9 President's Report Gary Lyons The 2018/19 Committee is well progressed on its formation and is focusing on managing the Club on behalf of Members. I would like to acknowledge the contribution of former president, Sarah and her team and on its good work. Their contribution has continued as they have assisted the new Committee with its transition. A key focus for Committee is to strengthen engagement with Members and to encourage broader participation by Members in Club activities. The Business Plan will be refreshed, the key pillars of which are Membership, Trips and Wandarrah. Members will be asked to review a draft of the refreshed plan and provide feedback to the Committee. I am pleased to again be contributing to Club management and I thank you for this opportunity. I would like to acknowledge the assistance given to me by the retiring Committee and many Club Members who have shared with me their observations of issues and of matters that require the Committee s attention. Regards Gary Lyons President Message from the President Fire Danger Period Declared for Wandarrah The Country Fire Authority (CFA) has declared a Fire Danger Period for the East Gippsland and the Wellington municipalities for the period 10 Sep 18 through to 01 May 19. Fire restrictions are now in force in these two municipalities, the effect of which is that you cannot light a fire in the open air unless you have a permit or comply with certain requirements. Our Club property, Wandarrah is located in the Wellington municipality. Fire restrictions apply to Wandarrah during the declared Fire Danger Period. Please make yourself familiar with the restrictions and ensure that all activities at Wandarrah are compliant with the restrictions during the Fire Danger Period. 15 How to Run a Club Trip All trips MUST be accepted by the Trip Coordinator before being advertised in the Club Magazine or forum. Send an to the Trip Coordinator which details your trip. Once the Trip Coordinator has approved the trip it is posted in the Trips section of the Club Forum. Once posted on the Club Forum, please ensure that you keep the trip entry up to date with attendees and review it regularly for comments or questions from members. To comply with our insurance requirements it is essential to complete the required paperwork. Members can use the online digital trip participant form to quickly and easily submit the required details. Alternatively a printable version of the form can be downloaded from the club website ( or Four Wheel Drive Vic. website ( org.au). All other forms for trip leaders and guests can be downloaded from the club website ( or FWDV website ( If you have any ideas about a trip and/or questions speak with the Trip Coordinator (trips@nissan4x4vic.com.au) or any of the committee members. Submitting a Trip Report I have recently had members ask me how to write a trip report. As trip reports are a fundamental part of the magazine, it s great when members want to share their interesting experiences with the club community. The general rule of thumb when submitting a report is to provide as much relevant infvormation as possible. For example: Specify whether it's Club or Personal Trip. Trip name and date. Participants on Trip. Photos. Trip report text. Selfie or avatar if you perfer. When I receive your details I will create a proof of your report and send it to you for changes or approval. When you write your report, do it from your perspective, how you experienced the trip from start to finish. I find it helpful to look at the map or GPS file as well as photos to jog those memories. When I receive your draft I will create a proof and send it to back to you to make changes if necessary. Hope this helps to get those reports in. Cheers. Heath. 16 Trip Report Walhalla Day Trip 26th May 2018 Report By: Andrea Trovo Participants Andrea Trovo (TL) Chris, Brooke, Abigail, David, Ethan & Annika Veldwyk Lachie, Jeanne, Taya, India, Lennix & Smith Adam, Ivy & Abby Webb and Michael Raas Barry Gibson David Anderson & Julian Briede GU Patrol GU Patrol GQ Patrol GU Patrol Pathfinder GU Patrol Clay Howard & Andrew Mitchell (TEC) Ranger It was a cold and chili morning but the day started off with an amazing sunrise after several days of extreme Melbourne rain. The excitement was felt all around with all members arriving on time. Once the admin was out of the way the trip leader proceeded with a thorough briefing of what s to come for the day and the usual housekeeping rules of convoy procedures. We set off, starting from the local McDonalds at Moe heading to Walhalla via C446 Moe-Walhalla Road with only 20 min into the trip the whole convoy needed to come to a stop. Sadly there was a flat tyre to replace! All members were ready to chip-in with help. There was ample of moral support and plenty of chiefs to direct the operation, as the saying goes how many people does it take to change a... Once the job was completed we were off again for a beautiful sunny day in the bush. First leg of the trip is a spot of sight seeing at Horse Shoe Bend Tunnel. It was a good opportunity to stretch the legs and learn more about the local mining history of the region. The history of the tunnel began in the early 20th century. It was a man-made diversion, designed for easier extraction of gold. The diversion enabled the river to flow through a tunnel, leaving the dry river bed to be sluiced for alluvial gold. A leisurely stroll down the pathway from the car park to the river's banks, gives the whole group a great view of 18th century engineering, a chance to drink and taste of ice cold water for those who dared to venture up close and personal. As one of the members can confirm, it was excellent drinking water! After a climb back to the carpark, we take a few happy snaps for the magazine and let the tyre pressure down in preparation for the next part of the trip. It wasn't long before we had to turn off onto our first track for the day, Britannica Track, a light easy track, a great way to warm up but by the end of the track our tyres where full of mud and some of us even got it on the paint work. We then proceeded to find our next track names the plane track which proved to be a 14 OCTOBER 2018 NISSAN NEWS

17 good one with ample of step decents, mud, rocks, and fortunately the spoon drains helped to slow down each vehicle. At the bottom of the valley we came across our first river crossing with water levels been low enough to cross yet high enough to rinse off our muddy tyres. The fearless trip leader forged across the river first. It turned out to be the first & only winch recovery of the day with the trip leader needing a bit of extra help to get up the banks of the river! To his great surprise no other vehicle needed a hand as they all made it up river bank with no trouble. Way to go troopers! After our climb out of the valley we finally reach the Thompson Dam picnic grounds where we stopped and enjoyed a relaxing lunch break under beautiful clear sunny skies and impressive open views of the water reservoir. After lunch, we head off across the Thompson Dam with a quick stop for more happy snaps, continuing along the road we pull off into our next challenge for the day Fulton track, with a sharp left turn into a very steep descent into the valley again for the second river crossing. With everyone across safely we commence the steady climb up with challenging steep rocky sections giving our engines a good workout and drivers plenty to negotiate with care. Once at the very top we all lined up our vehicles for more group photos before heading into town. Finally, we arrive at Walhalla township where we all say our goodbyes for the day and pressure up our tyres again in readiness to drive home. Overall the day was fun and exciting with plenty of variety for the whole family, no vehicle was damaged or scarred - but the same can t be said about certain drivers! 19 Tree Pruning at Wandarrah 7th September 2018 Report By: Dean Walker (Land Coordinartor) We set of on Friday 7th September for Wandarrah for the removal of dangerous limbs in trees around the camp area. We arrived about 5pm. I would like to thank Brad Bloxidge who picked up the cherry picker from Morwell and arrived about 6pm. Roger Mckee had arrived earlier. We had an early start Saturday morning with the first limb removed from a tree near driver training. We then moved down the driveway to remove the tree that had come down over the driveway. Wanda and Gary arrived to help as we were clearing this tree. We cleared a couple more tree limbs from the driveway area and then had morning tea. After that it was a few limbs around upper Wandarrah camp area and then lunch. After lunch we made our way down to Lower Wandarrah to remove more limbs and then more from near the toilet block. We finished for the day at about 4pm and Wanda and Gary left not long after. Sunday was not quite as early start. Evan Wellard arrived at about 9am to help. Brad started the day replacing the old guttering on the hut with new guttering. This took most of the morning. Every one else clearing and cutting wood from the previous day and cleaning the gutters on the toilet block roof. After lunch the last couple of trees, near the playground had their dangerous limbs removed. We then called it quits for the weekend. I would like to thank Brian Rollins for lending his pole saw and everyone else for helping to make this a successful weekend. It is important to remove personalities from the roles and conduct the meetings and decisions based on what it is best for the club. Gary is standing in as temporary treasurer for Brian until he returns from holidays. Because of Brian and Ian s absence we are unable to set them up as signatories. Gary cannot be authorised until the others return and they are all done at once. Given all payments must be signed by two approved signatories; Gary will approve payments, John Farlow as retiring Treasurer and authorised signatory, will sign off on them and Leigh, as the other remaining authorised signatory will do the final sign off. Leigh raised the subject of whether we should discuss with Dean the need to resurrect the Land Committee. Gary will also talk to Dean about this before the next GM so that we can seek volunteers asap. A discussion re Oh Shit Hill and whether it should ever have been reopened was had, given it could be argued that it may never be used. This needs to be discussed at next meeting. Glynn has new chain for Wandarrah s front gate. He will give to Dean in time for next working bee. Black lock currently on the gate to be returned to Glynn. 23 directly into our CommBank account via BSB and Account number. This was agreed to. Trip Co-ordinator: Mick Melenhorst NTR as yet. Working his way through the handover. Webmaster: Alex Glover Waiting for handover from Heath when he returns. Sgt at Arms: Michael Dingli There is some confusion about who is managing the relationship with Lilydale/Ringwood Nissan. The deal was they would provide prizes in lieu of advertising fees. We have also been approached by Preston Nissan with a view to having a relationship with them. Is this a conflict of interest? Michael to liaise with Kyle and Heath to put this to bed. Keymaster Glynn Deane Key Situation Leigh and Glynn to work on sorting out the key situation, particularly in terms of who has black keys and who should have them. Also tidy up and stocktake the general keys to understand and remove any security risk associates with reusing old keys over and over again, as well as members retaining keys and getting new ones. Also need to determine whether we need to replace all keys and locks progressively. Business arising from previous meeting. Expense reimbursement Based on the results of the recent poll and discussions with the Committee and members, Gary will draft a policy for review/approval at the next Committee meeting. Due to some confusion it was agreed that tickets for this month s 4x4 stand to be paid for by the club for entrance only, for members who man the stand for a minimum of ½ day. Attendees must also be registered with Neil. If 2 members of one membership attend then we pay two tickets. This policy may change for future shows as determined by the expense policy review mentioned above. It was suggested from the floor at a recent GM that the Committee should get 3 quotes for any expenditure over $500 with a maximum Committee spend figure by the Committee without GM approval of $1500. Gary suggested that it is not necessary to get GM approval for expenditure. The Committee undertakes to provide better communication and transparency for major one off/asset expenditures. The Secretary will ensure that where possible the cost estimates will be in the minutes prior to expense occurring. There was no objection to this so issue closed. There was a request from the floor at a recent GM, that printed financials be handed out at GM s. This was rejected as the previous Committee made a conscious choice to not do this, but publish on the web site. The GM will no longer be required to approve the financials. This is already done at a Committee level. Another discussion was held re cutting of the trees at Wandarrah. I.e. do we do it or get a contractor. No outcome was determined; as we are still waiting for the Certificates to be approved this was held over until next GM. Secretary notes that this was approved by the previous Committee upon meeting the requirements of our insurer. Leigh to re-submit documentation to Committee for perusal prior to next meeting. GENERAL BUSINESS Safety of Childrens playground at Wandarrah. This was brought up by the Secretary as the next thing we should be reviewing in order to keep all our members and families safe at Wandarrah. Initially he suggested that two parents who will be at Wandarrah soon, inspect the equipment and area with a view to advising if they thought it was safe for their children to play under supervision and if safe without supervision. They should also make some initial recommendations as to what needs to be done if anything, to make this area safe. Depending on the outcome of this what action we take next.
