Opening by Owen Miles Owen thanked everyone for coming and asked that all questions be directed through the chair. 2. Proposal of 2015 minutes - Owen These were proposed by Sue Whitmore and seconded by Mel Every. 3. Annette Matthews - Reflection on the year to date and end of Directorship term. That C word is fast approaching so I will start my report with last Christmas, when we attended the Bedelsford day school in Kingston arriving on our bikes dressed as Santas, Elves and Snowmen. I must tell you all it s not just a quick morning visit to the school. The children go around the town in the weeks before we arrive looking and listening for Harleys around Kingston. They talk about our visit beforehand so it s a big event to the children and the school, combined with their Xmas fair. So if you are able to spare a few hours from your day as we have to attend on school weekday as they are not residential. The date this year will be November 30 th. Steve Whitmore hopes to bring

2 along Singing Santa along with the sleigh attached to his bike. Please try to attend, as this event, as hard as it is to see the disable children, remember they get a lot out of our visit. After weeks of visiting many new venues that ticked all the boxes, we moved our Xmas Party from Burford Bridge Hotel to a new venue, The Runnymede Hotel. So in Dec last year we held our party there, it proved to be a great success. Many of you told us you liked the fact that the pre dinner drinks and drink included meant you did not spend much money except on our Xmas raffle. We have re booked the venue for this year, we have limited tickets as the venue only holds 75 people, B & B for a double room is 115. Here I would like to thank Andy Scott for taking over as etorque editor in January, he has done a great job. During the non-riding season etorque will be fortnightly. My third year as Chapter Director was special for me as it was our 25 th year as the Original and Only Surrey Chapter. We put on a spectacular party in a marquee with Hog Roast, live band and Chapter Games.Members Colin & Cheryl offered their home and garden for this party and we thank them. Left over 25 medals are available at 3 each. Every 2 years the club decides on a charity, our latest is Heron Lake, a total raised of just over 3000 and a floating trampoline was purchased. The poker run finished at the lake with a BBQ and was a great way to finish the fund raising. To close Annette thanked everyone for their support and wished Dave all the best for the next 3 years. Annette also thanked everyone for her Champagne Trug. 4. Dave Smith - Conclusion of 2016 and onto has been another successful year for our club with our fantastic 25th Party and also our biggest ever away trip organised by Peter Cutchey to Corton Coastal Village these along with many great rides and away trips are what we are all about. Not sure about the rest of the club but Mo & I have 3 weeks in Spain to look forward to thus leaving you in the capable hands of both assistant directors Annette & Steve. We have a number of events to look forward to both in October and November including our annual Remembrance day ride on Sunday 13th November and out Charity Santa Ride again to Bedelsford School Kingston on Wednesday 30 th We have also been asked to return again to Ripley for the Christmas Fair and turning on of the lights on Sunday 4th December so lets hope its another dry day. Taking over the directorship all I wanted was a few more members so that we tipped our numbers over the 200 mark and I believe we are heading that way.

3 Looking forward to 2017 we now have 1 Senior Road Captain Rob Every who is in charge of the Road crew but we still maintain our 2 teams of Panheads and Knuckleheads within our Road Crew. Rob will be talking later but I know that we are all looking forward to many rides and trips next year and we really hope that our Road Crew can come up with some new venues and roads never ridden before although living here in the Southeast I know that will be difficult. Any suggestions that you the members have for rideouts please send them via to Rob and not just the name of a place but you have to do some of the legwork plan a route etc. 5. Julie Palmer Financial report, Christmas party update and 2017 Start of Season party announcement. Accounts for 2015, with 2014 to compare to, as per the sheets below were handed out at the beginning of the meeting. Julie then explained that the MT had asked her to report on the 25 th Party as although it was 2016, it was an exceptional expense. Cut off is at 80. As of last Wed, 17 rooms are booked at the hotel, with 8 still available but only until the end of this month, if you book after that the hotel cannot guarantee the special room rate of 115 including breakfast. Can I have a show of hands if you are still to book your room as I can get the hotel to put more on hold if required?

6 2017 SOSP the date is Saturday March 4 th the venue is the Metropolitan Police Sports Club Imber Court and it is a Barn Dance with live band and a 2 course meal. Menu and ticket price are still to be confirmed but to keep the ticket price at a minimum, the club is going to subsidise this event also. Julie was thanked for her reports by Owen. 6. Discussion points, questions and Answers. Recruitment review Phil Gaunt ran through membership numbers, total membership is 197 which is down 4%. Enhancement to website will hopefully improve this. Tony Auger, Ralph Wilcox, George Gordon and Owen Miles successfully recruited new members Invitation to people to take on roles within the club, Road Crew, Charity officer, Sponsorship. Ray Matthews volunteered as Road Crew. Charity Christmas 2016 ride and ideas for 2017 Dave read out the following: As I have previously mentioned we have arranged to Ride to Bedelsford School on Wednesday 30th November. This means so much to the children there who welcome the sight and noise of our bikes arriving. When going out and about in Kingston they have taken to counting motorcycles and believe everyone is of course a Harley. We do such events every 2 years and our most recent fund raiser the lake should have taken place in 2015 but for a number of reasons was delayed till 2016 I would therefore ask the members here for a show of hands if we should do another Charity Event in 2017 or not? Before your show of hands I will say now that if the answer is yes for 2017 both myself and the MT will be looking at you the members for your suggestions and reasons why we should support your chosen charity idea, and it gets worse, if you are the lucky person and we decide to support your charity then I shall expect you to be a key player in the organisation of the event. If that s not for you I understand however If you want the support of the club you have to be able to come to the party too. Following discussion it was agreed that the small charity events continue eg Toy and Egg rides as before. Mel Every proposed that any major charity event be in 2018 so as to allow enough time to organise this. Dave put this to the meeting and it was carried.

7 Away events2017 Ideas requested from the floor, please send details to MT. Rides and events with Essex Chapter. Owen proposed a Be My Guest Ride where Surrey Chapter members offered a bed for the night to Essex Chapter Members so they could then go on a rideout the following day, voted by members as Yes. Upcoming 2017 ride planning meeting, ideas from Road Crew and club members. Rob went through the arrangements for the Europen Rally in St Tropez. Rob also showed the Brightona Programme where SCUK had a half page advert. Smaller away trips such as Honfleur and Wales were mentioned as ideas for Feedback on weekend and Mid week rides 2016 Steve Whitmore reported the following: Since April I have been organising week day rideouts which I have called Mid- Week Treats. This is primarily to give the opportunity for members who can t get away easily at weekends to have a ride during the week and for some members to have an extra ride during the week. To keep things varied and available to as many members as possible there have been rides on Tuesdays, Wednesdays and Thursdays starting from Rykas, Clackets Lane, Jack s Café in Bagshot and from Newlands Corner. We have been to Bury Hill near Arundel, Wessons Café near Hailsham, the Combined Services Museum in Essex, ridden the entire length of the A272, visited Maidstone HD, been up the Thames Valley, to the Bike Shack, the Chiltern Hills, the Crama Romanian Restaurant, the Goodwood motor circuit, had a picnic on Butser Hill and visited Stonehenge. In all 27 different members on 12 different events have, I estimate, ridden together a total of over 8,000 miles. The least number of riders was 4, the most 14. It s a bit of a guess but I think Paul Whitaker has been on more of the rides than anyone except me. Still to come this year are High Rocks near Tunbridge Wells on 20 th October, Go Kart racing in Crawley on 9 th November and on the A272 Loomies café to Billy s Café on 17 th November. For more details please look at the website. AOB from the floor Facebook Peter Cutchety reported that there are 118 members in the closed group. Chris Palmer asked Peter what are the advantages of being on Facebook and Peter responded saying it s a good way of keeping in touch

8 and that he ensured it was moderated to avoid any of the previous issues that had occurred on the clubs forum. Website Steve Whitmore reported that the website is updated regularly with different scrolling photos and asked members to submit any of their pictures. Paypal Steve asked to be informed if any member has any issues with this. Dave then presented Rockers to Andy Scott, Peter Cutchey, Steve Whitmore and Annette Matthews. 7.
