1 CERES Venue Hire Information Pack For meetings, planning days, conferences & workshops: Van Raay Centre Meeting Rooms 1 4 Essential information for booking. About CERES Situated close to Melbourne s inner city, CERES is an award winning, not-for-profit, environment and education centre and urban farm. Located just 6 kilometres from Melbourne CBD our Community Environment Park is a destination venue filled with lush native and edible gardens, open green spaces, roaming chickens and a range of social enterprises contributing to a truly sustainable future. Built on a 4.5 hectare decommissioned municipal tip that was once a landfill and wasteland, today CERES is a thriving, vibrant community. Over 300,000 people visit CERES each year and many more connect with us through our innovative program taking sustainable education directly to schools across the State. Location The CERES Community Environment Park main entrance is located at the corner of Roberts and Stewart Streets, Brunswick East, Sustainable Transport Set in a unique and beautiful oasis just 6.2 kilometres from Melbourne s CBD, CERES is easy to reach by Tram 96, Bus 508 from Northcote train station, Bus 503 or bicycle along the Merri Creek cycle path. We encourage the use of sustainable means of transport and CERES provides bicycle racks and links to transport maps & timetables. There is also parking available on site and close by. 2 Venue Hire Information Why choose CERES for your meeting or event? CERES offers so much more than just a series of rooms. On site features include natural light from passive solar design, landscape design, and various strategies to limit waste and use of water, energy and lighting, making this the most sustainable place for your staff planning meeting, small conference, workshop or training days. The Van Raay meeting rooms provide a combination of environmentally conscious design by renowned architect Gregory Burgess with cutting-edge sustainable building techniques, while CERES itself operates an organic farm, grocery, permaculture and bushfoods nursery on site - providing plenty of opportunities for attendees to break out and explore. Van Raay Centre One large venue, two medium rooms or three individual spaces the Van Raay Centre meeting rooms are ideal for workshops, meetings, training sessions and conferences. With access to free wifi, a communal kitchenette and a beautiful sustainable design the best work happens here. An additional space in an adjacent venue the is located below the Merri Table and can be booked as a break out space in the afternoon for larger conferences, or is an ideal space for evening presentations, creative classes and workshops. Prices include GST and are correct at the time of printing.

3 Equipment and Services Equipment free of charge Standard whiteboards (non-electronic) Wireless internet access Tables and seating arranged as per booking agreement (Van Raay centre) Tea and Coffee making facilities (hot water, mugs, glasses) Kitchenette In the small kitchenette attached to the Van Raay meeting rooms there are tea and coffee making facilities available. Access to the kitchenette is included in the price of the room hire. Tea, herbal tea, plunger coffee, milk, soy milk and sugar can be provided by The Merri Table for a low cost of $5 per head or you may supply your own beverages. The has equipment for 20 people. Additional equipment for hire: Audio Visual equipment is available upon request: $50 per day for Data Projector hire $165 flat rate for PA hire We ask that you provide your own writing materials, including whiteboard markers. Heating and Cooling The Vaan Raay meeting rooms and Lower Merri have been designed with best practice eco principles to be eco-cooled on even the warmest days. Ceiling fans and cross ventilation provide additional comfort in warm weather, while hydronic heaters are utilised in cooler months. Catering The Merri Table The Merri Table is the onsite caterer at CERES. The Merri provides delicious catering featuring fresh, local and organic produce to complement your venue hire experience at CERES. With all day catering packages available, delivered to the communal kitchenette adjoining the meeting rooms, and other arrangements by request, The Merri is an ideal and sustainable way to feed and energise your team throughout the day. Contact merricatering@ceres.org.au or call for menu options and a catering quote. Small groups (less than 15 people) are also welcome to book a table in the restaurant for weekday bookings. Approval by the Venue Hire Team is required if you would like to use an external caterer at CERES. If approved we ask that all catering waste be removed from site, and that you consider sustainable and ethical options in your selection. The CERES Organic Grocery is open seven days a week from 9am - 5pm and can assist with a variety of delicious, healthy and organic products. Access The Van Raay meeting rooms are located on the lower level of the Van Raay Centre and are accessible by a stairway at the north end of the building, or by following the mobility access path indicated by a blue dashed line on the CERES Visitor Map. All meeting rooms are accessible spaces. An accessible toilet is available on the same level as the meeting rooms. CERES Van Raay Meeting Room Information Pack January 2018

4 Room capacity guidelines for the Van Raay meeting rooms Operable walls between Rooms 2 &3 and between Rooms 3 & 4 either divide the individual spaces or open up to create the room configurations as shown below. 5 How to book Bookings and Confirmation Call and speak with the venue hire team or Alternatively, visit ceres.org.au/venue-hire to view availability and complete an enquiry form. Confirmation Your booking is considered confirmed on submission of the online booking form. The venue is secured upon receipt of payment of either a 20% deposit OR the full amount relating to the hire. Space will not be held if payment of the deposit is not received by the invoice due date. Full payment is required at least 15 days before the date of the booking or immediately if the booking falls within this period. An invoice will be ed to you on completion of the online booking form. Any additional charges (e.g. for extended hours, additional cleaning costs, damages, etc.) will be invoiced for payment after the event. Cancellations or changes Once we have received your booking form, the following fees for changes or cancellations will apply: Cancellations: More than 2 weeks in advance: A partial refund minus 20% administration charge for all dates held. Less than 2 weeks in advance: No refund will be given. Changes of date or venue: Any change of venue will be charged at the relevant venue hire fee plus a fee as outlined below. More than 2 weeks in advance: A $30 change of date or venue fee. 1 2 weeks in advance: A $50 change of date or venue fee. No changes will be accepted within 1 week of the booking date, cancellation fees will apply. All changes are subject to availability. Only one change of date per booking is permitted from your original booked date. When requesting a change of date this must be sent through in writing, and the new date supplied within 3 business days or prior to the original date booked (whichever is first) or cancellation fees will apply. Once confirmed, no further changes are permitted and hirers are liable for the full hire fee, plus change of date fee.
