1 Baggage drop-off All student luggage (checked and/or carry-on) needs to be dropped off in the auditorium garage prior to or on Thursday March 24 th (Last day before Spring Break) Bags will be clearly marked with bright yellow luggage tags. They will be separated and placed by each chaperone table with the appropriate instrument boxes/cases. Chaperone and companions can drop off their luggage at this time if they wish. Students can bring a small backpack size bag (personal item) on the day of departure for items that they will not be able to bring early like medication, money, IPad, book, food for the plane ride, etc The only food available on the plane is for purchase only and you must pay with a credit/debit card. The pic below shows what you can take on the plane without paying an additional checked bag fee. Checked luggage should not be over 62inches (height + length + width) and 50lbs First checked bag is $25 second is $35. Oversized and weight is $125

2 On the day of departure, students will check-in at their medical table and show the medical team that you have your medications with you. Then proceed to your chaperone table to check in and get your lanyards, nametags, itinerary, luggage, and instrument box prior to boarding the bus. Keep your luggage and assigned instrument box with you on the bus. United flyers will ride bus 1 through 5 Going directly to O hare Terminal 1 Alaska Airline flyers will ride bus 6 & 7 - Going directly to O hare Terminal 3 When we arrive at O hare, unload the buses including your assigned checked box and proceed to the United Check-In Kiosks. Type in your name and answer the questions on the screen. Type the number of checked bags/boxes you have. At the end of the questions, the kiosk will print out your boarding passes. Make sure you take your boarding passes and keep them secure. If you have a checked bag go to the counter. They will weigh the bag and print a luggage claim ticket. Mr. Forton will be standing by the desk paying for the instruments and collecting claim tickets for the instrument boxes. If you have a personal checked bag, be prepared to pay and show your ID. Most airlines do not accept cash. Put your claim ticket in a secure location. If you do not have a checked bag or are finished checking in your bag, follow the group. The students will be divided in groups with their chaperone to go through security. Wait in the area just past security for your whole group to get through and then proceed to the assigned gate. At the gate, find a comfortable place to sit before boarding begins (approximately 40 minutes prior to departure). Your bags can not be unattended at any time in the airport. If you leave the area take them with you or take turns watching each other s bags.

3 If time permits, this would be a good time to get something to eat, fill your water bottle, use the rest room, take a few selfies, dream about the beautiful places you will be seeing in a few hours. The plane will be boarded by section. When your ticketed section comes up, take your luggage to your seat. Place carry-on in overhead compartment and place personal item bag under the seat in front of you. Sit in your assigned seat and buckle up. If the flight attendants allow, you may switch seats only with other people in our group. They will be easy to identify because you will be wearing identical shirts and lanyards. Take your personal item with you, leave your checked bag where it is. Do this quickly. During the flight you will be expected to be seated with your seat belt on. The flight attendants will point out the restrooms locations, and the aisles should remain clear for the flight attendants to do their work and for people to use the rest rooms. Alaska Airline participants will have a layover in Anchorage on the way to Hawaii. The airport is small, but if you have time there is a cool Polar Bear Display between the two between the terminals and a and nice little museum on the second level. (It s also where the locals sleep when they have long layovers before heading out to the bush) When we arrive in Hawaii take all your items off the plane and stand by your chaperone. Once the chaperone has all students, proceed to the baggage area. If people in your group need to use the rest room, please wait for them until the whole group can proceed. After we have gathered our luggage, we will be escorted outside for a fresh flower lei greeting and brought to or awaiting motor coaches.

4 Hotel Check-In Procedure Mr Forton will get the room keys and room assignments from front desk. Students stand by roommates and wait for chaperone. Chaperones will be given assigned room keys. Take your assigned students to their rooms / chaperone enters room and makes sure nothing is broken or missing / when cleared chaperone gives all keys to students and keeps one for themselves. Companions will be given room keys and can go directly to their rooms. Hotel Check-In Procedure Companions bring room keys to the front desk and pay incidentals. Students wait in room for chaperone. Chaperone checks room for broken and missing items, and collects keys from students. Students report to bus/lobby, chaperone turns in keys to front desk. Mr. Forton will get a print-out balance for all rooms. All incidentals will need to be paid before departure. Missing and broken items will be reported to the front desk.

5 Provided Items and Uniforms Band students will receive: -Uniform Nui-Black Aloha Shirt in Hawaii. -Custom Polar Bear Kukui Nut Lei to be worn with uniform. -Yellow T-shirt to be worn while traveling to Hawaii. -Green T-shirt to be worn on the way home. -Red Draw-String Bag with polar bear logo. -Lanyard w/plastic sleeve for emergency number name tag, student ID and room key. Band students need to provide: -Two Pair of clean calf or mid-calf length black socks. These will be placed in your shoes and put into the checked instrument boxes. -One pair of black summer weight dress pants. No leggings, yoga pants, jeans, etc These should be packed in your own luggage. Chaperones and Hawaii Staff will receive: -Orchid Red Aloha Shirt -Green T-shirt to be worn while traveling to Hawaii. -Yellow T-shirt to be worn on the way home. -Lanyard w/plastic sleeve for emergency number name tag and room key. -Two-Way Radio and charger. -Emergency information USB -Medical team will receive three back packs fill with medical supplies. Companions will receive: -Orchid Red Aloha Shirt -Blue T-shirt to be worn while traveling to Hawaii. -Lanyard w/plastic sleeve for emergency number name tag and room key. *We have some additional Custom Polar Bear Kukui Nut Leis for purchase on a first come first served basis at $15.00 per lei.
