3 Introduction In 1896, Settlers and Explorers found something in Alaska they tried to keep secret. They failed word spread quickly and thousands went north in search of wealth. The Klondike Gold Rush was on!! Prospectors made sleds to carry supplies to reach the gold fields. Now it s time for the Bull Run District Scouts to test outdoor and problem solving skills as a patrol and try to earn gold and treasures as they head down the Klondike Trail. To compete, each patrol needs a sled that they will pull to different towns in our Alaska scattered around Camp Snyder. This leader s guide contains the information you need to make this Camporee a success for your organization. Please read this entire guide, it will explain the rules and logistics for the Klondike Derby Winter Camporee, and provide a shopping list for your unit to ensure you have necessary supplies prior to arrival. The most successful Units at this year s Camporee will have thoroughly read and attained a complete understanding of all the information covered in this Guide. AWARDS for the race and events along the way. AWARDS will be given for Klondike sleds that are unique/funniest/original sleds. PROSPECTORS on the course with stories to tell and questions to ask treasure to share! AWARDS for Klondike originality in your CAMPSITE entrance, menu, fire ring, decorations. Scouts will have the chance to test their scout skills such as fire building, knots, lashings, construction, first aid and more as they visit our towns: IBEX Valley Scorchin Gorge Ishknot Old Crow Ross River Nome Raceway Our District Venturers are hosting a special paracord event for Scouts in the Dining Hall!! 4 Camporee General Information Directions: Camp Snyder is approximately minutes from Gainesville/Manassas VA.: Follow I-66 West towards Front Royal Take exit 40, US-15 South in Haymarket Take VA-55 West Turn Right onto Antioch Road Cross over I-66 Turn left at Camp Snyder Check-In: Check-in is from 6:00-9:00pm on Friday night. Upon arrival please stop at the Administration Building, which will be the first building on your right as you enter Camp Snyder. As you arrive you will be assigned a camping area based on the size of your Unit. Request each Unit identify one-adult leader to assist Town Mayors during the Race; sign up sheets located in Admin Building at the Derby Registration and again at the Cracker Barrel. At check-in Each Unit will need to present a roster of who is in camp for this weekend. Each Unit should also maintain all medical forms for all attendees (BSA Parts A&B only). Units will also be expected to provide payment upon arrival if they have not pre-paid / pre-registered on the Bull Run District event page: Event fees are: Weekend camping (either / or Friday-Saturday): $15 Saturday only: $10 Units should strive to arrive together to simplify the check-in process. Campsites: We will be utilizing the standard campsites at Camp Snyder (1,2,3,10,11,12,13,14) Open fires are only permitted in the campsite fire pits! Please DO NOT bring your own firewood. Firewood will be provisioned centrally by our campsites. Camp Snyder provides potable water (spigots located near the campsites along the gravel road). Bathhouses will be open for use of toilets. Please see the event map included in this guide for facilities location information. 4

6 Vehicles in Camp: All vehicles must be parked in designated parking areas (i.e. parking lot only) and not in the campsite area. ONE trailer may remain in campsite area. All roads leading in and out of camp must stay free of parked vehicles. Uniforms: All Units will need to be in Scout uniform on arrival, for all Flag Ceremonies, and for Sunday departure. Uniforms are optional for Saturday activities. Leaders Meeting: At least one Unit Youth Leader and at least one Unit Adult leader (e.g. Scoutmasters, Team Coaches, Senior Patrol Leaders, President, Team Captains, etc.) must attend a Friday evening leaders meeting at 9:00 PM at the HANDICRAFT PAVILLION. Food & Troop Supplies: Troops are responsible for their own food, cooking supplies and tenting. Additional Troop supplies necessary to complete the various Klondike activity stations are listed in this Guide. Medical and Emergency Procedures: Camporee medical staff will be available to handle minor injuries and illnesses. Accidents, injuries, and illnesses MUST be reported and treated at the camp medical area located in the DINING HALL. A Camporee medical officer will be available during the Camporee. If you have an emergency, please notify any Camporee Staff member. The nearest hospital to Camporee is Haymarket Medical Center Novant Health Heathcote Blvd, Haymarket, VA (571) Camp Fire: Saturday evening there will be an indoor campfire at the Dining Hall to close out the Camporee. Each Unit is to have a song and a skit ready for the enjoyment of the District. The theme for the sings or skit should be Klondike related. This is also where the Interfaith Session, Awards, announcements and MOVIE will be hosted. Additional information will be provided during the Friday evening leader s meeting/cracker barrel. Camporee Patches: One Camporee patch will be given to each paid participant, this includes scouts and adults. Patches will be distributed at checkout. Awards Passport System: On Saturday each Klondike Derby entrant (Patrol) will be issued a Passport. The Passport will be punched at each Town by the Mayor. Patrols completing all of the Stations and Activities will receive treasures toward the final awards presented during Saturday s Award program. 6

7 Religious Observance: A non-denomination religious service will be held Saturday as part of the evening events. Scouts are strongly encouraged to attend this service. Scout uniform is required. Those wishing to attend Catholic Mass, may do so at Holy Trinity Catholic Church, 8213 Linton Hall Road, Gainesville, VA, at 7:00 am, 8:30 am, and 10:30 am. Campsite Inspections: All Units will have a campsite inspection beginning at 12:00 PM on Saturday. Use your time wisely on Friday night and early Saturday so you can be prepared. Klondike theme will add to your overall score. Check-out: All units need to check out before departing with either Irwin Lazar or Dave Seitz. At checkout we will confirm that: We have received full payment Your campsite is cleaned up and free of residue Once checkout is complete, units will receive patches. Units departing on Saturday evening should coordinate with BRD staff to receive patches before departure. 7

8 Klondike Derby Rules and Procedures 1. REGISTERED SCOUTS. All youth participants must be BSA registered. 2. PREREGISTRATION. Please preregister. This will really help the event run smoothly. Your team will be judged and scored on the average rank of your team in order to score teams between Scout and Senior Divisions for the event. Units must provide rank information for all team members. Teams for which information is not provided will be placed in the Senior Division. Start time requests will be honored to the maximum extent practicable based on order of preregistration. (I.e., if you preregister early your unit is more likely to get its preferred start time.) We understand precise composition of the team may not be known until very shortly before the event. 3. COMPETITION. If there are any circumstances that would preclude a team member from competing, the team should inform the town Mayor immediately upon arrival at the town so that consideration can be given. AWARDS for the race and events along the way. AWARDS will be given for Klondike sleds that are unique/funniest/original sleds. PROSPECTORS on the course they have stories to tell and questions to ask treasure to share! AWARDS for Klondike originality in your CAMPSITE entrance, style, menu, fire ring. 4. TEAM SIZE. Teams should ideally consist of eight (8) members. Teams of 6 or more are viable. Teams of more than 9 are not permitted. Teams will be categorized into one of two divisions ( Senior for older scouts and Scout for younger scouts) based on average rank. A team with an Eagle Scout or two Life Scouts will be classified as a Senior team. 5. BE ON TIME. The first teams depart on the course at Arrive at the starting position at the Dining Hall for safety inspection at least 15 minutes in advance of the assigned start time. Teams that arrive late will be reassigned to the end of the start list. If you have a preferred starting time, please advise with your registration. 6. UNIT LEADERS ARE RESPONSIBLE for the general well-being of the youth in their charge, including proper clothing and supervision. Please pay particular attention to warm & dry clothing, proper footwear and warm headgear. If in the opinion of the Inspection Team a Scout is not adequately prepared for the weather, the Scout will not be permitted on the trail. There will be a pre-start inspection for health and safety considerations: 7. CODE OF CONDUCT: Scout Law applies. Leaders please remind Scouts beforehand that failure to observe the Scout Law, e.g. through hassling other Scouts or swearing, will not be tolerated and may result in a time penalty, loss of treasure, or disqualification. A SCOUT IS TRUSTWORTHY: Tampering with or removing trail markers or placing obstructions on the trail will result in disqualification and discipline. Obstructing the trail for following teams will result in a substantial time penalty. A SCOUT IS COURTEOUS: Passing is permitted. Slower teams being overtaken should pull to the side and yield to the faster team. Teams coming downhill should yield to teams going uphill from the opposite direction. 8. MAYOR S DECISIONS. All decisions of town Mayors are final. 9. MAXIMUM TIME. The maximum time to complete the course (adjusted for any wait time ) is 1½ hours. After that period, teams will be required to retire from the competition and return directly to the Dining Hall. 8

9 Sled Construction Sleds must be constructed by Scouts no commercially manufactured sleds are permitted. This also means that such items as wheelbarrows and commercially manufactured wagons are NOT sleds. A wagon is not simply a sled with wheels. Sleds should be fashioned to look like an Alaskan dog sled. This rule will be liberally construed. The sled should be large enough to carry all required equipment plus one scout. The Sled should display the patrol flag and troop number. AWARDS will be given for unique/funniest/originality, etc. A harness for pulling the sled by the scouts should be attached to the front of the sled. Ideally, looped ropes should come off a single main/trunk rope similar to the way in which branches on a tree come off a common trunk. Due to strangulation risk and the risk of being trapped under a run-away sled if a scout slips, ROPE LOOPS MUST NOT BE LARGER THAN A HAND HOLD (APPROX. 6-9ʺ LONG) in order to assure that loops are not able to be placed over any scout s neck or around a scout s waist. The sled may be constructed of any materials (wood, timbers, PVC, fiberglass, aluminum, etc.). Ski runners are legal-----remember this is a scout built sled! There are only a few guidelines: The length of your sled should be between and the width between It is permissible to add wheels (tennis balls or other protection should cover exposed wheel axles when wheels are off). Experience indicates that small wheels are rarely effective (and often less helpful than no wheels at all) because they are unable to go over even small logs, rocks and other obstructions commonly found on the trail. Wheels should be no larger than 10ʺ inches in diameter. Make sure the sled is strong enough to bear the weight of your equipment and will hold together! You may consider adding a brake, towing line, or hooks to lift the sled if needed. The sled must be returned to the start/finish line (Dining Hall). If the sled breaks on the trail, the team must carry all the parts to the finish or be disqualified. Please do not use nails. Other fastening means, such as screws or nuts and bolts, are preferred and much safer. There are many Klondike sled plans on the Internet, check out the following links:

10 List of Sled Equipment YOUR SLED MUST BE LOADED WITH THE FOLLOWING EQUIPMENT: 1. Patrol First Aid Kit 2. six (6) cravat bandages (for slings, etc.) 3. one large Ziploc plastic bag for passport 4. small sack or Ziploc for bounty and treasures 5. food & gear for trail snacks 6. a cup for each patrol member 7. two (2) large plastic garbage bags 8. one tight weave blanket (suitable for making a stretcher) 9. naturally-occurring kindling & tinder but no artificial accelerants or fire starters 10. two (2) 50-foot-long light ropes suitable for lashings (1/4, 5/16 or 3/8-inch diameter); pre cut only one of these into eight (8) 6-foot sections (whipped or fused on each end). Precut the other into two 25 sections. 11. four (4) six-foot-long staves (closet poles or equivalent) 12. four (4) three-foot-long poles 13. twelve (12) tent spikes (e.g., large nails) suitable for anchoring in frozen ground 14. stake mallet or hammer 15. four (4) 1-foot long pieces of 2x4 16. wooden stick matches 17. spark stick & striker (e.g., hot spark fire starter from scout store or similar) for lighting fire sharpening 18. file for sharpening hatchets and axes, pocket or lock-back knife, or knife sharpening equipment (stone) 19. one BSA pot (at least two quarts) with hoop style wire handle (for hanging) and lid 20. a compass 21. notebook and pencil 22. backpacking tarp preferably with grommets (not merely a poncho) 23. two (2) six-foot poles for tarp (may be satisfied by six-foot staves described above or telescoping poles) 24. minimum 2 liter of water (or equivalent, e.g., Gatorade) per scout 25. American Flag 26. One gallon of water for fire prevention 27. duct tape 28. bow saw (exchangeable blade type, i.e., not riveted or fixed blade) 29. screwdriver that will remove the fixing bolt on your bow saw 30. four 3 to 4 diam. dried logs, 18 to 24 in length for firewood (2x4s or 4x4s not pressure treated are acceptable). These will be the toll you will be required to pay to the Mayor of each Town on the trail before proceeding. If you cannot or do not pay the toll, you will lose one nugget a high price to pay for not being prepared! Wet twigs you pick up along the trail are not acceptable. If you do not have any of the required equipment needed to perform a challenge on the trail, the town will not supply or lend you the required equipment, you may not borrow the required equipment from another team and you may not return to your camp site to retrieve the missing item(s). You will be penalized in your score for not performing the challenge. What is the scout motto?? IMPORTANT NOTE TO SCOUT MASTERS: You are discouraged from arranging for these items to simply appear on the morning of the event your Scouts should organize to obtain these materials. 10

11 List of Towns and Awards Your Klondike Derby Race will take you thru a number of Towns. You will receive an overall time on course as you travel town-to-town. You will need to Sign-in and Sign-out at each town with the Town Mayor; this will allow the Derby Staff to calculate your time on the course. You will not be penalized time while waiting to conduct the scout challenge at each town. You will receive a START TIME and LOCATION at Registration. The first teams depart on the course at Arrive on the starting position at the Dining Hall for safety inspection at least 15 minutes in advance of the assigned start time. Teams that arrive late will be reassigned to the end of the start list. Each Mayor will present your team with a challenge, you will receive gold coins based on your performance, completion, team spirit. Remember, this is a test of your scout skills precision, speed, effectiveness, teamwork, and scout spirit are some of the factors. 1. IBEX Valley Town First Aid (Dining Hall) Mayor Billy 2. The afternoon Program will consist of events in selected towns, details will be provided at the Friday evening Cracker Barrel. There are four Award Categories with the Top-3 Patrols announced in each category: 1. Scout Skills Award: Most Gold collected from the Town Stations weighted by Patrol/Scout Rank. 2. Patrol Unity Award: Most Gold collected from afternoon Program Stations, Sled Construction, Prospectors, and Campsite Layout. 3. Commissioners Award: Totally based on our Commissioners observations. 4. Derby Champion Award: Klondike Champs! Most Gold collected overall! 11
