3 Scout Association of Australia Victorian Branch Vic Gathering 20 th August 2014 Dear Unit Chairperson VIC GATHERING 2014 It is my great pleasure to remind you that VG 2014 is nearly upon us. I have enclosed some information about the event and I am sure that you will share it with the rest of your Unit, Leaders and parents, as it contains answers to a lot of questions everyone might have. This year s VG has Northern Exposure as its theme and promises to be a great deal of fun and will be held at Elmore Events Centre, Elmore. All applications for 2014 are to be done via our online booking system, which has been updated to include your health information as well as booking in for certain activities like 4WD rides, Lasers etc, as well as including online bookings for Leaders to help out on activities. Please Note: All Leaders registering before 07/11/2014 will be free. Leaders - you will be able to see online which Venturers have applied to go to VG from your Unit (as long as they have reregistered already). Again this year there is a Special Offer for Scouts 14 years and older to attend. There will be no crèche operating again in 2014, so if your Leader/s are not able to attend this year, you will need to find a Unit that can host you for the weekend. A Unit Hosting form will need to be filled in. Venturers can catch a train to Elmore, be sure to book your ticket and then let us know which train you are on, via your online registration. Water at the Elmore site is only to be taken from the drinking water taps for drinking/cooking, etc Keep a close eye also on the VG website and our Facebook page for further information. 4 Scout Association of Australia Victorian Branch Vic Gathering What is the Vic Gathering? The Vic Gathering is an event run specifically for Victorian Venturers and Guides. The objective of the Gathering is to provide a fun weekend to help the Venturers, Guides, Rovers and Leaders unwind at the end of a busy year. Venturers also attend from other states of Australia. Venturers and Guides are aged between fourteen and eighteen years. Vic Gathering is run by the Vic Gathering Committee, with support from Leaders and Rovers from across the State. VG takes place on the first weekend of December each year. VG is a standing camp with booking in commencing at 6.00 pm Friday and most activities getting under way by 9.30 pm. Venturers and Guides are generally required to be self-sufficient for the weekend, however a canteen is provided for those who do not wish to prepare their own meals. Normally we have approximately 600 to 800 Venturers and Guides, plus a further 200 Rovers and Leaders on-site for the weekend. The venue of the Gathering changes every two years. The activities, canteen and some displays will be starting from 6.00 pm on the Friday 5 th December to 11.30am on Sunday 7 th December. Final parade is on Sunday at pm. Some of the activities that will be on site include, abseiling, archery, 500 cards, frat tents, iron person event, jelly wrestling, battle of the bands, screen printing, water activities, films/videos and many more. This is a fantastic way to finish the year with a fun packed weekend of activities, socialising, and meeting new and old friends. What is VG 2014

It s the camp that all Venturers make an effort to attend! A CAMP where you can challenge yourself or your Unit members on an adventurous activity or just chill out and get to know other Venturers. We want YOU to come and try Venturing. There'll be lots of 14 year old Scouts going at this price! If they haven't spoken to you yet, give them a reminder (ask them). How to take up this Offer? For a Scout to be able to take up this offer, they must be with a sponsored Venturer Unit. Remember to make sure you that you list the name of the Venturer Unit you are sponsored by (that you will be camping with during the weekend). Venturers: Remember that this is a great opportunity to increase your numbers by letting Scouts see what your Venturers do, and they are able to attend VG at a discounted cost.. 7 Activities start at 9:30pm on Friday night and keep going until am on Sunday. Having fun is a pre-requisite; as is looking after your own welfare! This means eat food, drink water & sleep! New, quick check-in procedure on Friday night, (if all forms submitted) to allow for more activity time. If you are being hosted by another Unit, then please fill in the Unit Hosting Form and return it prior to VG. NO Energy Drinks will be allowed on site - items will be confiscated when found and will not be returned. No-Doze or similar tablets are not to be bought on site - items found will be confiscated and destroyed. Please remember, all equipment required for the weekend, eg tents, bags, seats, food etc that you and your Unit requires, needs to be carried in on foot. No Cars/Trailers Allowed on site to drop off/pick up Unit s gear. If your group has a trek kart, why not use it. Cars/Trailers will be allowed on site after 2.30 pm on Sunday, unless the all clear is given earlier. No Auto Tents, Hike Tents are preferred. Steel Tent Pegs are suggested for Elmore Events Centre, Elmore Park, as the ground is could be hard. BYO lightweight cooking equipment as there can be no open fires (fire restrictions). Cooking to be on lightweight equipment (NOT supplied on site). Gas Fired Cooking Appliances are permitted on site. NO Pot belly stoves or other flame based heaters to be brought onsite Don t forget to bring your Personal First Aid Kit. This needs to include paracetamol and any anti-hystermines as prescribed for your own use. Ant and spiders bites prevalent. Medical Forms must be up-to-date with ALL medical issues clearly stated. All information provided is relevant to the care that your Venturer receives while at V.G. If you wish to camp with another Unit, plan to arrive at the same time so that you can choose your space together. It will be expected that you get sleep over the weekend. No Couches or large pieces of Furniture (especially with wheels) will be allowed on-site No Bicycles (1, 2 or 3 wheels) allowed to be bought on site by Venturers, Leaders and Rovers, except for those being used by an activity. If you would rather not cook, there is a canteen on-site. Elmore Events Centre, Elmore Park Campsite is rather dark in areas, so torches would be handy for all attending. There are only a few rules ghetto blasters, whips, knives, laser pointers (which will not be returned!) and any other item deemed dangerous will be taken to Admin. for safekeeping for the weekend (so don t bring them!). Remember to read the Conditions of Entry for the Jelly Wrestling. You must wear the appropriate clothing. Prizes are available for selected activities ask the Rover Crew running the activity, if there is a prize. REMEMBER: Read the Conditions of Entry that are in this booklet, and on the website at These will be strictly adhered to.

9 What about Public Transport to Elmore? The Elmore field days site is located 3kms from Elmore Railway Station which gives you another option to get to and from VG. Please note direct travel to and from Elmore is limited. The VG Committee is considering putting on a shuttle bus from Elmore station to the site for a small fee. Check the VG website for the cost and how to register and pay for a shuttle bus service. Train and Bus services There are only a few services that go from Melbourne to Elmore (and return) space will be limited so the Committee advises that you book early. All Elmore bound trains and buses leave from Southern Cross Station and drop you off at Elmore Railway station. Times The Official timetable doesn t yet extend until December 2014 but based on the current timetable you can get to Elmore Station via the following services. Friday Leaving Southern Cross and arriving at Elmore 11.50am arrives 2.05pm by Bus 12.15pm arrives 2.56pm by Train and Bus 12.40pm arrives 2.55pm by Bus 3.15pm arrives 5.57pm by Train 3.59pm arrives 6.31pm by Bus 6.01pm arrives 8.21pm by Bus Getting home on Sunday There are three services back to Melbourne on Sunday afternoon that leave Elmore Station. This includes 2 buses direct and 1 bus to Bendigo that connects with a train to Melbourne. These services leave at: 1.30pm, 3.25pm & 3.26pm. The VG committee highly recommends organizing your own private transport home unless you definitely book a bus ticket. Due to numbers there may be little chance of buying one on the day. V-Line Cost Concession cost is about $11 to Elmore and $15 back to Melbourne. Public transport time Melbourne to Elmore is just over 2.5 hours. See Is the transport to Elmore to early for you? What about a train to Bendigo and a shuttle bus to Elmore? As the trains and buses direct to Elmore finish early the VG Committee is considering putting on a couple of shuttles from Bendigo Railway station to Elmore but this will depend on demand. Please note that the bus run adds another 40 minutes to the trip. So you will arrive late The Shuttle will potentially meet the following trains. Check website for cost (Will depend on numbers) Leaving Southern Cross Station and arriving at Bendigo Station 18.23pm arrives 20.48pm Bus at 9pm (add 40 mins for Elmore arrival time) 19.20pm arrives 21.09pm Bus at 9.20pm (add 40 mins for Elmore arrival time) 20.22pm arrives 22.12pm Bus at 22.25pm (add 40 mins for Elmore arrival time) Best advice is to check public transport availability and then register your preference on the VG website for pick up from Elmore or Bendigo when you book your VG tix. Please note: VG is not responsible for Public Transport and the provision or cancellation of public transport to either Elmore or Bendigo.
10 Elmore is located on the junction of the Midland and Northern Highway in Central Victoria - an easy 2 hours from Melbourne. Melbourne to Elmore via Bendigo Travel up the Calder Highway to Bendigo, then up the McIvor Highway which takes you through Bendigo and then changes to the Midland Highway which will take you onto Elmore. You will need to do a right turn at the Northern Highway turn which will take you towards the Elmore Fields Day site. There will be Vic Gathering signs around showing you the way once you are near Elmore. Melbourne to Elmore via Heathcote Head up the Hume Highway out of Melbourne, turning off at the Kilmore turn off. This will take you through Heathcote, once through Heathcote, you will make a right hand turn onto the Northern Highway. Follow this until you come to a T-Intersection, make a right hand turn and then follow the signs to the Vic Gathering site. There will be Vic Gathering signs around showing you the way once you are near Elmore.
11 Vic Gathering - CONDITIONS OF ENTRY HEALTH FORM MEDICAL CAMPING VEHICLES CANTEEN LEADERS HOSTING UNITS DRUGS/ ALCOHOL ALL attendees (Guides/Venturers/Leaders/Rover) must submit their details on the online HEALTH FORM. Any changes to these details need to be submitted either via updating the online details, or via a paper copy of the health form which is to be handed in to Check In on the Friday night. Any medical condition and/or medication being taken, must be stated. Only in the area indicated by the Marshalls. NO AUTO TENTS PERMITTED. Small hike tents or large bell type tents are O.K. All gear must be carried onto the campsite on foot. NO ghetto blasters, whips, laser pointers, sheath or large knives permitted. Gas Fired Cooking Appliances are permitted on site. NO Pot belly stoves or other flame based heaters to be brought onsite. Venturers are not to connect to the power supply posts, throughout the camping areas. No Unit or private vehicles will be permitted onto the campsite until after 2.30 pm on Sunday. Limited Car parking will be provided. PLEASE RESPECT THIS RULE. The Canteen will provide standard food only. It is not a provider of specialty catering or food that meets special dietary requirements. All Units must have an Adult leader camping with them for the whole weekend. Warranted Leaders are reminded that responsibilities do not end with their own Units and are requested to assist in ensuring that problems do not arise during V.G. Venturer Units with female youth members are not required to have their own female Leader in attendance. There will be male and female Line Leaders, and also a Welfare section working at V.G. These teams include experienced Leaders, should any youth or adult member need assistance or guidance. As there is no crèche at VG 2014, if your leader is not able to make it for the whole weekend, your Unit will need to find another Venturer Unit to host you. You must send in your application form with a Unit Hosting form. Alcohol and non prescribed drugs are not to be brought to Vic Gathering. Any Venturer, Guide, Rover, whole Unit, single member or Leader found with non prescribed drugs or alcohol in their possession will be sent home immediately, along with the rest of their Unit, at their parents, guardians or own expense. NO Energy Drinks will be allowed on site - all items will be confiscated when found and will not be returned. No-Doze or similar tablets are not to be bought on site, items found will be confiscated and destroyed. ENTRY/EXIT The Vic Gathering is a closed camp - TO CAMP NO PASSOUTS WILL BE GIVEN UNLESS PRIOR ADVICE HAS BEEN RECEIVED BY Donna Anderson (& APPROVED!): COST REFUNDS $65 per Venturer/Guide (14 17) BONUS: Free Donuts to those registered before 07/11/14 All Leaders attend FREE for Applications received before 07/11/14. $65 per Venturer/Guide (14-17) & $10 per leader for applications received from 07/11/14. $35 per Scout aged 14 and over, as long as they are sponsored by a Venturer Unit. Notice of cancellation by one or more applicant must be received in writing five days prior to the Activity to be eligible for a refund. Individual consideration will be given to late cancellations no guarantee is implied, that a refund will be given. In all situations a non refundable $5 administration charge will apply. Substitution of team members by another Venturer or Guide is possible up to the start point of the Gathering. 15 Scout Association of Australia Victorian Branch Vic Gathering Open Letter to all Leaders & Venturers Vic Gathering has over many years strived to provide a quality end of year activity. To ensure the welfare and safety of all attending during the weekend, we have a number of conditions that are required to be met to attend our activity. These conditions are similar across all the major Venturer activities including: - Anything Goes; Hoadley Hide; Armstrong & Ventures. As part our duty of ensuring a safe weekend for all our participants, backpack checks were introduced. While this method of backpack checking has been fairly effective in ensuring a safe environment for Venturers attending the weekend; it has been open to abuse by some individuals. As a result of a review into our checking-in process, two options were considered. The first option was to increase the number of VG personnel involved in the backpack checking process, thereby tying up more resources and continuing to slow the process of entering onto the VG site. The second option was to return the responsibility of meeting the conditions of entry back to the Venturer Unit and its Leader(s). The benefit of the second option is that the Venturer Unit & Leader(s) accept the responsibility for meeting the conditions of entry by undertaking the backpack check prior to leaving their scout hall to attend VG. Upon arrival at VG, a Unit representative and the Venturer Leader will join the queue to complete the booking in process at Administration. During this time the balance of the Venturer Unit will wait in a designated holding area with their camping equipment. During the booking in process, the Venturer Leader will be asked if the backpack check was completed prior to arrival at VG. If the answer is YES, the Venturer Leader will be given a Green Card, which will allow the Venturer Unit access onto site without the delay of a backpack check. This card will then be given to the VG personnel at the entry point onto the site from the designated holding area; thus allowing express entry. Any Venturer Unit that doesn t complete the backpack check process prior to arrival at site will be required to complete this process prior to entry to Vic Gathering. Our expectation is that this backpack check will be completed by all Venturer Units back at their Scout Hall and thus reduce this time consuming process. The VG Committee reserves the right to continue to undertake random backpack checks and as part of our quality control and review process and therefore this will continue to occur. Please ensure that all youth and adults attending Vic Gathering have read, understood and accepted the Terms and Conditions of Entry to VG. I hope that this change in the booking in process will reduce the time delay in your entry to the VG site and will ensure that VG continues to provide a safe environment for all attending our activity. 17 Vic Gathering (also known as VG ) is a closed camp. This means that all movements out of the camp site do require that a prior arrangement has been made with the Camp Administration Manager (medical emergencies notwithstanding). If you are picking up your Venturer during the weekend, arrange to meet them at a certain time at Admin., as this will save you a great deal of time and effort in finding them. The Police Scouters will direct you to Admin. upon your arrival. When dropping your Venturer back during the weekend, the Venturer will need to check back in at Admin., so that we know they are back on-site. There a fully operational First Aid post on site, staffed by qualified male and female personnel. The local Doctor (and hospital) has also been contacted and will be on call. Alcohol and non-prescribed drugs must not be brought to VG. Anyone found with these in their possession will be sent home immediately at their (or parent/guardian s) expense. All information is confidential and at the end of the VG camp, your son/daughter s medical forms are destroyed; unless there were issues relating to your son/daughter. An on-site canteen, offering high quality and moderately priced food, will be operational from 8pm Friday until about 12 noon Sunday. The Canteen will provide standard food only. It is not a provider of specialty catering or food that meets special dietary requirements. There is a contingent of Police Scouters on site to ensure safety at all times. Parents (or others) who provide transport for Venturers/ Guides are invited to rest and have a cup of tea or coffee at the Leaders Frat tent, before your trip home.
18 We have a number of VG badges and pennants from the past few years available for sale. We have the following year s badges and pennants in stock. BADGES PENNANTS If you would like any of these, we have a special deal going. Purchase any 3 badges for $2.00, or any 3 pennants for $1.00. To purchase individually, $1.00 per badge and 50 cents per pennant. To order your badges, please send an to enquiries@vicgathering.com with VG Badges/Pennants in subject line. Badges and Pennants will also be available for sale at this year s VG. Your badges will be held aside for you until VG in December when payment can be made, or if you wish to make other arrangements for delivery and payment, mention this in the and these will be looked at. BADGES/PENNANTS NOT PICKED UP FROM PREVIOUS YEARS There are a number of Venturer Units and Rover Crews that have not picked up their envelopes at the end of VG for a number of years now. If you think you are one of these Units/Crews, please Donna at enquiries@vicgathering.com to discuss this. We are looking for photo s from previous VG s to put up on our website: If you have photo s of members of your Unit, friends from other Units or new friends made at VG enjoying themselves, then we would love to see them. If you would like to send in your photo s, please them to Donna at enquiries@vicgathering.com Please include your name, the name of your Unit, as well as the names of those in the photo and what they were doing. Where possible, see if you can get the people in the photo s permission to send it in, before you the photo s off. Once received, these photo s will be added to the VG website for all to see how much fun everyone had at previous VG S.
19 If this is your first VG as a Leader, then come up to Admin and say hello and we will let you know what you can do and where everything is. Make sure you visit the Leader Frat tent and here you can mix with other leaders in an informal way. Free tea & coffee is available for you in the Leaders Frat Tent. This is your area, with some activities especially for you! So come and relax with the other Leaders. All Units will have a Leader with them so you ll only have your own lot to contend with (this year)! If you are unable to attend the weekend, you will need to find another Unit to host your Unit as there is no creche happening this year. Please fill in the Unit Hosting form and send it in. Have fun even though you may not get a lot of sleep (remember that this is a 24/7 Venturer activity). Remember to check your Unit s Envelope when you arrive, to see what happening at VG. Please attend the Leaders meeting happening Saturday morning. Update information will be given as well as there will be lots of little jobs to do to fill your day while your Unit is having fun. You can book online for an activity and time over the weekend. If you are driving a long distance, please let us know so that we can find you an appropriate job and time slot. Get to know your Venturer Unit members a bit better and improve their camping skills. Enjoy a camp for which you haven t had to do all the running around. No-Doze or similar tables are not to be bought on site - items found will be confiscated and destroyed. No Bicycles (1, 2 or 3 wheels) allowed to be bought on site by Venturers, Leaders and Rovers, except for those being used by an activity. 21 Being Sunsmart at VG SHADE SUNSCREEN and SHOES Elmore is a great campsite flat and easy to find large sites for Districts to camp together BUT... there is no shade, and it is more likely to be sunny all weekend (more than Gilwell). Make sure you bring SHADE for your campsite Make sure that you and your Venturers have HATS, SUNSCREEN and CLOTHING that will protect them from sunburn Scout camps are closed shoe camps.
