Any activity outside these times must be pre-arranged with AECC Exhibition Manager and any activity which incurs additional overtime labour will be invoiced to those companies requesting this service, otherwise the hall will close and be unavailable for additional working hours and alternative arrangements will have to be made. Established in 1964, The Skipper has grown into Europe s leading commercial fishing industry and seafood sector publication. We sell on average 4,500 copies each month, with bonus distribution at all our shows and have over 50,000 followers on social media. All Visitors will have free access to these publications which will be distributed at your next show. Exhibitors will also receive both publications in their exhibition packs. 5 IMPORTANT INFORMATION FOR ALL EXHIBITORS Please take a moment to read through the below important points: GENERAL SECURITY During build up days on Wednesday 23rd and Thursday 24th May, all exhibitors and contractors will be issued with a wristband upon arrival at the East Entrance of the Arena, which will be required to be worn at all times during these days. DURING BUILD UP ON WEDNESDAY ACCESS WILL BE THROUGH THE EAST ENTRANCE ONLY & THURSDAY ACCESS WILL BE THROUGH DOORS 7, 20 THE EAST AND WEST ROLLER DOORS. During show open days on Friday 25th and Saturday 26th May, all exhibitors must enter via the dedicated Exhibitor Entrance at the main registration area and must ensure that your exhibitor badge is worn at all times. Please be advised that as part of AECC Admissions Policy, bag searches will take place on show open days for all exhibitors and visitors. Available access doors for use during set up and breakdown - see our floorplan and page 10 for more information. STAND OPERATION Activities which may inconvenience or disturb the conduct of the Skipper Expo Int. Aberdeen, will be subject to approval by the Organisers, i.e. promotional gimmicks, raffles, musical entertainment and the use of animation and sound equipment. Without special permission from the Organisers, delivery of exhibits cannot be taken onto your stand once the show has officially opened, nor removed from your stand before closure. If exhibitors wish to remove any display item from the show area, please contact Hugh or Sharon. See list of contacts for details. Exhibitors must give proper consideration to the conditions under which their equipment will be demonstrated. Precautions must be taken for the public s safety. Exhibitors are strongly encouraged to remove personal items from their stand after 5pm on the first day of the show. Fire & Safety regulations require that no goods or packing materials may be stored in access areas behind or between stands. Exhibitors should design proper storage areas with adequate storage access within their own booth or approach Lynne Reilly at AECC for storage. The exhibitor and their staff shall be responsible for any damages to the structure, floor, walls, pillars and any part of the exhibition hall, the property of the organisers and other exhibitors due to transport, removal of exhibits, refuse and/or decoration works. Aisle ways must be kept clear of all exhibition goods or decoration materials in order to facilitate flow of traffic. Exhibitors and Contractors must clear items not for display purpose (e.g. containers, packing items) before show commences. HEALTH AND SAFETY INFORMATION AECC are committed to maintaining high standards of safety and welfare to our colleagues, clients, service partners and visitors. We have a systematic approach to health and safety management designed to ensure compliance with the law, continuous improvement in our health and safety performance and the development of a positive health and safety culture. With this in mind, we ask that all clients and exhibitors comply with our Health & Safety Procedures: During build up and breakdown hi visibility vests must be worn: YOU MUST PROVIDE YOUR OWN HIGH VIS VEST No under 16 s are allowed on site during build up and breakdown 5

6 Only AECC forklift and forklift drivers can work on the site Only AECC riggers may rig at the show venue 5mph limit is in place in all parks No vehicles allowed in the hall unless pre-arranged with AECC Exhibition Manager. ADOPTION OF eguide REGULATIONS All visitors, exhibition organisers, exhibitors and their contractors should be aware that AECC operate under the eguide regulations. The eguide is the common regulative policy for major UK Exhibition Venues and provides guidance for achieving required standards whilst working at AEV member venues. For further information, or to view the latest copy of the eguide, please visit Packages should arrive no earlier Monday 21st May. FREIGHT FORWARDING AND DELIVERIES Please ensure ALL packages are clearly labelled and addressed as follows: COMPANY NAME AND STAND NUMBER SKIPPER EXPO INT. ABERDEEN F.A.O LYNNE REILLY ABERDEEN EXHIBITION AND CONFERENCE CENTRE, BRIDGE OF DON, ABERDEEN, AB23 8BL Packages will be taken to your stand upon arrival at the venue. All packages being collected after the event must be collected by close of business on Tuesday 29th May. Please note, Monday 28th May is a UK Bank Holiday. Any packages not collected post event will either be disposed of, or storage charge will be passed on to the exhibitor. INTERNATIONAL DELIVERIES Any exhibitor shipping goods that require UK Customs Clearance are recommended to employ the services of freight forwarding agent in advance of freight arriving in the UK. All goods must be customs cleared at the point of entry into the UK. Please be advised that any shipments which have not been consigned correctly and duties or taxes have not been pre-paid will not be accepted by the venue. The venue and organisers cannot assume responsibility for this. HEAVY LIFTS AND FORKLIFTING Any exhibitors with heavy equipment for their stand, which requires forklifting, must contact Lynne Reilly at AECC 14 days prior to book in a slot/advise. Heavy lift deliveries should arrive on Wednesday 23rd May where possible. It is vital that any piece of equipment weighing over 1.5 tonnes, or with an unusual weight load makes contact with Lynne Reilly prior to arrival. Failure to do so may result in the AECC Forklift Drivers being unable to secure the load and deliver to your stand. WI-FI AND INTERNET PROVISION Maramedia are pleased to advise there will be a complimentary wi-fi provision at Skipper Expo Int. Aberdeen 6

7 This service is recommended for light browsing only. If you require internet connections for running presentations on your stand, this must be booked separately. High bandwidth Wi-Fi and Hard Wired Internet Connections can be booked via AECC s Internet Supplier, DB Systems. To book, please call , or AECCEvents@dbsystems.co.uk. STORAGE OF EMPTY BOXES DURING SHOW If you require any storage of empty boxes, please make arrangements directly with Lynne Reilly at AECC. Otherwise, exhibitors must arrange for their boxes and cases to be transported back to their own premises. The storage area will not be accessible during show open period. At show close, empty boxes and crates will be delivered back to the stand as soon as the hall is clear and is safe to do so. GENERAL CLEANING Mara Media and AECC will provide general cleaning of the exhibition premises and stands prior to show opening each day. This only includes cleaning of carpet, flowing and rubbish disposal. Cleaning does not include exhibits and displays. It is the responsibility of the exhibitors to maintain the cleanliness of their stands at all times. REMOVAL OF WASTE During set up and tear down period, aisles must not be obstructed with packing materials, construction materials or waste. Contractors building special design stands or stand interiors are responsible for removing their own waste from the site at the end of each day. At show close, exhibitors must remove from their stand all exhibits and waste. Exhibitors are requested to place their waste in the aisle after closing, from where it will be removed by the cleaners at the end of each show day. The organisers reserve the right to charge exhibitors for the cost of removal of excessive packing materials and discarded crates or cartons. SPACE ONLY EXHIBITOR INFORMATION What is included in my space only stand booking? A carpeted space marked out to your stand size. Stand plans, along with Risk Assessment and Method Statement, must be submitted to Lynne Reilly at the AECC a minimum of 28 days prior to exhibiting, contact details on page 2. What additional items do I need to book for my stand? Mains Power and any required sockets must be booked via the AECC online shop here: shop. If you require any assistance, please contact Lynne Reilly at AECC. (Further details below) Any other items, such as AV, can also be booked via the online shop. Furniture can be ordered directly via Inspire Hire. Order forms can be found on pages 12 & 13. IMPORTANT INFORMATION FOR SPACE ONLY EXHIBITORS Space only exhibitors are required to submit detailed stand build plans, along with Risk Assessment and Method Statements to the organisers. Failure to do so may result in prohibition to build on site. All space only stands ordering a mains supply, with the electrical installation being undertaken by anyone other than AECC Electrical Services Department (whether it is a plug and play system or a fixed wiring system), it is the responsibility of the person(s) undertaking the installation to ensure the specifications for installation, as laid out in the manual, have been complied with and that they have either undertaken appropriate inspection and testing themselves to verify compliance (if suitably qualified), with a copy of the appropriate test form provided to the AECC Electrical Services Department, or have arranged for the AECC Electrical Services Department to do so. 7

8 SHELL SCHEME EXHIBITOR INFORMATION NOTE: NEW STYLE SHELL FOR 2018 SHOW SHELL SCHEME STANDS Your stands will come with; Shell scheme MODUL system, (White Foamex infill panels) as per photograph to the right. (similar to Galway and Bristol shows) Full Panel size: 2372mm x 966mm If the panels are being printed the graphic/display area for each panel is: 2360mm x 954mm Double sided bus stop sign, including stand name and number. NOTE, ALL FIXTURES WILL HAVE TO USE DOUBLE SIDED SELLOTAPE STICKY FIXTURES VELCRO IS NOT TO BE USED. Electric Package includes a 1 x 500watt socket plus 2 spots lights for 100. This is booked directly with Sharon when making your stand booking. SPACE ONLY Space stands will include floor space only, giving you control to design and build a unique stand to your specification Does not include electrics. You will need to order furniture separately. *Carpet for 2018 show will be one colour - purple, as per photograph at top of page. HOW DO I ARRANGE EXTRA ITEMS FOR MY STAND? AV, additional power and additional items can be booked directly via the AECC Online shop, which can be found here: If you require any items not covered in the shop, please contact: Lynne Reilly at AECC, tel, 0044 (0) , or lreilly@aecc.co.uk Furniture can be ordered directly via Inspire Hire. Order forms can be found on pages 12 & 13. If your stand is on a corner, it will be open on 2xsides. If you require any additional walling, you must contact Lynne Reilly at AECC a minimum of 7 days prior to the show. On site requests cannot be guaranteed. 8

10 VENUE INFORMATION GETTING TO AECC - AB23 8BL Aberdeen Exhibition and Conference Centre (AECC) enjoys excellent road, rail and air transportation links. The centre is positioned immediately adjacent to the A90 trunk road and Aberdeen International Airport is only a 15 minute drive away. Flight connections are available to London airports, most other UK airports and Northern Europe. Aberdeen City Centre is within easy reach of AECC and an on-site park & ride service offers regular transport to and from the city centre every 30 minutes during peak times. Parking at AECC - Pay & Display is in operation at AECC, with a flat daily fee of 5 per vehicle. Ticket machines are situated in various locations throughout the Car Parks and accept all major credit & debit cards and cash (coin only). Please note, machines are exact change only. Tickets must be purchased on arrival at the venue and should be clearly displayed inside vehicles. During the event, wardens patrol the car parks and issue fines where valid parking tickets are not displayed. Fines are also issued to cars parking in restricted areas, or in disabled bays without the appropriate blue badge. Please note, cars displaying appropriate blue badges do not need to pay. This service is operated by Local Parking Security Limited. Please note: vehicles may not be left overnight without pre-arrangement with the AECC Exhibition Manager via the Exhibition Organiser. ACCESS TO SHOW CENTRE BUILD UP DAYS: Entry to the arena for setting up your stand on Wednesday 23rd May will be via the East Entrance of the Arena, through the large roller door. On Thursday 24th May access will be through the East Entrance, through the large roller door, as well as door 7, 20 and through the West Entrance roller door. Wristbands issued upon arrival at the East Entrance of the Arena must be worn at all times during these days. EVENT DAYS: On Friday 25th and Saturday 26th May, access for exhibitors will be via the Exhibitor Entry at the West Entrance only which is the main entry point for visitors. Please show your Exhibitor Badge to gain entrance on these days. FRIDAY / SATURDAY EXHIBITOR ONLY ENTRANCE 10

11 CATERING DETAILS BUILD UP DAY CATERING The AECC will provide catering throughout the exhibitor build up day, on Thursday 24th May, between the hours of 8am and 8pm. The offering will consist of Hot/Cold Beverages, Fresh Fruit, Yoghurts, Sandwiches, Crisps and Confectionery on a cash or credit card basis. No alcohol will be available during this period. FULL BAR FACILITIES The AECC will provide two full bars for the duration of the show, operating on a cash/credit card basis. Opening hours for the show will be as follows; Friday 25th May Open 11am, Close 5pm. Saturday 26th May Open 11am, Close 3.30pm. Please note that Scottish Licensing Laws do not permit us to dispense alcohol prior to 11am. Limited seats and poseur tables will be available in this area. FOOD COURT There will be a food court available within the exhibition hall during show days, operating on a cash basis. Opening hours are as follows; Friday 25th May - Open 8am, Close 5pm. Saturday 26th May - Open 8am, Close 4pm. Seating will be available within this area. ON-STAND CATERING Food It is mandatory that any food items for consumption on your stand be purchased through the AECC only. There will be a zero tolerance for any exhibitors failing to comply with this request. BEVERAGE We would prefer that all beverages for consumption on your stand are purchased through the AECC, however, should you wish to bring your own beverages to the show, you will need to purchase a beverage permit from the AECC. To conform to the Licensing Scotland Act 2005, you must also ensure that the person dispensing the beverages on your stand has completed a mandatory two-hour license-training programme. This can be obtained through the AECC and is included in the Beverage Permit cost of 99 + VAT. Please note that alcohol must not be dispensed prior to 11am. AGAIN, THERE WILL BE A ZERO TOLERANCE FOR ANY EXHIBITOR FAILING TO COMPLY WITH THIS REQUEST. Should you wish to purchase a Beverage Permit, please contact the AECC Catering Operations Manager, Martin Caldwell, at the following address, along with the name, date of birth and address of the person who is to complete the license training. mcaldwell@aecc.co.uk Note: Any exhibitor who purchased a beverage permit in 2017, this permit is valid for two years and it will not be necessary to purchase a second permit for the 2018 show. 11

As the exhibitor it is your responsibility to ensure that a suitable and sufficient risk assessment is completed. Failure to do so could lead to delays or ultimately the closure of your stand. Aberdeen ( the Event ) we shall ensure that we have in place appropriate insurance to include Public Liability insurance which shall operate throughout the period commencing immediately prior to the Event to cover set-up and subsist throughout the Event until the following day to cover breakdown of your own display.
