5 Lakes Lodge Corporate Activities Go Exploring Here at, there are so many different activities to do, including swimming, glow worm walks, kayaking, volleyball, badminton, petanque, and walks through the Okataina Scenic Reserve from ½ hour gentle strolls to full on hikes for the fit. Lake Cruises & Fishing Charters The MV Waiora (also known as that 70 s party boat ), is available for lake cruises and fishing charters. The catamaran can carry groups of up to 45 passengers, and is fully licensed. Let us know your requirements, and we will be pleased to arrange a selection of drinks and nibbles to suit your group. Once you have caught your rainbow trout, our team can smoke your catch back up at the Lodge. Prices are as follows: Groups of 1 5 people - $ per hour 3 hour minimum applies Groups of 6 45 people from $55 to $75.00 per person for up to 3 hours Fishing not permitted from July till September 24 hours Fishing Licence - $20.00 Fishing Rod Hire - $15.00 each Clay Bird Shooting may be available at an additional cost. 6 Terms and Conditions Agreement Lakes Lodge Okataina (2009) Limited T/A ( the Lodge ) agrees to furnish and the Client agrees to hire or consume, the services set forth, in accordance with the Terms and Conditions listed herewith. Confirmation / Deposit Confirmed bookings are established upon receipt of a specified non-refundable deposit or a purchase order (in the case of approved account holders). Initial deposit is payable within seven working days of the request. Should the Lodge not receive the confirmation deposit within the specified time, the Lodge reserves the right to cancel the booking. Clients agree to begin and complete their conference / function at the scheduled time outlined in their booking sheet confirmation and, or run sheet. Damages / Insurances The Lodge does not accept any responsibility for damage to, or loss of any property or merchandise left in the Lodge prior to, during or after any function. The Lodge recommends the Client arrange their own personal liability insurance and security as required. Nothing is to be nailed, screwed, stapled, or adhered to any wall, door or other surface or part of the building or furniture unless prior approval has been given by the Lodge Management. The Client may use Blu Tack providing it is all removed by the client prior to the client s departure. Suitable floor protection is to be used as required. In the event of any damages, the Client assumes responsibility for any and all damages caused by the Client or any of the Client s guests or invitees or other persons attending the conference / event whether in accommodation rooms reserved or in any other part of the Lodge. The Client will be responsible for the removal of all property after the conclusion of the event. Any goods left in the Lodge after the conference / event without prior arrangement will be deemed abandoned. Guaranteed Numbers The Client agrees to advise the Conference Co-ordinator, the final numbers in writing for both catering and seating, at least ten working days prior to the commencement of the conference / event. The numbers will be the final confirmed numbers and will constitute the minimum charge. If numbers increase, the actual number will be charged for. Food and Beverage No food or beverage of any kind will be permitted to be brought in to, on to or removed from the Lodge by the Client or any of the Client s guests or invitees, without prior written approval from the Lodge Management. If Management finds that this has been breached, a charge will incur. As the Lodge regularly updates menus and wine lists according to seasonality and availability, the Lodge at its sole discretion reserves the right to substitute items of food and beverage with like product where necessary. Venue Changes In the event that a conference / event venue or accommodation room cannot be made available to the Client for any extenuating reason, the Lodge reserves the right to substitute similar or comparable conference / function venue and / or accommodation for the conference / event but must give the Client prior notification of the change. Prices Prices contained within the quotations are binding on the Lodge upon receipt of the deposit required. Should the Lodge not receive the confirmation deposit within the specified time, the Lodge reserves the right to amend the pricing. Payment Details The Lodge reserves the right to request a specified non-refundable deposit prior to the conference / event and the balance in full seven working days prior to the commencement of the conference / event. Valid credit card details must be supplied to guarantee any booking. In the case of the credit card details being supplied for a booking, upon supply of such, the Lodge reserves the right to charge the credit card for any pending payment(s) that have not been paid during the specific time frame prior and after the conference / function. The Client also agrees to the charging of any cancellation fee incurred as per the accommodation and cancellation policies below. Full Payment for final invoice will be required on departure or within 7 working days after commencement. A 3% credit card fee applies to ALL payments. Accommodation When accommodation is required, tentative group bookings will be accepted. A guaranteed booking is established upon receipt of the specified non-refundable deposit. The final number of rooms required must be confirmed ten working days prior to arrival. This will be the minimum number of rooms that will be charged. A charge equal to one night s tariff quoted will be charged for each accommodation room booked as a No Show fee. A guest rooming list and charging details must be provided to the Lodge ten working days prior to arrival at the Lodge. The Lodge reserves the right to specify a longer cancellation notice period should it deem it necessary. Rooms that are left significantly soiled upon departure will incur a full day's fee as penalty. All room keys handed out are to be returned upon departure. If Client fails to do so, a charge of $15 a key will incur. This charge will be removed / reimburse once the room key is returned. Public Holidays The Lodge reserves the right to charge a 15% surcharge to all food, beverage, room and equipment hire on any conference/ event held on a New Zealand public holiday. Cancellation Policy All cancellations must be notified to the Lodge in writing. Should the Lodge receive notice of cancellation of less than 30 days prior to the conference / event, the Client shall pay a cancellation fee equal to the entire hire cost of the venue (which may be deducted from the non-refundable deposit). Should the Lodge receive the notice of cancellation less than 30 days prior to the conference / event, the client shall pay the hire cost of the venue and equipment, In any event, any deposit paid is non-refundable regardless of when the cancellation notice is received. The Lodge reserves the right to specify a longer cancellation notice period such as in the case of large bookings or for any other reason the Lodge deems necessary. Exclusive Use of Lodge Facilities When the Client is given exclusive use of Lodge Facilities, this means that the Lodge will not host any other event/conferences during the time of the conference. Should the Client require additional accommodation or use of other Conference Rooms, the Client will be charged accordingly. The Lodge reserves the right to accommodate other independent travellers at all times. Page 6 of 7
