If you fail by Wednesday, January 29 th 2019, Registration cost per person will increase per person by $5.00. Please do your best register at the latest one week before the event to ensure we are prepared for your arrival and have adequate staff and program materials Walk-in registrations are discouraged but will be accepted at full cost. 3 Check-In and Campsite Set-Up Upon request of the camp ranger vehicles will not be allowed to drive directly up to campsites and will be directed where to park by order of the arrow staff. Distances between campsites and the competition sites are relatively small, and within easy travel range. Be prepared to hike your camping gear to your campsite. Please mark your campsite in some manner (signs, troop flag, surveyors flagging, etc.) to indicate your boundaries. This helps everyone easily locate your group. Early unit check-in will be conducted between the hours of 3PM to 5PM on Friday. Regular check-in will be from 5pm to 9 PM on Friday... Scoutmasters and/or Senior Patrol Leader should check in at the Headquarters area during these times. Please be prepared as follows: Bring the following: 1. Unit Registration Form-Refer at end of this packet. Crucial for camps evacuation procedures 2. Medical Forms (Forms A&B) 3. Final list of patrols, including the patrol names. This year we will accept patrols with up to but no more than 10 Scouts. The ideal size is about 8 scouts. MEDICAL FORMS ARE REQUIRED Please make sure medical forms are with Adult in Charge upon Check in. Please do not mail in med forms ahead of time. Check-out and Campsite Clean-up Checkout hours are Saturday after the closing, and Sunday 7AM until 11AM. Troops must have their campsites inspected before they are allowed to checkout and receive Klondike Derby patches. All equipment must be removed from campsite before checkout. Proof of registration is required to receive Klondike Derby patches and awards. Please sweep your campsite for trash and dispose of your campfire ashes in designated areas. Please note that parking spaces are limited and certain portions of the roadway are narrow. Some of these areas will be restricted for safety reasons and to permit access by emergency vehicles. In order to avoid traffic congestion, vehicles are not allowed at the campsites. All vehicles except identified staff vehicles must park in the designated parking area. Your cooperation in not parking in restricted areas is extremely important to the safety of the Klondike. Parking in campsites is not permitted, unless special permission is obtained for good reasons (e.g. a handicapped person needing close access to a vehicle.)
4 Important Notes to Remember Prepare for heavy snow every night and ensure scouts put everything away before going to bed. As buried items have damaged the camps equipment in the past please let staff know of any buried Items upon Camp Inspection. There is no fire Pits at campsites. Please pick up fire pans upon check in or bring your own. Please ask staff where to dump ashes during campsite inspection troops will not be able to leave unless campsite is inspected. Please ensure all scouts are aware of the warning signs of Hypothermia and Frost Bite If first aid is required please report to the closest adult and staff member. Safe Scouting We list here, without reservations, all forbidden items, equipment, or activities. Remember that violations of some of these guidelines could result in injury to Scouts, or violation of State or Federal Laws, or Klondike rules. If the violation is serious enough, the penalty may be expulsion from the Klondike. Follow the Scout Oath and Law! NO SNOWBALL FIGHTS ETC : Others have been hit in the face and eyes and caused serious injury in the past. Don't ruin a Scout's experience at Klondike by hurting him with a snowball or other objects. NO SLED BASHING: Sled bashing or deliberate collisions with other sleds are very dangerous and have caused injuries to Scouts in the past. Anyone engaging in this activity will be immediately disqualified. PLEASE AVOID UNDESIGNATED AREAS: Unmarked Trails, Irrigation Canals, Etc NO GROUND FIRES: All fires must be in fireproof, portable containers; ashes must be taken with you. We recommend bringing your own firepan if you do not have one talk to staff before starting campfire NO CUTTING OF STANDING TREES OR LIMBS, DEAD OR ALIVE. NO OPEN FLAMES IN TENTS. NO SMOKING AT PUBLIC EVENTS OR IN ANY PUBLIC AREA. NO ALCOHOLIC BEVERAGES OR MIND ALTERING SUBSTANCES. NO SNOWMOBILES: Except as provided by the Klondike Staff or Camp Ranger. NO ATHLETIC SHOES AND NO COTTON CLOTHING! NO FIRECRACKERS: Or other devices that go "pop" in the night. NO PETS: Exceptions include Service Animals and ANY LOST OR DAMAGED ELECTRONICS IS THE RESPONSIBILITY OF THE SCOUT TOILETS-- USE THEM!: Ground latrines and Cat holes prohibited " TRASH/GARBAGE: PUT IT IN A TRASH BAG OR CARRY IT OUT WITH YOU! CONFLICT RESOLUTION: The Klondike Chairman, whose decision is final, will arbitrate disagreements between Staff and the Klondike participants. Please do not address any complaints you have of youth staff to them directly. Please bring all these type of complaints to the Klondike Chairman and we will take appropriate measures. Please bring attention of scouting misconduct to staff immediately.

7 Required Equipment Required Troop Equipment Fire Pan (Troops are required to use firepans for any and all troop fires) Dutch oven Required Sled Equipment (THIS IS A STATION EVENT) Each sled is required to have the following equipment: Watch Scout Handbook Notebook and Pencil Two wool blankets Utensils Stove W/ Fuel Pot and makings for hot beverage Drinking water, 1 quart per patrol member Compass Pocketknife Flashlight Sun protection Rain gear Patrol size First-aid kit Fire starter and Kindling 10 ropes, 1/4" thick hemp or nylon/polypropylene, one for each member Sled repair kit Garbage Bag to carry out any and all trash items WITHOUT THE ABOVE ITEMS, YOU MAY NOT BE ABLE TO COMPLETE SOME OF THE ADVENTURES YOU MAY ENCOUNTER. SO, BE PREPARED!
8 Sled Safety Information Sleds must be constructed entirely by patrols. Shopping carts, 55-gallon drums, etc. -are not considered to be constructed by the scouts. Store bought sleds will be allowed but will not receive any point recognition. For reference on how to construct Klondike Sleds, see Boy's Life reprints or other winter camping resources, or call the Klondike Staff. The following plan is for a sled that has minimum and maximum dimensions as shown. The sled below is shown as a guide. Your own design may be used if it conforms to the minimum and maximum dimensions. Make sure the sled is strong enough to bear the weight of your equipment and one Scout and will hold together for a long trip. It is best to use screws rather than nails. Drill first to avoid splitting wood. The sled shown uses a single piece runner. Skis or multiple runners may be used. Varnish bottom of runners and wax before using. Wire netting or a canvas snow curtain may be added to prevent items from falling off of the sled. Secure a towing rope at the front. In past years, the biggest safety problem has been protrusions, like a "push bar" at the rear of the sled, accidentally striking a scout. This year, we ask that you examine your sled for any potential safety problems. The push bar should not protrude more than 6" on each side of the sled. We also ask that no "temporary" additional push bars be placed on the sled during the race. If any member of the Klondike staff notices an illegal protrusion, your sled will be subject to an immediate modification at Headquarters. You can "pad" handles and sharp corners with neoprene foam rubber pipe insulation secured with duct tape, available at hardware or lumber stores. USE BOLTS OR SCREWS WHEN BUILDING SLEDS SO THEY DON'T COME APART ON THE TRAIL. NAILS ARE NOT RELIABLE. Special note on the use of sled wheels. In years past the snow levels have varied. 10 Emergency Preparedness Be Prepared It is extremely important to have equipment shakedowns and practices before coming to Klondike. One suggestion is to distribute the list of required equipment, and have a "demo" night to make sure that all Scouts and parents understand what clothing and equipment are essential to have a good experience. Inadequate or improper clothing for winter weather conditions can result in cases of frostbite and hypothermia. After the Scouts have had a chance to put together their equipment and clothing, have a mandatory "shakedown" inspection meeting where each Scout is required to bring all equipment and clothing they will use at the Klondike and/or at pre-klondike practice(s). Make sure that any deficiencies are corrected well before Scouts leave for Klondike. This is good way to make sure each Scout has a positive experience that makes them want to come back again. If you need help with such demos, contact the Klondike Staff to arrange for a presentation. Natural Hazard Preparedness Rapid onset of severe storms may prevent or interfere with planned arrivals and departures. Plan to have enough gear and food to comfortably shelter scouts and leaders "in-place" if travel is restricted during a severe storm. If the event is cancelled due to weather or other natural hazard every effort will be made to reschedule the event. We have established a policy for canceling the Klondike due to extreme winter weather conditions. Any of the following conditions are sufficient to modify or cancel the Klondike: Winter storm or blizzard/high wind warning Wind-chill below -32 F Visibility less than 100 feet Any other non-weather related conditions, which the Scout office, County Sheriff s office, Washington State Patrol or the Klondike Staff deems to be unsafe, or a potential life/safety hazard. Lost Person/ Search and Rescue First, recount all personnel, and then identify specifically who is missing. Determine last known location. Send two runners to nearest first-aid station or to check-in office. Keep remaining personnel in camp until further notification. Let the Klondike staff coordinate search or rescue operations. Klondike Staff will search for a maximum of 45 minutes, and then turn over the operation to the Sheriff. Evacuation Procedure In case of the chance we need to evacuate the camp please refer to the following procedures. Ensure staff have a list of all members in your unit present at the event and identify weather their gender and whether their a Youth, Youth+, Or Adult (Refer to Unit Roster Form) Count for all personnel Move unit to staff parking lot Re-count for all personnel Inform Staff of any missing personnel
