2 The Board of Education of School District No. 34 (Abbotsford) Page 2 The following items were moved forward in the Agenda for discussion at this time. 9.4 Sustainable Schools Update Mr. Tom Louie, Director of Facilities, led a presentation regarding the Green Team initiative that began in the district in Students from Abby Middle, Barrowtown Elementary and Robert Bateman Secondary attended the meeting and highlighted the projects in their schools. 9.6 Envision Financial Mr. Steve Carlton, Assistant Superintendent, introduced Lois Wilkinson and Lyle McClelland from Envision to be recognized for their contributions to the district. Ericka Hopkins, Principal Enhanced Summer School, presented highlights of the Read N Rec Program that has been support by Envision Financial. 9.5 District Fine Arts Scholarships Mr. Steve Carlton, Assistant Superintendent, provided an update on the Dogwood District Scholarship Program supported by the Ministry of Education. Over 200 students participate annually, of which 100 students receive $1000 scholarships. Rachel Schmidt, a Grade 12 student from Abbotsford Traditional Secondary performed Leonard Cohen s Hallellujuh in honour of Superintendent MacRae on her last Board meeting. Ms. Schmidt was accompanied by Adrian Ionce and Alex Ionce on keyboard. Mr. Tom Louie, Director of Facilities, left the meeting at this time. Mr. Steve Carlton, Assistant Superintendent, left the meeting at this time. The meeting recessed at 8:10 p.m. The meeting reconvened at 8:12 p.m Trustee Indemnity Committee Report, Presenter, Mr. Douglas MacAdams QC, Chair, Trustee Indemnity Committee Mr. A. Douglas MacAdams, Q.C., presented the Trustee Indemnity Committee final report. The report contained recommendations for remuneration for Trustees for the triennium, as well as the implementation of a self-assessment process. 4.0 DELEGATIONS There were no delegations 5.0 ADOPTION OF CONSENT ITEMS 5.1 Minutes of the Regular (public) Meeting held May 30, 2011 R It was MOVED by Trustee Wilson and SECONDED by Trustee DeJong THAT the Board of Education approve the Minutes of the Regular (public) Meeting held May 30, 2011 as presented.
3 The Board of Education of School District No. 34 (Abbotsford) Page General Record of the Special (in-camera) Meeting held May 30, 2011 R It was MOVED by Trustee Wilson and SECONDED by Trustee DeJong THAT the Board of Education approve the General Record of the Special (in-camera) Meeting held May 30, 2011 as presented. 6.0 MATTERS ARISING OUT OF THE MINUTES There were no matters arising out of the minutes. 7.0 COMMITTEE REPORTS 7.1 Minutes of the Finance and Facilities Committee of the Whole Meeting held May 2, 2011 The Minutes of the Finance and Facilities Committee of the Whole Meeting held May 2, 2011 were received for information. 7.2 Minutes of the Education Committee of the Whole Meeting held May 2, The Minutes of the Education Committee of the Whole Meeting held May 2, 2011 were received for information. 8.0 FIELD TRIPS 8.1 International Field Trip Report of June 20, 2011 R It was MOVED by Trustee Wilson and SECONDED by Trustee Rai THAT the Board of Education approve travel by Yale Secondary grades Baseball Academy students to Peoria, Arizona from October 6-9, 2011; and FURTHER THAT the Board of Education approve travel by Robert Bateman Secondary grades 9-12 Hockey Team students to Phoenix, Arizona from January 12-15, SUPERINTENDENT S REPORT 9.1 District Achievement Contract 2011/2012 Deputy Superintendent Godden provided an overview of the District Achievement Contract for 2011/2012. R It was MOVED by Trustee Rai and SECONDED by Trustee Neufeld THAT the Board of Education approve the District Achievement Contract 2011/2012.
4 The Board of Education of School District No. 34 (Abbotsford) Page District Literacy Plan The Ministry of Education has a statutory requirement for school districts to work with their community on a district literacy program which includes pre-kindergarten, aboriginal, school aged programs and adult literacy. The committee focused on adult literacy this year. The Ministry provides $35,000 annually in funding to support the program. R It was MOVED by Trustee Field and SECONDED by Trustee Neufeld THAT the Board of Education approve the District Literacy Plan Organization of Classes Report May Superintendent MacRae noted it is a statutory requirement to report on any changes on a monthly basis. There is a nil report, or no changes, for May Sustainable Schools Update This item was discussed earlier in the Agenda. 9.5 District Fine Arts Scholarships This item was discussed earlier in the Agenda. 9.6 Envision Financial This item was discussed earlier in the Agenda SECRETARY-TREASURER S REPORT 10.1 Trustee Indemnity Committee Report, Presenter: Mr. Douglas MacAdams, QC, Chair of the Trustee Indemnity Committee This item was presented earlier in the Agenda Trustee Indemnities R It was MOVED by Trustee Sutherland and SECONDED by Trustee Field THAT the Board of Education receive the report from the Trustee Indemnity Committee presented by Mr. A. Dougas MacAdams, Q.C., for information; and FURTHER THAT the Indemnities for Trustees be amended as follows: December 1, 2012 to November 30, 2013: Board Members: $21,500 Board Vice-Chair: $24,000 Board Chair: $26,500 December 1, 2013 to November 30, 2014: Board Members: $22,000 Board Vice-Chair: $24,500 Board Chair: $27,000
5 The Board of Education of School District No. 34 (Abbotsford) Page Letter of Credit/Guarantee Secretary-Treasurer Velestuk noted the request for an increase in the credit limit is in response to the current building project at Abbotsford Collegiate. R It was MOVED by Trustee Sutherland and SECONDED by Trustee Neufeld THAT the Board of Education approve an increase in the District's Letter of Credit/Guarantee at the Bank of Montreal from the current amount of $2,000,000 to $4,500,000; and FURTHER THAT the Board of Education authorize any two of the following employees to sign instruments of indebtedness on behalf of School District No. 34 (Abbotsford): Superintendent Deputy Superintendent Secretary-Treasurer Director of Finance 10.4 Proposed Regular (public) Meeting Schedule September 2011 to December 2011 R It was MOVED by Trustee Field and SECONDED by Trustee Wilson THAT the Board of Education approve the Proposed Regular (public) Meeting Schedule for September 2011 to December 2011 as presented. Trustee Neufeld declared a conflict of interest and indicated that he would abstain from voting on Bylaw 63-A 10.5 Property Disposition Bylaw No. 63-A R It was MOVED by Trustee Field and SECONDED by Trustee Sutherland THAT the Board of Education rescind Motion No. R which states: THAT School District No. 34 (Abbotsford) Property Disposition Bylaw No Sumas Mountain Road be given third reading, reconsidered, and finally adopted on this 31 st day of May, 2010; and FURTHER THAT the Board of Education approve having all three readings of Property Disposition Bylaw No. 63-A in this one meeting.
