2 ABOUT SCHOOL CAMP Ltd School camp Ltd provide a wide range of innovative off site adventurous outdoor activity events. Our products include, Outdoor Activity days, Adventurous Activity Camps, Curriculum Enhancement Camps, Teambuilding days, BTEC / PE Outdoor Adventurous Activity Modules and Geography Field Trips. We pride ourselves in providing high quality, cost effective outdoor education solutions for individuals, families, schools, colleges and youth groups. We have been involved in the expedition section of the award in many formats for the last 10 years and understand the needs of groups and individuals. We offer Bronze, Silver and Gold expeditions across the UK both by Canoe and on foot. AN ADVENTUROUS ACTIVITIES LICENCE HOLDER School Camp Ltd is certified by the Adventurous Activities Licencing Scheme. Holders of this quality badge are able to offer adventurous activities to groups and under 18s. WHY BOOK WITH US? Experienced Company Although the company itself is relatively young being formed 2010, the director is a trained teacher and along with our other staff have been working with the D of E award since Our full time instructors have a combined wealth of expedition experience across the UK. Quality Training - We have adopted parts of nationally recognised training programmes into out pre expedition training. Working with our governing bodies we are able to award BCU (British Canoe Union) performance certificates in addition to the D of E expedition section. This is offered at no extra cost except for a very small certificate fee payable to the BCU on completion of the star award. Fully Risk Assessed - All our activities, accommodation and activity locations are fully risk assessed by our staff. Copies of the risk assessments can be made available should you require this. Fully Insured - All our activities and are covered by our comprehensive outdoor industry specific liability insurance policy which satisfy all DofE and Local education authority requirements. Telephone And Support - Our office will support you through your expedition section, planning and preparation and is only a call or away. Modern Regularly Replaced Equipment - We are proud of our quality equipment, which is regularly maintained and replaced to ensure it is of the highest standard. Our policy is not to buy cheap but to buy equipment that allows people to develop skill and not just participate in the activity. Highly Qualified Friendly Staff - All our staff have been hand-picked for their ability to relate to and develop skills in young people. We are lucky to have a strong instructor base from which you can be assured that you will receive only quality staff. We only use Mountain leaders and Level 3 canoe coaches to train and support you during your expeditions. All of our staff will have been CRB checked in line with our company policy. PAGE 2

3 HOW DOES AN OPEN EXPEDITION WORK? An open expedition programme has to recognise that everyone s needs are different, that they may be miles apart, and able to make only certain dates. Ideally the same group would do their training practice and assessment together, but this is not always the case. There may be fresh faces popping up throughout your expeditions. SO HOW DOES IT WORK? Signing up - Over the winter period those who are looking for open awards will sign up with our office, rather like you are considering. Each person will fill out the information sheet contained in this pack and will indicate the dates that they wish to attend. Training The training dates are the first opportunity to meet as a group. The training will continue into the first day of your practise expedition. E learning An addition to the training days we may also send you a number of information sheets and web links which you can view at home before attending the training. Practice expedition The practice expedition will contain continued training and will give you a chance to become more independent over its length. You can expect to be well supported and supervised to start with but once we are happy you have the skills our instructors will be more remote. Don t forget the next time you are out you will be being assessed so if you have any questions or concerns then this is the time to ask. Planning the Assessment route During the training and practice we will start the expedition planning process. On a combined training and practice event this will be done in the evenings or on the final day. We will use correspondence to put the group in contact and enable you to finish planning your expedition. You will choose from available campsites and be provided with route cards which can be completed electronically. These will be submitted by to our office and the campsites booked. We will then send everyone a copy of all the days planning. Expedition paperwork We will complete all the paperwork and submit it to the DofE in order to make sure that your expedition counts. Assessment Assessment expeditions start on the day before the expedition, so that you can regroup and prepare for the expedition. This day give you a chance to review the route, pack as a group and ensure you have all the group and individual equipment. This day is essential for the success of open award expeditions. The DofE refer to this as the acclimatisation day. On the following morning you will meet your expedition assessor. Over the following days you will be remotely supervised by an instructor / Assessor who will monitor your progress and meet you at several points to ensure your safety. Assessors These will be provided by the company and will meet you at various points to ensure that you have met the requirements of the award. At the end of the expedition your report will be uploaded directly into your E DofE account. PAGE 3

4 DATES AND VENUES Your Gold expedition section will be covered in 11 days. This will be made up of a six day combined training and practice expedition, and a 5 day assessment expedition, made up of 1 days pre assessment planning, preparation and orientation and a 4 day assessment. Training + Practice Combined (6 Days) Dates : 29 th March 3 rd April Venue : Welshpool, The River Severn Other dates may be available, please contact us for details. Assessment / Qualifying Expeditions (4.5 Days) Dates : 22 nd -26 th August Venue : Glasbury, The River Wye Other dates may be available, please contact us for details. COST Each expedition costs 330, or 600 if you book both expeditions at the same time. The cost includes any applicable VAT. See Booking information later in this pack for detailed information regarding cost and instalments. WHAT IS INCLUDED We believe we have developed on of the best value expedition programs around. There are no hidden charges in our expeditions. The cost includes: Well qualified trainers and assessors (one staff member per group) D of E assessment fees Maps and compasses Free use of our well maintained boats and equipment All campsite fees included in the advertised price. Registered assessors Office telephone and support through your expedition section. Vat We even provide your first days evening meal during the training phase of the expedition. The cost excludes: Food on training, practice and assessment expeditions Travel from your home to the start point and return from the finish point. 5 TRAINING PROGRAMME 1 2 GOLD CANOE PROGRAMME OUTLINE Aim: To learn necessary skills to enable the participant to ensure the safety of themselves and others whilst on the water. Also the appropriate rescue skills to be used to help themselves and/or others in difficulty. Content of day: Basic paddle skills manoeuvring of the boat. Warming up and stretching. Safety and rescue protocols Bank based rescues: Boat based rescues, Use of throw lines Self-rescues All in rescues First aid Hyperthermia Rescue and emergency scenarios Evening Camp-craft and Cooking Nutrition and Menu choice Aim: To develop on the safety and basic skills from day to create self-sufficient paddlers. Possible / optional wild camp training. Pack up camp, Independent check pointed journeying, working on timing and navigation. A short taxi ride will be necessary from the nearest train station and we normally contact participants, putting them in contact with each other, so that the cost of this can be shared. Practice Expedition Food It is a requirement of the expedition section that you are able to plan and provide food suitable for the expedition, for this reason we cannot include food in the package. We do however provide food on the first evening and the first morning in order to discuss the principles of sensible and nutritionally valuable expedition food. We will discuss suitable food and help you plan a menu and we provide food on the first night, and on the second morning so that you can get an idea of what to bring. PAGE 6

We recommend that you bring around 6 a day to allow for your group food shopping. You may decide to bring a range of food from home with you. When you have met the group and have received the training you will be able to pool your resources, and shop for additional food required. If you decide to do this then we suggest you bring some items from home. You should bring a number of portions of noodles, rice, pasta, sauces, nuts, cereal bars, chocolate, tea, coffee, biscuits and crackers, and other non-perishable items. Whilst planning your menu please consider: - The weight of the food. - The size (and weight) of the packaging - The ease of cooking on a single gas burner. - Instant energy snack foods for daytime top ups. - How likely items are to get squashed whilst packed. - The product shelf life as you will not have a refrigerator. - Portion size. - Balance of protein and carbohydrates (breakfast and evening meals) PAGE 7

8 GOLD CANOE DofE ASSESSMENT EXPEDITION PROGRAMME DETAIL 22 nd -26 th August 2016 Location: Meeting point: Meeting time: River Wye Newcourt Farm, Felindre, Three Cocks, Brecon, Powys, LD3 0SS 1.30pm at campsite (Participants who have done practice + training with School Camp Ltd only) 10am at campsite for individuals who need to do a pre-qualifying safety training sign off (Participants not having done practice + training with School Camp Ltd) Closest train Station: Abergavenny train station 1 st Campsite: Newcourt Farm, Felindre, Three Cocks, Brecon, Powys, LD3 0SS Tel: Campsite will be booked by School Camp Ltd. Campsites: The 3 campsites to be used during your assessment will depend on the route that you plan, as you have several campsite options each night. You will phone and book the campsites before the assessment expedition. Assessed Expedition Food It is a requirement of the expedition section that you are able to plan and provide food suitable for the expedition, for this reason we cannot include food in the package. Please note that there will not be an opportunity to visit a shop before you start the expedition. We will train participants to select equipment based on the following equipment list which is provided as a guide. 10 STOVE FUEL If you are borrowing one of our trangia stoves then please ensure you bring a gas bottle with you to the expedition. Screw top gas bottles fit our stoves (see inset image) but don t have to be the CADAC brand shown. They are readily available at outdoor shops and are also available from us costing 6 and most groups us 2 per expedition. PRE EXPEDITION PLANNING AND ROUTE CARDS. You will not need to prepare a route in advance of the practice expedition, this will be completed as a training exercise on route. We will plan your qualifying / assessed expedition during the training and practice expedition. This will be an evening task and you will have the support of our instructors. Your qualifying expedition will require a purpose. We will discuss this during the practice and you will need to plan a route that will enable you to achieve the purpose. It is possible that your group members will each have a different purpose and during the qualifying expedition arrival day you will need to combine your plan and decide how and when you will each research / achieve your aims. You will be given an opportunity to undertake a verbal presentation to the assessor at the end of the expedition, or you may choose to present to your award leader once you have returned home and prepared a project. MEDICAL INFORMATION You need to ensure that we have a completed medical / consent form. This must be signed by your Parent / Guardian if you are under 18. We should receive this 2 weeks before your expedition. Failure to provide a signed form may mean that we are not happy to allow you to join the expedition, so please it to us in advance as it avoids those last minute problems. If you have previously completed a medical form, please consider if anything has changed since the last expedition and inform us in writing of any changes. You should also inform your instructor on your arrival at the start point. SIGNING OFF YOUR EXPEDITION We will upload a report directly into your E DofE, so please ensure we have your DofE number. If you have the old style books or keeping track record card please bring it with you to the expeditions. PAGE 10

11 NOTIFYING THE DofE OFFICE ABOUT YOUR EXPEDITION It is a requirement of the award that your local Duke of Edinburgh award office is notified of your open expedition dates and venue. We will complete the necessary paperwork and will send this to your local award centre. Please complete the enclosed dofe award progress questionnaire form in order to supply us with the required information. Most if the information requested can be found inside your D of E registration pack. This questionnaire can be downloaded here: WEIL S DISEASE Although we have never had any reported incidents, we feel it is important that parents and participants understand about the existence and the symptoms of Weil s Disease. This infection is caught through contact with infected animal urine which can be found in water. It is contracted through open cuts and scrapes or through nose, eyes and month. According to British Rowing the chance of contracting the disease from recreational water is very small. However, we recommend that participants cover all cuts, avoid swallowing river water and that they wash their hands before eating and drinking. If anyone experiences flu like symptoms after the expedition they should contact their doctor. School Camp Ltd Will Be Responsible For RESPONSIBILITIES / OUR DUTY OF CARE o The cost of campsites during the training and practice expeditions. You will pay for the assessment expedition campsites with cash included in the overall cost of the programme. o Providing limited food during the training days. (day one evening meal only) o The health and safety of the group through-out the scheduled activities and for those under 18 during the whole event. o Ensuring the expedition fulfils the D of E requirements. o Ensuring a first aider is always on hand for first aid support. o Ensuring that our staff are CRB checked in line with our company policy. o In the event of an emergency our instructors will act in the best interests of the individuals involved and adopting a loco parentis role. You Are Responsible For o The cost of any additional services arranged at the event or with the accommodation providers. Eg washing, or any tab created during your stay. o For any costs related to getting to the accommodation if you are more than 30mins late to the pickup point (please keep in contact with us and we will do everything we can to help if this happens). o For the arrangement and payment of your transport to and from the event. o Supplying medical / dietary information in line with our companies own consent forms (copy enclosed), this information must be sent to us at least 2 weeks before your event. o For your own transportation home if you opt out of the activities or are removed from the activity for breach of the conduct contract. o Selecting and Providing food for the duration of the expedition as required by the D of E PAGE 11

12 SUPERVISION OF UNDER 18S We are aware that this is an area of concern for parents. The company will adopt the loco parentis role throughout the residential. Having worked as a teacher for many years the Director oversees the training of every staff member to ensure they are suitably qualified and experienced in working in this role. In addition each staff member will be CRB checked in line with our company policies. As this is a D of E event you should expect that you will spend a time being remotely supervised. This means that we will be on hand monitoring progress and anticipating hazards on the route. We will stay with you during the training phases and will begin to distance ourselves once you have demonstrated the required independence. During remote supervision will meet with you several times a day but remain relatively close at hand should you require us. Once in campsites groups may be left unsupervised whilst our staff move trailer and vehicles downstream. In the event of a concern or problem then you / the parent will be our first port of call, should we be unable to make contact with you then be will act in the best interests of the participant. Should a parent wish to contact the instructor of their child then you may do so through our 24h out of office number, provided nearer the time. UNSUPERVISED TIMES There will be occasions when clients will be unsupervised in and around the accommodation, and whilst equipment or vehicles are being moved between locations. There will be periods of free time where clients will be free to move around within the boundary s set by the instructors. This will include areas of the villages, shops and parks which surround the building. We will operate a check in and check out procedure and will encourage participants to stay in groups. Clients will not be left unsupervised in dangerous environments. Please note that we will not see individuals onto their train and once dropped at the train station clients will be out of our duty of care. YOUR CONDUCT CONTRACT In order to ensure the smooth and safe running of our events we request that you agree to the following conduct contract. o Not to bring, purchase or consume any alcohol or drugs during the event. o To smoke only in designated areas and not to smoke whilst on activity sessions. o To treat each other and all the equipment with respect. o To accept and tolerate differences in other participants. o To be supportive of each other and of School Camp staff. o To participate in all activities fully and to the best of your abilities. o To use appropriate language at all times. o To have fun! INSURANCE POLICY It is always reassuring to know that we have a comprehensive and outdoor activity specific insurance policy issued by Activities Industry Mutual. 13 ADVENTUROUS ACTIVITIES LICENCE School Camp Ltd holds Adventurous Activity licence (AALA) issued by the Health and Safety Executive (HSE). Our licenced activities include; Kayaking, Open Canoeing, Improvised rafting, Rock climbing, Abseiling, Gorge Scrambling, Coast steering, Orienteering, Hill Walking & Mountaineering, and Off Road Cycling. You can download a copy of our AALA licence via this link or you can check our licence on the HSE website via this link PACKAGE TRAVEL REGULATIONS This event is not considered a package as described by the package travel regulation. TRAVEL INSURANCE Whilst we have full liability insurance ( 5 million pounds) our insurance does not extend to your cancellation due to illness or travel disruption nor to the loss or damage of your belongings whilst you are with us. Similarly to when you book a holiday, we suggest that you ensure you have an adequate insurance policy that covers adventurous activities. We work with Endsleigh who provide a specialist insurance policy, covering all our adventure activities, your cancellation and belongings. RISK ASSESSMENTS and MANAGING RISK Every activity we provide is fully risk assessed to the best of our ability. We risk assess each location and activity and provide the necessary equipment and run the activity in a way that minimises the risk to the individual. In addition, dynamic risk assessment are completed continually throughout our events by our qualified staff. There is always a small risk when spending time and participating in activities outdoors. Students have been known to get blisters and small cuts and grazes and these are swiftly dealt with by our instructors. Parents should be made aware of the nature of the activities to be undertaken so that they understand the risk. See our risk assessment pack via this link clients_2016.pdf FREQUENTLY ASKED QUESTIONS Can I book on this with a friend? o Yes. If you send your booking forms together or call our office we will make sure you are in the same expedition group. Do I need to bring food? o Yes. The D of E expedition requires you to plan and purchase a suitable menu. o You should bring most of your food with you. During training it will be possible to visit local shop. PAGE 13

14 Will I need to bring money? o Apart from the 20 fro campsite on the final expedition, there is no requirement to bring any additional money if you bring all your own food. However, you may wish to bring some money for snacks and drinks before and after your expedition or for purchasing food after your training and before your expedition. Camp sites are included in your expedition costs. Will there be a safe place to leave valuables? o We do not suggest that you take valuables with you whilst participating on water based activities, and our instructors cannot take responsibility for them during our camps. We may be able to direct you towards safer storage options (cars, tents and possibly locked rooms) However, you bring all items at your own risk and we are unable to accept any responsibility for them, wherever they are left. Do I need a mobile phone? o Optional. We will encourage one person from the group to keep a mobile phone on them during the expedition. You may find having your phone helps to arrange your pick up / journey home after the expedition. How many people will be on the course? o The course has no upper limit, and runs with a minimum of 4 persons. o Expedition group sizes will be a maximum of 7 for walking and 8 for canoeing. What is the instructor to participant ratios? o There will be one full time instructor attached to each expedition group. What if I am ill? o If you are unable to complete the expedition then we will help to arrange your transport home, but this will be at your own cost. If I am over 18 will I be able to drink alcohol? o No. School Camp Ltd and the D of E have a no alcohol policy on all their outdoor activity based events. Can I smoke? o School Camp Ltd discourages smoking and encourages a healthy lifestyle. However we understand that some people have already made life choices and will provide opportunities and safe areas to smoke on request. Cancelling my place after I have paid my deposit? o We are realistic about changes of plans and will offer you alternative dates / locations where possible. How do I get to the start point? o Each expedition will have a start point and you should meet us at this point. If you wish your contact details to be shared with the group to arrange taxi sharing please let us know. Will there be mobile reception or telephone access? o Many of our locations have poor mobile signal. Our instructors will know the areas where signal is available and be able to direct you as to where and when your phone may work during your stay. In an emergency we will be able to provide you with phone access. How do people contact me in an emergency? o The best way to make contact if you have not signal is via the School Camp office on or This phone line is monitored 24 hours but is only for emergency use outside of normal office hours. 15 CANOEING EXPEDITION PRICES Canoe expeditions include boats, paddles, waterproof barrels and water safety equipment hire. Expeditions at all levels are priced at a standard daily rate of 60 per day, and the programme is 11 days. I f you book both expeditions at the same time then we offer a 10% discount. The cost includes Vat. BOOKING FORM Please note that you will need to complete a booking form and make a deposit payment in order to reserve your place. The PDF booking form can be saved to your computer, completed electronically, and ed to us or can be printed, completed by hand, scanned or posted to us. The individual booking form can be accessed via this link. MAKING YOUR DEPOSIT PAYMENT Once we have received your booking form we will send you an invoice for the deposit. You will be able to pay by direct bank transfer (using your internet banking) or by debit or credit card over the phone, or by clicking on the pay now button on your invoice. 16 INDIVIDUAL BOOKINGS TERMS AND CONDITIONS OPEN DofE It is vital you read, understand and accept the following conditions prior to signing the attached booking form as on receipt of a signed and dated booking form, or your deposit payment, full terms and conditions will apply. PAYMENT 1. For Individual bookings a 20% non-refundable deposit is payable on receipt of the booking form. 2. The balance is due no later than 1 month prior to each event. 3. School Camp Ltd. will invoice individuals for any costs that accrue during the event. Such costs include but are not solely limited to; the loss or malicious damage to our property or other equipment; services or items ordered by you or your young people from a third party (campsite, food outlet etc) and invoiced incorrectly to us. Such invoices are payable on receipt of the invoice. AMENDMENT OR CANCELLATION 4. Amendment by customer. a. If an individual wishes to amend any of the booking details (including the event date) after payment of the deposit then we will endeavour to make the change, but cannot guarantee this. Please be assured we will do everything to assist in conforming to your wishes. The following amendment terms apply. i. School Camp Ltd can only accept written requests (mail or ) for amendments. ii. Amendments are only confirmed once you have received written confirmation from the company. iii. If there are any cost implications posed by the amendment, seasonal or otherwise, then you will be informed of this in writing and a written confirmation that you accept these costs will be required. 5. Cancellation by customer. a. If you wish to cancel a booking then School Camp Ltd must receive notification in writing (mail or ). b. Any cancellation takes effect from the date we receive notification, and will be confirmed by us by . c. The following cancellation fees will apply. i. After payment of the 20% deposit and before full payment date (20 working days before the event date) - The deposit will be lost or can be transferred to another booking. ii working days prior to delivery - 50% of the full event cost will be payable or this figure can be transferred to another date or booking (subject to availability). iii. 10 working days or less -100% of the full event cost will be payable d. In the event of transferring the booking then the value of the new booking must be of the same value to the cancelled booking, or an additional fee will be charged. e. School Camp Ltd. Reserves the right to charge a 50 administration fee to cover the cost of making any amendments and the issuing of new paperwork. f. Your place is fully transferable to another person and you may resell or gift your place to another similar person who meets the requirements of the course. Please contact us to arrange this. 6. Amendment or cancellation by School Camp Ltd. a. In the event that we are unable to provide expeditions that meet the requirements of the DofE award then you will be contacted and will have the option to withdraw from the event. b. In the event that we cancel the programme (other than force majeure) then a refund proportional to remaining undelivered days of the programme will be issued. NON ATTENDANCE OR NON COMPLETION OF THE ACTIVITY 7. In the case of non-attendance by any individual(s), in the case of them opting out of the activities, or going home before the end of the event then no refund will be made. 8. Any participant excluded from an activity or sent home by the company for behavioural, medical, social or emotional reasons will not be eligible for a refund. FORCE MAJEURE 1. School Camp Ltd. will not be liable to pay any compensation, nor refund any monies paid, for the cancelation or forced programme change due to circumstances beyond the companies control. This includes any issue that we or our suppliers would not have been able to reasonably foreseen. Such circumstances include, but are not limited to war or threat of war, terrorist activity, riots or civil strife, industrial disputes, natural or nuclear disasters, fire, water levels or weather. 2. In such circumstances, and subject to availability, School Camp Ltd will make every effort to offer an alternative event on the booked dates. HEALTH AND SAFETY 3. Individuals must supply School Camp Ltd with a completed medical / permission forms. In the event of the individual being under 18 then this form must be signed by a parent or guardian. 4. School Camp Ltd. must receive a copy of the medical and dietary information no less than 10 days before the event. After this form is submitted School Camp Ltd must be informed of any changes to the supplied information in writing. 5. School Camp Ltd accepts no responsibility for any ailment or further aggravation of any existing ailment suffered during or after a programme, disclosed or undisclosed. 6. School Camp Ltd accepts no responsibility for any injury caused whilst participating in the activity in any other manner other than directed by the instructor. 7. School Camp Ltd accepts no responsibility for any loss or damage to personal belongings whilst on our courses and events. PAGE 16
