1 February 2016 Dear FWSA Club Presidents and Convention Delegates: Welcome to the Far West Ski Association s 85 th Annual Convention to be held for the first time in the fabulous city of Boise, Idaho, hosted by the Bogus Basin Ski Club and Intermountain Ski Council. This year we feature 3 Snowsports Leadership Academies, a change in the Travel Expo format, and a community supported Fountain Party on The Grove Plaza. This Convention is not to be missed! Enclosed you will find the registration materials for the Far West Ski Association s Convention, Wednesday through Sunday, June 7-11, 2017 at The Grove Hotel and Boise Centre, Boise, Idaho. Deadlines: May 8, 2017 is the deadline for early registration of $159, a savings of $16. The price goes up to $175 on May 9. May 8, 2017 is the deadline for submission of ALL event fees. These include Wednesday s A Taste of Idaho, Thursday s Rafting on the Payette River and a Wine Wobble & Pub Crawl and Friday s 11 th Annual Michael German Memorial Golf Tournament, A Day on the Mountain, and Boise Greenbelt & Nature Center Biking. May 22, 2017 is the deadline for fees at $175. Fees go up to $190 beginning May 23. Submit all forms and payments to: FWSA Registrar, c/o Karen James, 1812 Vickers Drive, Glendale, CA Economic Relief Program: FWSA offers an "economic relief" program to provide a ski club the opportunity to send more delegates to the Convention. For every six (6) delegates that have paid the full registration package by the registration deadline of May 8, the club will receive a rebate of one (1) paid registration after the Convention (limit of one rebate per club). Make Your Hotel Reservations NOW!: Lodging at our group rate (double occupancy) is available at The Grove Hotel. Per our contract, we have NO RESORT FEES and FREE IN-ROOM WI-FI. Refer to the enclosed flyer for the FWSA contracted room rates for our group. The Grove Hotel is located at 245 S. Capitol Blvd, Boise, ID 83702, Make your reservations by calling or , Option 1, and give them our Group Name: Far West Ski Association. You can also book your room reservations on-line at our special FWSA site at: lodging. Make your room reservations before May 16, when the room block is released. Once our room block is released, The Grove Hotel WILL NOT be holding our group rate. We cannot guarantee you will be able to book a room after the room block is released, and you will not get the group rate. Transportation Information: Flights should be booked in and out of Boise Airport (BOI) located just 10 minutes from the hotel. The Grove Hotel provides complimentary shuttle service to and from the airport. When arriving at the airport call and ask for the Front Desk. The Boise Express will pick you up. It runs every half hour to the airport, but if you call they know they have a pick up. Clubs: Assign a Delegate Chairperson and Convention Delegates Convention delegates are those who will have voting privileges at the Sunday business sessions. It is very important that they be designated as voting delegates and attend the Sunday sessions (8:30 am 1:00 pm). All individuals submit their Registration Form and fees directly to the Convention Registrar. If you want to submit a club check, you MUST contact the Convention Registrar to make arrangements. The ski club needs to submit their Delegate Credentials Form to the Convention Registrar. The registration materials are also available in PDF format on the Convention website at 2. Registration Form One for Each Attendee Enclosed are copies of the Convention Brochure with the Registration Form. Each individual attending the FWSA Convention from your club fills out the Registration Form and mails the form and check to Karen James, 1812 Vickers Drive, Glendale, CA They need to record their registration selection(s) on their Individual Registration Form. It is very important that the registration type (i.e., Delegate, Alternate Delegate, Non-Voting Delegate, FWSA Direct Member or Guest) be marked on the Form. 3. Online Registration Convention attendees have the option of registering online. Go to the 2017 Convention site on to link into the site. In order to register online, you MUST pay online. 4. Delegate Credentials (Affiliated Member Voting Bloc) Form Refer to the "Affiliated Member Voting Bloc Schedule on the form to calculate the number of voting delegates your club can register for this year's Convention based on your current number of members. Record the names of the designated voting delegates to be registered from your club. You must attach your Club's current Member Roster (names only, please) to your Delegate Credentials Form. DO NOT include non-members or prospective individuals who are pending full active membership in your club. Note: Delegate numbers will only be issued to those: Who are listed as a member on your Club Roster. Who are listed as a Voting Delegate on your Delegate Credentials Form. Whose payment of their Convention Registration has been received by the FWSA Convention Registrar. Whose Individual Registration Form has been submitted to the Registrar. 5. Optional Activities Delegates can register for the optional activities NOW, on the Registration Form anytime prior to the May 8 deadline. Some of these activities are expected to sell out, so delegates should not delay in sending in their payment. Make checks payable to FWSA. Delegates who do not intend to be at the business meeting should be classified as non-voting. Inform each delegate of their individual responsibilities, general Convention program and special invited guests. Remind any of your members who are attending the FWSA Convention for the first time to attend the Convention 101 Orientation on Friday, June 9 from 3:30 4:00 PM led by Jane Gutierrez, FWSA VP of Membership. The location will be listed on the Schedule of Events. Convention Delegate Responsibilities Attend council caucus on Saturday and participate in voting on Sunday during the business portion of the Convention. Be cordial and respectful to invited guests and industry representatives. Respect the industry seating arrangement at each table for Saturday lunch. Display honesty and integrity in representing your ski club to the industry.
