7 Baronial Business Meeting Minutes Christmas Court December 2, 2017 Saint Ann s Church 612 Wabash Ave, Lafayette, IN, :00 pm - 8:30 pm Set up at 1:00 pm Open A&S activities after set up Potluck Feast - Bring a dish to share Baronial Court Following Feast Bring 6, Take 6 Largess Swap Get your knitting needles out cause we re having a largess swap. It s just like a cookie swap. If you make and bring 6 items, then you can take home 6 different items that other people have brought. Optional Challenge: Bring 12 largess items and only take home 6. The left over items will go to the Midrealm largess collection to be given out as gifts for the whole kingdom. Meeting Minutes for Held at the Silver Dipper on the Levee 15 people in attendance Event/SCA Related Reports - We unloaded the PENNSIC trailer. - There was an impromptu fighter practice demo held Friday night at Slayter Hill to try to catch the attention of the incoming freshman. Unfortunately it was too dark to fight by the time the students started showing up for the free movie. We will try again this Wednesday on the Memorial Mall at 6:00 pm and then move to the Armory for the regular 8:00 pm fighter practice. PENNSIC Reports - Gunnarr was the Baronial Archery Champion and finished in the top Jacob fought as the Baronial Rapier Champion Seneschal Brianna sent in her report. Chronicler The newsletter is done and will be sent out after the meeting. Katrin passed around the newsletter cover artwork. She asked for stories and pictures for PENNSIC for the Sep/Oct issue. Archery Gunnarr and Wil hosted an archery class this Saturday for 15 Girl Scouts who needed to get their badges in archery. There was a definite interest in youth archery. - When we switch to the Armory for archery practices on Sundays from 12-4 pm, there will be no thrown weapons due to the space and floor conditions. TW practices TBA. - Gunnarr and Wil are looking into becoming thrown weapons marshals. They are also currently funding the new archery targets and any donations are welcome to help them offset their cost. - Gunnarr is now a student of Aelfric s in the Greenwood Company. Equestrian we had one unofficial practice. President of the Medieval Society of Purdue Sam introduced himself as the new president. He wants to hold a Callout next Wednesday during the regular fighter practice at 8:00 pm in the Armory. Several people volunteered to help him. September Mosey Jacob will be there to register and set up at 4:30 pm. - Wilhelm will bring his table to the callout and Jacob will take it for the Mosey. - There is an opportunity for us to participate in an October Mosey, but we decided against it since there are lots of events including Coronation and Bardic Madness that will be taking up our time. Christmas Court Looking for ideas for site, do we want the same site as last year? 7
8 Baronial Business Meeting Minutes Meeting Minutes for people in attendance Event/SCA Related Reports At Baroness Wars: - Griffin won the Novice Tourney, Nighthawk received an Evergreen and his daughter Sparrowhawk received a Willow. - Jacob and Katrin helped out at the student activities recruitment booth for Wurm Wald with Ursus. - We held a demo last Wednesday on the Memorial Mall before fighter practice. One student came back and used the loaner gear to start fencing. Chronicler The newsletter is done and has been sent out to various social media. We got a positive from His Royal Highness about the newsletter and cover art. Archery It s still undecided if we are going to have archery practice in the armory this Sunday because there is an issue with targets. If Wil and Gunnarr can remedy that, we will have practice in the armory this Sunday from 12-4pm. Tuesday night practices are still at Huis Doorn. No Armory Practice Equestrian We had one unofficial practice. Rose is currently working with Shadow (horse) and despite some stubbornness, his training is going well. Madrigals They are back in session, but will not have practice again until President of the Medieval Society of Purdue Sam made flyers and posters and handed them out all over campus this week for the callout. Callout is Wednesday during the regular fighter practice at 8:00 pm in the Armory. - Katrin made info sheets to hand out as we are low on bookmarkers. - Pieter discussed toning down the use of specific SCA jargon when talking to new folks. Bookmarkers - The group voted to keep using the bookmarkers to hand out at demos and callouts. - Katrin will check with the UPS store for specific pricing, but according to their website, 100 color copies on heavy cardstock is $48.00 not including sales tax. Cutting might be anywhere from $2-$10. That gives us 600 bookmarkers. The last batch lasted for about 2 years worth of events. September Mosey Jacob will be there to register and set up at 4:30 pm. Come out to help if you can! No Business Meeting Business Meeting at the Silver Dipper (no Stewart Center room/ also a holiday) Meeting Minutes for Meeting at the Silver Dipper 17 people in attendance Event/SCA Related Reports: Lots of Harvest Day reports Enkara went to the Wurm Wald fighter practice. Archery We are no longer holding Tuesday evening practices. We might revisit starting up again in the spring. Sunday practices are in the Armory and go from 12-4 pm. - Gunnar visited another group s archery practice. Other groups have said they are interested in attending our practices now that we have an indoor site on campus. - Gunnar got a great deal ($60) on new archery targets. Equestrian Rose did something awesome, but I missed most of the report. I will verify at the next meeting. President of the Medieval Society of Purdue Verified times for regular activities so he can post that information on the student social media. - Discussed student film project; a student wants to film a promo for the MSoP at the next fighter practice. Showing up in garb and bringing A&S projects to show off was encouraged. 8
9 Baronial Business Meeting Minutes Bardic Madness - We have the Four Points hotel scheduled for the post revel. Brianna will verify with them about the exact number for the reservation block to get the post revel room for free. - We discussed numbers for feast. - Archery (Gunnarr) will run the lunch tavern. - There was an idea to have coffee available all day with a donation cup next to it. - Katrin brought in the free ¼ page Pale ad mock up. We still need to discuss site fees and site times before she can submit the ad. The deadline is September 25th. - After the meeting, there was a smaller discussion about site fees. Since there is very little site cost, we considered having a donation site fee or maybe just having a $10 nonmember/ $5.00 member fee so we can generate some revenue for the barony for upcoming events and general expenses. We will discuss this at next meeting when the exchequer is present. Christmas Court We are looking at Saturday December 2nd, 2017 for the date at the same church as last year. Brianna is looking into that. Rivenstar Business Meeting Minutes for people in attendance Chatelaine There is a Game of Thrones themed demo opportunity at the Downtown Lafayette Reiley Plaza area on Tuesday October 3rd from 5-8 pm. Contact Rocky for more information. Baron The official report was sent in; we are still a barony. President of the Medieval Society of Purdue Sam sent out s to the interested students. The film student was able to get interviews. He plans to attend the next Wednesday fighter practice on for more interviews. Bardic Madness - The post revel will be at the Four Points at Sheridan West Lafayette hotel. Hotel block rooms are listed under Rivenstar. - Site fees will be $10.00 per person with a $5.00 member discount. Children under 18 are free. - We discussed a cut off for mail in prereg, but no date was confirmed. - Feast tickets will be $7.00 and will go from 6:30-8:30 pm. - We discussed having 50 tickets to sell and leaving seating room for people not eating feast. - Troll opens at 9:00 am. - Post revel starts at 9:00 pm at the hotel. - We need to have the church site cleaned up and vacated by 11 pm. We have volunteers to stay at the church to clean up. We will need at least one Rivenstar representative at the post revel. - We discussed the site token and Prime theme of the event. - Katrin will submit the ¼ page Pale ad. Christmas Court - The Lutheran church is not available Dec 2nd or the 9th. We will need an alternative site ASAP. We will need a volunteer to coordinate that. Halloween Party? Discussion tabled until next week. Spring Event - We have been asked to do a Tournament of Defense (TOD) this year. We decided to do it. - We still need an autocrat, but Coise will check into the availability of reserving Ross Camp for April 14th or the 21st. So far, there are no conflicts on the Midrealm calendar for those dates. Meeting Minutes for Event Reports: Fall Coronation - Their Excellencies held a regional court at the business meeting to present Gunnarr with her scroll and medallion for the Order of the Dragon s Barb. One other award was given out at Coronation Evening court, but that person was not present at the meeting. William was presented his scroll and medallion for the 9
10 Baronial Business Meeting Minutes Order of the Dragon s Barb after the meeting. - Baron Adhamh was asked to be Their Majesties Kingdom Rapier Champion. - Malie, Katrin, Brianna, Jacob, Gunnarr, and several others helped run the A&S competitions. - Coise attended the Exchequer s Regional Meeting. Chatelaine Next Tues is the Spark Demo in Laf. Bardic Madness - There are 6 Sunday school classrooms available for use. - Katrin submitted the Pale Ad. - The lunch menu is still in progress, but they will be using crock pots for soup and chili. - Brianna will check with the church to see when we can do set up for the event Friday night. Christmas Court - We still need a new site. Spring Event - We have a contract in hand for Ross Camp for April 21st. - The site will be available to us starting 8:00 am Friday the 20th until Sunday the 22nd at noon. - We are 98% positive we are hosting the Tournament of Defense. Notes taken by Jacob MacAndrews Meeting Minutes for people in attendance Event Reports: - Gunnar attended the Reign of Arrows VI event in Flint MI. She successfully defended the hand bow Schutzenkonig Trophy. She is the first person to win the award two years in a row. - Lots of people either worked or attended the Feast of the Hunter s Moon. Chatelaine (via Brianna) This Tuesday is the Spark Demo in Lafayette. Chronicler - Katrin submitted her quarterly report. Archery There was no practice held Sunday. Gunnarr day tripped to MI and back and needed rest. Bardic Madness - Lorelei requested a block of hotel rooms for Friday night. Brianna checked with the hotel staff and yes, we can make that happen. - Can the musicians sell their CDs? We can make a space, but the musicians need to have someone to run the table and take care of the money. - Can they have coffee all day? There will be coffee available for lunch. We can try to find someone to mind the coffee maker. - Ursus plans to have a serving line style feast, so we will not need servers for the individual tables. We will need people to serve food from behind the line. - Katrin submitted the Pale AD and replied to the editor s questions about end time and the autocrat s phone number. Christmas Court We still need a new site. Not many of us are church members, so our options are limited. Spring Event - We have contracts in place for Ross Camp. - Encara of Darkhorse volunteered to be autocrat. - Brianna was working on submitting the event to the Midrealm Calendar. - We will be hosting the Tournament of Defense. Briana Stone will be the Marshal in Charge of the day s activities. The TOD will be run by another person. We will have archery. - There was some discussion about not having thrown weapons, but since the King has set forth various challenges and hunts, we thought it be best to have it available to the populous. Wilhem will make arrangements. - We will need a royalty liaison. We discussed asking Malie since she wasn t at the meeting. Notes taken by Katrin Grimsdottir except where noted 10
