1 Welcome to all attending the 2013 NHMA National Rally. Thank you to all the enthusiasts that have applied to exhibit at the event, the response has been tremendous and the Rally is shaping up to be a true celebration of the preservation of historical machinery across Australia. The local Cudgegong Valley Antique Machinery Club (CVAMC) have undertaken a great deal of work to set the stage for this event and it will take a little bit of help from every attendee to make a smooth running, fun, social and interesting National Rally in Mudgee. Program information is now closed. As it is less than 4 weeks to the event collection of information for publication in the Official Program has concluded. Close of exhibitor applications. Friday 22 nd March, is the close of all applications for exhibitors, and any not received as yet are still dependent on space availability. Due to the enormous interest and great number of exhibitors there will be no provision possible for any person arriving at the event without a pre-approved application. Safety - Don t let us down! Safety is important to each and everyone of us and our families, so make sure you are aware of the rules our interest operates under and heed the instructions of marshals during the Rally. Clubs, make sure your members are aware of the rules. Where is the Rally Ground. The Rally is being held at the Australian Rural Education Centre, 267 Ulan Road, Mudgee. AREC is 2.7kms north of Mudgee adjacent to the Mudgee Airport. See directions at Set up days. Wed 17 th & Thurs 18 th are the set up days from 7.30 am to 6.00pm (sunset). Lifting equipment will be available on these days. If you have any out of the ordinary requirements you will have indicated this on your application form. Unloading assistance see the Rally Office. No setup after 8.00 am Friday 19 th.

2 Step by Step Arriving at the Rally Ground. Step 1: Enter by the correct gate refer map. Caravans and Campers enter via Gate One Trucks, semis, and vehicles with trailers enter Gate Three. Step 2: Check in with Rally Staff at the Gate. On arrival at the gate (either 1 or 3) you will be checked off our list and directed either to your camping spot or to the ramp for unloading (there are 3 ramps) or directly to your site if you can self unload or you need a fork / sling to unload. Step 3: Park as instructed. DO NOT PARK JUST ANYWHERE. If you think that you have found a nice quiet spot to leave a truck or vehicle - YOU RE WRONG. The only parking for vehicles is in designated parking areas as indicated by the Rally Organisers. Just because a spot is empty doesn t mean it isn t allocated to another exhibitor or activity. You will be advised where you can park transport vehicles etc upon your arrival. Semi & trailer parking area is being provided adjacent the Rally ground, there is no camping permitted in this area. Event Organisers will move any vehicle that is in the wrong place. Step 4: Attend the Rally Office. Open from 8am on Wednesday. The Rally Office has your entry wristbands, merchandise, dinner tickets, programs, exhibit numbers, and rally information. There will also be information for day trips available by local tour operators. Your insurance papers will be sighted at the check in, so bring them with you. The Rally Office is in the large steeply pitched pavilion, look for a string of flags on the roof line. General Information for all exhibitors. No Wrist Band - No Entry. Your wristband is designed to be worn for the whole event, it is PVC and can be worn in the shower etc. The wristband serves many functions, it gives you access at the entry gates, it indicates at compounds to marshals if you are insured (but don t forget your insurance cards), and the colour indicates to security guards if you are booked on the Rally Site for accommodation. Make sure it is a comfortable length when you apply it as it cannot be removed without destroying it. Security On Site. We understand that the security of peoples equipment is important. A professional security company who are very familiar with the exhibition grounds will be in attendance at the Rally and will be patrolling the exhibition area throughout the night. However it is every exhibitors responsibility to take reasonable precautions with their display. We strongly recommend that ALL exhibit items are covered on the exhibition days and when unattended during the set up days. A simple tarp canvas cover, cheap blue poly type, are tied around your engine, equipment, tractor or what ever you have on display. It greatly assists the security personnel and is in your best interest. At the end of the day the machinery on display is at your own risk.

3 After the exhibition area has been cleared each afternoon (6pm) THERE IS NO ACCESS to the exhibition area. Our guards have no hesitation in involving the police. No Pets No pets are permitted on the Rally Grounds. Your Tractor Display and Safely Parking BRING WHEEL CHOCKS FOR YOUR TRACTOR. IF you can restore, maintain and transport a tractor to Mudgee for the event - you are capable of bringing the wheel chocks for the safe display of your tractor and to comply with the NHMA safety code. BRING WHEEL CHOCKS. Where will I be sited. If you indicated in your application a preference to be sited as a club or with other exhibitors, we will do our best to accommodate you. As this work has commenced please do not contact us now about changes. Clubs with a mix of engines and tractors will be in the same block albeit some in a fence and some out as required by the regulations. Display Numbers. Exhibitors will be issued with an all weather printed number that corresponds with the description in the Official Program, these are to be affixed to your exhibit so that visitors can identify your exhibit. The numbers are a synthetic material and have holes punched in the corners we suggest a bit of wire or baling twine will be best for attaching, bring whichever suits you. Information for Steam Exhibitors. Wood and coal will be available for steam engines. Water will be delivered with the help of our local RFS. There are garden taps in some areas also, so bring a garden hose and fitting for your convenience. Volunteering On the days leading up to the Rally days we would appreciate assistance from any volunteers. Each morning at 8.30am a meeting will be held at the windmill at the centre of the site for those who wish to help with tasks during the day. Event days 19 th, 20 th & 21 st April. Early Exhibitor Breakfast If you want an early start on the event days, bush cook Wayne Crowe will be turning out an early breakfast from 6am to 8.30am just around the corner from the Rally Office. Exhibitor Briefing The Exhibition Area is open to exhibitors from 6.30am to 6.00 pm The site is open to the public from 9am to 5pm

4 No movement of vehicles around the site is permitted when it is open to the public (except for Grand Parade) All exhibitor sites will stay set up until 4pm on Sunday afternoon. Exhibitor Briefing Daily There will also be an exhibitor briefing at 7.30am at the windmill on Rally days to ensure exhibitors understand their obligations and safety requirements, to explain the days activities, discuss outstanding issues & answer any questions. Please have your tractors in the required compound (static or tractor pull), before Rally is open to the public as movement will not be allowed while public are on site except for designated events such as the Grand Parade. All vehicles are to be off the exhibition area by 8.30am each event day and parked in the camping areas if camping, or in the exhibitor carparks. PLEASE NOTE: If your tractor is not in a compound, (eg tractor pull compound), wheel chocks are required. These simple requests are for the safety of everyone and the smooth running of this event thank you. Any questions, phone Mitchell on or Brian on Exhibitors staying off site parking on event days If you are an exhibitor and you are not staying on the Rally Ground, on the event day you should enter by Gate 3, showing your wristband. You will be directed to the Exhibitor Car Park (see map above TAFE). Shuttle Bus Service A shuttle bus service will run through Mudgee and will go past all three caravan parks and the showground. Bus route maps available at the Rally Office. The bus service is on a gold coin donation and is an excellent way to travel to and from the event. Grand Parade Each day a grand parade will be held. If you wish to participate in the Grand Parade you will need to register your interest at the Exhibitor Meeting at the morning briefing. Depending on numbers interested in participating, you may be allocated one of the three parades to be in. All Exhibitors are requested to assist with public safety during the Grand Parade, keep a check on the public especially children and people who don't understand safety around old machinery. Tractor Pull The tractor pull is for demonstration and fun it is not a competition tractor pull. You should have expressed an interest on your application, if not please attend the morning briefing to be included.

5 AGM - Friday Night The AGM will be held in the Founders Pavilion starting at 7.30pm. There will be a food vendor on site adjacent the meeting hall for people who wish to have a meal prior to the meeting. If you have any questions about the AGM, NHMA business etc contact Mr Ken Bock the NHMA secretary at bock-1@bigpond.com, or (call at a reasonable time). The NHMA will have a site a short distance from the central windmill during the event, drop in and see the committee at the Rally. Rally Dinner - Saturday Night If you are one of the 700 people booked into dinner - we are looking forward to a great meal and entertainment starting from 6pm at the Founders Pavilion (the very large building on the Rally Site). There is a bar running at the dinner and no outside alcohol is permitted. Your Dinner tickets that you will have collected from the Rally office upon arrival at the Rally are coupons to be surrendered for your Main Course and Desert. Please treat these tickets like cash they can not be replaced / refunded. Dinner tickets sales finish on Friday 29 nd March. Dinner Dress is smart casual. Additional Notes for those staying on the Rally Ground. Sites for caravan or camping are closed, no further space is available. As made very plain from the outset the Rally Ground is NOT of the standard of a caravan park. That said the amenities are quite good. Entry Fees. Camping fees are exactly what they say, they cover your camping not entry to the event. If you are not specifically entered as an exhibitor by an application form submitted to us, then entry fees are to be settled on arrival at the Rally grounds at the Rally Office. Any person on site without a wristband to identify them as an exhibitor or staying in the camping area will be having a problem with the site security team. Dump Point There is a newly installed dump point for sewerage on the Rally Ground (see your map). Shower Amenities Good news - there are two shower locations on site. In the Small Pavilion (steeply pitched roof) there are male(7) and female(7) and a disabled(1) showers, these are instantaneous gas hot water supplied and are quite new. Sam s Showers - commercially supplied unit comprising 16 gas fired units, this unit is located toward the other end of the camping space. (see map)

6 Safety Notice: Spacing between caravans and tents It is important that you set up your site with consideration of safe spacing between structures. Space for access for firefighting and the minimum distances shown above must be observed when you set up. Powered Sites The power outlets across the site vary between 10amp outlets and 15amp outlets. So bring a 10 amp lead to save any hassle when you arrive. Water All the water on site is town supplied, so it is all drinkable. If you have the option in you van to prefill your tank - that's a good idea. The map shows some water points that can be used in the camping area. The camping in the circular road area have water points in the centre of the blocks. If you require specific hose etc bring one. Rubbish There are a number of Skip Bins located throughout the camping sector, deposit any rubbish in these skips. Keep the site clean, there are no magic fairies to clean up after you. We look forward to seeing you at the Rally, and enjoying a great time, seeing some fantastic machines, and doing it safely. Please heed the instructions of marshals and event organisers. Make no mistake any individual behaving in an unsafe manner or being rude to our volunteers will be removed from the Rally Grounds.
