Background Bids are Invited from reputed and experienced companies meeting the Qualification Criteria for constructing Exhibition Stands and Air-conditioned Hangars for the International Conference on NexGen Technologies for Mining & Fuel Industries - NxGnMiFu 207 at Vigyan Bhawan, New Delhi from th - 7th February 207. The conference is being organized by CSIR - Central Institute of Mining & Fuel Research, Dhanbad. KW Conferences h been appointed by CSIR-CIMFR Event Managers for the conference. The appointed agency will be to work in coordination with the Event Managers..B. Requirements: S.no. 2 8 Miscellaneous (plee provide details) B. Qualification Criteria Techno-Commercial Requirements: B. The bidders should have adequate experience for organizing exhibitions in the exhibition area of Vigyan Bhawan, New Delhi. B.2 The bidding firm must have a minimum turnover of Rs. 0 crore per annum per Profit and Loss Statement B.3 The bidder must fulfill all statutory requirements such VAT, PAN of the firm, sale tax, service tax registration well IT return of lt 3 years, valid license etc. needed for such exhibition activities. B. The bidder must submit the self declaration for not being black listed by any agency. B. The bidder must submit audited profit and loss account of lt 3 years. B.6 Income-tax return acknowledgement for the lt 3 years. B.7 Copy of 26AH related to TDS deducted from different sources. The bid must be sent in one sealed envelope containing two separate envelopes marked 'Techno- Commercial Bid' and 'Price Bid'. Pro-Rata Order & Payment The numbers of days, type and quantity of items mentioned above are best estimates bed on information available at present. Should emerging realities require more or less days or quantity of items, a prorata order will be placed bed on the quoted unit cost. During the actual conference, should the numbers of days, and quantity of items be different from that envisaged in the order, bill bed only on pro-rata costs quoted in the bid should be raised. C.2 Faulty Equipment Should any unit prove faulty or develop faults before or during the conference, the bidder will immediately replace/repair it at his own expense without billing for the repair/replacement. Failure to do so may result in forfeiture of the performance security bank guarantee. C.3 Price quoted to cover: - Cost of Manpower, Food, Local transport - Sundry items should be included, and billed together with the main items per Annexure. 2

3 -Taxes should be calculated and the figure mentioned separately and added to the total, not merely taxes extra - If tax amount is not shown in the bid, it cannot be charged in the bill. C. Period of Validity of the Tender The Tender submitted in response to this invitation shall remain valid till 8 Feb D. Bid Format D. Envelope The bids will be enclosed in a sealed envelope clearly superscribed Bid for Construction of Exhibition Stands and Air-conditioned Hangar for NxGnMiFu 207 The envelope will be addressed to: The Organising Secretary NexGen Technologies for Mining & Fuel Industries - NxGnMiFu 207 and delivered to: KW Conferences Pvt Ltd A 6/2, DLF Phe I Gurgaon E. Bid Contents - Details of Documents to be submitted along with the Tender The envelope should contain enclosures described at E2.-E2.3 below. Sheets except for covering letter need not be on letterhead, but all sheets should be signed and stamped by an authorized representative of the company. E. Covering Letter Letter presenting the bid, on company letterhead, signed by authorized representative, listing the enclosures. Additional unspecified amounts such per expenses/actuals or at cost should not be written. Such amounts should be estimated and included in the total price. E.2 Supporting documents/ and details of minimum qualifications at B.-B.7 above, such copies of : P&L statements, orders/contracts on letterhead, final bills, PAN, Service Tax/VAT certificates, letters from clients expressing satisfaction with work done. These supporting documents that establish the minimum qualifications should not be mixed with the Price Bid described at E.3. E.3 Price Bid Annexure-, after filling. The Price Bid will be opened only after the bidder h qualified per the Techno-Commercial bid. F. Lt Date & Bid Opening The sealed bid envelope should be couriered / hand delivered specified in D. 3

4 The bids should reach the specified address by th January 207. The bid will be opened by a committee of officers of CSIR-CIMFR at Dhanbad. The bids will be analyzed by CSIR-CIMFR who retain the right to reject any or all bids. The price bids will be scrutinized only from those meeting the qualification criteria. The committee will select from the eligible bids, the vendor quoting the lowest (L) rates. G. Conditions Resulting in Disqualification The following may cause a bid to be disqualified: - Appending of additional unspecified amounts to the total price with words such per expenses/actuals or at cost. Such amounts should be estimated and included in the total price. - Additional Terms & Conditions put by the bidder that are not specified in this Invitation to Tender H. Dispute Resolution In the event of any disagreement or dispute between the contracting parties i.e. CSIR-CIMFR, and the contracted agency, the decision taken by the committee of CSIR-CIMFR will be final.
