Complete and Clean Data Report CHIPS Contacts: CHIPS Clinical Co ordinating Centre (CCC) chips@cw.bc.ca Ph: CHIPS Data Co ordinating Centre (DCC) chipsdata@sunnybrook.ca Ph: The last CHIPS newsletter included the first edition of this new Complete and Clean Data Report, which is intended to provide sites with an overview of data forms and queries completed to date. The report has generated some questions from sites and so we have provided some clarifications about how the report should be interpreted, on page 2. Our current overall standings (as of April 10, 2013) for returned and clean data are: Cases with all data forms received: 87.5% Cases with all forms received and all queries resolved: 77.7% We are making progress! Please turn to page 4 to find out the current status of your centre!

2 Clarifying the Complete and Clean Data Report The second column on the right side of the report shows the # Patients with all forms received. If your centre is not yet at 100% for data forms returned, the separate Overdue Data Report (which is distributed monthly to each individual site) can be used to identify which specific forms are outstanding and should be sent to the CHIPS Data Co-ordinating Centre (DCC). The third column, which shows the # Patients with all forms received and all queries resolved, is a number that reflects the percentage of queries that have been processed as resolved at the DCC, rather than the percentage of queries that a site may have responded to in the last query run. This is because the process of distributing queries, receiving responses, and updating those responses in the database at the DCC is always ongoing. For example, if you answered all queries in the table sent out to your site in December 2012, but we required further clarification on a particular response, the status of the query would not have been updated as being resolved. This is one reason why your site may not have 100% of queries resolved. As you review this column of the report, please keep it in mind that: All queries must be completely resolved for every data form for each patient before the report will show 100% Complete and Clean data. Queries that were not able to be fully resolved in previous query runs will be distributed to sites again in the next run, often with additional clarifications to help sites better understand what information we are still looking for. If we have generated new queries on data forms that were received since the last query run, these additional queries will be also factored into the percentage you see reported on the Complete and Clean Report. We hope that this report will be useful for identifying our progress, as we work towards the final data analysis for CHIPS. Diary (Office/clinic visit section, page 2-10) Study Contact Form (page 4-7, question 9) 1) Use the BP values from the first office/clinic visit to complete page 3 of the Study Contact Form. 2) At the end of each contact period, transcribe the information onto ONE single Study Contact Form. The information for all office/ clinic visits after the first visit should be placed on page 4. 3) The Current Contact Date recorded at the top of the Study Contact Form should be the same as the date of the last office/clinic visit date in the contact period.
