3 Message from Organizers Desk Dear Exhibitor, Welcome to Gem & Jewellery India International Fair 2018 South India s Largest focused B2B Tradeshow on focused B2B Tradeshow on Gem, Jewellery and Allied Services organized in Chennai during 21st 23rd September At the outset, we extend our heartfelt thanks for the support you had extended to GJIIF and without your support we would have not made GJIIF this far. The retail jewellery houses from South India are looking forward at GJIIF. We are pleased to present you the Exhibitor Manual for GJIIF 2018, with all the show information for your ready reference. It will simplify your planning and preparation efforts for the show. Please go through the contents of this manual carefully and do the needful on timely basis enabling us to serve you the best during the exhibition days. 8 Rules & Regulations 1. Helpful Reminders About Ordering: a. Be sure to order your requirements in advance, including i. Additional Electrical Services Power Connection Furniture & Fixtures ii. Other Special requests b. Place your orders with payments to ensure that your order is fulfilled. Try not to order on-site. Onsite orders attract more than 25% extra surcharge. c. Bring copies of all your advance order forms for ready reference. POSSESSION OF BOOTHS WILL BE GIVEN ONLY TO EXHIBITORS WHO HAVE PAID ALL DUES TOWARDS PARTICIPATION CHARGES AND EXTRA SERVICES ORDERED AS PER PROFORMA INVOICES RAISED BY THE ORGANIZER. NO CASH PAYMENT WILL BE ACCEPTED THE ORGANIZER AT SITE. ONLY DD WILL BE ACCEPTED AT SITE. 2. Helpful Reminders on Shipping: a. Ship your merchandise through a reliable freight forward / logistic agency to ensure that they arrive safely and securely on your target date b. While making your shipping plans to the show, plan for return of articles after the show is over. c. GST/IGST documentation MUST be taken care of. 3. Security: a. Exhibitor Badges can be obtained from the GJIIF Organizers Office". Badges must always be worn to gain admission to the exhibition hall. b. During show days, exhibitors will be allowed to enter 2 hours prior to the opening of the show each day and allowed to remain till 2 hours past the close of show. c. Hand carried items or equipment going out of the exhibition hall will require a Gate Pass and must be moved through a secured logistics company. A company letter-head giving item description and the quantity must be given and organizer s stamp should be obtained from the site office. d. Exhibitors are requested to inform the organizers in case they require security personnel on payment basis for their booths during set-up, dismantling and exhibition hours. No security staff other than those authorized by the organizers will be allowed inside the exhibition halls. The halls will be sealed during non-show hours and hence nobody will be permitted to remain in the exhibition hall after the exhibition is closed for the day except authorized personnel. If required additional security personnel can be availed at extra cost from the organizer. e. While the organizers will maintain security surveillance at all times throughout the exhibition, exhibitors are reminded that goods are risk- prone immediately after the show closes on the final day. Please be sure that your stand is not left unattended at this time. Extra care should be taken of small portable items, tools and instruments and high value items. 7

9 f. Organizers / show manager will not be responsible or liable for any loss by theft or otherwise at any time of the event. g. The exhibitors should make their own arrangements for insurance of stocks and the organizers / show manager will not be responsible for any loss or damage to the stocks or for any injury to their workers or staff on account of fire, flood, theft or civil commotion or otherwise. h. The organizers / Show Manager will deploy Fire Marshalls and place adequate Fire Extinguishers strategically in the exhibition halls during setup and show days in case of any emergency, but also at the same time it is mandatory for all the exhibitors and their contractors to have Fire Extinguishers placed in your booth at easily accessible location during set up, show & dismantling days in case of any i. Smoking in the exhibition halls is strictly prohibited. Any type of flammable material is not allowed to be carried inside the halls. Please also note that the use of LPG and other fuels are also not allowed to be used inside the halls as per local fire regulations. Organizers /Show Manager reserve the right to close such booths if any exhibitor violates these rules with immediate effect concerning the safety and security of others in the exhibition. j. Exhibitors and their agencies/vendors must follow the rules, regulations, terms, conditions and security procedures as set by the Organizers / Show Manager to enter the exhibition hall during exhibition, fabrication and de-fabrication days. 4. Strong Room The timings for strong room access are as per below table Set up & Show days Date Timings Strong Room Access - Deposit 21st & 22nd September pm 9.00 pm Strong Room Access - Withdrawal 22nd & 23rd September am 9.30 am 5. No Delivery / Replenishment / Removal of exhibits during exhibition days: a. Removal or delivery of exhibits and other exhibition stores on exhibition days whether during exhibition hours is not permitted. Replenishment of catalogues/consumables may be carried out before opening hours in the morning or after closing time in the evening. b. At the end of the show on 23rd September 2018, exhibitors may arrange for packing and clearance of their exhibits. All goods must be removed from the site by AM on 210ptember After that time, all items/ materials in the hall, will be considered as abandoned and will be disposed of at the risk and cost of the concerned exhibitor. The concerned exhibitor will have to pay penalty for unauthorized occupation as levied by Chennai Trade Centre, Chennai. 6. Manning of Stands / Audio / Video Equipment: All booths must be properly staffed and remain operational throughout the exhibition hours. Exhibitors should not participate in any activity, which causes or is likely to cause annoyance to visitors or other exhibitors. Audio / visual display equipment must be positioned, and sound levels so adjusted as to avoid disturbance to neighboring booths. In the event of any disagreement, the decision of Organizers 8

10 / Show Manager is final, and the concerned exhibitors must follow the advice given by the organizers. Children below 18 years of age are not allowed to be in booths. 7. Censorship of Film / Audio Demonstration: Cassettes, tapes and other materials should have been cleared by the designated statutory authorities. Concerned exhibitors will be fully responsible for any violation of rights, rules/procedures in this regard. 8. Dilapidations: Exhibitors are responsible for the cost of making good or replacing any damages to the exhibition centre, whether caused by themselves, their agents, contractors or by any person or persons employed or engaged on their behalf by such agents or contractors. The cost of making good to any damage will be assessed by the official shell scheme contractor and charged to the exhibitor. The Organizers / show manager in consultation with Chennai Trade Center, will inspect the hall before build-up and after dismantling of the stalls. 9. Force Majeure: The Exhibition may be postponed, shortened or extended due to any cause, whatsoever outside the control of the show organizers. The Organizers / show manager shall not be held responsible for any loss incurred to by the exhibitors, directly or indirectly, on account of elements of nature, force majeure or orders and directives imposed by any governmental authority. In the event of such circumstances, the organizers may refund some part of the amount paid by the participants at their sole discretion. Their decision in this regard is final. 10. Safety and Behavior: Public Safety is of paramount importance. No person present inside the exhibition halls is to behave or act in a manner that may cause harm, injury or damage to other persons or exhibits, nor to exhibition hall property or fixtures. Exhibitors, their staff, agencies / contractors must take all precautions while handling tools, materials etc. and ensure no untoward incident happens at any cost. Additional precautions should be taken for operation of electrical equipment, etc. They should wear proper protection gears including footwear. Anyone found to be wanting in this regard will not be allowed inside the Hall. Decision of the Organizers/ Show Manager is final. Exhibitors will be fully responsible and liable for any damage, untoward incident happened out of their actions/inactions. The Organizers and the Show Managers are not responsible for any such untoward incident. No employee of the exhibitors or their contractors/agencies should resort to tapping power. Anyone found to be indulging in such practices will be debarred from the exhibition halls. It is important all necessary insurances must be taken by the exhibitor / contracts should have their own insurance coverage in place. 9

11 11. Return of Rental Furniture: Please check that nothing is left inside drawers or cupboards or shelves or any other furniture when returning to the contractor. Any damage caused to the rental furniture by the exhibitor or anybody associated with the exhibitor, the cost of damage will be collected from the exhibitor. No inflammable article shall be stored in the exhibition area and rental furniture and fixture. 12. DISPLAY AND STAND DECORATION GUIDELINES: Construction and decoration of stands will be governed by the following guidelines. a. Grouting or drilling in the walls / floor is not allowed. b. Exhibitors should not take support of any permanent structure in Exhibition hall for decoration purposes. c. Electrical wiring should conform to safety standards. d. Noise levels should be within the permissible limits e. THE HEIGHT OF ANY EXHIBIT or PANELS SHOULD NOT EXCEED 2.5 m. f. Construction Guidelines for Bare Space Participants g. ALL PARTICIPANTS WHO HAVE TAKEN BARE SPACE ARE REQUIRED TO SUBMIT THEIR BOOTH DESIGN AND CONSTRUCTION PLAN TO THE ORGANIZERS BEFORE 10TH SEPTEMBER 2018 AND TAKE FORMAL CLEARANCE FOR CONSTRUCTION. BOOTH DESIGN AND CONSTRUCTION PLANS. h. A Damage & Performance Bond (Refundable Security deposit) of Rs. 25,000/- per stand for stands up to 100m2 and Rs. 50,000/- per stand for stands above 100m2 is to be paid by demand draft favouring TNJF-GJIIF by the booth fitting contractor along with the design submitted for approval. This amount will not be forfeited unless the contractor defaults on stand building / dismantling deadlines. 13. STAND FITTINGS REGULATIONS (SHELL SCHEME): a. No additional stand fittings or display may be attached to the shell stand structure. No nailing or drilling will be allowed. If assistance is required in hanging or displaying exhibits, please consult the official Shell scheme Contractor. Please note that internal dimensions of shell-scheme stands are approximately 5 cm smaller than the contracted area as the walls are contained within the booth. b. No Painting or wall papering of the shell stand panels will be allowed. Exhibitors who wish to have panels painted must inform the official shell scheme contractor who will provide estimates on cost involved. c. No free-standing fitment may exceed a height of 2.5 m or extend beyond the boundaries of space allocated. d. No financial credit will be given by the organizers for any package item not utilized. e. Under shell scheme Packages Package shell scheme booths will be built from modular extruded aluminum system. 10

12 f. Please note that carpentry, cutting, sawing & spray painting inside the exhibition hall is strictly prohibited. Exhibitors will find it easier to operate, if they make sure to take possession of their booths at the specified time. g. The Exhibitors who have opted for the shell scheme booths, and whose fascia are provided by the official stand fitting contractor, are not allowed to alter / change the fascia board made for them, at site. The objective is to maintain uniform standard of all such stalls for a neat and trim appearance. Individual Logo s or any POP / display material on the fascia board is strictly not allowed. The height of panels and partition walls should be strictly adhered to as per rules set in the exhibitor manual. Construction may not be permitted without the Organizers / Show Manager approval to stall designs and plans. h. Guidelines issued for exhibitors using bare space stands should be followed, particularly in respect of neatness of display and height restrictions. Organizers / Show Manager have the right to reject furniture and fittings of exhibitors, which do not blend harmoniously with the quality of the stand construction in the overall exhibition area. Exhibitors are advised to leave a minimum of 30% of their stall area free for movement of visitors. i. No extensions to the existing wall / venue structure provided by us will be permitted. Nailing or drilling on the structural / panel walls is also not allowed. Kindly use double-sided tape for display of visuals or posters on the wall panels (standard shell scheme) provided. j. Any change to the type or color of the floor carpet provided (for shell space only) must be by prior approval of the Organizers / Show Manager along with the shell scheme contractor, the cost of which will have to be borne by the exhibitor. k. An exhibitor occupying a corner booth has an option to do away with the stall partitions, which is by the side of the aisle. Kindly inform us in advance, whether you require the wall or would prefer an open side. l. Ceilings of shell scheme stands are open, but will be braced for stability, wherever necessary. m. No cloth banners / POP materials are allowed to be displayed / distributed inside the halls or the venue. 14. STAND FITTINGS REGULATIONS (BARE SPACE): a. Marked floor space will be given as per the final layout b. The max height of the (common) wall paneling should be 2.5mtrs from the floor level c. Name fascia may be raised for 1 meter above the panel leaving a minimum gap of 1 meter from all corners where the name fascia is raised. d. Bare space exhibitors are requested to share with the organizers, the details of their respective stall decoration contractors. e. Bare space exhibitors should submit their final designs to the organisers for approval from their technical team before 7 th September f. Exhibitors are requested to get the service badges from the organizers and to issue the same to their respective stall decoration contractors. g. People without badges will not be allowed into the halls during the set-up and event period. h. Wood Cutting, spray painting & Welding works are not permitted inside the hall. 11

13 i. Temporary power can be drawn from the nearest DB as indicated by the official infrastructure providers during set-up period. j. Permanent power as per requirement will be given by the official infrastructure provider at an additional cost up. The power line will be drawn upto the corner of the stand. Internal wiring for the stand should be done and maintained by your stand contractor. k. The exhibitors are advised to engage certified ( B certificate) electrical contractors for their electrical work and to use quality wires / cables. l. The agencies are strictly advised not to encroach/touch/use the built-up booths for working/storing of the décor and display materials. m. The stand contractors should work within the designated floor space of their respective booths & should not use the pathway/adjoining stalls for working. The pathway should be completely cleared for laying of carpets on the deadline as given in Stall Possession, Schedule and Set-up Time. Any materials found lying on the pathways will be removed from site by our housekeeping personnel and the organizers cannot be held responsible for any damage or loss of these materials. n. The exposed area of the booth (back/ side wall) facing the pathway or the other booth should be masked completely. o. The pathways should not be encroached upon. p. Smoking / Spitting / Drinking is strictly prohibited inside the halls. q. The stand contractors should clear all their material from anywhere the hall/premises before the commencement of the show and remove off all the materials after the completion of the show. 15. Entry Procedure: Admit Pass should be taken from the organizers office for taking possession of booths (use FORM 1). 16. Exit Procedure: The exhibitor should submit two copies of FORM 2 duly filled up at the Organizers Site Office before 1:00pm to 2:30pm on 23 rd September These forms will be scrutinized by the Organizer and will be returned to the exhibitor from 4:00pm onwards on the same day. The organizers will not be responsible for delay in removing materials due to delay in submitting the forms. 17. Cost of damages will be collected from the Participants, before removal of the exhibits. 18. No Banners / pull outs or distribution of promotional materials will be allowed without organizers prior approval inside the venue other than the exhibitor s own stall. 19. Observance of Rules & Regulations: All Exhibitors and their personnel must observe the rules and regulations stated in this exhibitor manual, and the Rules & Regulations accompanying the exhibitor s contract, while working or present in the exhibition halls. 20. Important: The organizers reserve the right to modify / change any of the guidelines / provisions / rules / regulations / time schedule at the time in the interest of the exhibition and their decision in this regard is final. 12

19 Entry into the Venue with your exhibits / display material is allowed only through the freight entrances. Please ensure that your transporter is carrying a letter of authority on your company letterhead, clearly mentioning the hall / booth number, the clearance certificate and Admit Pass before unloading the goods inside the venue. Due to entrances / space constraints our security and freight forwarding agencies are authorised to allow entry of your vehicles, subject to availability of movement space inside the venue / parking area. Kindly co-operate with them at all times during the set-up and dismantling period. All display and setting up of exhibits must be totally completed by 10:00PM FOR HALL NO. 1 & 2 ON 19TH SEPTEMBER 2018 AND 10:00PM FOR HALL 3 & CONVENTION CENTRE ON 20TH SEPTEMBER Please note exhibitors and their stand contractors will not be permitted to carry out any further on-site work after this time, the failure of which will attract a penalty charge of INR 10,000/- (Rupees Ten Thousand only) per hour / per booth thereafter upto 3 hrs from your respective booth completing deadline. Contractors will not be allowed to work unless they make the payment to the Organizers / Show Manager before starting to work beyond the time limits. Contractors are requested to strictly follow the deadline given by the Organizers /Show Manager for smooth functioning of the show. No security will be provided before the start of the exhibition 18

For security reasons, all contractors are required to register with the Organizers /Show Manager by completing the form below before the deadline. All design proposals must be approved of by the Organizers / Show Manager and should conform to all statutory requirements. Electronic drawing i.e., 3D images (top angle, front angle, left angle and right angle) of your stall design should be ed to siva@u .in before 10th September 2018 and must show the plan and elevation of the booth and its fittings, state materials and fire protection to be used, describe moving exhibits, projectors and displays and give details of measurements, weights and loading of all exhibits. All booth decorations to be used at the booth, e.g. wording, exhibits to be displayed in the booth are subject to the Organizers / Show Manager approval. The Organizers / Show Manager reserve the right to reject the booth design which is deemed inappropriate to the show and/or not relevant to the specific product sector in each hall. Exhibitors are required to alter the booth design as per the Organizers / Show Manager request. Failure to comply will result in the cancellation of your booth.
