2 CARNEGIE HALL TRIP 2016 THURSDAY, JUNE 9, 2016 Thursday: Send Off Evening Send-Off Dinner, Check-In, Lock-In, Departure This evening we will have our send-off for trip. We will have a cook-out with hamburgers, hotdogs, or potluck items beginning at 6:30pm. This will be an opportunity for families to say ir farewells to ir students. Following dinner students will check-in ir luggage, medicine, n participate in an evening of a Lock-In with movies, games, etc. All students need to be checked in no later than 8pm. 6:30pm: 7:30pm: 8:00pm: 8:30pm: Send-Off Dinner Begins Student Check-In Begins Drug Dog Search of Baggage Instruments Load trailer with luggage instruments Baggage Guidelines More information on luggage will be presented on Page 8. Please remember that students are allowed ir instrument (Alto Sax, Trumpet, Smaller as a Carryon item or in Carryon bag), 2 Pieces of Checked Luggage (Tenor Sax, Bass Clarinet, Trombone, Horn, Euphonium will count as one of those students checked items), 1 Personal item. Please remember that we will go directly to our rehearsal on Friday from airport. It is refor imperative that students pack any music, supplies, etc. needed for that rehearsal in ir Carryon or easily accessible in ir case. We do not want to dig through luggage to retrieve items for that rehearsal. LOCK-IN We will be looking for students to bring board games, video games, movies for our lock-in. Once students are checked in y will not be allowed to leave b hall for any reason. This will allow us to ensure we have every student safely present for our departure, help ensure security of luggage. 2

3 CARNEGIE HALL TRIP 2016 FRIDAY, JUNE 10, 2016 Friday: Departure Day 1 in NYC Departure from Odem, Arrival in NYC, Rehearsal at Carroll Music Studios Friday will be our travel day to NYC. Upon our arrival DCINY has arranged for us to rehearse at a professional recording studio. We will go to dinner at Tick Tock Diner before heading to hotel across bridge in New Jersey. 2:30 am: Load buses depart for San Antonio 5:00am: Arrive at San Antonio International Airport/Check-In 7:00am: Southwest Flight #3523 departs for Nashville International Airport 9:10am: Arrive at Nashville International Airport 9:50am: Southwest Flight #2958 departs for LaGuardia International Airport 1:00 pm: Flight Arrives at LaGuardia International Airport Meet with GTC Representative near baggage claim 2:00pm: Load transfer coaches departs for Manhattan 3:00pm: Arrive at Carroll Music Studios 3:30pm: Rehearsal Begins 5:30pm: Rehearsal Concludes, Load Coaches depart for dinner 6:00pm: Dinner Tick Tock Diner 7:00pm: Dinner Concludes, Load Coaches depart for hotel 8:00 pm: Arrive at Hampton Inn & Suites Students rest relax A Journey of a Thous Miles begins with a Single Step - Laozi CARROLL MUSIC UDIOS Carroll Music Studios is a 17,500 square foot facility that serves as a recording studio, rents instruments, serves as a rehearsal facility for groups preparing for tours Broadway Musicals. Carroll Music is provider of our percussion instrument rental we will rehearse to make sure we are well prepared for next evening s performance! 3

4 CARNEGIE HALL TRIP 2016 SATURDAY, JUNE 11, 2016 Day 2: Performance Day Liberty Carnegie Hall Saturday is big day for us! We ll visit Ellis Liberty in morning perform at Carnegie Hall in evening. 7:30 am: Breakfast at hotel (included) 8:30 am: Load transfer buses depart for Liberty State Park, NJ 8:45 am: Arrive at Liberty State Park, NJ 9:00 am: Board ferry departs for Statue of Liberty Ellis Lunch at Own Expense on Ellis or Liberty. Plan $15-$20 for Lunch 1:30 pm: Return to Liberty State Park, via ferry meet with tour guide. 2:00 pm: Arrive back at hotel freshens up for performance. 4:00pm: Load coaches departs for Carnegie Hall 5:00pm: Arrive at Carnegie Hall 5:30pm: Dress Rehearsal at Carnegie Hall 8:30pm: Concert Performance Begins at world-famous Carnegie Hall Three groups are sharing concert, Highls Youth Ensemble (Choir), Odem HS Wind Ensemble, Colorado Youth Symphony. The final order is TBA. ~10:00pm: Reception Following Performance Group loads coaches to return to Hotel 11:30 pm: Depart for Hotel. ~Midnight: Arrive at Hotel, Students in Room for Night Everywhere in world, music enhances a hall, with one exception: Carnegie Hall enhances music. - Isaac Stern CARNEGIE HALL Carnegie Hall's main auditorium seats 2,804 on five levels was named after violinist Isaac Stern in 1997 to recognize his efforts to save hall from demolition in 1960s. The Main Hall is enormously high, visitors to top balcony must climb 137 steps. All but top level can be reached by elevator. Radio City Music Hall Broadway are just some of sights we ll see this day! 7:00 am: Breakfast at hotel. 8:30 am: Load Buses departs for Manhattan. 9:30 am: Arrive at Rockefeller Center. WICKED - THE MUSICAL Wicked: The Untold Story of Witches of Oz is a musical with music lyrics by Stephen Schwartz book by Winnie Holzman. The musical is told from perspective of witches of L of Oz; its plot begins before continues after Dorothy's arrival in Oz from Kansas includes several references to 1939 film Baum's novel. Wicked tells story of two unlikely friends, Elphaba ( Wicked Witch of West) Glinda, who struggle through opposing personalities viewpoints, rivalry over same love-interest, reactions to Wizard's corrupt government, ultimately, Elphaba's public fall from grace. Wicked was nominated for 10 Tony Awards in its opening season! 5

6 CARNEGIE HALL TRIP 2016 MONDAY, JUNE 13, 2016 Day 4: Today in NYC NBC s Today Show,, NYC Walking Tour, 9/11 Memorial, Chinatown, Top of Rock View of NYC Monday begins with a trip to NBC Today Show! With luck maybe we ll make it on air! Later on that morning we ll travel to take a walking tour of NYC. This day we will also visit 9/11 Memorial. 5:30 am: Load buses departs for Rockefeller Center 6:30 am: Arrive at Today Show, Rockefeller Plaza gets in line to view broadcast. There are local deli-style stores in immediate area for those that would like to grab breakfast on own expense outside of bagged breakfast we will be getting from hotel. Please note once we are in line you may not leave for any reason have to go to back of line if you do. 7:30 am: Today Show host intermittently broadcast from Plaza 8:30 am: Depart walk to Subway 9:30 am: Board Subway rides to 10:00 am: Arrive at 12:00 pm: Eat lunch at own expense in Area 1:00 pm: Return to Subway ride back to Manhattan 2:00 pm: Arrive at Bowling Green, Lower Manhattan to begin walking tour of Lower Manhattan 2:45pm: Walk to 9/11 Memorial 4:00 pm: Arrive at Chinatown/Canal Street Group given time to shop explore in groups. About Chinatown: A lively bustling shopping cultural experiences take place every day as storefronts open, streets fill aroma of Chinese market pervades atmosphere. 7 CARNEGIE HALL TRIP 2016 TUESDAY, JUNE 14, 2016 Day 5: NYC The Big Apple Guided Tour of NYC, Visit Central Park, Depart for Home On our final day in NYC we will get a chance to see Central Park many of famous sites in around city. We ll also begin our return trip home to Texas in afternoon. 7:00 am: Breakfast at hotel. 8:15 am: Check out of hotel begin loading luggage onto buses 8:30 am: Load buses departs for Central Park 9:45 am: Arrive in Manhattan for New York Tour 10:00 am: Group begins its New York Tour Licensed NYC tour guides will take group through many of fascinating sites of Mid-Town Central Park. During tour, group will be entertained educated about NYC; it s history, architecture, culture stories that have molded NYC into what you see today. 1:00 pm: New York Tour concludes. 1:15 pm: Lunch on own. 1:45 pm: Load coaches depart for LaGuardia International Airport 2:45 pm: Group arrives at LaGuardia International Airport checks in to Southwest Air. 4:25 pm: Southwest Flight #465 departs for Hartsfield-Jackson Atlanta International Airport 7:05 pm: Arrive at Hartsfield-Jackson Atlanta International Airport 8:15 pm: Southwest Flight #1592 departs for San Antonio International Airport 9:40 pm: Arrive at San Antonio International Airport 10:10 pm: Collect luggage board buses ~1:00 am: Arrive at Odem B Hall One can t paint New York as it is, but rar as it is felt. - Georgia O Keeffe ABOUT CENTRAL PARK Central Park is an urban park in middle-upper Manhattan, within New York City. 8 CARNEGIE HALL TRIP 2016 BAGGAGE AND TRAVEL TIPS Baggage Allowances Packing Tips Southwest Airlines Allowances Checked Bags: Southwest Airlines allows 2 Checked Bags. Checked Bags must weigh less than 50 Pounds be smaller than a total of 62 (Length+Width+Height). In case of Tenor Sax, Bass Clarinet, French Horn, Trombone, Euphonium players, students will need to use one of those checked bag allowances for ir instrument. We are renting tubas in NYC, so we will not have to worry about m. (Overweight/Oversize baggage results in charges that could reach $200 or more before it is allowed to be checked! Students are responsible for any fees for this!) Luggage tags should be placed on bags before day of trip. Information should include Name, Phone Number, Address. I recommend placing an additional piece of paper with that information at top of contents of bag inside. If any lock is used on bag it should be one of FAA Approved locks in case a bag is chosen for additional inspection. Carryon Bags: Southwest Airlines allows a Carryon Bag a Small Personal Item. For students who play Alto Sax, Trumpet, or Tenor Sax we should be able to bring those instruments on as ir Carryon Bag. Flute, oboe, clarinet players need to be able to gain easy access to ir instruments may eir carry m on as ir personal item or store m in anor of allowed bags. Please remember that all students will need to be able to have easy access to ir instruments, music, supplies as soon as we get to New York City for our rehearsal. We would rar avoid students having to go through ir checked luggage in Airport or while unloading at our rehearsal studio. For most students a backpack will work very well for ir Small Personal Item providing that it can fit in seat in front of m at ir feet. Once again I recommend luggage tags additional contact information be placed on every item. It is not unusual for an airline to run out of room ask passengers to Gate Check items. I m hopeful that will not be an issue on this trip, but it s good to be prepared! Please see next section for FAA rules on liquids flying with Carryons. Hairspray, shampoo, shaving cream, toothpaste, Valve Oil, many or items are under this guideline. Additionally re are many or restricted items that it is imperative are not packed in Carryon luggage items. Snack Bag/Lunch: Friday re will most likely be a little bit of time that students may hit a fast food restaurant or store within airport before we leave. However re will not be time to stop for lunch at our layover in Nashville. In addition to personal item carryon re is an allowance for food in a disposable (plastic grocery sack) as long as it s solid. No drinks will be allowed, but a swich, fresh whole fruit, Lunchable, trail mix, cy bars, etc. would be allowed. FAA Rules on Liquids The FAA has a very strict set of guidelines about fluids in Carryon items. You are allowed to bring a quart-sized bag of liquids, aerosols, gels, creams pastes in your carry-on bag through checkpoint. These are limited to travel-sized containers that are 3.4 ounces (100 milliliters) or less per item. Placing se items in small bag separating from your carry-on baggage facilitates screening process. Pack items that are in containers larger than 3.4 ounces or 100 milliliters in checked baggage. The FAA prohibits Knives, Weapons, Fireworks, etc. For a full list please see Any liquid, aerosol, gel, cream or paste that alarms during screening will require additional screening. 8

Adult passengers 18 over must show valid identification at airport checkpoint in order to travel. 10 CARNEGIE HALL TRIP 2016 SUGGEED TRAVEL BUDGET AND TRIP RULES Suggested Minimum Travel Budget Students will need money for some meals general spending money. There will be a wide variety of prices for meals on this trip. We ve been told that if you buy food at one of carts you can plan around $10 or less. Hotdogs, Kebabs, Swiches, many more items are common in what is a must have experience in NYC! Anytime you plan to sit down in a restaurant to eat you should plan around $15-$25. Please see below for a suggestion on what students will need each day for meals attractions ($140-$200): 1) Friday - Money for Snacks/Breakfast at Airport (About $10-$15) We recommend a packed lunch for plane. 2) Saturday - Money for Lunch at Liberty/Ellis ($15), Snacks during day ($5-$10) 3) Sunday - Money for Lunch ($10-$25), Snack Money for Broadway Show (expect Movie ater prices for water/ cokes) - you are allowed those during show. Snacks are purchased before show starts or at intermission. 4) Monday - We re grabbing a bagged breakfast with an apple, cereal bar, muffin, juice before we leave hotel. If students wish for something else re are vendors near along line for Today Show (Plan $10 if so), $20-$25 for lunch, additional $10 for snacks this day. $30-35 for Rides. (This is also best day to buy souvenirs at Chinatown) 5) Tuesday - Money for Lunch ($10-$20), Dinner at Airport ($10-$15), Snack Money ($10-$20). We will most likely stop at a travel station on way back from airport in San Antonio this day. For souvenirs I would recommend bringing at least $100-$200 for shirts, key chains, etc. Depending on where items are bought you should plan on Chinatown being best value for students for New York specific items. Many of locations re can be haggled with for prices. A couple of ideas to help with student budgeting: Cash in marked envelopes by day Pre-Paid Money (Debit) Cards (These are nice because generally you can remotely refill m if your student runs out of money. Trip Rules Procedures General Trip Rules 1) No alcohol, drugs, or weapons will be allowed. 2) All medicines need to be in ir original containers. All prescription medicines will be held onto by District Staff. 3) Show up for events on time! Failing to show up on time will cause us to think that re is something wrong with you will start a search process. Be mature enough to take care of your business be on time! Please keep in mind our buses are contracted very strictly on our schedule often risk getting a ticket for staying parked for too long. On this trip if you are ON TIME you are LATE. Aim to be at meet up points at least five minutes early! 4) Never go anywhere by yourself! You need to always be in a group of three or more at all times. 5) Chaperone groups will be assigned for city. Students need to stay with ir chaperone group at all times. Special exceptions may be made in certain locations, but this will be rule most of time for students safety. 5) Shoplifting or illegal activity will not be tolerated. Students will face authorities be arrested. 6) If you are wearing any inappropriate clothing, you will be told to change clos. 7) Students must Check-In at Required times! 8) Students must have ir Name Badges on at all times when not in ir hotel rooms or performing at Carnegie. In Airport, Onboard Airplane, on Buses 1) Keep conversation at a reasonable inside level. 2) No Swearing 3) Screw top lid drinks only on buses! I recommend following that guideline on any beverages at airport too. 4) Phones, MP3 Players, or game/music devices must be listened to with headphones. 5) Space needs to be kept between boys/girls. 6) At night students will not be allowed to sit as couples. 7) Appropriate clothing needs to be worn onboard. 8) Clean up your messes on bus/plane immediately; don t wait for someone else to clean m up. If you don t clean up your mess, you may lose food/drink privileges. 9) In airport stay with group, at all times you should stay in groups of 3 or more. The airplane will not wait while we look for a missing student! 10

11 CARNEGIE HALL TRIP 2016 SUGGEED TRAVEL BUDGET AND TRIP RULES Hotel Rules 1) Boys are not to be in girls rooms, girls are not to be in boys rooms at any time! 2) Be considerate of or guests! No slamming of doors or yelling inside of hotel. TV volumes should be kept low enough to not be heard outside your room. Loud noises in hotel will not be acceptable as or guests may be trying to sleep - even during daytime hours! 3) Students are responsible for any damages to hotel property!!! 4) Do not order food without talking to Mr. Rash first. Food that has been ordered too late at night will not be a valid excuse for leaving your room after you are closed in for night. 5) If re is time for swimming, follow all pool rules! Do not tamper with any pool safety equipment! 6) Once students are checked into ir rooms for night y are not to leave for any reason. We will have a security guard on duty for our group to ensure students safety at night. Carnegie Hall 1) Carnegie Hall is one of World s Premier performance halls, students should behave ir absolute best inside! 2) There are no pictures allowed inside hall. We have signed a contract stipulating our agreement to this fact. A group photo live concert photos will be taken during our performance by a professional photographer. Selfies in hall are strictly prohibited! 3) During or groups performances re should be no talking at all to be respectful for ir performances! 4) If for some reason you must leave ater please do so between pieces. 5) Applaud at appropriate places, if a work is a multi movement work you should only clap at end of complete work! 6) At reception/dinner after concert all students should behave with ir absolute best manners! New York City New York City is United State s largest city with nearly 8.5 Million People living in city! Because of this we will have some strict rules in place to ensure student safety that our group is able to see all that we plan to! 1) Students must stick toger with ir groups chaperones at ALL times. 2) Stay close as we walk down streets, but don t take up whole sidewalk. Please keep in mind that many people are commuting to work we do not want to block ir way. 3) At certain times during trip groups will be allowed to explore an area of city. Prior to breaking large group up students will be given boundaries that y may travel within. Sponsors students should stay within those boundaries at all times! 4) Designated meeting areas will be established each time we break into smaller groups. Be sure that you arrive at that spot on time! If for some reason something goes wrong that spot will be our designated meeting area for emergencies as well. 5) All school rules apply at all times! 6) Cell phones should be kept on students at all times if y have m. I recommend portable chargers be taken on trip as well if students have m. Wicked Musical - Gershwin Theater 1) The Gershwin Theater should be treated same with behavior as Carnegie Hall. 2) Photography is strictly prohibited during Broadway shows - phones cameras may be confiscated! 3) It is considered polite correct to applaud at end of a scene, song, or act. Please do so in a respectful manner. 4) There should be no talking during performance. 5) There will be a 15 minute intermission between 1st 2nd Acts of musical. Return to your seat prior to beginning of 2nd Act. 6) You may purchase cokes/water from snack bar bring m into ater. Clean up after yourself though! 7) Cell phones should be turned off an kept away throughout entirety of show. 11

12 CARNEGIE HALL TRIP 2016 TRIP ATTIRE Trip Attire We are planning to have a set of four shirts for students as we travel to New York City. Having one t-shirt color design will help us find students keep track of our group better. They will also n be souvenirs for students from ir trip. Each day is a different design students need to wear designated shirt for that day. Students are not allowed to tear off sleeves or cut slits into t-shirt. Friday - Orange Saturday - Blue Sunday - Safety Green Monday - Yellow Shorts/Pants/Skirts We need to maintain a nice looking group appearance each of those days. Students may wear ir choice of bottoms (shorts, pants, or skirts) as long as y meet school dress code criteria. Shoes We will be walking a LOT on this trip. Students should bring shoes that are already broken in are comfortable. Eight or more miles a day is not an unreasonable guess for some of days! 12

13 CARNEGIE HALL TRIP 2016 TRIP ATTIRE AND MEDICINES ON TRIP Concert Apparel Due to requirements of Carnegie Hall Boosters have purchased Tuxedos Dresses for our students. Each student must have se items with m in order to be allowed to perform! There are no exceptions at Carnegie Hall! These must be returned following trip. LADIES The provided Black Concert Dress, along with student s Black Dress Shoes (Heels should be kept to a reasonable height), pantyhose should be worn. GENTLEMEN Gentlemen must wear provided Tuxedo Pants, Tuxedo Shirt, Bow Tie, Cummerbund, Tuxedo Coat. Along with those items y must wear ir own black dress shoes long black socks! Medicine Prescription Medicine All Prescription medicines on trip need to be in ir original bottles or containers. When students check-in for trip y should have all prescription medication in a ziplock labeled with ir first/last name. A director or school staff member will be designated to carry medicine hold onto it for trip. The only prescription medicine that will be returned to students following drug dog search of bags will be asthma inhalers. Non-Prescription Medicine All Non-Prescription medicines on trip need to be in ir original bottles or containers. When students check-in for trip y should have all non-prescription medication in a ziplock labeled with ir first/last name. Parents may give permission at time of check-in for ir students to carry ir Non-Prescription medication. Please be sure y are in a separate ziplock from ir prescription medication if so. Administration of Prescription Medicine A director or a school staff member will be designated in charge of medicines. It is up to students to see m for ir medication at times y need to take it. 14 CARNEGIE HALL TRIP 2016 REQUIRED REHEARSAL SCHEDULE Required Rehearsal Schedule Our performance at Carnegie Hall is now less than 63 days away! On June 11th we will perform in one of most famous concert halls in world. We are striving to have best performance on that date that Odem High School B has ever had! In order to meet that goal we need to continue to rehearse with full b of musicians as often as possible leading up to that date. In particular it is imperative that full b is re for evening rehearsals day rehearsals final two weeks. I am planning to bring in at least two clinicians to those afternoon/evening rehearsals, as well as some instrumental clinicians in mornings. Please make certain that your student attends se rehearsals! I have intentionally tried to leave eir evenings or day time free depending on day to allow for students who work to be able to work around schedule. We will reassign parts if students are not attending rehearsals!
