5 General Information Directions to Heriot-Watt University The conference, exhibition and poster sessions are taking place in the James Watt Centre on the Heriot-Watt University campus. Please see the location map at the back of this booklet for exact locations. Heriot-Watt University Riccarton Edinburgh, EH14 4AS Travel by air Edinburgh International Airport is serviced by scheduled national and international flights. The airport is to the west of the city, just three miles from the campus. The journey by taxi takes about 10 minutes. Most major airlines fly to and from Edinburgh, for more information visit Travel by train The mainline rail network serves the centre of Edinburgh: Edinburgh Waverley is at the east end of Princes Street and Haymarket station is at the west end. Onward travel to Heriot-Watt University can then be made either by taxi or local bus from either rail station please see below for further information. Alternatively, there is a more limited service to Curriehill station, which is a short walk from the main campus. For further information visit or Travel by car Edinburgh Conference Centre at Heriot-Watt University is situated half a mile west of the Calder Junction exit from the A720 city bypass. The bypass connects with the: A8/M8 and M9 (West and central Scotland) A1 (East and south Scotland A7/A68 (Borders and south Scotland) When arriving via the M8 from Glasgow, turn right at the Hermiston Gait roundabout and make sure that you follow the A71 signs for Kilmarnock Detailed route-plans can be created at several sites including and Travel by bus and coach All national coach services to Edinburgh arrive at St Andrew's Square bus station, situated at the east end of Princes Street. Operated by Stagecoach, the X40 departs from Inverkeithing rail station via Ferrytoll park and ride, Barnton, South Gyle, Gyle Shopping Centre, Edinburgh Park and Sighthill. The service operates hourly from 09:00 until 19:00 Monday Friday For further information visit and Local travel Traveline Scotland gives local travel information for bus and rail services Local bus (Lothian buses) The journey to Heriot-Watt University by bus takes about 30 to 45 minutes from the city centre. The 25/25A departs from Princes Street, via Haymarket Station, Gorgie Road and Sighthill. The 25 is the most frequent bus that serves Riccarton Campus, leaving the city centre every 10 minutes during the day and every 30 minutes after 19:00. During peak times, morning and evening, Monday to Friday, the 25a provides an additional service to Riccarton Campus. The 34 departs from Ocean terminal via Princes Street, Fountainpark and Sighthill. The service operates Monday to Friday from 06:00 until 23:00, leaving every 15 minutes during the day and every 30 minutes after 20:00. The 45 leaves from St Andrew Square via the Mound, Tollcross, Bruntsfield, Colinton and Currie. The service operates every 30 minutes Monday to Friday from 06:30 until 18:00 The 25 runs until midnight, after which Lothian buses operates the N25, a hourly night bus to Edinburgh Campus from Waverley train station via Princes Street, Haymarket, Gorgie and Sighthill. All Lothian buses daytime bus fares are Please note exact change is required. Bus service schedules are subject to change and enquiries should be directed to Lothian buses or First Group, particularly as tram lines are currently being constructed throughout the city. For further information go to and Taxi There are a number of taxi services in the centre of Edinburgh including those at Waverley Station (rail) and St Andrew Square (coach station). The journey from the city centre takes around 30 minutes. Central Radio Taxis +44 (0) and City Cabs +44 (0) provide licensed black cabs that can be pre-booked; at the Riccarton Campus taxis can be booked from the main reception desk. Cycling Information on cycle routes and where to lock bikes can be found at Car parks Car park C is for visitors to the conference centre and is free of charge. Residential participants should park in car parks A or B. Residential and non-residential guests may use either car park but vehicles are left at owners risk. 3
6 General Information Early arrivals Registration will be available from 15:00 18:30 for those participants who arrive on Monday 25 August. A welcome reception has been organised in the Portrait Corner of James Watt Centre I for those participants arriving on Monday. Places are limited and must be booked in advance of the conference. An optional evening meal is available on campus on Monday 25 August at a cost of You can now book online. Conference registration desk The registration desk will be open during the following times: Monday: 15:00 18:30 Tuesday: 08:30 18:30 Wednesday: 08:30 18:30 Thursday: 08:30 18:30 Friday: 08:30 13:45 All participants will be given a registration pack containing conference material, a conference badge and tickets for social events. There will be no tickets for refreshments and lunches; instead participants should wear their badge. Please note that participants must wear the conference badge at all times during the conference. A conference badge will be handed out to participants with their conference material when they register. Participants that have registered for the Industry Technology Programme only (see the daily ITP fee listed on the Registration Form), will be given a red badge upon registering. This registration does NOT include attendance for any of the main conference sessions or social activities. The organisers strongly recommend that all participants check their confirmation letters to ensure their booking is correct. Please note that it will not be possible to amend your bookings onsite. Lecture theatres All sessions will take place in the James Watt Centre 1 and the Hugh Nisbet Building. Participants should check the programme for exact room locations. Beer and soft drinks will be served with the poster session on Tuesday evening. Presenters giving a poster should read the Instructions for Presenters section carefully. Cloakroom facilities A cloakroom is located in the entrance of James Watt Centre II which guests are welcome to use but the University respectfully reminds guests that property is left at owners risk. Participants should make sure not to leave any valuables in the cloakroom or any other conference area, as organisers cannot be held responsible for any loss of property. Messages A message board will be placed in the proximity of the conference registration desk. Participants should check regularly for messages, as an attempt to locate participants will be only made in case of extreme emergency. Any urgent messages can be left during the registration opening hours on the Photon08 Registration Desk Number: +44(0) and +44(0) Campus Facilities Participants have use of a range of facilities on campus: General store offering an extensive range of produce, toiletries and gift ideas The picturesque sunken garden with woodland campus walks and a jogging circuit Bank and ATM Launderette details are available from the University main reception desk Medical Centre Bookshop In addition to this, residential participants may use the sport and exercise centre. The centre has a multi-gym and cardio-vascular suite, squash, tennis and badminton courts, a jogging circuit, a general all-weather pitch and outdoor rugby and football pitches. Admission cost is Pay phones Pay phones are located in the main reception foyer; between the bookshop and Microbyte catering facility on the lower ground floor of the Hugh Nisbet Building plus the entrance foyer of each residence building. ATM Machines The ATM located outside the main reception to the University charges for withdrawals, while the machine located next to the bank on the lower ground floor offers a free service. Poster sessions All poster sessions (Tuesday Wednesday) will be located in Great Hall, James Watt Centre II. Please see the programme for exact timings. 4
7 General Information Bars The James Watt Centre I bar will be open on Monday evening until 22:00. Café Brio offering a selection of bottled beers, plus some optic spirits will be our public bar which will be open until 22:00 each evening Monday-Friday inclusive. Restaurants The main reception desk carries a variety of publicity leaflets advising guests on various restaurants in and around Edinburgh. In addition there is information on fast food outlets which will deliver on site for those guests arriving late. Restaurants below are approximately minutes car journey from Heriot Watt. Residential participants Every guest room is equipped with an ethernet data port allowing participants to connect their laptop computer and benefit from, high-speed, internet access. Participants need to supply their own RJ-45 cable to access the network. *Charges may apply Accommodation Arrivals and departures Please book in to your accommodation at the main reception in the James Watt Centre. Keys will be available for collection from 14:00 onwards on the day of arrival. Participants are asked to vacate their room and return their key to reception by 10:00 on their day of departure. Luggage may be left temporarily in the baggage room at James Watt Centre reception, subject to availability. James Watt Centre Reception is open 08:00 21:00 daily, but check in and assistance are available 24 hours a day. The reception staff can be contacted by telephone on +44 (0) or by at eccdesk@hw.ac.uk The main reception desk will carry current bus timetables which will be available for guests. In case of emergency please dial 2222 from your bedroom, or +44(0) from an external telephone or use a red telephone situated in all residential blocks plus at various points within buildings on campus. The venue requests guests read the fire evacuation notice displayed in all meeting areas and bedrooms so they become familiar with procedure and recommended route of escape. Lunch A selection of cold finger buffet lunches will be served in Great Hall, James Watt Centre II at the times indicated in the programme. Dinner, Monday 25, Tuesday 26 and Thursday 28 August A sit-down dinner has been arranged for those participants who have pre booked this option upon registering. The self-service dinner will be held in the Middle Floor Mezzanine Dining Room and will start at 17:30 and is available until 20:00 when the dining room closes. Last orders for dinner will be at (Dinner tickets will be included in your pack if you have pre-booked). 5

Wednesday 27 August, 18:45 Conference dinner at Our Dynamic Earth The conference dinner will be preceded by a drinks reception kindly sponsored by Marks & Clerk. The Photon08 Conference Dinner will be held at Our Dynamic Earth. The dinner will held in the Stratosphere. Our Dynamic Earth is a unique attraction, based in the heart of Edinburgh which offers you the opportunity to see, read, listen and even feel your way through our planets history, present and future. You will visit the Earthscape Galleries which will consists of the Rainforest, Journey of Contrasts and the Polar galleries. Your musical entertainment will be provided by a Scottish Piper and Fantoosh. It also offers stunning views of Salisbury Crags, the Palace of Holyrood House and the Scottish Parliament. 9 Instructions to presenters Instructions to presenters Oral presentations Each lecture theatre will be equipped as standard with the following audio-visual equipment: Data projector PC/laptop with PowerPoint facilities (Office XP and Windows XP) Laser pointer : Please note that in order to comply with Health and Safety regulations, a laser pointer is only available in the main auditorium of James Watt Centre 1 Speakers wishing to use of additional audio-visual equipment or intending to present from a Macintosh computer are asked to contact Jon Mackew (jon.mackew@iop.org) prior to the conference. All posters will be displayed in the exhibition area of the James Watt Centre II Each presenter is responsible for ensuring that their poster is displayed in the correct session on the board allocated, as specified in the conference programme. Presenters should ensure that their poster is displayed by 09:30 on the day of their session, and is taken down before 19:00. Although organisers will endeavour to save poster material, no guarantee can be made for posters not removed at the correct times. Presentations Speakers are asked to introduce themselves to the chairperson at least 10 minutes before the start of the session. Speakers intending to use PowerPoint are requested to bring their presentations on CD or USB memory stick and preload them on PC located in the lecture theatre. Speakers should save their presentation into the appropriate pre-named session folders preset on the desktop and files should be saved by speakers surname and initial. To optimise compatibility, particularly for the inclusion of multimedia components, PowerPoint presentations should have been saved using PowerPoint s Package for CD facility. Direct connection of personal laptops (with set up in the break prior to the corresponding session) is an acceptable but not preferred alternative. Some of the lecture theatres are large, and speakers should use a minimum font size of 15-points in PowerPoint slides to ensure legibility. Speakers intending to use overhead transparencies should ensure that the slide is legible if held at arms length. Each poster board measures 2m high x 1m wide (portrait) and all boards are Velcro compatible. Posters must fit within these dimensions. Velcro will be provided.
