3 How do I log in? 1 Internet/URL To ensurethatyour booking made in the closed areacan be assignedto your Company please use the correct URL. Normally access is through: 2 Homepage You can thenaccessyour corporatehomepage. Click on "Register" to proceed. In the nextstepthelog in windowwill appear. 3

4 Log in 1 Registration Enter your address in order to log in. The system automatically checks whetherthereis alreadya customer profile. Ifnot then the registration form will appear. 2 Registration Complete the necessary one-off registration. On firstregisteringthe obligatoryfields are shownin bold type. You mayalso enter your creditcard detailshere. 4

5 My profile 1 Profile Ifyou needto change your profile, for exampleifyou switch to a different department, please clickthe Change Profile link under MyProfile. You can change the usualaddress information, address, password, etc., aswell asyour membershipof bonusprogrammes. 5

6 My profile 2 Credit cards You have the opportunity to enter several credit cards in your profile, including the possibility to select the preferred credit card. The creditcards can be selectedduringthe booking process according to your wishes. For data protection only the last four figures of your cards will be shownafter entry in coded form. 6

8 My Profile 4 Changing your address Please update your current profile and do not create a new profile! You can change your address by clicking on My profile address in the main navigation menu. After you changed your address you will receive an to activate the new address. 8

9 Hotel search 1 POI Ifyour Travel Management teamhave setup your preferred destinations(pointsof interestor POI), these are displayedon your homepage. Usingthis search function you will activate a previously determined vicinitysearch for hotels nearyour travel destination permittingan optimal choiceof hotels. Ifno POI is shownbut you wishto makeuseof this convenientfunction, please contact yourtravelmanagement. Hint: For a search withouta specific date all hotels in a particular destination will be listed. For a search with a specific date onlyhotels that have availability will be shown. 8

10 Hotel search 2 Direct hotel search Search for a hotel directlyin your destination, or enter the name of the destination and hotel directly. 9

11 Hotel search 3 Vicinity search Makeuseof the vicinitysearch for your optimum selection of hotels. Hotel searchesusinga specificaddress, airportor railway station, etc., are also possible. 14 Hotel search 6 Compare hotels Select the desired hotels and use the comparisonfunctionin order to choosethe besthotel for you. There are many comparative criteria available to you. 13

15 Hotel search 7 Hotel results' list Ifyour Travel Management has negotiatednet rates with hotels these will be highlighted with your Company logo. Special hotel.de corporate discounts can also be highlighted with your logo and offer business travellers savings of up to 20%. You maysortaccordingto varyingcriteria(rate, stars, hotel name, distance) and thusquicklyfind the mostsuitable hotel. Use the interactive map to find the precise location of the hotel. 14

16 Hotel search 8 Interactive map The interactive map offers many possibilities for the optimum hotel selection. ShouldCompany locationshave been entered(poi) these will behighlightedwith your Company logo on the map. This givesyou an overviewofdistances. You can bookdirectlyfromthe map by clickingon the link to the hotel. = Hotels with negotiated net rates = Hotels without negotiated net rates 15

17 Selecting rates 1 Rate overview and selection In the rate overview you will find possible special deals for hotel.de guests. Hereyou will find all the detailsabout the hotel such as detailedevaluations, picturesand a fulldescriptionof the hotel. The hotel is solely responsible for its own description. Ifyou wishto bookothercolleaguesintothis hotel select the number of persons and rooms. The cheapest flexible rate will automatically be listed at the top. Corporate discounts will be highlightedwith this logo. Your contract rates are identified by your Company logo. 16

18 Selecting rates 2 Overview of the selected rate In this booking stepplease payspecialattentionto the booking, paymentand cancellationconditionsfor the chosenrate whichis offeredby the hotel. Itshould normally be possible to cancel a business trip. 17

19 Relevant information for the hotel 1 Do you have a message for the hotel? The booking confirmation is sent to your address and any other addressesthatyou have enteredhere. It is also possiblefor employeesthattravel for the Company to usetheirmobile phones to receive a booking confirmation. They can also transmit special wishes to the hotel. These are passedon to the hotel withoutobligation. Please takenoteof any additional costs! Change your billing address if necessary. Hint: Ifyou are only booking for otherpeople, please do not overwrite your own information with that of the people who are actually travelling. This wouldcauseincorrectinformation to be sent to the hotel. The hotel.de Travel Arranger functionshouldbe usedfor such bookings. 20 Completing the booking 1 Booking confirmation Whenyou completethe reservation process, the booking confirmation is displayedon the screen and sent to you in an . The booking and cancellation code are displayed here. The booking and cancellationconditionsare highlighted once again in red. 19

21 Booking overview 1 My bookings In your booking overview, all bookings made are listed. From this overview you maymodifyyour bookings. By enteringthe reservation numberyoucansearch for the booking directly. By clicking on the booking number you will see the detailed overview of the booking. 20

22 How do I cancel a booking? 1 Cancelling a booking It is easy to cancel a booking throughthe booking overview. If the cancellation link is not displayed it maybe for the followingreasons: - the limit for cancellations has expired - the rate booked cannot be cancelled Should no internet access be available you may always contact ourservice Centre on service@hotel.deor telephone to cancel. In such cases we shall require the cancellation code! Shouldthe rate selectednot bepossibleto cancel we would request that you contact the hotel directly. 21

23 Can I change a booking? 1 Changing a booking The possibility of changingan online booking is dependent on a number of factors. Ifthis link is available to you it is generally possible to change a booking. Ifthe link is not displayedit maybedue toa number of reasons: -the time limitfor changing thebookingshasexpired -the hotel is fullybooked -the functionwhichallowsbookings to be changed may not be technicallypossiblein the hotel or the hotel will not acceptchangesthroughthe system. (In this case please contact the Service Centre.) Note: Please check the rates and conditions as these may vary in the case of a change of booking! 22

24 Can I make bookings on behalf of someone else? 1 Booking representative hotel.de offers the possibilty to book on behalf of other travellers as well as accessing and changing existing reservations. Booking representativescan be appointedthroughthe Company application by the travellersthemselves. There is no limitto the number of booking representatives. We shall demonstrate on the following pages how you may appoint booking representatives. Booking representative Traveller 23

25 How do I appoint a booking representative? 1 Appointing a booking representative You designate your booking representative by entering his/her address and ideally enter comments. Decide whether your booking representative may use your credit card to your hotel bookings. Delete the representative as required. 2 Your booking representative can make bookings for you with immediate effect. After you have designatedyour booking representative yourprofileis made available to him/her on the homepageof the application. In order to make use of this function your chosen representative will require a hotel.de user profile. 24

26 How do I appoint a booking representative? 3 Becoming a booking representative Send an invitation to all those travellers for whom you wish to make hotel bookings. Your traveller will receive a message in which he/she is requested to allow you to be their booking representative. This simplyhas to be confirmedby clickingon the link and logging on to the application. When this process is completed you will receive a message for your information. 25

27 My bookings as a booking representative 1 Booking representative bookings overview In your booking overview you can see the bookings of otherpeoplethroughthe dropdown menuor select, display and even make changes if necessary.
