2 St. Charles Sportsman's Club, Inc. Membership Meeting Minutes Wednesday, November 3, 2004 The meeting was called to order by President Steinhilber at 8:00 p.m. Jeff Fitch of Scout Troop 424 led the membership in the Pledge of Allegiance. All officers were present except Tom Green. 41 members and guests signed the roster. A motion was made to adopt the agenda for the meeting, was seconded and passed. President Steinhilber reported that black the powder presentation was cancelled as Tony Orlando couldn t attend the meeting because of work. Russ Levin gave an abbreviated overview. The presentation will be presented at the next membership meeting. The tree stand issue will be discussed, unfinished business will be addressed and a dues increase discussion will take place after new business. 1st VP, Elaine Costello thanked the boy scouts for their work on the Recoil and getting it stapled and stamped and ready to mail. Carol Ondrejko received the plaque presented by the silhouette committee and she was very grateful for the remembrance. Members should patronize club activities as much as possible. 2 nd VP, Roger Hall, met with insurance company about range break in. Estimate is in and Roger needs to review the estimate and will report on his findings. Grounds, ACPT wants all campsites removed so members be warned. The lock on the old gravel pit gate will be changed and an SCSC lock will be installed. Last month shotgun committee took in $ New help is always needed. Secretary s report, a motion was made to accept the minutes as printed in the Recoil, it was seconded and passed. Treasurer, Tony Barnett, copies of the report were made available to the membership. A motion was made to accept the treasurers report as written, it was seconded and passed. Huntsmaster, Jim Pollock, please provide a copy of each game tag to the Huntsmaster for any game shot on the SCSC property. This is a requirement if the deer is taken on SCSC property. Tags may be turned in at the next membership meeting or left at Middleton Hall in the Club mailbox. Ways and Means and Scouts, John Fitch, he will discontinue tees for the club, New Years Eve Party planning is going forward, watch the Recoil and if you have any ideas let John know. Rob Fike is taking over the Junior shoots. If you know of any juniors interested in shooting, contact John or Rob. Property, Membership, Archery, David George, received a call from William Bell who has been overseas for the last year and he was reinstated and upgraded his membership to regular member status. There are 499 members, 430 regular (with 20 regular membership slots left), 25 associate members, 27 life members and 17 honorary members. The following were presented for new membership: Robert Kaufman Michael Giroux Gary Long Sam Wallace Henry Bernatonis Neil Bayley (Former Member) Rob Dryer Tom Peters Jewell Barbee Patrick MeGinnis Roger Hall After the perspective members stepped outside, a motion was made to accept these members, was seconded and passed. High Power, Russ Levin, this Sunday is the last match for the year. First round goes down range at 8:00 am, setup starts at 7:00. High power could use helpers to run the match. Wildlife, John Leber, the DNR bear hunt was held and stopped after the 1 st day. 20 bears were taken and the DNR stopped the hunt to keep from exceeding the limit set. More information will be forthcoming when DNR has assessed the hunt., Bob Faber, PPC did not shoot this week as a scheduling conflict was encountered. All club members are welcome to come down to the indoor range and check out the competition on Tuesday night. Silhouette, Brian Rehm, last match of the year was held, there were 8 shooters and 16 guns registered, $96.00 was collected, $19.70 in expenses, turned in $ Under new business, dates for next year will be voted on. Still working on the plaque for the renaming of the range booth. Middleton Hall, Alan Harper, hall is doing well, October was the 8 th year Anniversary of Middleton Hall, there are no open dates for the balance of Cowboy Action, Elaine Costello, October 9 th had 33 shooters took in $245.00, last match of the year is Sunday the 14 th because of junior hunt day on the 13 th. A laptop from Jimmy T. was donated to the cowboys and is now being utilized. Unfinished Business, moving the Cowboy shoot to Nov. 14 th from the 13 th, a motion was made, seconded and passed. Cowboys will shoot on Sunday. Tree stands, the policy will not change and all members are to respect any stand installed on the property and no one should use any stand that is not their own without the owner's permission. A motion was made to close the range for high power on the 1 st Sunday of each month from March to November 2005 as previously printed in the Recoil, it was seconded and passed. New Business, dates to be put in Recoil for Silhouette are the 4 th Saturday from March till August, in September Saturday the 24 th and Sunday the 25 th for the State match and October 23 rd, Sunday because of the black powder season. Debate on dues, the survey indicated that there was a majority for an increase of dues. Our current dues in 1989 of $100 in today s dollars would be $320 in A need for revenue is being created because our limit of new members is being filled. Raffles barely break even in the final tally, not enough to generate income. The Glock match nets about $350 to $400 per year. A cursory check with other clubs indicated a yearly dues of $300 to $350. One limitation of the club is, the bylaws prevent the club from using funds from land and building for general purposes. Some comments were to look into the equity of current committees. Most activities for the club members are priced to break even and provide an economical means for members to shoot. There is no cash reserve at this time for the club. This is a concern for the membership. A request was made to provide the members with more information of why these funds are needed. It was pointed out that as a nonprofit we are not suppose to be making a profit, we are a like minded group who get together to do things we couldn t do as individuals. There is a need to look at our assets and see what they are and then see where we as a club want to go. New members need to be informed before they come into the club 2
3 that there is a possibility of a dues increase. It was pointed out we are discussing dues increases and we are not voting on anything at this time, just a general discussion based on the survey. The club needs to be careful of transferring money from Middleton Hall to SCSC so as not to violate any Federal or State law or incur a large tax liability. Also Middleton Hall has been funding a contingency fund for emergency needs which is close to being fully funded. We can continue on with the way things are and if there is a need for additional funds for whatever reason we can discuss it at that time. 50/50 drawing was held, Joseph May was the winner, Alan James won the worker drawing. Each received $ A motion was made to adjourn and seconded. The meeting adjourned at 9:38 pm with the retiring of the colors. Gus Steinhilber and Tom Green were not present. The Treasurer will prepare a yearly profit and loss statement for each committee so the members can review their financial status. The Board will let the membership pick the discussion topic for the December meeting based on topics of interest from the survey. Jim Pollock reported the Demarr Road entrance lock is now installed. John Fitch reported that tickets for the New Years Eve party will be available at the December 1 meeting. Dave George reported he is updating the club inventory. SCSC currently has 506 members, 437 regular, 25 associates 27 life members and 17 honorary. There are 13 openings for regular membership remaining with 8 outstanding applications, and 18 applications listed in this months recoil. When the 13 regular membership slots are filled, all other applications will be offered associate memberships. The date on the application will determine the next in line for regular membership when there is an opening. Treasurer s Report Tony Barnett All committee chairs are reminded that funds collected as a result of committee activities are due monthly (or within 30 days of the event). Event paperwork must include a list of participants, their SCSC member number (or other affiliated club membership number), the amount paid, and the total income. The committee financial report must also include a detailed, itemized listing of all expenses, and must include receipts. All paperwork and collected funds must be turned in monthly, with the required supporting paperwork. Incomplete reports or reports without receipts will not be accepted, and reimbursement will not be paid without supporting paperwork. Committee chairs are also reminded that their monthly expense reports for reimbursement cannot exceed $100 without approval by the membership or the Board, as appropriate. Expense reimbursement in excess of $100 will not be made without this prior approval. In addition to committee paperwork, funds, and receipts, it is also critical that any member issued advance funds to purchase equipment or supplies (e.g. after membership approval) MUST submit required receipts and received equipment MUST be inventoried by the property chair. Failure to submit a receipt for advanced funds could result in an IRS Form 1099 being issued, subjecting the member to a tax liability. We will track all advance funds issued. Committee Reports Conservation Tom Green I would encourage all hunters to take as many does as they ethically are able off the property this year. This will do three things, it will improve the buck-doe ratio and it will eliminate another mouth to feed, allowing our bucks access to better and more food and it will allow our young bucks to mature at least one more year. If part of your need in deer hunting is venison in the freezer, a mature doe will provide more meat than a button buck or a small one year old buck. Any feedback that you might want to share with me will be welcome. Cowboy Action Shooting Mike and Elaine Costello The Cowboy Action committee had a great Our thanks to the boy scouts who served us lunch every month. They will not be working with us next year, but we do appreciate all their help over these past seasons. Our matches will start up again in March of Second Saturday of each month, March through November. Setup is the Friday before. If you are interested in serving as chairman of the cowboy committee, please contact Mike or Elaine. High Power Russ Levin We have had a good year and a loyal group of fine folks coming to the shoots. It has averaged shooters and I would like to see it double. Although it uses military rifles, it also uses sporting arms as well. If you like to shoot a rifle, you should give it a try. The competition is really friendly and you are with a fine group of really nice, helpful fellow shooters. We will start up again on the first Sunday in March,
4 Black Powder Russ Levin Tony Orlando and Russ Levin are working on starting a monthly Black Powder shoot. It will be a fun shoot and you will be competing for prizes such as money, hams, turkeys, and the pride of actually being able to hit something with that smoke pole. Modern and traditional arms will be in separate classes and scoped and iron sights will also be factored in to be fair. The details are being worked out but it will follow the monthly silhouette shoot on the same day. The cloud of smoke starts in March. Stay tuned for the smell of gunpowder. I can hear the sound of Buffalo hooves in the distance. Huntsmaster s Notes James Pollock Report all game tags to Huntsmaster for awards. Also, it has been reported that vehicles have been driving on the edge of the lawn of one of our neighbor's down at Pomfret. Please refrain from driving on people's lawns as you enter and exit the Pomfret property on Great Oaks Place. This type of behavior does not reflect well on SCSC. In addition I received a call from Mr. Eddie Simpson of 4850 Briarwood Road. He recently purchased some property on the Northwest boundary of the Pomfert property and he has horses. He has concerns for their safety. I told him that SCSC hunters represent NO DANGER to his horses. Hunters please support my claim. Bob Faber/Donnie Steitz The indoor range continues to operate on Monday and Tuesday nights from 7 pm - 9 pm. Lanes are always made available to all members. Our PPC league concluded on 11/30/04. An awards night is planned for sometime in December or early January. As a reminder to all members, pistol, airgun, and RIMFIRE rifles are the only firearms allowed on the indoor range. Please do not bring center fire rifles of any caliber to the indoor range. A special get well soon wish goes to Eddie and Ricky Holt, who were involved in a motorcycle accident a few weeks ago.
