ADMINISTRATIVE INFORMATION 3.1 Participants Registered students, chaperones and observers are participants of the JA AP COY, and are required to follow the event agenda and the rules and regulations of the competition Other individuals who are not registered students, chaperones and observers but wish to attend JA AP COY activities will only be allowed to participate in activities which are opened to the public. These include the Business Presentation on March 30 (subject to seating availability) and the Trade Fair on March JA Asia Pacific/JA China will not, in any way, be responsible for persons other than registered students, chaperones and observers. 3.2 Travel Travel arrangements should be coordinated by the respective JA member and its participants Application for visa to enter China (if required) should have been made and approved. 3.3 Arrival and Departure Information Participants are advised to arrive at Beijing Capital International Airport on Wednesday, March For participants arriving on March 28, JA China will coordinate transportation for participants to reach Beijing Landmark. Please look out for JA China volunteers holding a JA China sign at the Arrival Hall JA China volunteers will direct the participants to the transportation. Participants will be required to pay for the transportation (RMB25) and retain the ticket for reimbursement. Participants who are unable to present the ticket will not be eligible for reimbursement Participants arriving other than on March 28 are responsible for arranging their own transportation to Beijing Landmark at their own expense Departure should be no earlier than Sunday, April For departure on April 1 and April 2 (after joining the Optional Sightseeing Tour), JA China will be responsible for coordinating transportation to the airport according to your flight schedule. Participants are advised to approach JA China if there is any change For other departures, participants are responsible for arranging their own transportation to the airport at their own expense. JA China can provide relevant information on this. 3.4 Fees Accommodation (from the night of March 28 to March 31), meals (from breakfast on March 29 to breakfast on April 1) and transportation to JA AP COY venues are all included as part of the pre-determined fees and are the responsibility of the respective JA member All fees to be paid with cash in US dollars at arrival on March 28, 2018 during Registration at Secretariat Room The costs of any incidental items (e.g. telephone calls, meals outside of the program, souvenirs, etc.) are the responsibility of each participant. 5

7 4. ACCOMMODATION 4.1 Location and Facilities Address: Beijing Landmark 北京亮马河大厦 No. 8, North Dongsanhuan Road, Chaoyang District 中国北京市朝阳区东三环北路 8 号 ( Students are placed in twin rooms. Chaperones and observers are placed in single rooms. JA China reserves the right to select other types of room if required Complimentary in-room Wi-Fi is available JA Asia Pacific will be responsible for the room assignment. While every effort will be made, JA Asia Pacific cannot guarantee that students will be housed with members of their own company Male and female will be roomed separately. 4.2 Check-in and Check-out Procedures Check-in time for the hotel is Early check-in will be subjected to room availability. If early check-in is not available, group can leave their luggage at the hotel Within on March 28, all participants must go to the Secretariat Room for Registration, where the distribution of welcome packets and reimbursement of airport transportation will take place. Participants arriving after 1800 must go to the JA AP COY Registration Desk for registration first upon arriving at the hotel Check-out time for hotel is

PRACTICAL INFORMATION 5.1 Venue Most competition activities will take place at the Beijing Landmark Trade Fair will take place at Pacific Century Place, 2A Workers Stadium Rd North, Chaoyang District ( 盈科中心 - 中国北京市朝阳区工体北路甲 2 号 A) Awards & Gala Dinner will take place at Four Seasons, No.48, Liangmaqiao Road, Chaoyang District ( 北京四季酒店 - 中国北京市朝阳区亮马桥路 48 号 ) 5.2 Meals Meals from breakfast on March 29 to breakfast on April 1 are included Participants will be responsible for their own meals on Wednesday, March 28 and any meals after breakfast on April Insurance It is highly recommended to obtain travel insurance. JA members are responsible for their participants' travel insurance. 5.4 Dress Code This is a business competition, and when the agenda indicates business attire, the following dress code must be adhered to: YES Male Slacks, collared shirts, ties, jackets Female Dresses/skirts/dress slacks and tops, jackets NO Jeans, hat (exceptions for religious beliefs only) Jeans, short shorts, short skirts, bare shoulders and/or midriffs, hats (exceptions for religious beliefs only) However, students may choose to wear national costume or company uniform should these reflect their presentation JA Asia Pacific will provide each student with event apparel Please plan to bring some business casual clothing as well. Male: this would include a long-sleeved or short-sleeved shirt (to be tucked in), slacks and belt, and comfortable shoes. Female: this would include the same as mentioned above, or a conservative dress or skirt and blouse Free time attire will be causal should be conservative, yet comfortable. Male: please wear nicely fitting jeans, shorts or casual slacks and appropriate plain t-shirts or polo shirts. Female: NO short shorts or short skirts, NO bare shoulders and/or midriffs, and NO hats (exceptions for religious beliefs only). 7

9 5.5 Health Fitness for Travel In the view of the health risk such as avian influenza, Ebola and Middle East Respiratory Syndrome, participants shall contact their respective JA member immediately if they feel they are unfit for travel Medication Medications may not be readily available or may be different from those available in your country. Participants are advised to bring your own medication to handle minor illnesses such as headache, sore throat, indigestion, etc. JA Asia Pacific/JA China will not provide any medication to participants Special Medical Condition Participants with special medical condition shall make a brief medical history form that includes doctor's contact information, blood type, any allergies, health conditions, prescription medications, immunizations, and other important health information. Bring all prescribed medication for the specific health condition, with quantity enough for the duration of the trip. Keep any essential medications in the carry-on luggage. Keep medicines in their original containers. Doctor's letter might be required to explain why certain medicines are necessary. JA member is responsible for assisting its participants in preparation for the above. 6. UPDATED COMPETITION GUIDELINES Participants should refer to "2018 JA AP COY Competition Guidelines" and the below for details 6.1 FedEx Access Seminar Students should visit: and learn about ideas and innovations that connect people and possibilities around the world prior to arriving at the JA AP COY. 6.2 Business Presentation Rehearsal Companies will have the opportunity to rehearse for their business presentation on Thursday, March 29 at a designated timeslot determined by random draw No other timeslot will be available, and extra time will not be given in the event of late arrival. 8

Companies are advised to make their presentation compatible to the above settings Companies which want to use their own computer must bring it to the rehearsal, and will be responsible for the all connections (e.g. adaptors, cables) required to the projector and audio system Presentation files should be stored in a USB flash drive and a copy should be submitted to JA Asia Pacific at the rehearsal. It is recommended that company brings back-up copies of the presentation to the event. 9

11 6.3 Business Presentation Presentation order is the same as the Rehearsal order, determined by random draw. Other individuals are also welcomed subjected to seating availability AV infrastructure for Business Presentation is the same as the rehearsal 6.4 Panel Interview Key Points Assessed by Judges Scoring of Interview will be assessed on the following basis: Entrepreneurship and Innovation Leadership, Interpersonal Skills and Team Work Learnability ability to apply lessons learnt in their future 10

It is open to the public so foot traffic is expected and people will be visiting the booth. Students may want to hand out information about their company or sell any items. All reference to pricing must be in Renminbi (RMB) Judges will visit each booth individually to examine the display and interview the company members For any selling of items, a sales report is to be submitted by the end of the Trade Fair As a reference, sales made in the 2017 JA AP COY Trade Fair in Japan totaled to over $400,000 Japanese YEN for 17 companies Giveaway should not include any edible items Any possession and equipment are the full responsibility of the company. These items are not covered by the insurance provided by JA Asia Pacific. It is strongly recommended that any possession and equipment are to be kept with individuals when not in use. No secured storage is available at the Trade Fair. We recommend at least one student to stay at the booth at all times The time set for booth removal is All materials should be taken off from the booth. 11

13 6.6 Booth Specification The "Front Header" will be provided with the company's name and location with JA AP COY branding The "Table Top" (2000mm x 500mm) can be used for decoration and display The "Front Panel (2000mm x 750mm) can be used for decoration No other areas of the booth will be used for decoration It is not permitted to draw, use double-sided tape, nails or screws on the booth and on the floor. No decorative item (e.g. stand-up banner) should be placed outside of the booth area Students can use (and should bring with them): Velcro-tape, blu-tack and/or other adhesive and fastening materials that leave no marking to the booth Students will be liable for any marking and damage made to the booth and the floor Underneath the Table Top there is room for storage. No lock will be provided No electricity will be provided No chair will be provided. 6.7 Belt and Road Award Participants should refer to "Competition Guidelines Belt and Road Award" for details, where JA members and chaperones have a copy. 12

14 6.8 Awards and Prizes The following awards will be presented at the Awards & Gala Dinner: A. JA Asia Pacific Company of the Year 1 st /2 nd /3 rd Place Award B. FedEx Access Award C. Belt and Road Award D. Young Entrepreneurs Choice Award Aside from a trophy, students will receive the following prizes: JA Asia Pacific Company of the Year 1 st /2 nd /3 rd Place Award IUA-JA Excellence Scholarships of up to USD60,000 at one of the following universities (University of Illinois at Chicago, Adelphi University, University of the Pacific, University of Dayton, and University of Kansas) Opportunity to attend the Baotou Youth Forum, a regional youth event cohosted by UNDP and Central Committee of the Communist Youth League of China. The event will be held in Baotou, Mongolia in the first week of August. FedEx Access Award Electronic device Belt and Road Award Electronic device The judges decision is final and the verdict and reasoning of the judges decision are internal and will not be shared with the students or any other person during and after the competition. 7. AS REPRESENTATIVE OF YOUR COUNTRY 7.1 JA Asia Pacific invites participants to have a great time while in China. Aside from the competition, students are welcomed to make use of the opportunity to make friends, learn from each other, and have fun. 7.2 The exchange of souvenirs, especially something symbolizing their originated country is encouraged. This usually happens towards the end of the Awards & Gala Dinner. 7.3 Each JA member will nominate one student to be the flag bearer at the Awards & Gala Dinner. JA member should inform the student in advance, and JA Asia Pacific will provide further information to the chaperones at the Chaperones Meeting. 13

RESPONSIBILITY 8.1 Chaperones are responsible for their students and observers at all times. 8.2 Chaperones are responsible for ensuring that their participants abide by ZERO TOLERANCE policy with respect to use of drugs and/or alcohol, as enforced by JA Worldwide and JA Asia Pacific. 8.3 Chaperones, observers and other individuals shall not discuss or offer coaching to students, as this is a student competition. 8.4 Participants shall show respect for people, property, and fellow competitors. Proper behaviour is expected. In the case of unacceptable behavior, the offending party(s) will be sent home immediately at his or her own expense. 8.5 Punctuality is requested in attending all event functions. 8.6 Identity badges must be worn at all event functions at all times. 8.7 Participants are responsible for damaged property. 8.8 Take care of all your personal belongings at all times. 9. OTHER USEFUL INFORMATION 9.1 Climate Be prepared for all types of weather. Beijing, China is dry and cold in March with the average temperature is 5 C. (Average high temperature: 12 C; Average low temperature: 2 C) It is suggested that participants search weather related websites on the Internet for details on weather and temperatures in Beijing, China prior to arrival. 9.2 Currency The official currency of China is the Renminbi (RMB). 9.3 Credit Cards As not all merchants take credit cards, it is suggested to exchange as much RMB as possible for settling additional expenses. 9.4 Emergency Numbers The number to call for Police Emergency is 110; the number to call for Fire and Ambulance Emergency is 119. Additional emergency numbers and information such as local hospitals will be provided along with your welcome packets. 9.5 Traffic Participants are reminded to be extra cautious when crossing roads as traffic condition in Beijing can be very different from your own location. 14
