Business Arising / Action Items Item 001 Communication 21/11/ A summary of the WARAP Minutes to be sent out to clubs MJ MJ put together a summary and sent it to the Club Contact s. MJ to continue to send out once the summary has been approved and will also add to RallyWA Facebook page. Post Event Surveys. Need questions. 21/2/18 MJ will have questions ready prior to Karri Rally MJ Item 002 Live Streaming/Video 21/11/ Investigate cost of Gimbal & Microphone LP/PVDM/DS 16/1/18 4 Obtain quotes on various options PVDM LP will continue practicing at the Karri Rally. Good feedback from MJ on live streaming from the Shannons Targa Rallysprint. Item 003 ARCOM 21/11/ Need to nominate an ARCOM representative. Follow up August 2018 RT Item 006 Website 21/11/17 Update and look at what enhancements are required MJ 21/2/18-4 MJ and JW to liaise and MJ will put together a temporary website for Karri MJ / JW RT passed on thanks to MJ for his efforts on getting the website to where it is. Discussed enhancements planned. Thanks also to JW for his help behind the scenes with hosting. Item 007 Ambulance 21/11/ Now that Calendar is confirmed, seek quotes from Ambulance providers RT 21/2/18 4 RT to obtain quote from St Johns. RT Refer to Item 020 for discussion re supplier agreements. Item 008 Finance Reports from CAMS 21/11/ Follow up why we are not receiving reports in a timely manner /RT Combine with Item 016 Item 009 Sponsor Agreements 16/1/ Follow up Level 1 & 2 Sponsors and obtain agreements as required DS 21/2/18 4 Follow up Fineline Agreement DS AutoOne & Natrad completed and Invoiced. Verandah signed, awaiting invoice from CAMS. Fineline, Wheels on Yirrigan & Podium Tyres awaiting signature. RT has submitted an application to Healthway and is awaiting a response. Item 012 Posters & Event Logos 16/1/ MRF re Boddington Logo required WW
2 Item 013 RallyWA Launch 16/1/ Informal RallyWA launch alongside the South Perth Food Vans on 24 th February GLH REMOVED. Item Clubman Night 16/1/ Liaise with Steve Vass and assist in promoting the Clubman Novice Night CGJ Feedback from AP and PVDM. Successful night enjoyed by all. The WARAP thanks Steve Vass for putting the evening together. Item 016 Finance Report 16/1/ Arrange to meet with CAMS to discuss a process whereby we can track invoices efficiently Query John Doutch invoice Query re Wilson Medic One invoice coming from Promotion Fund Follow up incorrect payment made on TW Invoice Item 017 Rally Practice 16/1/ Speak to Mark Greaves to query availability of roads for Practice/Come and Try GLH Item 018 Road Management Policy 16/1/ Arrange a meeting with GLH & RT to discuss proposed Road Management Policy/MOU GLH RT spoke to Mark Greaves today who advised that he and the regions had agreed on a draft policy but has not ed the details to RT as yet. Karri Rally will be inspected prior to the event by RT and Dean (DeBCA). Roads will be inspected on the Tuesday after the event. RT to follow up Mark Greaves re draft policy. Item 019 CWARCS 21/2/ Letter to be sent to State Council regarding AP4 being changed from No to Yes H3 table allowing AP4 to receive points in WARC DS/RT Send to Competitor Database explaining motion re AP4 DS Fine Print beneath table pointed out by Scott McGrath shows that AP4 is ineligible for State Championship points. Motion: WARAP to write to ARCOM to allow AP4 to be included in WARC in Moved: DS Seconded: GLH. Carried 9/0. Item 020 Supplier Agreements 21/2/ & Obtain guidance from CAMS regarding Supplier Agreements RT 21/2/ RT has discussed supplier agreements with Simone at CAMS. RT to follow up further the availability of a standard supplier agreement from CAMS for Ambulance and other suppliers. RT/WW/DS to attend CAMS (proposed date 10/4/17) to discuss Supplier Agreements Item 021 LCC Club Torque Magazine Apology 21/2/ Send Letter to LCC as per The Light Car Club is requested to issue an apology to the members of the WA Rally Advisory Panel for inferences that the Panel was not operating within the guidelines of the CAMS Standing Orders. The apology should appear in a prominent location in their next Club Torque Newsletter and be circulated to everyone who received the 2018 February edition DS/RT See attached correspondence received by from the LCC on 21/3/18. Note also regarding requirement for letter to be circulated to all who received the February Club Torque and also in the Club Torque Newsletter. GLH / WW confirmed it will be circulated to the same recipients as the original newsletter. 5. General Business 5.1. CWARCS 5.2. Marketing & Promotions Sponsors Website Facebook/Youtube Declaration: RT declared that Absolute Edge is contracted to Targa West and WACC (Forest Rally) to manage social media. RT discussed Absolute Edge social media course at a cost of $500. Application has been made to CAMS for Club Development funding support but is not hopeful. Do the Clubs wish to contribute to allow competitors and clubs to receive up to date social media training? RT (Targa West) happy to contribute an equal amount to the clubs to help it happen. PVDM will discuss at WACC meeting. GLH/WW will take to the next LCC meeting. RT to investigate DSR and

Total approx. 135km Kirup Stages 7 th July Targa West (Tarmac) 9-12 th August Experts Cup 15 th September Darling th November Event Organisers Meeting 5.6. Safety & Equipment Rally Road & Safety Fund (inc Ambulances) Rally Radio Network Rally Clock/Technology Equipment Rallysafe discussion around Rallysafe. Motion: An Identification Transmitter for Vehicle Tracking (currently Rallysafe) will be compulsory for all competitors from Moved: JW. Seconded: LP. Carried: 5/2 (Abstained: 2) Spectator Marshall Equipment Maintenance RT advised that the equipment maintenance for the trailers and van will be finalised in the next week, as the insurance quote has just been received. Other Business 6.1. Rookie Winner able to be a Rookie in the following year (LP). Discussed Rookie status, proposed wording to be discussed prior to 2019 CWARCS D3 "A Driver or Co-Driver shall be considered to be a Rookie Driver or
4 Rookie Co-Driver if they have started in no more than two gravel rallies prior to the start of the season and has not previously won a Rookie award for the role." 6.2. Sponsorship of Web Hosting (JW) Network IT has offered to sponsor the web hosting for the next 3 years in return for a logo on the web pages ( persistent banner). Moved to accept proposal as per above. TA. Seconder PVM. Carried 9/ See above 6.4. Clubman Masters discussion re reporting of Clubman Masters eg Todd Payne, Garry Connell. It is noted that the list containing the determination of years where the competitor s seeding is above ignores years where the competitor did not contest a rally. The competitor does have a seeding at the specified date for the year but it is not shown in the list used to make the determination. Discussions indicated that the noncontested years should be included in the determination. JT to be consulted to establish why the noncontested years are not currently included in the determination. 7. Next Meeting Wednesday, 18 th April Meeting Close: 9:25pm
