of assistance. A complimentary 1-hour wedding rehearsal in the space is available Monday to Friday during business hours. Security The Polygon Gallery requires hired security staff for the full duration of all events. The number of guards required will depend on the nature of the event and will be determined at the time of booking. Audio Visual Equipment The Polygon Gallery carries a range of professional A/V equipment, available for use at reasonable prices, including a built-in audio system with wireless microphone and podium, and a ceilingmounted projector and standing screen (for exclusive use in the Event Gallery). Any additional equipment or lighting can be arranged through the preferred A/V partner listed at the end of this document. Please note that only The Polygon Gallery employees can move and operate Gallery A/V Equipment. Rental Policy The Polygon Gallery is an exceptional event venue for private event rentals.
