1 LIONSDALE COUNCIL MINUTES SEPTEMBER 26, 2018 Attendance: Labhras, Aldus, Chelsea, Wulfstan, Elspeth, Malys, Aine, Dalla, Savaric, Godfrey, and Caemgen Dalla motioned to adopt August meeting minutes. 2nd by Elspeth. OFFICER REPORTS SENESCHAL Aine (Deputy is Katya) Lionsdale Missile Champs was a success, even though the weather tried to keep us down. Wulfstan will have all of the event details for us later. Tir Righ Arts & Sciences & Bardic was also a huge success, even though the site tried to roast us. Again, Wulfstan will have all of the event details for us later. Other than that, everything in the Shire is doing well, and we have been slowly getting some of our offices filled. I have been posting on the Facebook page, which I wouldn t say has been as successful as I had hoped, but it has still resulted in at least one office being filled. I have spoken with Katya, and we are going to start seeking applicants for a new Deputy Seneschal. She has been in the role longer than was hoped, so if we have anyone interested in learning the role, please let me know. Also, this is technically Chamberlain business, and since the office is vacant, would normally fall to the exchequer, but since they are switching out officers right now I have taken the reins on getting the trailer organized and making an updated inventory. I am seeking a couple volunteers, and we can schedule for a non-event weekend. Savaric has been informed, and if we ask him nicely he may even let us do this inside his shop as to avoid any potential rain. If you are interested in helping out, please let me know. FAMILY ACTIVITIES (Seneschal deputy office) Office Vacant accepting applications EXCHEQUER Thora (Deputy is Malys) The new trailer keys have been made and will be distributed appropriately in a couple weeks just waiting on one more key, which was out of stock at the locksmith. Does Stephen still have outstanding expenses from Winter s Tourney? This was noted in the August minutes, and we just need to know if it s still outstanding. Malys stated she will follow up with Stephen on this. Malys has stepped up as exchequer as of this meeting. 2 HERALD Wulfstan (Deputy is Elspeth Farre) Some heraldic happenings from Lionsdale Missile Champions: New Champions are: Target Archery: Gunnar the Wanderer Combat Archery: Master Warwick Drakker, MoD Thrown Weapon: Herbaceous At closing words, Feckmeister Godfrey von Ravensburg and THL WulfstanHrafnsson were admitted to the Order of the Scapula Leonis. Congratulations to both of you! As I have been chosen as the new Tir Righ Minister of Arts & Sciences, I must relinquish my office as Herald of Lionsdale with immediate effect. I would recommend my contingency deputy, Elspeth Farre, as my replacement. She is very enthusiastic, already quite involved in the Tir Righ College of Heralds, and willing to take on the office if Council approves her. Lady Hallbera of Lionsdale is stepping down but will remain a part of the Lionsdale herald community. LIONSDALE SCRIBE (Herald deputy office) Aldus Aldus would like to step into the role of Lionsdale Scribe. Aldus has been asked to follow up with Gala about the idea of having charters for our Shire champions. Malys had also volunteered to help with this last month. MASTER OF STABLES Interim: Savaric Savaric is stepping up into the office as of this council. We had archery and thrown weapons at Lionsdale Missile Champs. No injuries or accidents to report. There were some issues regarding set-up. Savaric would like to discuss the role of the site liaison for Albion fairgrounds; Mistress Desiree is willing to continue in this roll. Her job would include Liaising with the city and the event steward. Nothing else to report. DEPUTY MARSHALL FOR ARCHERY Wulfstan has stepped up into this office at this council meeting. DEPUTY MARSHALL FOR RAPIER Office Vacant accepting applications A&S MINISTER Elspeth (Deputy is Vacant) A&S efforts were largely focused on the Principality level this month. No fewer than three members of the populace submitted entries in both the A&S and Bardic championships. Brynteach had a full entry for the bardic competition, Malys had a full entry for the A&S competition, and Aldus has a single entry for A&S. They all acquitted themselves admirably and should be proud of their work! Lionsdalers also show themselves to be leaders in the A&S field, with Wulfstan stepping into the Principality A&S minister position, and Sigridis 'Gala' stepping into the Kingdom office. Thank you for your service! I am hoping to acquire some Principality and Kingdom charters in the very near future, and A&S gatherings will resume in October. The next one will be October 23, starting at 7 PM at my home. This will be publicized on the shire Facebook page after the current council meeting. 2
3 Keep creating! BARDIC DEPUTY (A&S deputy office) - Bryntyeach Nothing to report...but council thinks otherwise. Bryntyeach completed and was appointed the Minstrel to the Coronet. Congratulations Bryntyeach. DANCE DEPUTY (A&S deputy office) Office Vacant accepting applications CHRONICLER Dalla (Deputy is Vacant) Nothing to report. WEBMINSTER (Chronicler deputy office)- Aldus Nothing to report this month. Website is up to date, and the Facebook group and page are both operating smoothly. As always, don't hesitate to ask if you have any questions or requests! CHATELAINE Stephan (Deputy is Vacant) I have had 1 person me this month interested in the group but have to hear a reply. GOLD KEY (Chatelaine deputy office)- Stephan Gold key was available and used at Lionsdale missile champions. All garb was returned and washed. Also our new loner bow and arrows was used by several people at the event, making it in my opinion, a good investment. TUTR Tisha Bakke (Emma) has stepped up into this position at this council. 3
4 RECENT EVENTS Lionsdale Missile Champions: We had 44 gentles come through gate: 40 adults 2 children 2 youth This is slightly below projected attendance of 60, perhaps due to weather. By branch, they were from: Lionsdale: 17 Lions Gate: 20 Fjordland: 2 Ramsgaard: 1 Grey Niche (Memphis, TN): 1 Other: 3 (newcomers) Four gentles (the three outgoing champions and a newcomer whom the event steward gave his comp) were comped. Revenues: $550 (Projected $900) Expenses: Site: $ (Projected $375.60; didn't use kitchen) Fuel (Trailer): $25.73 (Projected $0.00; not accounted for in bid) General Supplies: $0.00 (Projected $50.00) Insurance: $64.98 (Projected $65.00) Total: $ (Projected $490.60) Net profit: $ I have MIC reports from Archos Kenneth (Target) and Lord Duncan (Thrown), and am awaiting one from Master Warwick (CA). I have asked him to forward it to Duke Savaric as MoS and myself. Tir Righ Arts & Sciences & Bardic Championships: I would like to begin by thanking my team, who were fantastic and worked hard to ensure this event was successful: My co-steward HL Eleanor; Royal liaison, merchant coordinator and feast steward THL Elspeth; hospitaller Lord Aldus; gate coordinator HL Ylas; TUTR staff HL Jaqueline and HL Emma. The site was highly suitable to this sort of event, though the high number of entries made it a bit cozy. Some also found the floor plan confusing; maps at gate helped with this somewhat. Still, there was a good deal of parking, all levels were accessible by elevator, and there was sufficient space for our needs. It sounded like everyone had a good time and several mentioned they liked the site. We had 118 gentles come through gate: 110 adults 7 children 1 youth This is significantly above our projection of 75 at bid, and in keeping with the response from social media, which suggested around 130, but is an inexact science at best. 4

6 UPCOMING EVENTS Nov. Coronet Brynjia, Event Steward Event info is up on kingdom calendar and sent in to Crier. Ciana is running the Pas de Faux A&S contest, Briana will be running the wordfame bardic contest. Warwick has agreed to be MIC. I've had members of the thrown weapons community approach me about having thrown weapons outside at Coronet. This is another case of I need to confirm how much of the grounds we have to know if we'll have space to let them run this. I still need to confirm if we have space under the picnic shelters (far enough away from where the meetings will be) to house James and Margaret s Vigils. We may have hit a minor glitch with day food. My understanding is somewhere in the rental policy they say we can't sell food as they have a non-competition agreement with planet ice. However, as the money for the food was a budgeted cost in our event bid we may be able to provide day food (instead of selling it) and mention that donations are "greatly appreciated" I need to see a copy of the rental agreement and talk to Desiree to see if this is a feasible work around. Also noticed that the kitchen is not listed on the contract and am wondering if it s considered part of the "grounds"? Another Desiree question I guess. If necessary, is it possible to get the kitchen added to the contract with even just 6 weeks away? Winter s Tournament Seeking bids As discussed last month, Stephan and Porzia were potentially going to submitting a bid as co-stewards, but Stephen has stated he is going to withdraw his name from stewarding as he is too busy. He is still interested in assisting with the event though. Therefore, any and all bids are appreciated. Please contact the financial committee if you would like to submit. COMMITTEES Financial Committee: Aine is getting quotes for repair of the electrical on the trailer. New keys for the trailer copied and distributed waiting on one more key from the locksmith. Still need to update signatories on the bank account. Need to get principality exchequer on there as well. She is on vacation, so Aine will get account info and go with her when she returns, as we would only then pay for one account change. Need to discuss with Rose whether she wants to be a signatory, as she is on our financial committee as of last month as well. OLD BUSINESS Practice Sites: Is Savaric working with Elspeth and Wulfstan for proper practice procedures during their A&S night, or is this no longer going to be a fighting thing as well? Answer: Fight practice will not be held at the AS nights due to available lighting. Archery: Stephan is going to submit receipt for the bow he purchased. Still waiting on this. Archery drop-in is still going on: Thursdays at Ridgedale Rod & Gun Club 5pm-10pm. No Sr. Marshall present, and this is an informal archery practice. Shire Badges: Elspeth Farre states she will have sent something to council with Malys to follow up on the lion s face badge. This did not happen. Aine will follow up with Malys before next council to pursue this paperwork. 6
7 Champion Charters: Gala has informed that designs have not yet been made, but as noted above, both Malys and Aldis will be in touch with Gala about this project. Canvas walls for picnic shelter Desiree has asked for $450 to make canvas walls for the picnic shelter at the Albion Fairgrounds. We voted last month and approved it, and in that time the financial committee has also approved it. The cheque needs to be provided to Desiree. NEW BUSINESS Discussion of potential funds for Seneschal & Exchequer training in spring of 2019 The principality is looking into running a seneschal and exchequer training in the spring of 2019 and it has been suggested that we get prior expense approval for our seneschal, exchequer, and both deputies to attend. Principality is hoping for one of the interior locations to run the event, but it has not been bid yet. Likely this topic will remain in old business until a solid estimate of costs is known. Moving council back to Abbotsford? Aine looked into this. The following locations have meeting rooms: The High Street community room: They are first come first serve, only opening it s reservations up 3 months at a time. This is suboptimal for our purposes, as we wouldn t be able to ensure a location from month to month. Additionally, they already have another community group that is continually fighting for this same time slot. Legal Grounds coffee shop: Not a viable option, as they close at 4pm on Wednesdays Common Place Café: Not a viable option, as they also close at 4om on Wednesdays Cabela s: They have a meeting room, but it costs $25 per hour. The woman in charge of booking has offered to bring us up at the next business meeting to see if they are able or willing to waive the fee for us, since we are a non-profit. I am waiting to hear back from her on this, but she estimated her next meeting to be on the same day as this council meeting. Ricky s Restaurant: They have a room, but they cannot guarantee that they won t sit tables in there during our meetings, as they tend to get busy. They will not reserve the whole room for us. Trethewey House: They no longer have space available for rent The Pantry Restaurant (Sumas) They do not have a meeting room, and Wednesday nights are family night, so it's very busy Crossroads Restaurant They have a room. No minimum number of attendees. Close at 9 on Wednesdays as a personal preference, Aine would prefer a different location, as it is known that this is a very dirty kitchen. Roseland Restaurant They have a room. No minimum number of attendees. Close at 9 on Wednesdays Rivers Restaurant At the Abbotsford Hotel at the Clearbrook exit no meeting room close at 8 Seven Oaks Mall They have a community room, but it has a cost, albeit a low cost of $26.25 for how long we would need it IHOP 7

She recommended that if this is a standing reservation, we could contact the general manager Mary Jane at unit659@whitespot.ca to see if we could get it anyway Denny's (@ Gladwin) No meeting room Council has agreed to try the October meeting at White Spot in Abbotsford for next month (Whatcom location). We find such obligations distasteful and offensive in the highest form, and challenge you to come and collect said tithes on the long weekend of August, Anno Societatas 54. Desiree is willing to work as liaison between the shire and the event team. Godfrey has a request for archery supplies Godfrey puts forth a proposal to purchase more archery equipment.
