1 Family Fun Day Meeting #3 - Wednesday 6th April 2016 FFD Committee members Present - Gemma Darroch, Tracey Wakefield, Julia Gallop, Elinor Pryde, Pam Rushton, Narelle Whittington, Sonja Grovermann, Yvonne Wilding, Sarah Reimers, Belinda Buckley, Bronwyn Carter, Biljana Stevanovski, Jill Corgat, Felicity Brodie. Apologies - Cathy Norton, Caron Macneall, Cathia Carson, Nikki Reilly, Georgina Materne, Michelle Prevett, Richie Griffiths, Jane Ross, Gypsey Stockley, Shannon Dobson, Kristie Ives. Minutes - Yvonne Wilding (at meeting) & Felicity Brodie Meeting Opened: 0915 Chairperson - Welcome by Felicity Brodie P&C Vice President. Previous minutes - Motioned: Felicity Brodie. Seconded: Narelle Whittington. 5.1 Rides - Tracey Wakefield. After discussion at previous FFD meeting, and further discussion with various ride vendors, the ride selection decided on is - * Bungee bounce x2 (for ages 2 - adult - max 80kg) * Rock climbing wall (4 people at once) (for ages 4 - adult) * Obstacle course (14 kids at once) It was decided that the deposit for rides be paid. The total cost of these rides will be $2310 (inc GST and operators). It was also decided that the Dunk Tank will be ordered for the Room 6 run stall. The cost of the dunk tank is $550 plus GST. It was decided that the dunk tank will be managed on the day by parents from LPS, as the added cost of hiring operators for the dunk tank was too expensive. 5.2 Outside Vendors - Gemma Darroch. 5 requests for outside vendor stalls have been received so far. The updated 2016 Outside Vendor application forms have been completed and will be sent out to interested parties next week. 5.3 Major Raffle Prize Update - To be discussed at next meeting. 5.4 Static Displays - Police - Gemma - has not heard back from contacts. Felicity to further investigate with Community Liaison.
2 KVBFS - Felicity - confirmed KVBFS will attend with 1 light tanker and 1 heavy tanker (fire truck). fire fighters and information table. St John Ambulance Association - Felicity - awaiting confirmation of 1 Ambulance, ambulance officers attending, and information table. SES - Felicity - confirmed 2 SES Emergency vehicles attending, SES officers and information table Kalamunda Toy Library - Felicity - awaiting return contact. Vintage Cars (Kevin Donetta) - Felicity will discuss with Kevin in term 2. Scouts Bridge Update - Pam to contact Kalamunda and Gooseberry Hill Groups. Awaiting information firstly from Julia, regarding space availability, for set up of Scout bridge at LPS FFD. 5.6 Class Stall Updates - Kindy - Narelle Whittington - An has been sent out to all kindy parents requesting they fill one jar per term for their lucky jar class stall (each child s family donating 4 jars each), so the stall can have at least a minimum number of jars to start with. Included in the were many suggestions of items to fill their jars, and not spending over a couple of dollars for the items in each jar, as they would be selling for approximately $2 each at the FFD. This year jars of varying sizes will be filled rather than one specific size. This would make the Lucky Jar idea more appropriate. Wanting to include food jars, such as pasta sauce, jams, pickles, preserves, etc. Also considering having an adult lucky jar section, with items such as wine, small alcohol bottles, cosmetics, after shave, perfume, and other prizes which are only suitable for over 18s. These adult only jars would have a higher price tag than the children s jars. Further discussion will continue amongst the kindy parents to work out if this idea is feasible (dependant on donations). Checks will also be made on rules surrounding alcohol as a prize in the adult lucky jars. PP Rm 11 - Bonnie Carter-Marshall - Some books have already been donated and collected for the secondhand kids bookstall, including games and puzzles. It was suggested that the hand made fairy wands be included as a side stall, as it was a very popular item at the previous FFD. A hundred was thought to be the number of wands to aim for, at the FFD stall. A price was discussed and it was decided that the wands be sold for $1 this year, instead of 50c, as there was still value for money, and it meets the effort put in to make each wand, plus the expense of the crafting goods that are used to make each wand. The wand idea will be discussed with Mrs Mulligan to see if wand making can be incorporated as a PP class activity. Rm 13 - Michelle Prevett - Nothing extra to add regarding stall ideas. Still happy doing Teddy Tombola, Kids Fun Zone (including Duck Pond, and lollie bags). Rm 14 - Narelle Whittington (for Jane Ross) - All in hand at the moment. A note to go out in mid term 2 regarding school community s donations for the secondhand toy stall. Discussion was had regarding storage for items donated early in the year. It was
3 decided that due to insufficient storage at LPS, items would be stored in garages of selected parents. Rm 15 - Cathy Norton - Krispy Kreme Donut Stall. The number of pre ordered donuts may not be as many as the last FFD, as there is now a stall in Perth. It was suggested that a larger amount of single donuts be sold at the FFD this year, as they are a very popular food item. Feedback from the last FFD was that more single donuts for sale would have been preferred. It was suggested that room 15 also take on the cake and bake stall (previously room 8 run stall). Pam will send out an to room 8 parents to make sure everyone is happy with the change. Combining the two sweet food stalls would enable better storage of donuts and baked goods, and service, as they would be at the one stall. The coffee van vendor would then be positioned close to the sweet food stall, making it more efficient and easier for customers, especially for the morning and afternoon tea rush. Michelle Grassie has also kindly offered to donate one of her amazing decorated cakes as a raffle prize for the stall. Rm 16 - Tracey Wakefield - Supplier for the sausages, bacon, buns and onions was discussed. It was suggested that we continue using IGA for sausages and onions, and also the bacon. Bakers Delight Kalamunda was suggested again be used as supplier for sausage buns and burger buns. The previous FFD sausage sizzle stall will be looked at to determine numbers for each item that need to be ordered. Items will be ordered approximately 4 weeks prior to the FFD, but enquiries with suppliers regarding price, delivery etc, will be carried out soon. It was suggested a coffee morning be organised in the week of the FFD to chop bulk bags of onions for the stall. This is the most cost effective way of purchasing onions. There was a discussion regarding the actual running of the stall for the FFD. It was decided that the sizzle and burger stall is very labour intensive, and therefore approximately 5 people would be needed on the stall for each 2 hour shift. This would keep customer service flowing, and also the cooking of sausages, bacon and onions and ongoing food preparation, most efficient. It was also noted that there is a large amount of grease proof paper left over from the previous FFD, which can be used for wrapping the burgers. Rm 1 - Jill Corgat - The secondhand kids clothing stall will have an age/sizing cut off for donations. Sizes to be sold will be from kindy (ages 3-4) up to year 6 sizes (ages 11-12). It was considered that most baby sizings would not be popular sellers at the FFD (feedback from previous stall). An idea of selling clothes in bulk bags was suggested, which some members have seen at other fetes. Jill will share this idea with class members to see if it will suit their stall. Rm 2 - Gypsy Stockley - There has not been a stall idea selected as yet. Felicity will discuss the idea of room 2 combining with room 7 to coordinate the Haunted House. The Haunted House will need a group of parents (perhaps 5 or 6) to be the main coordinating committee. It is hoped that the parents and children from both class groups be heavily involved with setting up and participating in the Haunted House at the FFD.
4 It was also suggested that room 2 have the Fairy Floss stall this year. This will allow some of the students (and parents) who cannot help with the Haunted House, to still be involved with a class stall. Felicity will pass on information regarding the costs for hiring fairy floss machine for the last FFD. There was also interest from some junior school parents, who may like to be part of the haunted house committee. Felicity will have a chat with all interested parties to see how the haunted house stall will proceed. Rm 5 - Shannon Dobson - Scholastic Book Fair is the main stall idea. Parents from room 5 are still discussing ideas for a side stall. The Book Fair does not need a lot of parent involvement as it is fairly self contained, other than parent help on the actual stall day. A side stall is being discussed to enable children and parents to be actively involved in a stall at the FFD. Rm 6 - The class rep role has not been filled as yet. Felicity Brodie will take on the role for communication purposes (teacher/parent communication and class stall updates and discussion), until a stall coordinator/s is found. To date, Ms Mohren and the students of room 6 have been very enthusiastic about their stall idea of Amusement Arcade based mainly on water games, and also a Dunk Tank. At todays meeting, the cost of the Dunk Tank was discussed. It was decided that the P&C will accept the cost of the Dunk Tank for room 6, on the proviso that it is manned by parents and students from room 6 (and any other parents who would like to be involved). Members at todays meeting decided that the cost of hiring staff to man the Dunk Tank was too expensive, and costs for staffing would not be recouped from takings on the day. It was suggested that Felicity discuss, with Ms Mohren, the idea of students from room 6 writing letters to selected sporting celebrities, and have them be dunkees at the FFD. It was also suggested that a special dunk be incorporated, whereby a special fee be paid by some throwers, which gives an auto dunking to whoever is on the dunking seat. (Costing $10 or $20 or highest bid, etc) This means that the button can be hit at point blank range to dunk the person. Rm 7 - Kristie Ives - Felicity to discuss with Miss Madafferi and interested parents, the idea of combining the Haunted House with room 2. This will spread the load for parents of both classes. A group of 5 or 6 parents will be needed to coordinate the Haunted House. (As per room 2 update above) We thank Elinor Pryde for putting her hand up previously to be Haunted House coordinator. Due to new commitments Elinor will be unable to continue as coordinator. Elinor is still available (for the new coordinators) to answer any questions or practicalities regarding the Haunted House, which will be a great help. Rm 8 - Pam Rushton - Pam to out information (see info from room 15 update above), changing class stall to a White Elephant Stall (Bric - a Brac). 5.7 Junior Block Plant Stall - A general discussion regarding class stalls and participation by parents.
5 In previous years, it was generally viewed that most parents helped out on the stalls of their children s classes, and were unlikely to be involved with other class stalls. It was noted that some parents have interests or knowledge that may be beneficial to other activities, and they may want to help out with other stalls. It was decided that a more general view be taken over the running of each class stall. Although a class may be coordinating a stall, parents from other class groups would be encouraged to help out with any stall that may hold interest for them. The Junior block, for example, is coordinating the plant stall. We are hoping that parents and students from the senior block get involved with this stall as well. We have many talented parents with great knowledge of horticulture and plants, but not just from the junior block classes. We are hoping that more parents and grandparents may want to get involved with stalls other than just their own child s stall. Yvonne Wilding - It was suggested that an FFD newsletter be written up and sent out in week 3 or 4 of term 2. A list of all the FFD stalls and who to contact. Requests for each stall will be included (what each stall needs collected or donated, when to bring items in and where to put them, and how the LPS community can help out). Generally keeping the school community up to date with how the FFD preparations are going. 5.8 Sponsors and Donations Update, 5.9 Entertainment Update and 5.10 Facebook Update - These 3 items to be discussed at next FFD meeting.
