Business arising from correspondence: Nil Presidents Report: As per mag plus - Nigel spoke of the recent and sad passing of Mark Anderson funeral being Monday 16 th. - Notice of four new Members - Reminder of the working bees at Warburton for 30 th celebrations and a summary of events. - Discussion around various aspects of membership definitions and impacts on insurance clarification sought from FWDV currently awaiting response. - Chainsaw Certificates not all received as yet to be followed up. - Otherwise a good outlook with several social events and trips planned. All welcome. - Visitor Gary Wragg advised all of free Health Expo at Rosebud Bowls Club this coming Friday (13 th ) also invitation to barefoot bowls. - Clive gave notice of possible night drive between Cup w/e and Christmas will research and advise watch this space. COMMITTEE MEETING MINUTES 31 / 10 /17 Meeting Opened: 7.55pm In Attendance: Nigel Smith (Pres); Rob Auty (Vice Pres); Ken Winn (Sec); Peter Strang (Treas); Don Jukes (Trip CoOrd); Sue Freer, (Soc Sec); Clive Bremner (Delegate), Jen Rouget (Comms/Mag); Apologies: Nil Visitors: Graeme Rouget; Ivan Freer; Lisa Auty. Minutes of last Committee Meeting 26/9/17 Moved Rob Auty; Seconded Clive Bremner. Business from previous meeting: Nil Correspondence: Various s re membership follow-ups. Mags to visitors FWDV Reminder re AGM. Business arising from Correspondence: Nil Presidents Report: - To be as per Mag Vice Presidents Report: - To be as per Mag. Treasurers Report: For past month income $ ; Expenditure $ leaving a balance of $7, full details to be published in mag. Trip Co-Coordinators Report: Details to be as per Mag. however it was noted that the Just Mates 4x4 track clearing day in Gippsland did proceed with Clive having attended. Despite good intent, only about 3 hours work was required for the day. Don also advised that re Club Rego, that despite being nearly ready to make application, more work is first required in respect to having proper processes in place to deal with any subsequent application particularly as there could be an insurance risk if proper processes and records are not observed/maintained. Communications Report: all good. Social Secretary Report: 30 th Celebrations - Much discussion followed around the celebrations and various arrangements being put in place. Christmas Party 3 rd December to enable the purchase of suitable presents etc, Sue advised that she required details of children to be advised to her by no later than next Club meeting. Jen to also make mention of this incoming mag. Agreed that cut off age of 14years apply. Delegate s Report: Nothing to report at this stage other than coming FWDVAGM on 13 th November both Clive and Nigel likely to attend. General Business: New Member applications for Lisa Marshall tabled and approved. Family Membership Definitions Nigel advised no response from FWDV as yet. Memberships Generally Ken confirmed that as at date the Club membership stood at 62 with actual number of members being 106. Club Uniform Items - Having obtained an updated price list from suppliers, Peter sought confirmation of Clubs approach re sale of items to Members. After discussion, agreed we make defer discussion and outcome until next committee meeting. Donation of Fire Ring David Auty has kindly donated a large stainless steel fire ring to the Club for our use and or disposal as we see fit (e.g. as raffle fund-raiser). In making the donation he advised that he would not be liable for any misuse or injuries arising from it. Club s 30 th Anniversary - Much discussion around the organisation and events planned over the weekend everything seemingly under control with a few minor items to be sorted. Confirmed that the mugs had been received and with anticipated numbers attending expected to be around 105, remaining mugs after distribution can be sold on the day or at coming meetings.. 5 PRESIDENT S REPORT Presidents Report G Day All I hate to be the bearer of bad news but there are only 46 days left to Christmas!! It s been all-go since returning from Straddie and in the last 59 days we have had a Bunnings BBQ, participated in Camp Host, had 2 working bees and our 30 th Birthday Bash! And for the balance of the year we have a fund-raising BBQ at Tasman Meets in Rosebud, FWDVIC AGM, a Driver Training Theory Night, Driver Training Practical Day combined with a day trip open to all members and the annual Christmas Party. And looking to next year, we will have a trip over the Australia Day Long Weekend (as Australia Day falls on a Friday 26/27/28 January 2018 and the Hut2Hut Events which has been confirmed for 16/17/18 February 2018 based at Lovicks Hut and AAWT as we were last year. The 30 th Birthday was a great success with around the 100-people rocking up to the event and having a great time with good food, great music, and a chance to catch up with the older and newer members. If you were not there on the night, Alex Garis was awarded the (newly re-named) Phill Young Club Member of the Year Award and it was presented by Marianne Young and her family. The very hotly contested Breakdown Award was awarded in absentia to Jack & Barb Andruch for their antics on the Mt Margret Track last year. We will present that to them ASAP! As always, I am looking for ideas for new trips and hopefully, for someone to lead it! One trip that was discussed and seemed popular over the weekend around the fire was a 3-day trip taking in Mt. Blue Rag, Bulltown Spur, Crooked River Track, up Billygoat Bluff and over the high plains to Licola. Vehicle numbers would have to be limited OR a second trip leader found to cater for extra vehicles. If you have any other suggestions we have another 3-day weekend in March, this year please talk to either Don or Rob about it so we can explore it and get it organized. Any social event ideas would be good to so please feel free to talk to Sue about those. On the Club front, we have had a number of new members join the Club over the last month or two, which is always encouraging, and there are a number of new memberships in the pipeline so if you see someone at the meeting looking a little lost, please make sure you say g day and make them feel welcome to our Group. Financially, most of the 30 th birthday expenses have been paid and while I don t have the final figures, things are looking pretty good for us heading into the new year with a health bank account behind us. OK, that s enough from me, but as always please feel free to contact me with any suggestions, criticism s or ideas all input is valuable! See you at the meeting so cheers for now. Nigel

8 SOCIAL SECRETARIES REPORT Hi all, well it all most Christmas time, please put your kids name and age down for Santa, the cut off point is at the meeting on Tuesday night, 14 years and under. If you could bring something along to the meeting for the hamper would be good. the party is at Red hill on Dec 3,it is bring your own everything, food brink table and chairs. There are no barbeques there. Tasman Meets sausage sizzele is Saturday Nov 18th if you could let me now if you cane lend a hand. Cheers Sue Order your homemade pudding for Christmas Dinner $30 will feed 10 $50 will feed 20 Contact Sue Freer to order.
9 The Club s 30 th Birthday Party With around a 100 people attending the party I think it is safe to say that most of us know what a great success it was! There are also lots of pictures and as we all know, a picture tells a 1000 words particularly those Graeme, Mal and Frank up on the stage belting out the tunes with Jack and his band! The weekend was also a great mix of social, touring and 4x4 events. The major event was obviously the Party on Saturday night, but a large number of people stayed on a few days, some of us all 4 days, and were able to participate in sight-seeing tours to places like the redwood forest, Mt. Donna Buang, the Bakery as well as a couple of moderate and muddy 4x4 tracks around Big Pats Creek. And let s forget the drives, the night drives and the recoveries on the property itself! For me, there were many highlights that make the work and the effort all worthwhile. It was great to see: Member s step up and get the job done without having to be asked or driven. For example, Graeme and I went out to help with a couple of recoveries on Saturday afternoon when we had planned to be around to oversee the spit roasts. We came back to find it all under control and on-time! Watching Geoff slipping and sliding on a muddy slope letting the Triton s tyres down, then looking at me and saying I know Nigel, tyre pressures, tyre pressures, tyre pressures! and then watching him drive out unaided! Great to see the driver training, experience, and influence all coming together to make us better drivers; All the kids actually playing (and interacting) with each other and the adults rather than their b!@#%y iphone! It s good to get dirty, to build up the fire and cook a few marshmallow s. The guys getting up on stage to belt out a few numbers; Sitting around the camp fire until 4.00am finally able to relax with a few diehards share a glass or port or 3! Our young adult members being a part of the group and not wandering off away from the oldies. The members like Chris and Pip, Pete and Sarah, Matt R, Rylan and Matt A all participating as equals, the Club has a bright future; Matt for leading his trip up and around Big Pat s Creek and then another trip(s) for those who really wanted to get muddy! and For those who stayed until Tuesday, still having the enthusiasm, despite being tired after 4 big days and a lot of cleaning and tidying up, to get dressed up and have our own Melbourne Cup celebration. There also has the be the thank you s! I know I said it on Saturday Night, but it really needs to said formally as well. Jenny and Graeme for making the property available to the Club for the event. Dare I say that it is almost the perfect venue for us. Also for all the work as part of the organizing committee and all the work behind the scenes on the weekend.

16 TRIP LEADER GUIDELINES: To be a legal and bona-fide club trip with insurance. 1: The trip must be open/advertised to all club members (vehicle limit and/or number of participants is at the discretion of the trip leader. There must be a minimum of 3 vehicles to constitute a club trip.) 2: The Trip Co-ordinator must be notified of any proposed club trip. They will then complete a Trip Form to be available at Club meetings for members to accept and provide their details, and forward all details to Communications Officer to be placed in the monthly mag, on Facebook and members as required. 3: All visitor forms must be completed and fees collected before commencement of trip. It is the member s responsibility to notify trip leader of visitors ahead of time. (Please note that trip leader has the right of refusal of participants) 4: Trip leader should carry leader folder and club first aid kit (available from Trip Co-ordinator at meetings or by arrangement) In the event of an incident, the Trip Co-ordinator or President MUST be informed of incident as soon as practical. 5: Ensure all participants have a completed medical form with in their vehicle. 6: Ensure all participants sign the participant s log form and a photograph copy of this is provided to another responsible club member. 7: Check every participant s vehicle s recovery points are adequate for the trip and that all participants are carrying appropriately rated recovery gear. (It is the vehicle owner/operators responsibility to ensure they are RATED sufficiently for their vehicle) 8: Use standard convoy procedures and adopt driving in a sustainable environment as found on the Vic 4WD website. 9: Be sure to set up all convoys with a mix of experience drivers and novices, insuring Tail vehicle is suitably experienced and has radio contact with lead vehicle. 10: Allow adequate breaks. For example lunch/tea breaks every 2 hours. TRIP LEADER CHECKLIST: Check road/track conditions are suitable day before trip. Ensure each vehicle has completed medical forms for every participant and participants log form is signed. Collect completed prospective members/visitors forms and fees. Check for adequate recovery gear and visual of vehicles suitability for track. Check maps and/or sufficient personal knowledge of proposed route. Review group for experience and order convoy accordingly. Check experience of new members/visitors and position in convoy accordingly. Ensure everyone understands convoy procedure. Ensure Tail End Charlie had adequate experience and radio contact. Confirm radio channel. Quick pre-trip briefing to go over any last minute details before moving on.
