2 What is the Historic Traveling Camporee The Historic Traveling Camporee is a three-day weekend adventure by chartered bus. It is an event designed to expose our Boy Scout youth and leaders to, and expand their knowledge of, our country s heritage. It is fun, educational and one-of-a-kind ~ one of Scouting s mountaintop experiences. Out of almost three hundred councils across the United States, Northeastern Pennsylvania Council is the ONLY Boy Scout Council to host Traveling Camporees on a biennial basis on this large a scale. How many opportunities do YOU have to participate in a weekend Camporee by chartered bus? On this year s exciting trip, we visit the Historic Triangle of southeastern Virginia; and see what life was like for 18 th century Americans at Colonial Williamsburg; explore re-creations of America s first permanent English colony at Jamestown Settlement; and learn about America s fight (and victory) for independence at the year-old American Revolution Museum in Yorktown! In 1607, thirteen years before the Pilgrims landed in Plymouth, a group of 104 English settlers made a 4½ month voyage across the Atlantic to the banks of the James River in the hopes of a new and successful life. At Jamestown Settlement, you will learn how the settlers coped with the harsh realities of an unfamiliar environment, and how the Powhatan Indians of Virginia adapted to their new neighbors. That story comes to life outdoors in full-scale re-creations of the colonist s fort and a Powhatan Indian village, as well as a riverfront pier with re-creations of the three ships that brought the settlers to Jamestown! At Colonial Williamsburg, along with a tour guide from nine to noon, you will spend the day immersing yourselves in the daily life of the 1770 s in this 300-acre city of working trade shops ~ including the apothecary, printing office, blacksmith, tin smith, and much, much more. Explore over 35 historic sites and 22 trade sites including the Capitol, where the people s representatives voted for independence, the Governor s Palace, where the British king s appointed ruler lived in opulence. Visit with the period actors in costumes as they walk the streets calling for the end of British rule; and train with the soldiers, also in period costume as they prepare for the upcoming battle for independence! At the American Revolution Museum at Yorktown, you will experience the Revolutionary world from the frontlines to the supporting roles, all within musket range of the original Yorktown battlefield. You will experience musket, mortar and cannon-firing demonstrations and marching lessons on the drill field. Enlist in the Continental Army, explore your sleeping quarters in the soldiers tents and learn how to cook hardtack, and much, much more AND end the day with a Ghost Tour! 4 FEE: 2018 Historic Traveling Camporee Information Sheet Updated 2/18/18 $240 per person Fee includes transportation, all meals, camping at Chickahominy Riverfront Park, admission to all venues and Camporee patch. Optional expenses may be souvenirs, snacks and/or added attractions as decided by your individual troop or crew. WHO CAN GO: By Troop or Crew at least two registered adult leaders MUST BE in attendance from each Troop or Crew registering. Reminder: ALL leaders and/or parents MUST be registered with their Troop or Crew and MUST have completed Youth Protection Training and PA Background Clearances! 2 nd -yr. Webelos if invited by their Troop only! (MUST attend with a parent, who must be registered with their unit first [if not already registered as a leader], and will need to complete Youth Protection Training and PA Background Clearances!) Individual Scouts, meaning any registered Boy Scout or Venturer individual Scouts MUST go with a parent or connect with a Troop or Crew already signed up. (Note: If not already registered, the Scout s parent must register with their Troop or Crew first and will need to complete Youth Protection Training and PA Background Clearances.) Note: Please remember this is a weekend campout accompanying adults (and Scouts) MUST be prepared for all contingencies. You WILL be doing a LOT of walking!!! RESERVATIONS: A $50.00 non refundable deposit for EACH individual attending will reserve your seat. PLEASE NOTE: Deposits may be transferred to a new participant, but cannot be returned OR transferred to an individual already registered! Deposits made by March 31 st will guarantee you a seat on a bus! After March 31 st, as buses fill up, you may be placed on a waiting list until there are enough reservations to fill the next bus. Don t delay this trip is going to be a popular one! After your initial deposit is made, payments can be made in $35/$40 increments, or paid in full at any time; however, whatever way you decide to pay, payment in full is due on or before September 8 th, Any payments made after September 8 th will be required to add a $25 late fee! DRESS: Class A Scout field uniforms ARE REQUIRED! (pants, shirt, socks, belt & Scout hat). This is the uniform of the Boy Scouts of America. Remember, we are going to be ambassadors of our Northeastern Pennsylvania Council AND the Boy Scouts of America. PLEASE keep shirts tucked in! General neatness is the order of the day. NO camouflage clothing is allowed! (Leaders and Senior Patrol Leaders are responsible for enforcing these rules.) Should you need it, here is a link to the official Boy Scout and Scout Leader Inspection forms: TRANSPORTATION: We will be using Avery Transportation, Inc., 47-passenger, climate-controlled motor coaches with restroom facilities. Departure time from PNC Field (Yankees Stadium in Moosic) will be 5:30 a.m. on Saturday, October 6 th. Plan on arriving at the stadium at 4:50 a.m. for our 5:30 a.m. departure. Return arrival time will be approximately 9:30 p.m., Monday, October 8 th (dependent on traffic). Cars may be left in the stadium s parking lot over the weekend. You MUST park them back along the tree line on the administrative side (right side) of the stadium. Keep in mind, that the stadium will not be responsible for your car, so leave it at your own discretion! WHAT TO BRING: See equipment list further down in this packet. WHAT NOT TO BRING: Because of limited space on the bus, NO large, external frame backpacks, fold-up cots, foot lockers, large picnic coolers or other unnecessary gear will be permitted. A duffel or gym bag is best. AGAIN MARK YOUR NAME or INITIALS and UNIT NUMBER ON YOUR GEAR! Make sure everyone has counted how many pieces of equipment they came with, have written it down and have counted that equipment before leaving the bus to go home! Due to ICC regulations, NO liquid fuel or propane tanks or canisters may be carried on board or in the underneath storage bays of the bus!
5 Northeastern Pennsylvania Council 2018 Historic Traveling Camporee Leader s Checklist Updated 2/20/18 ALL participants MUST use the Individual Registration Form found inside of this packet!! This form MUST be completed by the parent or guardian of the attending Scout and MUST be complete!! A BSA Consent Form ( must be completed by a parent or guardian for each Scout under the age of eighteen, even if the Scout s parent/guardian is accompanying them on the trip. These consent forms MUST BE signed by BOTH parents and must be in the possession of the trip leader, or their designee at all times. All participating Scouts and adults MUST HAVE a current (one year old or less at the time of the trip) BSA Health Form (signed by a doctor) can be a copy, but HAS to be legible and complete! (By complete, we mean up-to-date listing of all immunizations, no missing signatures, and name and identification number of your Health Care company. Note: If you do not currently have health care, write NONE in that space.) These health forms must be the actual paper form not on a thumb drive and must be in the possession of the trip leader, or a designee, at all times! Important: If your troop keeps all of their member s health forms in a binder, they MUST make a legible copy of each participant s form to bring along on this trip!! (Note: Just a reminder because of HIPA laws, health forms should be kept as private as possible.) If you cannot get an appointment with your doctor to sign your Health Form in time for the trip, consider using a walk-in medi-center!) Again: Make sure all signature lines are signed and immunization information is either attached or written in for BOTH youth and adults! All participants must have some form of identification on their person at all times. If necessary, you can use a handmade ID card, with picture, if possible. A Group Photo of all youth and adults participating from their unit to be carried by the unit leader or their designee. TO BE CLEAR the trip leader, or their designee, must have in their possession, at ALL times, the following items: Health Form for ALL participants Consent Form for ALL youth participants A Roster of ALL participants who are traveling with your unit. (NOTE: This roster will be provided to you by Trip Personnel.) A Group Photo You have reviewed the equipment list with all your participants! Make sure your Scouts and adult members bring gloves, hats, warm coats, long underwear and rain gear in the event of a cold and/or rainy weather forecast. We will be outside a large majority of the time. Be prepared! EVERY adult attending this trip MUST have completed Youth Protection Training and PA Background clearances! On-line Youth Protection Training can be accessed at the following link: We are the Northeastern Pennsylvania Council #501. If you are not yet registered, you must complete this training and your PA clearances before submitting your BSA Adult Registration form. Print off a copy of ALL certificates before exiting the on-line training site and staple to your BSA Adult Registration form before submitting to the troop s leadership (for signatures); and who will then submit to the Scout Service Center to be processed. Your unit leaders can direct you to the PA Background Clearances site. Trip Leaders please be aware of any medical conditions of your participants that may be the cause of concern in the event of a medical emergency. Be aware of any medications, allergies, medical devices, such as EpiPens, inhalers, etc. that leaders should make our trip s first-aid personnel aware of in the event of an emergency. Be aware of any food allergies or preferences (vegetarian, gluten-free, etc.) among all your participants. Please relay this information to the Pat Gibbons ASAP so that adjustments can be made for bag lunches, breakfasts, etc. At least ONE leader from your unit MUST attend the pre-trip Leader s Meeting scheduled for: Sunday, September 16 th, 6:00 p.m. at the Scout Service Center!
6 Adult & youth involvement in planning your Traveling Camporee experience! Assign an adult/s to work with your Troop or Crew s youth leadership. Patrol Leaders will work with their patrol members and report back to the Senior Patrol Leader as needed. Make sure adult and youth leadership have access to the registration packet for informational purposes. Plan and carry out a parent s information night so that everyone is on the same page. Checklist for Adult leadership: Trip fees have been paid. An up-to-date list can be obtained from pgibbons251@verizon.net All participating adults are registered members of the BSA and have completed Youth Protection Training and PA Background Clearances. A group picture has been taken of trip participants. Your trip leader has cell phone numbers for all adults and youth attending (for those who have cell phones). Health forms, signed by a physician, have been collected for each adult. Note: must be a legible copy. All participating adults have a form of identification on them. Checklist for Senior Patrol Leader. Senior Patrol Leader will task each Patrol Leader to assign a patrol member for each item. Once paperwork and information have been collected, Patrol Leaders and Senior Patrol Leader will combine information with the assigned adult leadership. Note: your unit will probably have to assign new temporary patrols for this trip, along with new temporary patrol leaders and possibly a temporary senior patrol leader. Trip fees have been paid. An up-to-date list can be obtained from pgibbons251@verizon.net All participating youth members are registered members of the BSA. Health forms, signed by a physician, have been collected for each Scout. Note: must be a legible copy. All participating Scouts have a form of identification on them. BSA Consent Forms have been signed by the Scout s parents and have been collected. Assist the assigned adult leader with the roster and collect youth cell phone numbers if any. Prior to the trip, review each venue. Assign Scouts to be responsible for discovering something of interest regarding each venue that they will be able to share with your group during our trip. Review requirements for American Heritage, Citizenship in the Nation and Indian Lore merit badges. You may be able to accomplish a few of these requirements on our trip. See Assign sleeping arrangements. Have a plan in place for placement of tents. Bring a marker or small sign with your name & troop number on it to stick into the ground in front of your tent (or, hang on your tent). Use an identifying feature to mark your leader s tent. A glow stick works well! Remind Scouts that Class A (field uniforms) must be worn the whole weekend except while in camp. Remember, no one should be wearing camouflage clothing. If rain is indicated, remind Scouts to pack extra clothing inside Ziploc bags. Scouts should wear their uniforms to the bus on Saturday morning and will be required to wear them ALL weekend, except when in camp. Make sure ALL equipment is marked with each participant s name or initials and troop number. Use duct tape or waterproof tags for this task. Each troop is responsible for enforcing this rule. Assign someone to bring extra duct tape and a black marker with you on Saturday morning. Remind Scouts that any personal equipment they bring onto the bus must be able to fit into the overhead compartments. If they are bringing cold drinks, a soft-sided cooler is best. Remind Scouts to bring their personal first aid kits. If rain is indicated, bring two tarps - one to set your equipment on and one to cover it while you set up your tents. Ask for volunteers to bring pedometers. You will be doing a lot of walking. Patches will be presented to you at a leader s meeting during the trip. Remind Scouts to be neat and keep shirts tucked in at all times. We are representing the Northeastern Pennsylvania Council and the Boy Scouts of America. We want to leave a good impression on everyone we meet. Remind Scouts to follow the Scout Oath & Law and be kind and courteous to all they meet! Remind participants to use the Leave No Trace method of camping at ALL times this includes at our campsite, during the use of the camp s restrooms & showers, and restrooms at the restaurants & venues! Remind Scouts to be neat and keep shirts tucked in at all times. We are representing the Northeastern Pennsylvania Council and the Boy Scouts of America. We want to leave a good impression on everyone we meet. Remind Scouts to follow the Scout Oath & Law and be kind and courteous to all they meet.
